    Work Breakdown Structures (WBS) e hierarchy creation tool.

    2 WBS Document Management

    2.1 Creating a new document

    In order to create a new document click . The new document will be created and the root element will be displayed. You must save the document later in order to keep your changes.

    2.2 Opening a document

    In order to open a documento, you must click the button and the following screen will be displayed.

    In this screen you must select from the list the document to be opened and click OK.

  • 2.3 Saving a document

    In order to save a documento, you must click the button . All the documents are saved in the server in the user account.

    2.4 Printing a document

    In order to print a document, you must click the button and the following menu will be displayed.

    The first option will adjust the print to fit only one page. The second option will split the printing in many pages if necessary.

    3 Editing the Hierarchy A WBS is a hierarchy formed by a set of WBS elements that can have sub items organized in the form of a tree. The following items describe how to edit the hierarchy.

    3.1 Selecting WBS Elements

    In order to select a WBS element, you must click over the element. A blue box around the element indicates that the element is selected.

    It is also possible so select many elements by keeping the ctrl key down when clicking the elements or by

    using the selection box. Finally, its possible to select all elements by clicking the button .

    3.2 Changing the WBS element name

    In order to change the WBS element name you must double click the element or select the element and press the F2 key. A text edit box will be displayed to change the element text.

    In order to insert more than one line in the element, use Crtl + Enter. In order to end the text edit you can click outside the element or press the Enter or ESC Keys.

  • 3.3 Creating child elements

    In order to create a sub element (child element), you must select the parent element and click the button

    or press the Insert key. The element will be created and will be ready for name edition as show in the following picture.

    The button also works when multiple elements are selected.

    3.4 Creating sibling elements

    In order to create a sibling element, you must select the element and click the button or use the keys Ctrl + Insert. This option work in a similar way as the create child option but is not available for the root WBS element.

    3.5 Removing Elements

    In order to remove an element, you must select the element and then press the button or the Delete key. Once an element is removed, all of its child elements are removed as well.

  • 3.6 Changing element properties

    Besides the element name, the following properties can be edited: Duration, Description, Resources, and Acceptance Criteria. These properties are useful for the project deliverables documentation and will be exported with the element when downloading to MS Word or MS Project.

    In order to edit the element properties, you must select the element and click the button . The following screen will be shown in the right of the screen.

    3.7 Changing the element appearance

    In order to modify the element appearance, you must click the button . The following screen will be displayed in the left of the screen.

  • By using this screen the element font, border, margin and fill can be changed. For showing the options of each item, you must click the item title (or the triangle)

    The following sections describe the options for each visual characteristic.

    3.7.1 Font

    The following picture shows the element font options:

    Name: Font Name

    Size: Font Size

    Bold Font Bold

    Italic Font Italic

    Underline Font Underlined

    Color Sets the font color

    3.7.2 Border

    The following picture shows the element border options:

    Option Description

    Size Defines the border size in pixels. In order to remove the border put 0.

    Corner Defines the corner rounding

    Color Defines the border color

    3.7.3 Margin

    The following picture shows the element margin options:

    Option Description

    Top Distance between the top border and the text

    Bottom Distance between the bottom border and the text

    Left Distance between the left border and the text

    Right Distance between the Right border and the text

    Child Spacing (Horizontal)

    Horizontal distance between the element children

    Child Spacing (Vertical)

    Vertical distance between the element children

    3.7.4 Fill

    The following picture shows the element fill options:

    Option Description

    Type Defines the fill type (linear or radial)

    Rotation Defines the linear fill angle

    Colors Defines the number of colors for the element fill. By default the elements are created with three colors. In order to remove the fill you must put 0 here.

    Color Defines a fill color.

    Alpha Defines the color transparency where 0 is fully transparent and 1 is solid. A 0.5 value means 50% transparency.

    Position The position defines where the color is placed with regards to the fill. ).5 means the color is in the middle of the fill.

  • 3.8 Organizing the Hierarchy

    The following options are used to organize the elements in the hierarchy. This organization must be done by selecting the parent element and choosing one of the options bellow.

  • 4 WBS Download

    4.1 Download as Image

    In order to download the WBS in a picture format (JPG), you must use the button . By clicking this button, the following screen will be displayed.

    In this screen you must click the download button and the system save dialog will be displayed. Then choose the location and save your file.

    4.2 Download as MS Word XML

    In order to save the WBS in the MS Word XML format, you must use the button . By clicking this button, the following screen will be displayed.

    In this screen you must click the download button and the system save dialog will be displayed. Then choose the location and save your file.

    4.3 Download as MS Project XML

    In order to save the WBS in the MS Project XML format, you must use the button . By clicking this button, the following screen will be displayed.

  • In this screen you must click the download button and the system save dialog will be displayed. Then choose the location and save your file.
