and log in using your Username and Password. } Keep in mind these are different than the ones for the
HPS Society member log in unless you have set these to be the same.
} Log in as an author. } Begin submitting your manuscript.
} Submission Form (.pdf) } Manuscript (.doc, .docx) } Any Tables (each table a separate .doc or .docx file)
} Any Figures (each figure a separate .ppt, .tif, or .eps file). Extra charge for color figures.
} Please note- Author Guidelines should be reviewed prior to submitting your manuscript. They can be found on the Home Page of Editorial Manager.
} Sections on References, Tables, Figures, Footnotes are all included here.
} Be sure to use SI units ONLY in preparing your manuscript (unless traditional units are used as part of a direct quotation).
Foreign Submissions
• Please review Author Guidelines prior to submitting manuscript. • Make certain that references adhere to style guidelines. • Usually best if someone for whom English is a first language reviews the manuscript prior to submission.
Requirements for Revision • Need to have Transfer of Copyright form in addition to the Submission form.
• Each figure should pass the digital artwork test. This happens at this stage—not upon initial submission.
• Please ensure references adhere to our style guidelines. Also make sure that the manuscript is in the form that you want it to appear at this point. Limited changes can be made from this point forward if your manuscript is accepted.
• Revision is either à accepted or à sent back for additional revision or à rejected. • A letter is emailed to the author notifying him/her of the decision. • If the manuscript is accepted, the proofs will arrive, also by email, in a few months. • Please make only MINOR changes at the proof stage. It is too costly to make a lot of changes at this stage. • Please make sure to return any changes to the proofs promptly.
After Revision

} The Associate Editor has volunteered to oversee review and revision of papers in his or her area of expertise
} When a paper is submitted to HPJ or ORS, the Editor-in-Chief of that journal “assigns” the manuscript to an associate editor (AE)
} The AE contacts two or more potential reviewers to examine and comment on the paper
} Reviewers may be identified: ◦ by searching the Editorial Manager data base for
matching keywords or
◦ from the AE’s network of associates and colleagues.
} Once two reviewers have been assigned, the AE waits for their comments and then makes a decision to accept, revise or reject the manuscript.
} ORS was founded to respond to a need for more applied and operational topics within the confines of health physics.
} Published papers include: ◦ Descriptions of new processes and procedures. ◦ New approaches to solving problems in an applied
setting. ◦ Examination of practical problems that exist in
research, clinical or environmental settings.
} We request that an AE select reviewers within two days of being assigned a manuscript.
} Reviewers are requested to complete their comments and recommendations within two weeks.
} Reviewers may spend a matter of a few hours to longer to comment on an article, depending on its detail, completeness or language.
} Once the paper is accepted for publication, it takes roughly seven months for it to appear in print.
} Mostly from the readership, including domestic and international.
} Papers span a wide variety of research facilities, consulting firms, hospitals and universities.
} Readers and colleagues of readers are important sources of manuscripts.
} Please consider your own work and that of your network to help us “mine” the HPS for papers.
} We’re happy to consider special issues on topical symposia, workshops or other topics of special interest (for example, Proceedings of the NCRP Annual Meeting appear in HPJ every year).

} All communication between HPJ/ORS staff and the author is done electronically.
} Please double-check the email address that you provided when you submitted your paper in Editorial Manager – that is the address to which all correspondence regarding your paper will be sent.
Please be sure that the corresponding author for your paper(s) is willing to serve in the following role:
} Receive and respond to all communication from the
HPJ/ORS editorial staff and from the publisher, including: ◦ Announcement regarding acceptance for publication. ◦ Announcement that proofs are ready for review. ◦ Communications from the managing editor regarding final
corrections prior to publication. Be sure to update the Corresponding Author contact
information in EM. If we are unable to contact the Corresponding Author, publication of your paper could be delayed.

Turnaround time from “approved manuscript” to “publication” is ̴7 months, during which time the following things occur:
} Your paper enters the queue of accepted manuscripts based on the date it was accepted.
} The managing editor selects papers to appear in a particular issue in the order in which they were approved. (NOTE: Each issue consists of roughly 100 pages, including a variety of papers, notes, forum articles, book reviews and editorials.)
} Your manuscript is converted into the appropriate format for publication by the publisher.
} Your manuscript is coded by a technical editor who formats all tables, equations and special characters.
} Your manuscript is reviewed for grammatical and typographical errors by the managing editor.
} Proofs of your manuscript are developed for review by the Author(s).
◦ You will receive an email message telling you that your proofs are ready for review on Editorial Manager. ◦ Follow the instructions in the message to access
and download your proof. ◦ Make any changes/corrections you deem
necessary AND respond to all Author Queries. ◦ Upload the marked proof back to Editorial
Manager and click on “Submit Task” to complete the submission process.
The final version of the entire issue is approved for printing and publication and will appear: ◦ In the iPad App version roughly three weeks prior
to the issue date ◦ in your mailbox during the last two weeks of the
month prior to the issue date
} Refer to the “Author Guidelines” on paper in the back of the January and July issue of Health Physics or electronically through the Editorial Manager website:
Editorial Manager - Health Physics
} Be sure to spell out completely any acronyms the
first time they appear in the text. For example: “… using computed tomography (CT)…” After that, the acronym can be used without explanation.
} The most common and time-consuming problems occur when citing references. Please be careful of the following: ◦ All citations in your manuscript MUST have a
corresponding reference in the Reference list ◦ All references mentioned in the Reference list
MUST be cited in the manuscript. ◦ Personal communication and unpublished
references cannot be referenced and should appear as footnotes in the body of the manuscript.

} Page charges are essential to keep the HPJ and ORS running.
} The current rates for page charges in HPJ and ORS are: ◦ $70 (US) per final printed page (3 double-spaced
typed pages equal roughly 1 final printed page) ◦ $500 for the first color figure; $150 for each
additional color figure ◦ No charge for figures that appear in black & white
} Authors should plan and budget for page charges for every research project.
} Employers and research sponsors routinely cover the costs of page charges.
} Details are available in “Author Guidelines” in every January and July issue of HPJ and on the Editorial Manager site.
