Introduction This monthrsquos spotlight paper is broken down into four main topics We have looked at the hot topics on the Community the current trends in LampD HR and Leadership and Management and combined our research with that of the experts in the field

PESTLEPESTLE is a tool that looks at the external

influences on an organisation the acronym stands for Political Economic Social

Technology Legal and Environmental Once these influences have been identified and explored organisations can relate them to internal issues and assess the risks andor

opportunities for the business

SWOTSWOT is one of the most popular needs

analysis tools for a variety of reasons It is one of the simplest needs analysis tools as in a short amount of time SWOT looks at the strengths weaknesses opportunities

and threats of the organisation It can help identify opportunities that need to be

exploited while recognising some of the weaknesses in the organisation that can be avoided with training andor support

in specific areas SWOT works as not only a needs analysis for the internal team but can

help to build an organisational strategy to stay relevant and competitive

Brainstorming This technique allows team members to share

ideas in a safe and none judgemental area Using this technique means that ground rules need to be set in order to avoid confrontation and ensure that all ideas are valued or built upon It allows all individuals to share their

thoughts on where training may need to happen or what solutions are available how

they should happen and when

Widest ideaWildest idea prompts people to be pulled out of their normal mind set asking them to consider the most unusual or extreme

situation they can and see where the thought processes can lead to Once the wildest idea

has been thought about the organisation can use these wild ideas to trigger more realistic needs ldquoIf you aim for the stars and reach the

moon it is still a great journey to be onrdquo

Force Field AnalysisSituations are maintained by an equilibrium between forces that drive change and others that resist change For change to happen the driving factor needs to be reinforced and therefore overcome the resistance Force Field Analysis works by scoring the pros and cons of the decision businesses can then analyse and apply the changes based on the scores within the analysis

Gap AnalysisGap analysis works by identifying the current state of characteristics competencies and performance and then listing the desired state From this individuals can evaluate what needs to happen to fill or reduce the gap to get from the current to the desired states improving organisational processes andor performance

FishboneThe fishbone technique identifies the cause and effect of a situation This activity is mainly used when there are a number of possible contributing causes and can be used to separate the causes from the effects and conclude solutions

The six step problem solving modelThis framework is used in a team environment when people are trying to diagnose a problem that needs solving The initial step is to explore and then define the root cause of the issue The subsequent steps guide the team logically through the problem and possible solutions to get to an agreement on the best solution

Paired RankinglsquoPaired Rankingrsquo is a decision-making process which compares each alternative with each other one on a win or lose basis Each alternative ends up with a total of points which places it in the final rank order This activity is useful for measuring personal preferences from a number of solutions problems criteria objects etc It is often used in conjunction with a selection grid or brainstorming list to narrow down options and identify differences in values between group members

Needs analysis and diagnostics are a crucial part of the training cycle and problem-solving process within an organisation Needs analysis diagnostics methods allow organisations to identify a problem or gap with the intention to solve or fix the problem through the appropriate solution There are a huge range of needs analysis and diagnostic tools available some more favoured than others We asked the DPG community which needs analysis tools they favoured and we gained some insight into the most used methods

Whatrsquos your favourite Ted Talk from the list belowTED began in 1984 as a non-profit organisation dedicated to sharing a variety of short powerful talks from a huge range of inspirational people In its initial years TED was a live conference bringing great minds technology and entertainment together since then it has spread its wings to include topics on science business and global issues

ldquohelliproster of presenters broadened to include scientists philosophers musicians business and religious leaders philanthropists and many othershelliprdquo

The topics in which some of the TED Talks cover can inspire and influence peoplersquos everyday lives especially their working lives and some people are so inspired by what hosts such as Simon Sinek and Dan Pink have to say that they actually make a change in their organisation

TED has grown massively in popularity over the years with more than 2100 TED Talks having been watched over a billion times As well as the TED Talks TED has expanded to TED Global TED Prize TEDx and many more allowing these influential talks to be heard all over the world and reach a far greater audience

