1.0 Introduction

Industrial Training refers to work experience that is relevant to

professional development plior to graduation. One of the requirements

for the award of Faculty of Business and Management is that students

MUST complete 12 weeks of Industrial Training.

Students should note that Industrial Training is an essential component

in the development of the practical and professional skills required by

an aid to prospective employment. Many employers regard this period

as a chance to vet new employees for future ernployment. Industrial

Training is a mechanism to ensure students acquire practical skills and

experience professional practice, thus achieving the outcomes of Aimst

University Graduate Attributes.

The purpose of this guide is to help you in going through the industrial

training which is a compulsory component of the curriculum. During

the industrial training period, you are expected to broaden yourknowledge and experience in many areas. You are expected to be

attentive and responsible to the duties given and show determination

to enquire and learn as much as possible during your placement. Please be

aware that your poor performance in executing the duties willjeopardize the faculty in securing placements for students in the future

at the same place.

2.0 Obiectives

All sfudents who are registered for under Faculty of Business and

Management are required to undergo 'Industrial Training' for a period of

12 weeks.

The objective of Industrial Training includes:

a) To expose students to the working environrnent.

b) To familiarize students with the industries they would possibly

work for upon graduation.

c) To train the students (to nurture necessary skills) before they enter

the job and also provide future career opportunities.

d) To develop intellectual skills iru {or example, analysis of the

problems and proposing solutions to them, organizing work, and

writing reports.

e) To provide relevant information and experience this may help in

student's career choice.

3.0 Student'sResponsibili9

Strictly note that it is the responsibility of each student to obtain her/his

own industrial placement for a period of 12 working weeks.

3.1 During Training

When you first join an organization or firm, you must first identify your

immediate guide who wiil be supervising you throughout your

placement period. Try to get settle down and note some details, such as

Company Supervisor contact number and email ID, in order to complete

the Industrial Training Reply Form (Appendix A) which will be

submitted by email or fax to your Faculty Supervisor. Besides using this

information to communicate with your Company Supervisor, the

in{ormation will also be kept in our database for futute hainjngplacement reference.

During your training, youwill be guided by two supervisors, namely

Company Supervisor with whom you will have frequent contact and

almost daily during training. Your second guide is your Faculty

Supervisor, who will be assigned prior to your training placement and

with whom you will communicate through email or phone. Faculty

supervisor might visit the industries to check on the task given to the

students.

3.1 Student's Discipline in Workplace

The students are responsible to maintain good relationships between

AIMST University and organizations involved. Students are compulsory

to uphold the good name and image of AIMST University at every single

time during Industrial Training.

a) Students are compulsory to follow any direct instructions made bythe employers throughout the Industrial Training period and

follows procedures and rules of the organizations strictly.

b) Students need to behave properly during the Industrial Ttaining.

c) Attendance is compulsory for the students. Students who cannot

come to work have to inform their employer early via phone call.

d) Organizations can lodge a report to Faculty iI the students create

disciplinary problems during Indushial Training.e) Students who have been removed from Industrial Training due to

the disciplinary problems or showing unpleasant attitudes during

Industrial Training, are entitles for fail but with the conJirmation

from the organization's supervisor.

3.2 Working Hours

Students will follow the normal working hours of the organizations

which the students had been attached.

3.3 Office Attire

Students will follow the office attfue of the organizations which the

students had been attached.

3.4 Annual Leave / Medication Certification

Students will be given an annual leave based on the organization t'hich

the students had been attached. Students have to take 1-2 days of leave

from the organization prior to MQA Visits. (The date wiII be informed to

the students later via phone call and Faculty will in{orm directly to the

organization). Students who take Medical Certj{ication need to inJorm

theircompany supervisor. Students need to foilow the rules and

regulations of the organizations.

3.5 Unexpected Events

In case, a particular student has severe fallout or some forrn of argument

(or frequent non-constructive communications) with his/her company

supervisor, the student has to inform the Faculty Supervisor as soon as

possible. In the absence o{ faculty supervisor, the student should tr1' to

make immediate (don't wait until the end of the training period) contact

with the Industrial Training Coordinator to report on the uneasiness

faced by hirn/her. If a student is going through (during training) any

form of harassment or working on the site or area where safety is

concemed, please report to the Faculty Supervisor irnmediately.

The Faculty Supervisor will decide whether the particular student has to

change the organization for training. The student shouid not decide on

his/her own on the change of training placement pdor to the approvalof the faculty supervisor.

For any reason, i.f a student could not contact the Industrial Training

Coordinator, he / she should contact the Coordinator/Head of the school

or the Dean of the faculty.

AIMST Lecturer's/Supervisor Visit to the Organizations

The Faculty Supervisor may visit the student at least once during the

training period. This is one of the ways to ensure participation between

the Faculty Supervisor, the student and the company. The Company

Supervisor is expected to brief the Faculty Supervisor on student's

performance, and, if possible, with demonstration of the student's work.

