GETTING STARTED

1.System requirementsA Microsoft Windows NT 4.0 (SP6) system with a NTFS file system and hard disk with 2Gb free space is needed.

Remark: The Chart-Track Mariners system is built to be installed on a Windows NT computer. Running Mariners Software with Windows 95-98 may be possible, but because of the different file system it will require more free HD space.

2. InstallationYou will have received a CD-ROM that contains the following:

- The Chart-Track® Mariners operating program- The latest database of all charts published by the UKHO.- The latest database of all publications published by UKHO, IMO, ITU, NI, and all the publications

available through you Chart Agent (if your Chart Agent is your Chart-Track contact).- The latest database of corrections for UKHO charts/publications.

Insert the installation CD-ROM into the appropriate drive.

Be sure you are logged on the computer with the user login that will be used to work with Mariners. That user has to be in the Administrator group of the Workstation. In any other case, you will have problem while using Mariners. Then install the Mariners Software on the biggest hard disk partition available (with a minimum of 2 Gb space free).

To install the Mariners system, select the folder Mariners_Install on this CD-ROM and run the file Setup.exe. Just follow the instructions. The CD-ROM will self install.

When installation is complete, start the Mariners program and check the time zone on your computer.GMT is essential because of the world-wide operation of the system.

The first update has to be loaded from the installation CD.

On the screen you will select the button “Load Update”, in the “Update” branch. (which is the only part you can access) and select the medium CD-ROM. It will automatically load the file SVR01_01.bin that contains the database. This will take quite a long time, so sit back and have a break or get on with some other important duties.

Remark: If you receive any error message during the update loading, please check the free space left on the hard disk where you installed Mariners. If it is not enough big, the update cannot be loaded. In any case, please send that error message (as precisely as you can) to [email protected], so we can check what problem occurred.

Update Request

1. Requesting an updateGo to the main menu and select the ‘UPDATE’ branch.

Select the “Send Update Request” button.

You will be asked to select the method that you will store your update request. You have two options:

- you can save the request on a floppy disc- or you can save it on a network , if your PC is connected to the same network as your Inmarsat

station.

If you have selected FLOPPY DISC, then you will be prompted to insert a floppy disc into the appropriate drive.Select the OK button and the program will automatically download all the changes that you have made in your inventory and automatically create a file. When it is ready, the screen will prompt you to remove the floppy disk.

If you are connected to a network, you can select the ‘NETWORK’ media and then select the appropriate drive and directory where you would like to save the update request. By default, this folder is \Mariners\Transfert\.REMEMBER THAT THIS IS ONLY USEFUL IF YOUR INMARSAT TERMINAL IS CONNECTED TO THE NETWORK ON BOARD!

Chart-Track® Mariner Page 11User Guide

Page 12: Mariners User Card

About the first update request and any update after having loaded an update CD-ROM: they take quite a long time to be prepared, so you are probably ready to have a cup of coffee after all the work you have just done – so go ahead and enjoy!

2. Sending your update requestNow you can go to your Inmarsat terminal and prepare to send an E-mail to the Chart-Track® server.Prepare your E-mail message in the usual way and include the file that is on your floppy disk (or network) as an attachment to the E-mail message.Address the message to [email protected]. And send the E-mail.

You will receive an Email by return. The time this takes depends a little on the Inmarsat service provider and can vary between a few minutes and a few hours depending on how busy their server is.

When an update request is sent, there are some options and buttons that are unusable while the update answer is not loaded. Making any modification in your database is not allowed while you are expecting an update answer. The ‘frozen’ buttons are grey and are back usable once the update answer is loaded.

When you have received the return Email, open it and copy the attachment back onto your floppy disk (or back into the directory on the network)

Read carefully the email message. It contains directions from the Chart-Track server.

- Maximum file size: This means that the file is too big to send it via e-mail. To cut airtime there is a maximum file size as mutually agreed with vessel management and vessel. An Update CD-ROM is necessary.

- Maximum transfer size: When the file size is too big, we divide the answer file in smaller sections. So you can upload the information and corrections files in more than one update (request). This size is also mutually agreed with management and vessel.

- If the update had to be cut in several parts…

Update requests are automatically treated by the Chart-Track Central Database. If you send by error twice the same update file or ‘old’ update files, they won’t be treated and the Central System will advise you of this error.

3. Loading your received updates into Chart-Track® MarinersReturn to your PC where you are running Chart-Track® Mariners, insert the floppy disk (or select the folder where you saved the update answer) and select ‘LOAD UPDATE’. The system will now automatically load all the received corrections for your charts and publications.

IMPORTANT: Be sure to make an update request and send it to Chart-Track® regularly every week. It will ensure that you are always up to date . If you should miss a few weeks, you may find that the file size gets rather large and it will take a long time to receive your e-mail. In some cases the E-mail file sizes may be restricted by order of your management office . So get into the habit of updating ONCE A WEEK!

