ARCADIA EDUCATIONAL FOUNDATION The Arcadia Educational Foundation is a non-profit organization that was founded in 1981, largely in response to substantially reduced federal and state funding for California public schools. The Foundation’s purpose is to provide financial support to the Arcadia Unified School District. The Foundation raises funds to help preserve, maintain, and improve educational programs and facilities for the students of the schools within the District, operates a summer school program in order to further the educational opportunities for students, and performs additional activities to promote the quality and growth of the District, its schools and its students. The Foundation is administered by volunteer parent and community member Trustees who represent the interests of Arcadia’s ten public schools.

AEF Summer School Program

The Arcadia Educational Foundation (AEF) is sponsoring its twenty-third year of summer school programs for students who will be entering grades 1 – 12 in the fall. Academic and enrichment courses are uniquely designed by credentialed teachers to complement and support the rigorous curriculum offered by the Arcadia Unified School District during the regular school year.

The AEF Middle School tuition-based summer program is open to all students residing in Arcadia and welcomes students from surrounding communities or those visiting Arcadia for the summer months. The summer program offers classes to engage and challenge students during their summer break. We offer a variety of enrichment classes to enhance personal development and classes to support continued focus for students in English Language Arts and Mathematics.

STUDENT ATTENDANCE & ABSENCES Students should not arrive more than 15 minutes prior to the start of school. Students should be picked up from school promptly when their daily class schedule is completed.

It is expected that students will attend class daily and be on time. Attendance will be monitored in all classes. To avoid disruption to the learning environment, appointments and vacations should be made outside of the summer school scheduled dates and class hours, whenever possible. Middle school students must attend classes no later than Monday, June 26th. Any student who has not begun by June 26th will forfeit their paid summer school tuition.

Students are not allowed to leave campus during their scheduled school hours or lunch break without the permission of the parent or guardian and notification to the school office.

If you are aware of a planned absence, please notify the AEF Summer School office at registration or when an expected absence is known, and we will inform the Middle School site. If an unexpected circumstance requires a student to leave class early, please contact the Dana summer school site office at (626) 821-8361, who will make arrangements for the student to meet you in the Dana school office.

When returning to summer school after an absence, please provide a note for your child and have them turn in the note to the school office, prior to the start of the school day.

EDUCATIONAL ACCOMMODATION 504 Plan or Individualized Education Program (IEP) The AEF Summer School Program is designed for students in general education and does not have the additional resources and personnel to support students who may need an accommodation during the summer. Sometimes students, who have an IEP or 504 Plan during the regular school year, choose to enroll in the AEF Summer Program.

If you are registering for the AEF Summer School program and would like to have AEF consider an educational accommodation, please indicate your request on the registration form. Students will have a space reserved in their requested or alternate choice while additional information is gathered from the parent regarding the accommodation needed, including parent signature authorizing AEF personnel access to this information.

Upon return of the documents to the AEF office, the student will be provisionally enrolled while the AEF Administrator/Principal reviews and determines if the student’s needs can be met in the AEF summer program. Parents will be notified by email what accommodations, if any, AEF can provide and when parents respond in agreement, the registration process will continue. Please call our office prior to registration for additional information regarding educational accommodations.

Unfortunately, due to the time needed for the AEF review process of the educational accommodation, students beginning the registration process during the AEF Late Registration period (May 22nd and later) may not be eligible for any accommodation due to the time constraints of the approval process.

MEDICAL CONDITIONS Please indicate on the AEF summer school registration form, any medical conditions that your child has so that we can assist your child in a safe and incident free summer. Additional information may be requested.

ADDITIONAL REGISTRATION INFORMATION

Students should register based on their grade in the fall of 2017. Schedule all classes consecutively. Supervision is not provided for students who are not in class.

At times, the demand for a particular class is greater than the number of seats available. AEF will make every effort to provide additional classes if early registration enrollment indicates a need, and facilities and qualified teachers are available. Unfortunately, it is not always possible to meet the demand for a particular class when the class becomes full. Avoid delays in your registration by providing alternate selection(s) that you and your child are willing to accept. You will be enrolled in your alternate course selection and put on the waiting list of your first choice. AEF will notify those on the waiting list should a space become available in a full class, and you can decide at that time if you would like your original course selection or prefer to stay in your alternate choice. This process can happen at any time, even up to the first few days of summer school. Unfortunately, classes that do not meet enrollment requirements or other unforeseen reasons may require AEF to cancel a course. This process can occur in late May or early June. If AEF must cancel a class, the parent or guardian will be notified and have the option to select another available class, or request a refund for the full tuition of the cancelled class. Registration fees, processing fees, and service charge fees are not refundable.

Confirmation of Registration Students whose registration forms have completed the enrollment process by May 12th will receive a tentative notice confirming receipt of registration and the tentative course schedule assigned.

Once all classes are confirmed, a final confirmation letter will be mailed approximately one week prior to the start of summer school. This letter will include the teacher’s name and room number. We are not able to accommodate teacher requests or changes to teacher assignments. Should class enrollment require multiple sections of the same class, students will be assigned randomly to a section.

Student Behavior AEF follows the policies and procedures of the AUSD Middle School Discipline Guidelines, which can be found on the AUSD website for students and parents to review prior to the start of school. All AUSD rules in effect during the regular school year will continue to be in effect during the AEF summer school program. Continued or flagrant violation of the school rules may result in the student being suspended or dismissed from all summer school academic and/or other programs. Bicycle, scooter, rollerblading, and skateboard riding are always prohibited on school grounds.

Misconduct / Dismissal A student’s misconduct will not be tolerated in or out of the middle school classroom or any school location. Students are expected to maintain good citizenship at all times. When a violation of a school rule occurs, students may be given a warning for a first offense. On occasion, dismissal may be necessary for disciplinary reasons. The action to dismiss a student will take place only after a consultation with the parents or guardians has taken place. If a student is dismissed for disciplinary reasons, there will be no refund for unused days.

There are times when a student must be dismissed due to psychological, emotional, or physical limitations which preclude a student from participating safely and/or effectively in a group setting. A full or partial refund may be issued for unused days at the discretion of Arcadia Educational Foundation.
