You can maintain a lot information on your assets with the Equipment and Machinery module. Included: • Appraisal

Asset Attachments

With the attachments feature you can append almost any kind of document to a record. These can include, but not limited to pictures, cad drawings, excel files, pdf files, MSDS and the list goes on.

Linked Assets

With the Linked Assets feature you can create Parent – Sub-Assembly relationships with your Equipment database. There is no limit to the number of asset records you can link together. Moving between linked records is as easy as clicking on a single button.

Maintenance History Logs

With the Equipment Log feature you can maintain a complete maintenance history on each of your assets. These entries can be inserted from completed work orders or added manually.

Assets Reports

Every module in the system contain their own set of reports, and when possible they use Wizards to help customize what to base the reports on. Some of the reports supported by the Assets module are:

• Full Assets Report (PDF or Excel formats) • Assigned Work Orders (Date Range, Status, and Types) • Bill of Materials (Parts used by or assigned for this assets) • Work Orders by Types

• All By Types. A summary of work orders for this asset. • Selected by Types. An analysis by work order types.

• Predictive Work Sheet. Predictive Maintenance Analysis. • Spare Parts Inventory, and more

Classification Assignments

Classification assignments expedite the lookup of Equipment records by placing assets in groups that you create. These groups are much like user-defined fields where you create assignments that make the most sense to your organization. The Tree on the Lookup tab groups your assets by these assignments. For those of you with multiple locations, the tree can be further grouped by locations.

We feel so strongly about classification assignments that we placed them throughout the system and most reports can be filtered by these assignments.

System Work Requests

Work Requests are primarily handled by the Work Orders module, but can also be created in the Maintenance Scheduler module.

We also offer an optional Remote Service Requests module that can email requests from remote locations.

Work Orders Module

We intentionally left features out of this module to make it as user friendly as possible. The user only needs to fill out the information on a single tab to create a Work Request order.

Newly created documents are given a status of ‘Work Request’ which makes finding these new requests as easy as clicking one button.

Requests + Security

If you only want users to create and check on work requests, this is fully supported with our User Accounts and password protection mode. With User Accounts you can both limit what modules users have access to, and what they can do in modules access has been granted. It’s completely possible to give users access to only the Work Orders module and nothing else, also preventing access to the Status and Scheduling tab within this module.

Maintenance Scheduler

The Maintenance Scheduler module is considered by many as the heart of the Maintenance Coordinator system. To help demonstrate some of it’s features we will outline the creation of a recurring work order, also known as a PM.

• Start by moving to the ‘Maintenance Scheduler’ module.

• Click on the Add New Record option in the ribbon.

Create a New Work Order

• When asked about using the Work Order Wizard, reply by clicking on the Yes button.

Assigning a Task Description

Task Description Field

• After the wizard loads, move to the Task Description field and type in a brief description of the task to be performed. This helps to identify the work order later.

• The Task ID field should be generated for you automatically. This field uses a format such as YYMM-###, where YY = Year created, MM = Month created, and ### = a sequential number.

Assign a Task Type

Recurring Types

Next you need to assign this work order to a Recurring Task Type so it will regenerate automatically. To do this: • Move to the Task Type tab.

• Click on the task type of your choice by selecting it.

Task Types

Maintenance Coordinator supports 7 different tasks or work order types. 3 of these cover recurring work order types, with the remaining 4 used for single-shot types of work orders. The work order types of Planned Maintenance and Standard Work Order are set by the program. However, the remaining 5 work order titles are user definable.

You can setup the work order titles by accessing the Work Orders Setup screen found under the application menu (as shown). You’ll find a bunch of other settings here such as what elements to include or exclude on work order printouts. You’ll find other settings such as ISO numbers, company information and so on under the Main Application Settings (Admin menu).

Scheduling

Creation Date

• Click on the Next button to move to the ‘Scheduling’ tab or folder. • Move to the various fields on this tab and setup when you would

like work to commence and end for this work order. You can change and set information by clicking on the buttons adjacent to these fields.

• When done, click on the Next button.