In 2002 Australian based software company Atlassian came up with the idea of a FedEx day The craze of these days has since grown in popularity with 46 of our community showing that their organisation takes part in a FedEx day at least once a year

A FedEx day is an innovative brainstorming day allowing everyone in an organisation to share ideas prototype pitch and discuss new products and services The 24-hour event energises empowers and excites all employees within the organisation giving them a voice and an opportunity to share ideas that they wouldnrsquot normally be able to share

Whatrsquos in it for the organisation An organisation will gain insights into new ideas and innovative creative solutions that they wouldnrsquot have access to before FedEx days deliver services and products that might not otherwise get attention

How does it workFedEx days are named as such because they deliver overnight just like the parcel delivery company Within the 24-hours in which the FedEx day is being held employees cannot be concerned or troubled by normal work During these hours employees are able to have total control over a project that they are enthusiastic about deciding themselves who they work with and what they work on and at the end of the 24 hours demonstrate the work they have created

Why host a FedEx dayFedEx days have a huge range of benefits from inspiring and promoting creativity to igniting passion and building team relationships Not only do these days help to deliver some business opportunities or provoke changes that can impact the whole organisation in a positive way FedEx days are fun They provide the motivation organisations may need to get out of a slump everyone has something that bugs them about their workplace being given the opportunity to creatively think about how to remove (or improve) that niggle or annoyance in the workplace motivates us as individuals

FedEx days provide an opportunity to learn working with different teams allows people to team up and try out different skills and build something to demonstrate together

Do you encourage employee led groups to generate ideas and innovationPromoting employee voice allows employees to communicate their views to the employer contributing towards innovation and productivity for business improvement Through employee voice both the employer and employee will benefit it can lead to greater job satisfaction better opportunities and often greater results in development

ldquoEmployee voice is the means by which people express their opinions and have meaningful input into work-related decision-making In their seven layers of workplace productivity ACAS define strong employee voice as lsquoinformed employees who can contribute and are listened torsquo To enable a genuine two-way exchange between employers and their people itrsquos important that management listen to and act on employee voicerdquo

Allowing employees to have their say though a range of individual channels is one way of supporting employee voice employee led groups are another Employee led groups can be used as a method for a range of employees to come together share ideas based around a topic of interest and come up with creative or innovative ideas and solutions These groups can be key to the success of some businesses as working from the bottom up allows organisations to really understand how processes and scenarios are working for the people completing the job day to day

Encouraging employees to join employee led groups can highlight the individuals who really care about business success these people want to make the business as good as it can be and because of this want to share their ideas of how to improve the organisation

Employee led groups can focus on anything from a simple process to a huge topic such as employee engagement This for employers can offer some real insight that otherwise could be missed

53 of our community members who answered the poll stated that they use employee led groups to support with innovation and idea generating in their workplace with 15 showing that they use other means of employee voice such as employee voice initiativersquos and lsquoemployee voicersquo groups These all lead to improvement of ideas and thought processes amongst organisations

A large financial institute was looking to sell itsrsquo insurance division The insurance division needed to develop itrsquos on values and identity so they engaged in lsquoThe Bestrsquo quest to become the best insurance provider Part of this was to create an employee led group that would create and vote on the values This activity engaged the 15000-person workforce allowing contributions from every part of the organisation The groups were created from all parts of the business so every department was represented in some way Those who sat on the employee voice group talked to their colleagues fed back ideas or challenges It was great to give employees better visibility across the organisation and enable them to build their profile thus helping them with their careers

As well as this example there are hundreds of positive examples of employee led groups working to benefit both the employee and employer

A large financial institute was looking to sell itsrsquo insurance division The insurance division needed to develop itrsquos on values and identity so they engaged in lsquoThe Bestrsquo quest to become the best insurance provider Part of this was to create an employee led group that would create and vote on the values This activity engaged the 15000-person workforce allowing contributions from every part of the organisation The groups were created from all parts of the business so every department was represented in some way Those who sat on the employee voice group talked to their colleagues fed back ideas or challenges It was great to give employees better visibility across the organisation and enable them to build their profile thus helping them with their careers

