EVENT SETUP

Event Setup

• To create an event go to Databases>Career Events>New

• Items to know before creating an event:– Event Type– Name of Event– Start Date and Time of Event– End Date and Time of Event– Location of Event– Description of Event for Students– Description of Event for Employers– Event Fees

Event Types

• Career/Job Fair– Can be posted to employers and students

• Info Session– Posted only to the one employer hosting/registered for the

information session and to students

• Employer Only Event– Posted only to employers

• Student Only Event– Posted only to students

• Virtual Career Fair– Can be posted to employers and students– No registration limit options

Event Categories

• Searchable by students and employers• Good way to segment your events for

searching, reporting, and mass emails• Examples:

– Workshop– Orientation– Information Session– Presentation– Career Fair– Internship Fair

Event Timeline

• Determines when employers and students should be able to view an event and take other actions, such as register for the event.

Event Fees

• 3 Fee Types– Attendance Fee

• Typically used for the main fee of the event• Can have more than one to select from if there are

different packages available

– Quantity Fee• Can indicate the number of this fee they need, such

as how many parking passes

– Item Fee• Can be used for questions like “Do you need access

to electricity?”

Event Materials

• Can upload materials for employers and/or students, such as campus map, booth map, etc.

• One document can be marked as the Approval Packet– If marked, Approval Packet will send to employer

when registration is approved– Typically consists of welcome letter, campus map,

parking instructions, agenda for the day– Can have Invoice sent with Approval Packet email

Email Templates

• Student Emails:– Student – Student Event Registration Approved– Student – Event Approaching (nightly)

• Employer Emails:– Employer – Employer Event Registration

Approved• Only used if there is no Approval Packet material

uploaded and marked for the event

– Employer – Event Approaching (nightly)

QUESTIONS

APPROVING REGISTRATIONS

Student Registrations

• Student registrations will go into a pending bin for approval– If you do not want to approve student

registrations, request to have registrations defaulted to Active

• To approve a student registration, simply change the status from Pending to Active and click save– This action will prompt the Student Event

Registration Approved email to the student

Employer Registrations

• Employer registrations will also go into pending for admin approval– Employer registrations will only show in your pending bin if

the registration has been submitted, which is the last step of the registration process for employers

• To approve an employer registration change the status from Pending to Active, and click save– This action will prompt either the Employer Event Registration

Approved email or the Approval Packet email– What you use to determine if the employer registration should

be approved is up to you, but we do recommend coming up with this process to ensure all admins are following the same guidelines

CSO CREDIT CARD PROCESSING

CSO Credit Card Processing

• Allows employers and students to pay their event fees by credit card through your CSO System when they register.

• Not included by default – contact our Support Team for help getting this activated in your site.

Requesting Your Check

• ALL Amount Due fields on registrations paying by credit card MUST be set to $0.00 before you can request your check.

CHECK-IN

Check-In Add-On*

• Allows students to check in for events using their student ID card, and can have nametags printed when they check in.

• Check-In Date and Time will be added to Student Registration

• Can report on students that checked in for event for accurate attendance numbers