Setting Recurrence

Recurrence Selection

Next you need to setup recurrence information for your PM: • Moving to the Recurring Frequency drop list and selecting how often you

want this work order to regenerate. • If you want to complete this work order before having the program create a

new one, then check the Generate New Work When Done checkbox. If left unchecked the program will create new work orders by the selected frequency regardless if the previous one has been completed or not.

Using ‘XX’ Criteria

XX Criteria

If your ‘Recurring Frequency’ text has ‘XX’ in it, then you also need to enter matching ‘XX Criteria’. For example, using a frequency of ‘Every XX Units’, and a ‘XX Criteria’ of ‘3000’ would create a new work order every 3000 units, hours, miles or whatever the case maybe. • Once all your ‘Recurrence’ information is setup correctly, click on the Next

button to move to the Personnel tab or folder.

Adding Personnel

Click to select from List

Next you need to add personnel (mechanics) to your work orders. These employees can also be automatically emailed copies of work orders as work becomes due, and when the auto email feature is set. To assign personnel: • Click on the ‘Select’ button adjacent to each ‘Assignment’ field. • Select an employee by clicking on them from within the pop-up list. • Click on the ‘Select’ button to insert the employee. • Repeat the above steps for up to two assignments. • Click on the Next button to move to the Assignments tab or folder.

Making Assignments

• Click on the ‘Select’ button to insert the item. • Repeat the above steps for each assignment you want to make. • Click on the Next button to move to the Instructions tab.

There are a few other assignment you can add to work orders. To make these assignments: • Click on the ‘Select’ button

adjacent to item you’re assigning.

• Select an item by clicking on it from within the pop-up list.

Adding Safety Instructions

Safety Instructions and Instructions for recurring work orders come from a database of predefined instructions that you can create. To assign a predefined set of safety instructions to a work order: • Move to the Safety Instructions area and click on the Lookup button. • Select the set of instructions you want to use by clicking on them

from within the list. • Click on the Select button to assign the instructions.

Recurring Task Instructions

Work Orders instructions for recurring work order are assigned from a database of such instructions. To assign recurring task instructions: • Move to the Planned Maintenance Instructions area and click on the

Lookup button. • Select the set of instructions you want to use by clicking on them

from within the list. • Click on the Select button to assign the instructions.

Standard Instructions

Standard (non-recurring) Work Orders do not use the predefined work instructions that PMs use, instead you type in these instructions on an individual bases. To add instructions to a single-shot type of work order: • Move to the text box found in the ‘Work Instructions’ area and type

in your instructions. You can also click on the ‘Edit’ button in this area to type in and edit your instructions with the built in editor.

Finish

When you have completed setting up the information on all the different tabs, move to and click on the Save and Close button to save and create the work order.

This completes the basic steps of creating a recurring work order. There are other items you may want to explore and add to your work order and these can be added from the different tabs of the Maintenance Scheduler module. Some other things to look at:

Parts Needed and Used. Mechanics Hours Needed and Used. Attachments . Auto Emailing of Work Orders.

Tasks Planner

The Scheduler module allows you to view, edit and schedule your work orders in a few different ways. Shown here is the Tasks Planner view. You can edit tasks here by double-clicking on them and pulling up the Creation Wizard we used previously.

The colors shown represent classification assignments, and this schedule can be printed and exported to Excel.

Tasks Calendar

The Maintenance Scheduler module also supports a Tasks Calendar view of your work orders. Those of you that use the calendar feature is Outlook should be familiar with this work orders view.

Recurring Task Instructions

Recurring PMs and safety instructions have their own sets of databases. This allows you to reuse instructions for recurring tasks without having to reenter them each time. This also comes in handy when you have equipment that can use the same set of instructions used by other assets. The instructions databases can be used with recurring work orders, safety instructions, and with the comments section of work orders.

Instructions Editor

This is the built-in text editor used to create and edit your recurring work instructions. It contains a few built-in tools to help streamline the creation process, along with a built-in spell checker. Designed originally for work instructions, we also use it throughout the system to help with data entry.

Work Order Parts

You can assign and track all the parts needed to perform your work orders in the Scheduler module. • You can run an inventory

report to see what items are available or in stock.