As well as this example there are hundreds of positive examples of employee led groups working to benefit both the employee and employer

influences on an organisation the acronym stands for Political Economic Social

Technology Legal and Environmental Once these influences have been identified and explored organisations can relate them to internal issues and assess the risks andor

opportunities for the business

SWOTSWOT is one of the most popular needs

analysis tools for a variety of reasons It is one of the simplest needs analysis tools as in a short amount of time SWOT looks at the strengths weaknesses opportunities

and threats of the organisation It can help identify opportunities that need to be

exploited while recognising some of the weaknesses in the organisation that can be avoided with training andor support

in specific areas SWOT works as not only a needs analysis for the internal team but can

help to build an organisational strategy to stay relevant and competitive

Brainstorming This technique allows team members to share

ideas in a safe and none judgemental area Using this technique means that ground rules need to be set in order to avoid confrontation and ensure that all ideas are valued or built upon It allows all individuals to share their

thoughts on where training may need to happen or what solutions are available how

they should happen and when

Widest ideaWildest idea prompts people to be pulled out of their normal mind set asking them to consider the most unusual or extreme

situation they can and see where the thought processes can lead to Once the wildest idea

has been thought about the organisation can use these wild ideas to trigger more realistic needs ldquoIf you aim for the stars and reach the

moon it is still a great journey to be onrdquo

Force Field AnalysisSituations are maintained by an equilibrium between forces that drive change and others that resist change For change to happen the driving factor needs to be reinforced and therefore overcome the resistance Force Field Analysis works by scoring the pros and cons of the decision businesses can then analyse and apply the changes based on the scores within the analysis

Gap AnalysisGap analysis works by identifying the current state of characteristics competencies and performance and then listing the desired state From this individuals can evaluate what needs to happen to fill or reduce the gap to get from the current to the desired states improving organisational processes andor performance

FishboneThe fishbone technique identifies the cause and effect of a situation This activity is mainly used when there are a number of possible contributing causes and can be used to separate the causes from the effects and conclude solutions

The six step problem solving modelThis framework is used in a team environment when people are trying to diagnose a problem that needs solving The initial step is to explore and then define the root cause of the issue The subsequent steps guide the team logically through the problem and possible solutions to get to an agreement on the best solution

Paired RankinglsquoPaired Rankingrsquo is a decision-making process which compares each alternative with each other one on a win or lose basis Each alternative ends up with a total of points which places it in the final rank order This activity is useful for measuring personal preferences from a number of solutions problems criteria objects etc It is often used in conjunction with a selection grid or brainstorming list to narrow down options and identify differences in values between group members

Needs analysis and diagnostics are a crucial part of the training cycle and problem-solving process within an organisation Needs analysis diagnostics methods allow organisations to identify a problem or gap with the intention to solve or fix the problem through the appropriate solution There are a huge range of needs analysis and diagnostic tools available some more favoured than others We asked the DPG community which needs analysis tools they favoured and we gained some insight into the most used methods

In 2002 Australian based software company Atlassian came up with the idea of a FedEx day The craze of these days has since grown in popularity with 46 of our community showing that their organisation takes part in a FedEx day at least once a year

A FedEx day is an innovative brainstorming day allowing everyone in an organisation to share ideas prototype pitch and discuss new products and services The 24-hour event energises empowers and excites all employees within the organisation giving them a voice and an opportunity to share ideas that they wouldnrsquot normally be able to share

Whatrsquos in it for the organisation An organisation will gain insights into new ideas and innovative creative solutions that they wouldnrsquot have access to before FedEx days deliver services and products that might not otherwise get attention

