Welcome to McLennan Community College Catering! Great Western Dining Service, Inc. hopes that you enjoy the catering services designed exclusively for McLennan Community College. We are ready to serve the entire College community--students, faculty, staff, and their guests. It is our desire to make your special event a pleasant and memorable occasion. Catering ser-vice is available three meals a day, seven days per week throughout the school year and summer. There are times when the College is closed and it is not feasible to provide catering services. Please check with Catering for those times when catering may not be available.

This guide is designed to give you an idea of the available services, types of functions and capabilities of the College's Catering Department. The full range of services that we can provide are not limited to the se-lections in this brochure, so please contact us with your needs. We welcome the opportunity to work closely with you, providing the quality and professional expertise necessary to ensure that your event is a success. This guide is merely a beginning to your planning process. Please call us whenever you need assistance in planning your next event.

RESERVATION POLICY AND ROOM ARRANGEMENTS

Room reservations and catering requests for Northwood House and the MCC Conference Center should be made through the MCC Events Specialist at 254-299-8586 or 254-299-8589. For all other catering requests on the MCC campus, please contact the Foodservice Office in person or by calling 254-299-8038 with the following information:

1. Date and time of the function 2. Approximate number of guests 3. Name of group and billing information 4. Location of requested function 5. Name, address, and phone number of group representative 6. Will the group require catering service? 7. Type of function (formal, casual, meeting, social gathering, etc.) 8. Desired menu selections 9. Approximate cost that you have in mind 10. Special dietary needs of guests 11. Beginning and ending time of function 12. State of Texas tax exempt certificate if applicable, to be delivered to our office before

event.

For events without catering services, there will be a $4.00 charge for each tablecloth and $.40 charge per napkin requested. To assure that all food items that you have ordered are available, please allow ample time when scheduling your function. A week to 10 days is usually sufficient, however, you should book your event as far in advance as possible.

Catering service cannot be assured with less than five (5) business days’ advance notice.

GUARANTEES AND BILLING INFORMATION

A confirmed number of guests to be served must be given no later than five (5) business days preced-ing the event. After a guaranteed number is given, the organization sponsoring the event will be responsible for 100-percent (100%) of that guarantee. Great Western Dining will prepare up to 10-percent (10%) more food in case additional guests need to be served. If it is necessary to cancel an event, the following shall apply:

* 24 hours or more notice-no charge applied, except for special order items

* Less than 24 hours notice-a 50-percent (50%) charge of the guarantee will occur

Groups outside of McLennan Community College will need to pay the Catering Department for ser-vices by check prior to the event. For events over $1,000, a 50% deposit is required at the time of confirma-tion of the catering function. If charges are to be billed, arrangements must be made at the time of confirma-tion. Payment will be due in full after receipt of the invoice. Please remit payment to:

Sales tax will be added to all invoices for the total of all goods and services provided. If your organi-zation is tax exempt, a copy of your tax exempt certificate must be given to Catering at the confirmation of your catering function.

Additional charges apply for non-Conference Center and Northwood House events for served meals.

A 5% service fee will be charged for MCC functions held in buildings without food prep areas.

There is a 15% service fee for all non-College functions.

Due to Texas Administrative Code: TITLE 25, PART 1, CHAPTER 229, food that has been previously served to a consumer at a catered event may not be removed from the event site.

Great Western will not be responsible for the health of individuals who consume unused food.

All off-campus catering events will be served on hard plastic dinnerware to include plate, tea goblet, coffee cup, flatware.

Beer and wine can be provided for your event. Please contact the catering manager for details.

If bartender is required for your event, there will be an additional charge of $20 per hour for your event (3-hour minimum).

Sugar-free items are available upon request.

A Vegetarian or Gluten-Free entrée may be substituted with advance notice of at least three (3) working days for the same price as the selected entrée.

Wait staff is included in all pricing for plated functions for groups of 100 guests or less. Events exceeding 100 served guests may incur additional charges for labor. If a program is part of your event, please let us know so we can plan accordingly.

Standard linen colors are white, black, or sandalwood. Additional requested linen will incur a charge of $4.00 per tablecloth and $.40 per napkin.

Any other color choice or special order will incur additional charges. Please notify the Catering Manager with at least five (5) business days to ensure the availability.