• You can record what parts where actually used and update inventory levels accordingly.

• Inventory information is also used for cost analysis reports.

Work Order Labor

Besides from the Personal Assignment you can also assign other mechanics to work orders. • Record both the time

needed and the time actually used in the completion of work orders.

• Information is used in both estimated and completion cost reports.

• Other reports also use this recorded information.

Completion Audits

To help stay compliant with various regulatory agencies, Maintenance Coordinator fully supports the creation and execution of Completion Audits. These audits can be attached to individual work orders and performed as potentially required.

Work Orders Auto Email

Our Auto Email feature can email the 3 Personnel Assignments actual copies of work orders as they become due. It works something like this: You create a recurring work order. This work regenerates itself automatically, then it automatically emails a copy of itself to the an unlimited number of recipients. The work orders show up in their inbox as either a RFT or PDF attachment. The program can also be setup to email these work orders from 1 to 7 days in advance.

Tasks Database

With the Tasks Database you can create and use a database full of repair tasks. These tasks can be inserted directly in to the ‘Task Instructions for Standard Work Orders’ field in the Maintenance Scheduler module. They can also be inserted in to the Tasks Editor. Arranged in Groups, these tasks are easy to locate and insert.

Generate Work Orders

With our Generate Work Orders routines you can generate and print a date range of work orders with just a couple of key strokes. For instance, you can come in Monday morning and generate and print an entire week of work orders at once. You can also generate by Classifications.

There is also a feature that can be turned on that allows ‘Todays’ scheduled work orders to be printed when first opening the program.

Budgets

Both the Maintenance Scheduler and Purchasing and Receiving modules allow for the creation and use of budgets. Both of these module’s budgets are based on Accounts, where the Maintenance Scheduler module can also support budgets based on Projects.

Inventory Groups

Inventory items can belong to a countless number of Part Groups. These part groups can help streamline item lookup by opening and viewing items belonging to these groups.

Part Groups can represent a general group that describes the items belonging to it, but it could also represent what it’s used on, where it’s stored and more.

Locating Items with the Lookup View

We have included a few different ways of locating an inventory record. On the Lookup View tab you can use our Quick Find feature where you first sort the database by the field of your choice. Next you type in your criteria in the Quick Find text box to locate the actual record.

Part Lookup

The Part Lookup option in the ribbon control can be used to open a Parts Lookup dialog screen. The items here are grouped by the Inventory Groups we discussed earlier. As you start playing with Inventory Groups you’ll find that’s it a valuable tool for locating inventory items.

There is also a search routine found in the ribbon where you can search different database fields for matching criteria.

Multiple Warehouses

The Maintenance Coordinator – Parts and Inventory module also supports the use of multiple warehouses. This comes in handy if inventory levels are low at one location and you would like to check the levels at alternate sites. If needed, we also include routines to transfer items between warehouses.

Please note that this feature is only useful if you have multiple warehouses at one location or you have purchased site licenses for

multiple locations.

The Parts and Inventory module also supports a Parts Substitutions database. This comes in real handy when you desperately need a part that is currently unavailable, but would like to find something in-stock that would work as a replacement.

Inventory Movement

The Inventory module has full support for tracking an inventory item’s usage. This comes in handy when you have ‘dead’ inventory items in-stock, you’re paying taxes on them, but they’re never used. Some of the items tracked are: Receiving items, Item Checkout, Work Order usage, and Issue Resolution usage.

The contacts Documents feature allows you to build a database of documents related to your contacts. These documents are arranged in groups. Personal Manager Module

The Personal Manager module can be used by anyone on your team. With this module you can plan your tasks, schedule events in advance, and keep detailed logs of your activities. Each user in the system can be assigned their own individual database that will follow their individual log ins. This feature rich module is broken into even more modules or cells. With each cell providing its own unique functions. The first cell allows the user to plan and Schedule Activities on a daily/monthly bases. These activities can be either personal or business related.

