1. Re-imagining the McGill University Library & Archives: Feasibility Study & Master Plan

McGill’sLibraryandArchivesisatapivotalpointinitshistory.Wearefacingaspaceandstoragecrisis.TheLibraryandArchivesmustsolveitsuserspaceandstorageissuesinordertofacilitateMcGill’sacademicmissionandmaintainourreputationasaleadinginstitution.InSeptember2014,McGillLibrary&ArchivesincollaborationwithUniversityServicesandProcurementbeganconductingaFeasibilityStudytoreimaginetheLibrary&Archivesofthe21stCentury.

Inhonouroftheir25thanniversary,theFriendsoftheLibrarymadeasignificantgiftinsupportoftheneedsassessmentstudy.In2014,relatedFeasibilityStudyactivitiesincludedtheorganizationofmultiplefocusgroupsessionswithfaculty,studentandstaffmembers;sitevisits;consultationmeetingswiththeFeasibilityStudySteeringCommitteeandCommunicationGroup;asystem‐widevisitor’ssurveyandatownhallonlibrariesthatcanbeviewedhere.

2. Research and Publications AsacademicsandexpertstewardsofMcGill’sLibraryandArchivescollections,librariansmakeittheirmissiontoacquire,preserve,organize,andmakeaccessiblematerialsneededbyMcGillusers.Inaddition,librariansparticipateasessentialcollaboratorswithinresearchteams.ExamplesofscholarlyworkamongstMcGilllibrariansinclude:

3. Teaching and Learning Librarians,administrativeandsupportstaffareconstantlyfindingnewwaystoraisethebarforservicedelivery. In2014,thefollowinginitiativeshavecontributedtoresearch,teachingandlearningatMcGill:

AnewdocumentdeliveryservicewasimplementedinMay2014.McGillstudents,faculty

andstaffcannowrequestscannedcopiesofjournalarticlesorbookchaptersfromtheprintcollectiontobesenttoaMcGillemailaddress.Deliverytimeisnormally2to4days.Documentdeliveryhasproventobeoneofthemostimportantnewservicesimplementedwithinthesystem.Over2,000requestswerebeenprocessedwithinthefirstsixmonthsofoperation.

CollectionServicesapproachedamilestone–almost5,000,000titleswerecataloguedintheonlinecatalogue.600,000titleswereaddedtothecataloguethroughnewacquisitionsandcataloguingbacklogsin2014alone.IncollaborationwithDigitalInitiatives,over27,000digitizedMcGilltheseswereaddedtoWorldCatLocaldiscoverytool,closingagapinthediscoverabilityofMcGillscholarlyoutputbetween1943and2007.ThesethesesarenowfreelyavailableonlineandaccessiblethroughtheMcGillLibrary&Archivescatalogue.

2014broughtwithitfocusedworkonimprovingtheuserexperiencethroughcatalogueanddiscoverylayerplatforms.Alle‐resourceswereplacedintotheLibrary’sWorldCatLocalCatalogue,wherefullaccessandmaintenancecontinuestobeprovided.PrinttitlescontinueliveinAleph(ClassicCatalogue).Thecompletecatalogue,includingprintmaterials,isnowfoundinWorldCatLocal.AnewlistofdatabasesusingtheOCLCKBwascreatedandtheOCLCOpenURLforlinkingtoe‐journalswasimplementedreplacingpreviousproductsfromExLibris,MetaLIBandSFX.TheLibrary&Archives’“linkresolver”systemwhichallowsuserstoquicklyfindonlineversionsofcontentthroughthecataloguewasretiredandreplacedwithanewer,morestreamlinedversion.

TheOrientationCommitteemadeupoflibrarians,administrativeandsupportstafffromacrosstheLibrarysystemproducedawelcomevideoandnineshortinformationaltutorials.Thesetofstylish,informativeandaccessiblematerialshasimprovedtheuserexperienceandisusedinavarietyofwaysbystudents,faculty,librariansandstaffmembersalike.

LibrarianscontinuetoholdessentialrolesinthedevelopmentofMcGillMassiveOpenOnlineCourses(MOOCs).MOOCprogrammingfor2014included:NaturalDisasters(TaraMawhinney&GiovannaBadia);Body101(GenGore);andtheseconditerationofFoodforThought(AprilColosimo).LibrariansupportwasalsopresentforCANS300:TopicsinCanadianStudies(AprilColosimo),acourseofferedinalternatingweeksthroughvideoconferencingattheUniversityofCalgaryandMcGill.


DigitalInitiativescontinuedtoprovidevirtualopenaccesstosignificantandsizeablepartsofthecollectionincludetheongoingdigitizationofthecompleteLawrenceLandeCollectionofCanadiana.

