Executive Summary

This white paper deals with the concept, benefits and functionality of the MOLA MOLA IDA©

Integration Platform for ARIS© Business Architect or ARIS© Toolset and EMC Documentum© (hereinafter refereed to as IDA) – an accelerator for ECM (Enterprise Content Management) implementation based on EMC Documentum platform. IDA Integrates ARIS Business Architect or ARIS Toolset with EMC Documentum

In order to support IDA platform use, MOLA MOLA delivers methodology (compliant with AVE: ARIS Value Engineering methodology developed by IDS Scheer) that integrates business process management from strategy to controlling and it is a basis for continuous process improvement. It encompasses four stages including process strategy, design, implementation and controlling.

Use case presented herewith depicts how the IDA applications fit into the continuous business process improvement cycle in context of IDS Scheer’s ARIS business process model and the EMC’s enterprise content management application

Solution Description

The IDA is ideal, at first, for enterprises that have already modeled their processes and that are looking for the cost and effort effective way to implement the processes on document management platform, and for those that already have Documentum platform and want to take advantage of the ARIS process simulation features. Synergy that comes out from integration of these products significantly increases efficiency providing business process management in continuous improvement cycle.

IDA Toolset

IDA applications overcomes gap between processes and implementation. IDA Toolset encompasses two applications – IDA Process Implementer (in further text referred to as the implementer) and IDA Performance Monitor (in further text referred to as the monitor).

The implementer allows transfer of business process model from ARIS to the Documentum which actually implements processes. It takes care on all aspects of model adaptation to Documentum specifics and to import process model into the Documentum repository.

IDA applications support implementation of continuous process improvement cycle

Once imported into Documentum, business process model can be additionally edited using Documentum BPM (Business process manager) to meet desired behavior and other document management platform specifics. Deployed process model is executed, monitored and controlled by Documentum workflow engine.

The performance monitor can be used to retrieve process performance indicators from Documentum and update ARIS business process model. Performance indicators read from

Documentum are numbers that indicate execution time and frequency for each particular activity in given period of time.

During process execution in Documentum workflow engine all events related to work items instanced from process activities are recorded in audit trail. The performance monitor analyzes events related to specific process and calculates performance indicator values.

Performance indicators retrieved can be used to update ARIS business process model. For this purpose performance monitor tool uses XML form of the ARIS process model. Performance monitor updates XML with values of performance indicators. Updated XML can be imported back to ARIS, and final result is business process model in ARIS with populated execution times and frequencies for each particular function.

Hierarchy of KPI (key performance indicators) worked out in ARIS business process model specifies how the values measured and retrieved from Documentum workflow engine are used within ARIS environment.

IDA Implementation Framework

IDA implementation framework is a knowledge base that can be use to accelerate implementation of enterprise content management solutions on basis of IDA platform. It represents guide through all phases of the project, providing procedures, sample databases, templates, conventions and reference models.

IDA Consulting Services

Variety of consulting services is offered in scope of IDA platform to support implementation of enterprise content management solutions on basis of IDA platform. These services include business process related services, EMC Documentum™ related services and IDA implementation related services.

This use case describes how the IDA Toolset can be used to accelerate conversion of ARIS business process model into Documentum workflow and how the performance indicators retrieved from Documentum workflow engine can be used to update ARIS business process models for the purpose of simulation and optimization.

Conversion of business process model

The IDA Process Implementer can be used to automatically create Documentum workflow after the ARIS business process model. It takes XML form of business process model, adapts it for implementation in Documentum and creates ready-to-run Documentum workflow.

Original business process model in ARIS Business Architect 7.0

First step of the conversion process is the semantic check. It is performed within ARIS Toolset or ARIS Business Architect with aim to check semantic errors in the model that might cause conversion errors or inconsistencies in the Documentum workflow. After the successfully performed semantic check, model needs to be exported to XML. Both, semantic check and XML export are built-in features of ARIS Toolset or ARIS Business Architect, configured for specific use with IDA Toolset.

Before conversion, Documentum specific entities (e.g. groups, roles, permission sets and methods) must be created and configured within the Documentum. In that way Documentum specific entities that do not inherently determine nature of business process itself are managed in their ordinary environment.

Model conversion itself is straightforward task. User needs to start the IDA Process Implementer, provide required parameters and then start the conversion. After successful conversion, ready-to-

run Documentum workflow will be saved to repository. It can be used as is or used as a basis to build sophisticated user interfaces.

IDA Process Implementer application

Performance monitoring

In order to make relation between original process model in ARIS Toolset or ARIS Business Architect and Documentum workflow, unique identifier is assigned to every ARIS business process model and its component. These identifiers are stored with Documentum workflow and its activities during business process model conversion.

Steps in performance indicators monitoring

Starting point to retrieve performance indicators is original ARIS business process model. Its unique identifier is required by the performance monitor in order to locate counterpart of ARIS business process model among Documentum workflows.

In next step performance monitor connects to Documentum repository, reads values of performance indicators and use these values in order to update XML form of ARIS business process model. The

XML with populated performance indicators can be imported than into the ARIS Toolset or ARIS Business Architect.
