Introduction Logistics Gateway (“LG”) is Manhattan’s carrier portal that allows carriers to respond to shipments tendered to them. This document outlines the steps required by a carrier company to configure LG for daily use. This document also covers how to process tenders and web offers (shipments offered out to many carriers), and Wegmans Food Markets, Inc. (Wegmans) specific business and system processes. This application can only be used on the following web browsers: IE 9 and 10, Google Chrome, and Firefox. (We strongly recommend Chrome.)

Definitions Web Tender - A web tender is a shipment that is sent to only one carrier along with a set freight rate. Once the shipper (Wegmans) has sent a tender, the carrier has 4 hours to respond to that tender. If the carrier accepts the shipment, it is considered an official agreement between the shipper (Wegmans) and the carrier. The carrier will then handle the shipment from this point on. If the carrier declines the shipment, the shipper (Wegmans) will be forced to find an alternate carrier. Web Offer – A web offer is when a shipper (Wegmans) invites a group of carriers to look at a particular shipment and offer a rate to move that shipment. Typically, a web offer is available for 30 minutes, and carriers are given that duration to accept, decline, or ignore the offer.

Reviewing and Responding to Web Offers

The Web Offers screen lists all of the web offers (or requests for quotes) available for a specific move. Additionally, the Offer Status, Carrier Reply, and Time Remaining on the offer is listed. It is the carrier’s responsibility to review offers and respond to them in a timely manner. An offer is not a guarantee of work. It is a request for a rate on a specific move. Wegmans will review all responses and will choose a carrier based on performance and price.

To respond to a Web Offer…

1. Click on Web Offers from menu (or click Web Offers tile on the home screen if pinned)

2. Filter list by selecting criteria from column headers (Shipper/Shipment ID, Offer Status / Carrier Reply, Time Remaining, Customer Origin, and / or Customer Destination)

3. Click Apply

4. Check box of web offer in which to respond

5. Type any Comments to Shipper if applicable

6. Click Accept (or Decline if not interested)

7. Select Spot Rate (as a Linehaul cost) and enter cost in Spot Rate field

8. Click Accept (web offer screen returns with Carrier Reply listed as “Accept”)

Reviewing and Responding to Web Tenders

A web tender is an expectation that you will execute on the load. (If Wegmans accepts a carrier’s rate on a web offer, Wegmans will then follow-up with a tender.)

Viewing Tenders

The Web Tenders screen lists all of the shipments tendered to a carrier along with important information such as the Shipment ID, the Tender Status (or status of the shipment), pickup Origin and delivery Destination facilities, as well as the Pickup Start and Delivery End dates of the shipment. A tender or shipment can be in the following statuses / replies:

Tender Status Carrier Reply

New Request: Carrier will need to either accept or decline the shipment

No Response:

Carrier has not submitted a response at this time

Booked / Active: Carrier has accepted the shipment Accept: Carrier accepted the shipment

Delivered:

Carrier has sent the “Departure” from the final stop tracking message for the shipment. (Any shipments in Delivered status will move to the Archive List after 7 days from the delivery end)

Reject: Carrier rejected the shipment

Counter: (Do not use; not applicable at Wegmans)

Recalled: Shipper recalled the tender

To respond to a Web Tender…

1. Click on Web Tenders from menu (or click Web Tenders tile on the home screen if pinned)

2. Filter list by selecting criteria from column headers (Shipper/Shipment ID, Tender Status / Carrier Reply, Customer Origin, and / or Customer Destination)

3. Click Apply

4. Check box of web tender to respond

5. Type any Comments to Shipper if applicable

6. Click Accept or Decline

NOTE: To review Shipment Details prior to accepting / declining, see Viewing Shipment Details on next page.

To review the Bill of Lading, click on the Generate Shipment Details link.

To accept or decline the shipment, click on Accept or Decline at the bottom of the Shipment Details page. (Note: Counter is not used at Wegmans.)

Entering Tracking Messages

Tracking messages help Wegmans know where the shipment is during a delivery. Once a carrier picks up the shipment, the following tracking messages need to be entered on the Shipment Details screen:

“Departure” message from first stop (changes shipment status to In-Transit).

“Departure” message from last stop (changes shipment status to Delivered).

Two “Check Call” messages per day for shipments that span 3 days or longer:

- Enter latitude / longitude in Location field when possible; if not possible, enter a location description in the Location field and then enter City, State, and Zip Code in corresponding fields. Further define location by adding additional information in the Comments field.

- Enter Check Calls at the beginning and end of the driver’s shift (or beginning and end of business day).

To enter tracking messages…

1. Click on Web Tenders from menu (or click Web Tenders tile on the home screen if pinned)

2. Click shipment ID from the Web Tenders screen to open Shipment Details page

3. Scroll down to Tracking Messages

4. Click Add Single to open Tracking window

5. Select Message Type from drop down

6. Enter required information (asterisk) based on Message Type selected

7. Enter any optional information

8. Click Save

Departure Messages Check Call Messages

NOTE: EDI Carriers are required to enter latitude and longitude on all Check Call messages on the EDI 214.

WARNING: Wegmans will no longer complete shipments. Tracking Messages must be entered to receive payment.

Automated Invoicing Wegmans utilizes automated invoicing. Therefore, once a carrier enters the “Departure” tracking message from the last stop (causing the shipment status to change to Delivered), a systematic five calendar day waiting period from the delivery end date begins where both the carrier and Wegmans can perform a final review of the Shipment Details. If issues or discrepancies are discovered, all updates must be made within this five calendar day waiting period. (NOTE: The five calendar days starts from the delivery end date in the system, not the date that the “Departure” tracking message from the last stop was entered.)

To review Shipment Details…

1. Click on Web Tenders from menu (or click Web Tenders tile on the home screen if pinned)

2. Click Shipment ID of shipment to review

3. Review Shipment Details page thoroughly

4. Click on Carrier Charges cost link

5. Review Carrier Charges details (including all accessorials, spot charges, etc.)

6. IF changes are … THEN…

needed Contact the Logistics Coordinator on the shipment

NOT needed No action necessary; at the end of the five calendar day waiting period an invoice will automatically be submitted for billing

NOTE: Carriers should not create or send invoices to Wegmans (either systematically or manually). Please focus on the accuracy of the system rates, so the automated process pays you in an efficient and accurate manner.

PO Numbers

Wegmans’ POs have been artificially lengthened to avoid duplication, and the “Distribution Orders” or DOs created from POs are even longer. (DOs are the basis of shipments in TLM.) These numbers appear in the BOL, EDI, and TLM. Below is an example.