Librariansacrossthelibrarysystemcontinuetobecentralinprovidinginformationliteracy

andresearchinstructiontoundergraduates,graduates,staffandfacultymembers.Librarianscontinuetobeembeddedinacademiclearningenvironmentsonandoffcampus.LargescaleprogramslikeMyResearchfourpartseminarseriesforgraduateandpost‐doctoralstudents,MyArtsResearchtwo‐partworkshopforundergraduatesandMyUndergraduateResearchcateringtoPhysicalSciences&Engineeringstudentscoverawiderangeoftopicsincluding:researchstrategyrefinementandtheresearchcycle,scholarlypublishing,citationanalysisandmetrics.

Thankstothegenerosityofananonymousdonor,distinguishedauthorandscholarAlbertoManguelspentthefall2014semesterattheMcGillLibrary&ArchivesasScholarinResidence. Bothgraduateandundergraduatestudentshavehadauniqueopportunitytobenefitfromhisvastknowledge.WhileatMcGill,Mangueltaughtanundergraduatecourse,HISP303,onthewritingsofJorgeLuisBorgesandparticipatedinnumerouspublicandinter‐universitytalks.


4. Involvement in the Community Thequalityofourpeople,services,collections,andaccessreachesfarbeyondMcGill’sborders.TheLibrarycontinuestopartnerwithotheruniversities,culturalandheritageorganizations,researchagencies,alumni,libraryassociationsandthecommunityatlarge.In2014,communityengagementactivitieswithacademicand/ornon‐academicinstitutionsofsignificantimpactinclude:

RareBooksandSpecialCollections(RBSC)developedandhostedanumberofspecial

seminarstobuilddeeperandbroaderconnectionswithMcGilldepartmentsandwiththescholarlycommunityatlarge.TwoseminarsledbyvisitingscholarAlbertoManguelweredevelopedandhostedbyRBSC(oneforMcGillMLISstudents;oneinter‐institutionalsessionforstudentsintranslationfromMontreal’sfouruniversities);twoseminarsforthegeneralpublicledbyCraigStephensonandthenamingeventfortherecipientoftheOslerPivnickiAwardinNeuro‐History,werealsodevelopedandhostedbyRBSC.

TocommemoratethecentenaryoftheFirstWorldWar,McGillUniversityArchivesin

conjunctionwithDigitalInitiativesrestoredanddigitizedMcGill’silluminatedBookofRemembrance.TheilluminatedBookofRemembrancerecordsthenamesofthenearly700students,staffandfacultywholosttheirlivesinWWIandWWII.Thebook,availableforviewintheRareBooksandSpecialCollections,andArchivesReadingRoomcanalsobeaccessedonlinehere.Asaresultofthisproject,areplicaoftheBookwasmadeandiscurrentlyhousedinaspecialdisplaycaseinthepedwayconnectingtheMcLennanandRedpathLibraryBuildings.Onarelatednote,DigitalInitiativesdigitizedhundredsofWWIpostersfor bookeditors,writers,exhibitiondisplaysinmuseumsandschools,andforcommemorationceremoniesingovernmentandmilitaryoffices.RBSCcollaboratedwiththeMontrealMuseumofFineArts’stodeveloptheexhibitThePatriotismofDeath:PropagandapostersfromWWI.RBSCcontributedtwentylargeWWIpropagandapostersfromCanada,France,Germany,EnglandandtheUnitedStates.

McGillUniversityLibrary&ArchiveswaswellrepresentedatHomecoming2014.ArchivesorganizedanexhibitforanannualHomecomingevent,featuringanewacquisitionoftheEdwardBallonfonds.InadditionaspecialexhibitiononNo.3CanadianGeneralHospital(McGill),SirWilliamOsler,andhighlightsfromtheBibliothecaOslerianawasundertakenfortheFacultyofMedicine.Attendedby300alumni,theexhibitwasdesignedbyOslerHeadLibrarianChrisLyonsandinstalledwithassistancebyBozenaLatincicandLilySzcyzgielinthedeaneryoftheFacultyofMedicine.

TheMcGillFriendsoftheLibraryorganizedanumberofimportantevents,includingawell‐attendedseriesoflecturesthatbuildawarenessoftherolethattheuniversity’slibrariesplayinthelifeandoutreachofMcGill.In2014,renownedauthorMichaelOndaatjedeliveredtheHughMacLennanLectureentitled“MongrelArt:Adiscussionofliteratureanditsneighbours”.JeffreySimpson,NationalAffairscolumnistforTheGlobeandMailgavearivetinglectureonthestateofaboriginalaffairsinCanadaandtheatreiconMarthaHenry


fromtheStratfordFestivalsharedhercareerhighlightsinconversationwithMyrnaWyattSelkirk,AssociateProfessorfromtheDepartmentofEnglishattheannualShakespeareLecture.InNovember,theFriendscelebratedtheir25thAnniversary.McGillLibrary&Archivesstaffmemberswerecollectivelyhonouredasthe2014FriendoftheYear.

