A Few Terms, Please!!

• Clipboard: A temporary storage area. • Cut: Used to temporarily remove

highlighted text from the screen and place it in the clipboard.

• Paste: Inserting the text that is contained on the clipboard into a document.

• Move: A term sometimes used to describe cutting text from one location, and pasting it to another location.

Rules to Help You Maintain Proper Spacing

• To preserve the correct spacing between paragraphs:– Include the blank line below the paragraph

you’re moving as part of the selection.– When you paste, click to the left of the first line

of text following the place where your paragraph will go and not on the blank line above it.

There’s More than One Way to Get There

• There are several ways to cut and paste text. Included are:– Use the Cut and Paste buttons on the Standard

toolbar.

– Use the shortcut method (Ctrl/X, Ctrl/C, Ctrl/V)

– Use the keyboard shortcuts (drag and drop)

– Select the text and use the features of the Edit menu.

What Really Happens With that Clipboard?

• When you store text to the clipboard, you can paste it as many times as you like.

• When you cut or copy new text, it replaces the text previously stored in the Clipboard.

Using the Drag and Drop Method to Cut

• Select the text to cut with the mouse.• Release left button of mouse, and point to

the selected text.• The I-beam changes to a left-pointing

arrow.• Click and hold down the left mouse button.• Drag the pointer to the desired location, and

release the mouse button.

Using the Drag and Drop Method to Copy

• Select the text to copy with the mouse.• Release left button of mouse, and point to the

selected text.• The I-beam changes to a left-pointing arrow.• Press the Ctrl key when you click and hold

down the left mouse button.• Drag the pointer to the desired location, and

release the mouse button.• Note: a + is displayed inside the box to

indicate a copy instead of a cut.

Other Cut and Copy Methods

• You can bypass making any changes to the clipboard when you cut and copy.

• Highlight the text to be cut or copied

• To cut:– Hold down the CTRL key and scroll to point to

be pasted.– Right-click and select Paste.

• To copy:– With the text selected, hold the CTRL + Shift.– Scroll to the desired position.– Right-click and select paste.

• This will preserve the contents of the Clipboard.

Using Smart Cut and Paste

• When deleting, cutting, moving, or pasting text, Word automatically adjusts the spacing between the words.

• This is utilizing the Smart Cut and Paste feature of Word.

Setting the Smart Cut and Paste Option in Word

• Select Tools from the menu.

• Select Options• Click the Edit tab• When the dialog box

displays a check, the feature is turned on.

Working with Multiple Document Windows

• You can split a document into panes and have two scroll bars.

• Select Split from the Windows menu.

• Drag the bar to the area where the document is to be split, and click the left mouse button to set the split.

• You can also double-click the split box to create two window panes.

Working with Multiple Documents

• Open two or more documents.• To view both documents at once, select

Arrange All from the Window menu.• A minimum amount of text from each

document will be shown on the screen.• The document with the title bar displayed in

blue is the active document.• You can move back and forth between

documents by selecting Ctrl/F6.

• When you want to copy or move text from one document to another, you can work with multiple document windows which provide a smaller display, or you can work with the full-document for the full-screen effect.

• If you work with multiple windows, you can also use the drag-and-drop.– To use this technique, you must display both

documents at the same time.

• When you move or copy text from one document to another, remember that the text may be in a different font or font size.

• Format the new text to match the current document.

Inserting Text From An Entire Document into Another Document

• To insert all the text contained in one document into the current document, use the Insert function from the menu.

• Move the insertion point to the place in the document where you want to insert the file.

• Choose Insert/File and double-click the filename.

• The text from the entire file is inserted at the insertion point.