You can only load in Mariners the answer to the last update request made. So if you do not receive an answer to your last update, be patient. An answer is always sent for each update request received in the [email protected] mailbox. If you make a new update request before having loaded the previous answer, you will receive an answer that you could not load in the system. This will be a waste of airtime.

Chart-Track® Mariner Page 12User Guide

Page 13: Mariners User Card

Update CD-ROMTo load an update from a CD-ROM, select “CD-ROM” and click Ok . Such a CD-ROM only contains

corrections, and no database information. So it has to be completed by an e-mail update request. An Update CD-ROM contains a bin file named SVR01_01.bin, containing all the correction files available.

Before loading that CD-ROM, you have to send an update request via e-mail, to receive all the data information about the corrections contained on the CD. Once the update answer is loaded, load the CD as described and send a new Update request via e-mail. Once its answer (the received e-mail attachment) will be loaded, so your system will be up-to-date

But if it is the option “Only Not Assign Charts” that is selected, the list displayed on the left gives the charts that are not a member of any ship folios. And the list displayed on the right gives all the charts covered by the folio. To add a chart to the folio, select a chart on the left and press the right arrow. To delete a chart from the folio, select a chart on the right and press the left arrow. You can select several charts a time to make it faster.

To give charts a consecutive number in the Ship Folios. Just click on the “consnum” column in front of the chart and type the number. When you add charts in the folio, you can select the “consecutive number” option, and for each charts you’ll be asked to enter the number. If you try to give a

consecutive number that is already used for another chart, the system will ask you to confirm your choice and in this case will automatically increment the following consecutive numbers. So two charts of a same ship folio cannot have the same consecutive number. Charts can be added to a Ship Folio without any consecutive number is not.

To import/export user/ship folios. You have the opportunity to export your folio to files that can be used by other vessels from your company or by your chart agent. And in the same way, you can import such files.

This is very important in case you should decide to activate a chart/publication that has been inactive for a while. You will then see all the correction numbers that apply to that chart/publication.Please note that only the correction numbers are updated in the database, corrections and tracings will only be present for ‘active’ charts. If you should activate a chart/publication, the corrections for that chart/publication will be automatically received the next time you request an update.

Chart-Track® Mariner will keep you informed of new editions in preparation. This is called the ‘P-WEEKLY’ function.

Charts PWeeklyTo see the ‘P-WEEKLY’ function, select ‘Folio Management’ on the main menu, then ‘Chart Management’.On the bottom right of the screen is a button ‘PWEEKLY’.When you select this button you will see a screen that shows all new editions in preparation. The status of each new edition is also shown.

The first column on the left gives the PWeekly type (just refer to the ‘List of Abbreviations’ at the end of this document, or point your mouse on the 3 letters to make its meaning appear.)

The next columns show

The order managementChart-Track® Mariner will help you by generating orders for new editions of charts/publications automatically.

You have the choice of ordering only new editions of active charts/publications, or all new editions of items carried on board.

You also have the option of ordering new charts/publications to complete your stock or to replace a chart/publications that has become damaged.

In certain cases, some shipping companies require that an order is approved before being confirmed. Chart-Track® Mariner is automatically configured in such cases to generate a paper copy of the order to send to the management office for approval (‘Order Request’ button).

Select ‘Folio Management’ on the main menu, then ‘Order management’.

That window presents two sheets, one about the ordered charts and the second one about the ordered

publications.

The screen will show which charts and publications are on order as well as the order status.

A code indicates order status. Please refer to the abbreviations list for further explanation.

The button ‘Add Order’ enables you to add charts/publications to the order. The button ‘Cancel order’ enables you to remove items from the order. The button ‘Report’ prints out a hard copy report of outstanding orders.

Chart-Track® Mariner Page 27User Guide

Page 28: Mariners User Card

The button ‘Order Request’ prints out a hard copy order form. The buttons ‘Confirm to ship ordered charts’ and ‘Confirm to ship ordered publications’ are a signal to your supplier that he can group an order together and despatch. (This option exists if you wish to tell your supplier to group various orders together and ship in one consignment to reduce costs).

The button ‘Acknowledge order received’ has to be used when the shipment has arrived on board and you wish to add it to your inventory list.

On this screen you can select the charts/publications received and you can print off a control checklist for administrative reasons.

You can confirm the receipt on board whether by directly click in the box next to the chart number/publication code, or by selecting the received charts/publications and pressing the ‘Receive’ button.

If a received chart/publications has corrections, you will then see a box appearing on screen that will prompt you to enter the latest correction number for each item. This is useful in case a shipment has been on its way for some time. There may well be new corrections since it left from your supplier.

Any change you make in the Order Management part is always sent with your update request and synchronized with your chart agent database.