TheDeanofLibraries,C.ColleenCook,wasinvitedbytheCouncilofCanadianAcademies(CCA)toserveasamemberoftheExpertPanelonMemoryInstitutionsandtheDigitalRevolution.Throughouttheyear,thepanelmembershavedevotedattentiononhowmightmemoryinstitutions(libraries,archives,museumsandgalleries)embracetheopportunitiesandchallengesposedbythechangingwaysinwhichCanadiansarecommunicatingandworkinginthedigitalage.Findingsandconclusionsofthisin‐depthassessmentwillbepresentedinareporttotheCCAinearly2015.

TheDirectorofAcademicAffairs,CaroleUrbain,wasinvitedbytheLibraryandArchivesCanadatoserveontheStakeholders’ForumasamemberrepresentingQuebeclibraries.ThepurposeofthisadvisorycommitteeistoengagemembersinearlydiscussionsofLibraryandArchivesCanada’sstrategic,policyandoperationaldirectionsandtoserveasamechanismtotestideasandidentifyopportunitiesforcollaborationinareasofmutualinterestandbenefit.

SchulichLibraryofScienceandEngineeringlibrariansGiovannaBadia,AprilColosimo,TaraMawhinneycollaboratedwithTeachingandLearningServicesstaff,ProfessorsStixandGyakum,andIngridBirkerfromtheRedpathMuseumtoplananexhibitandeveninglectureeventinsupportoftheNaturalDisastersMOOC.Theeventwascalled“NaturalDisasters:LivefromtheMOOC’sEpicentre!”andwasattendedbycampusandcommunitymembers.

RenovationstotheMcLennan‐RedpathTerracewereconductedinthreephasesoverthesummersof2011,2012and2013,tominimizethedisruptionduringtheregularacademicyear.TheoutdoorterracebecamefullyaccessibletopedestriantrafficinJanuary2014.Afternumerouscomplaintsfromlibraryusers,itbecameapparentveryquicklythatasolutionshouldbefoundtoaddresssecondhandsmokeandthegrowingamountoftobacco‐relatedlitterstrewnacrosstheterrace.Overthewintermonths,discussionsamongstcampusstakeholderswereheldandthedecisionwasmadetodesignatethenewly‐renovatedspaceassmoke‐free.NumerouscampusstakeholdersendorsedtheplantomaketheMcLennan‐RedpathTerracesmoke‐free.Thelaunchofthesmoke‐freeterraceoccurredinMay2014.

DigitalInitiativesbeganaddingdigitizedcontenttotheinternationalcollaborativeonlinetextsarchiveHathiTrust(http://www.hathitrust.org).

Human Resources: Milestones AsofJanuary1,2014,librarystaffconsistedof64librarians,26Mprofessional&excludedstaffand81libraryassistants.TheLibraryhiredsixnewassistantlibrariansandtwonewdocumentationtechnicians.Nineassistantlibrariansweregrantedtenureandpromotedtoassociatelibrarian,andthreeassistantlibrarianswerereappointedforanadditionalterm.Fourstaffmembersretired.Formoreinformation,seelisting,AppendixB.StrategicIntentionsexercise:InJanuary2014,librariansandlibrarystaffmembersbegantorolloutactivitiesoutlinedintheLibrary’splanningexercise.FromtheideasgeneratedatthestaffretreatsessionsinDecember2013,asmallnumberofhighlevelareaswereselectedasstrategicprioritiesoverthenextfewyears.TheparticipationofMcGillLibrary&Archivesstaffmembersarekeytothesuccessofthesestrategicinitiatives.Thesevenstrategicareasare:

1. GrowtheMcGillUniversityLibraryandArchivesasauser‐centredorganizationthatrecognizesusersasaprimarymotivatorinalldecisionmaking.

2. ReimaginetheMcGillLibraryandArchivesforthe21stcenturyandtoproduceamasterplanbyconductingafeasibilitystudyinfiscalyear2014‐2015.

3. InvestigateandpotentiallypilotvirtualandphysicalResearch&TeachingCommonstobringtogetherservicesinsupportoftheseactivitiesacrosscampus,andadvancelibraryservicesforthefuture.

4. EvolvetheLiaisonLibrarianmodel,developrecommendationsforconsiderationandimplementaccordingly.

5. Improveaccesstoanddiscoverabilityofrarebook,specialcollection,manuscriptsandarchivesbasedonbestpracticesthroughthedevelopmentof:1)collectiondevelopmentpoliciesand2)workflowsforaccess,processing,collectionsconservation,anddigitization.