How does it workFedEx days are named as such because they deliver overnight just like the parcel delivery company Within the 24-hours in which the FedEx day is being held employees cannot be concerned or troubled by normal work During these hours employees are able to have total control over a project that they are enthusiastic about deciding themselves who they work with and what they work on and at the end of the 24 hours demonstrate the work they have created

ldquoEmployee voice is the means by which people express their opinions and have meaningful input into work-related decision-making In their seven layers of workplace productivity ACAS define strong employee voice as lsquoinformed employees who can contribute and are listened torsquo To enable a genuine two-way exchange between employers and their people itrsquos important that management listen to and act on employee voicerdquo

In 2002 Australian based software company Atlassian came up with the idea of a FedEx day The craze of these days has since grown in popularity with 46 of our community showing that their organisation takes part in a FedEx day at least once a year

A FedEx day is an innovative brainstorming day allowing everyone in an organisation to share ideas prototype pitch and discuss new products and services The 24-hour event energises empowers and excites all employees within the organisation giving them a voice and an opportunity to share ideas that they wouldnrsquot normally be able to share

Whatrsquos in it for the organisation An organisation will gain insights into new ideas and innovative creative solutions that they wouldnrsquot have access to before FedEx days deliver services and products that might not otherwise get attention

How does it workFedEx days are named as such because they deliver overnight just like the parcel delivery company Within the 24-hours in which the FedEx day is being held employees cannot be concerned or troubled by normal work During these hours employees are able to have total control over a project that they are enthusiastic about deciding themselves who they work with and what they work on and at the end of the 24 hours demonstrate the work they have created

Why host a FedEx dayFedEx days have a huge range of benefits from inspiring and promoting creativity to igniting passion and building team relationships Not only do these days help to deliver some business opportunities or provoke changes that can impact the whole organisation in a positive way FedEx days are fun They provide the motivation organisations may need to get out of a slump everyone has something that bugs them about their workplace being given the opportunity to creatively think about how to remove (or improve) that niggle or annoyance in the workplace motivates us as individuals

FedEx days provide an opportunity to learn working with different teams allows people to team up and try out different skills and build something to demonstrate together

Do you encourage employee led groups to generate ideas and innovationPromoting employee voice allows employees to communicate their views to the employer contributing towards innovation and productivity for business improvement Through employee voice both the employer and employee will benefit it can lead to greater job satisfaction better opportunities and often greater results in development

ldquoEmployee voice is the means by which people express their opinions and have meaningful input into work-related decision-making In their seven layers of workplace productivity ACAS define strong employee voice as lsquoinformed employees who can contribute and are listened torsquo To enable a genuine two-way exchange between employers and their people itrsquos important that management listen to and act on employee voicerdquo

Allowing employees to have their say though a range of individual channels is one way of supporting employee voice employee led groups are another Employee led groups can be used as a method for a range of employees to come together share ideas based around a topic of interest and come up with creative or innovative ideas and solutions These groups can be key to the success of some businesses as working from the bottom up allows organisations to really understand how processes and scenarios are working for the people completing the job day to day

Encouraging employees to join employee led groups can highlight the individuals who really care about business success these people want to make the business as good as it can be and because of this want to share their ideas of how to improve the organisation

Employee led groups can focus on anything from a simple process to a huge topic such as employee engagement This for employers can offer some real insight that otherwise could be missed

53 of our community members who answered the poll stated that they use employee led groups to support with innovation and idea generating in their workplace with 15 showing that they use other means of employee voice such as employee voice initiativersquos and lsquoemployee voicersquo groups These all lead to improvement of ideas and thought processes amongst organisations

A large financial institute was looking to sell itsrsquo insurance division The insurance division needed to develop itrsquos on values and identity so they engaged in lsquoThe Bestrsquo quest to become the best insurance provider Part of this was to create an employee led group that would create and vote on the values This activity engaged the 15000-person workforce allowing contributions from every part of the organisation The groups were created from all parts of the business so every department was represented in some way Those who sat on the employee voice group talked to their colleagues fed back ideas or challenges It was great to give employees better visibility across the organisation and enable them to build their profile thus helping them with their careers

As well as this example there are hundreds of positive examples of employee led groups working to benefit both the employee and employer