Personal Tasks List

The second cell is a To Do List, where you can record non-timed items to be done, and have these items sorted by priority. The third cell of the Personal Manager module is the Personal Log. This log allows you to break things down into categories for reporting and easy retrieval of information. This information can be grouped by personal items, equipment or business related type of items.

Daily Log – Personal Work Order and Requisitions

The next cell of the Personal Manager is the Daily Log. This log makes use of a word processor to allow you to record activities on a daily bases, while at the same time giving you a lot of formatting options. Other options available to this module in the ability to create and track both Work Requests and Purchase Requisitions. The user has the ability to create and track these documents, but can not edit or delete them. The user is assigned to this module will only see those documents belonging to them.

The Mechanics and Employees module allows you to track and record vital information about each of your mechanics and employees. You have the ability to track the standard information about the individuals along with emergency contact information, HR type information, their picture, and even maintain a training database. With the built in Documents feature associated with each record, you can record and track an almost endless amount of additional information. Information from this module is also shared with multiple modules in the system. You can maintain a training database from within this module, tracking courses and certificates an employee has received, and when they're due for re-certification or new training. Also supported is a HR Calendar function for dealing with leaves, vacation scheduling, and more.

Reports Designer

The Report Writer allows you to create your own reports. You select the database, you select the tables to use, and you select the fields to include. The program will then create your report. Now you have other options such as report colors, fonts to use and so on. Your finished report can then be saved, printed or exported to Excel.

Other Features of the Reports and Graphics Module

The Charts and Graphics section allows you to create some pretty impressive charts and graphs. These include both 2D and 3D styles. This feature also employs a chart wizard to help in the selection and setting up of charts. The Documents Feature portion of this module allows you to create a countless number of either Word Processor style docs, linked docs, or image style documents. To round out this module is a built-in Word Processor. This word processor has many professional features. It support bullets, tables, multiple font styles, spell checking and a lot more. Documents can be saved as RTF, Doc and HTML files.

Tools Database

With the Tools Database module you can record such information as to who has a tool checked out, and when that tool is scheduled for return. You can setup inspection records about each of your tools, and have them automatically scheduled for re-inspection. You can create reports on tools that are past due for return, and report on tools that are coming due for inspections.

The module also maintains a tool Checkout History log, along with an inspections log.

The Maintenance Coordinator – Mobile application is an extension of our normal Maintenance Coordinator system and is designed to allow you to take a portion of Maintenance Coordinator with you on the road. We designed the portables software to perform as closely as possible as the way it performs on desktop computers. There are actually two versions of this software. One will works on any Palm OS 3.0 or newer devices, and the other also supports Barcode readers.

Portable Devices Module Synchronization Routines

The Synchronization routines can be used to synchronize databases on your local computer, on a remote server, or with databases stored on the internet (Cloud storage). This allows mobile use with laptops, Windows tablets, and more. This added ability allows use with disconnected databases while in the field or working in a remote location. When back in the office you can synchronize your databases updating both the Master and Replica databases with new and changed data.

Many organizations today neglect to track production and maintenance issues as they should. This is a very big mistake as this information is very valuable in improving production and the effectiveness of maintenance operations in whole. We felt this to be so important that the Maintenance Coordinator system contains 2 different methods of tracking issues. These are the Maintenance Issues and the Production Issues modules. In reality these two modules are exactly the same - they are only filtered separately. Safety Management Module Other Supported Features

This module has its own built-in scheduler for the automatic creation of recurring Safety Inspections. You can create your own inspection checklists, and have items arranged by groups or areas. You can also keep a summary of completed inspections in the database. Worker Compensation tracking is also supported, as with incident investigate reports by committee, injured, and witnesses.

Remote Service Requests

Sold separately, this module was designed to work hand-in-hand with the Maintenance Coordinator system. All you do is enter your work orders requests, click the Send Email button and off they go to your system administrator.

The system administrator saves the email attachment to the Maintenance Coordinator directory, opens the Work Orders module and imports the work requests. It really is that simple! With other options found within the main application the requester can be sent a notice when the work request was received, and when it was completed. This gives the requester complete feedback on their work requests. This module can be distributed world wide if needed at one low price.