6. Maintaincurrentdiscoverylayer(WorldCatLocal),Knowledgebase(WorldShareKB)andbackendILS(Aleph)foratleastonemoreyear.Duringthistime,thegoalwillbetoimprovecurrentdataandsetupenvironmentsallowingstafftobecomemorefamiliarwithvarioussystemoptions.

7. Designandprovideanorientationandmentoringprogramforlibrarianstofostertheirprofessionalgrowthandthedevelopmentastheyprogressthroughthetenureandpromotionprocess.


8. Facilities Students,faculty,andstaffcontinuetodemonstratetheveryhighvaluetheyplaceonthelibrary.Wewelcomeover5millionvisitorsayearandconstantlyassessandrevitalizespacesandservicesoncampusandenvisionwaystocreatelearningenvironmentsthattrulyinspirecreativethoughtandstudy.In2014,twolarge‐scaledeferredmaintenancerenovationprojectsoccurredattheLibrary:

SchulichMasonryInvestigationProject:Anin‐depthinvestigationofandsomerepairsto

themasonrywallsoftheMacdonald‐StewartLibraryBuilding,whichhousestheSchulichLibraryofScienceandEngineeringoccurredduringthe2014Fallterm. Duringtherecentroofreplacement,deteriorationinthe120‐year‐oldbuilding’sexteriorstonewallwasobserved,promptingMcGillinearly2014tocommissionaninvestigationintothestateofthebuilding.Thesubsequentreport,fromanoutsidefirmofarchitectsandastructuralengineer,revealedthatthedeteriorationofthestonestructurewasmoreadvancedthanpreviouslyknownandthatMcGillmustmovequicklytopreventfurtherdeterioration,especiallyavoidingthefreeze‐thawcycleinthewinterthatleadstotheaccelerateddegradationofoldstonework.

OslerHVACproject:Therewasamajorheating,ventilationandairconditioning(HVAC)androofrenovationprojectintheMcIntyrebuilding.ItsimpactontheOslerLibraryoftheHistoryofMedicineincludedclosingthelibraryforninemonthsandplacingtheentireOslerLibrarycollectioninappropriatestorage.SelectedmaterialandsomestaffweremovedtoRareBooksandSpecialCollectionstogiveaccesstoresearchers.Otherservices,suchasreference,consultsandclasspresentations,continued.Oslerissettore‐openinJanuary2015.

Twolarge,studentfundedprojectswereundertakenin2014toimprovelibraryfacilitiesandservicesincluding:

RedpathGroupStudyZoneexpansion:In2014,fundsformtheSSMULibrary

ImprovementFund(LIF)madeitpossibletoexpandthegroupstudyareaonthefirstflooroftheRedpathLibraryBuilding.RecentrenovationsandreorganizationintheRedpathLibraryBuildingcreatedadditionalspacetoextendthegroupstudyareaintotheNorthernwingofthebuilding.Thisprojectadded105newelectrifieddeskseatswithpoweroutletsandUSBchargingoutlets,aswellasavarietyofcomfortable,lounge‐styleseatingoptions.Thenewfurniture,designandterrazzoflooringmatchedthatoftheexistingstudyareainordertocreateasingle,unifiedgroupstudyspace.Inaddition,24newcomputerswerepurchasedtoreplacetheexisting,outdatedunitscurrentlyinthespace,andfourgroupcollaborationscreenswithHDMIandVGAconnectivitywereaddedtothelargergroupstudyrooms.


SeatingintheMcLennanLibraryBuilding&technologyadditions:TheArtsUndergraduateSociety‐LibraryPartnershipCommitteesubmittedaproposaltotheLIFtocontributetoaprojectfortheMcLennanLibraryBuilding.Theprojectconsistedoftwoparts.Firstly,presentationtechnology(e.g.projectors,screens,podiums,etc.)wereaddedtotwogroupstudyroomsonthe3rdflooroftheMcLennanLibraryBuilding.Thebookablegroupstudyroomsinquestionalreadyhaveupdated,functionalfurniturebutlackedthesetechnologicalupgrades.Secondly,24electrifieddeskseatswereaddedtothe5thand6thfloorsaroundtheoutsideofthestairwellshafts.Theseweresplitbetweenthetwofloors(12oneach)andreplicatedaseatingstylefoundonotherfloors.


9. Budget TheLibrarywassubjecttotheUniversitywidecutstoourFY15operatingbudget.InrecognitionthattheCollectionBudgetremainwholeinordertomeettheneedsofourstudents,facultyandresearch,amuchappreciatedonetimefundingof$2.5MwasallocatedtoaddressthebuyingpowerofourweakCanadianDollarandcontinueddoubledigitserialsinflation.Anoverallreductionof44supportstaffintheprevioustwoyearsandthesubsequentsupportstaffhiringfreezehasresultedintheimplementationofstreamlinedoperationsinCollectionServices,integratedservicepointsandservicehourreductionsinseveralbranches.