The Faculty Supervisor will also discuss with the student on the

progress of the training, and to address any problems that the student

may have during the training.

The objective of the visit to the training place is as follows:

a) To visit the students involved with Industrial training and to

discuss with training supervisor(s) on the training program or

other matter concerned. Discussions will be held with training

supervisor as well as the sfudent.

b) To send courtesy visits and at the same time establish industrial

relations between the University and the industries.

c) To survey any new training places for industrial training.

d) To discuss the possibility of students' job placement with the

company. The students and the company will be informed on the

date and time of the visit.

Daily Training Logbook

Student will be given a Daily Logbook where all the training content/

activities need to be recorded onto it on daily basis. A Logbook which

documents your activities for each week must be certilied by the

company Supervisor. (Please refer to Appendix B). The purpose of

keeping a logbook includes:

i. A reflection of on job training content to the student, and evidence

of iob record for supervisor and adviser.

ii. To record incidence and evidence onto a daily work log.

iii. Source of reference in writing the Industrial Training Report.

The certified copies of the weekly logs are to be kept by you and included

in the Appendix of the Final Report.

Industrial Training Report

An Industrial Training report should be prepared for each period of

approved placement. The report is expected to demonstrate development

of practical and professional skills through technical experience and

application of theoretical knowledge. Development of skills in dealing

with people, and communication skills form part of the training

experience. All the activities throughout the training wiil be summarized

in the Final Reoort.

Students should seek advice from their employers to ensure that nocon{idential material is included into the report. The student should be

able to present the report to prospective employers, as a complement to

their degree. The following shouldbe observed:

a) Length of training

b) Preliminaryinformation

c) Technicalreport/diary

References should be made in the text to books, technical papers,

standards etc., used during the training period and should be listed.

Fina\, a conclusion should include comprehensive comments on the

type and value of experience gained, and how this relates to their

Drofessional career.

6.1 Guideline in Preparing of Industrial Training Report

t. Introduction

The purpose of the Industrial Training is to provide exposure for the

students on acfual practical fields. Thtough this exposure, students will

have better understanding of actual working environment practice in

general and sense of frequent and possible problems. This training is part

of the learning process. So, the exposure that uplifts the knowledge and

experience of a student needs to be properly documented in the form of a

report. Through this report the experience gained can be delivered to

their peers. A properly prepared report can facilitate the presentation of

the practical experience in an orderly, precise and interesting manner.

2. Contents and Format of Report

The procedure for preparation of the report has to foilow the format

determined by the Faculty based on the guidelines below.

a) General Report Eonnat

The report has to be typewritten on white A4 size paper, font-size of

12 points with type face of Times New Roman has to be used

throughout the report, with line spacing of 1.5. The report has to be

properly ring binded with a transparent plastic sheet attached onto

it. A samplecopy of

b) Abstract/Prcface

This section of the report should consist of brief description of the

following:

1. Activities of the Organization

2. Summary of the Report

3. Acknowledgement

This section of the report is limited to two (2) pages only. A sample

is shown in Appendix C.

c) Table of Contents

This section of the report should consist of:

1. Titles

2. Sub-titles

3. Page numbers

Every appendix requires a title and each page need to be numbered

accordingly.

d) Backgrounil of C ompany/Organization

Brief and concise description of the company/ organization in whichthe student is undertaking the Industrial Training. The main items

are:

1. Backgrounds of the company

2. Vision and Mission

3. Structural organization of rnain activity

4. Title and position of the supervisor in charge

5. Others deemed necessary (no more than three (3) pages)

Srnnmary of DutiesThis section should be the brief description of the time, duration

and types of duty carried out during the training. The description

must follow the schedule of the haining, that is, in Industrial

Training Manual. The days when the student is not on duty must be

properly recorded with a reason given.

WorkingExpeience

In this section, the student must describe the on job haining

experience gained according to titles considered appropriate. For

examples, the main items are

1. Projects carried out

2. Supervisory works

3. Problems encountered

4.Problems solving process or approach

5. Cost saving to the company

6. Quality issue

7. Network design

8. Collaboration development

Students should provide an overall discussion in this section and

arrive at a conclusion with regards to the Industrial Training

undergone. Contents may include:1. Types of major work performed

2. Comments on meeting the objective of the kaining,

Provided that there are important resources that are used as

references while preparing the teport a complete list of the tiiles ofreferences concem rnust be included.

Appendix

Appendixes are additional information considered appropriate to

suppot the main text. A copy of letter of permission must be

attached in the appendix. Other suggested appendixes are:

1. Investigation/project report during the industrial training2. Technical drawings etc.

Others

Figures/Tables

All figures, tables and similar contents must be captioned and

labeled. Every figure or table must be mentioned in the mair text.Any supportive evidence.

List of Notations and Symbols

If the report contains notations and symbols. the full definition must

be given when each notation or symbol first appeared rn the main

Every appendix must have a title and be mentioned in the man text

where appropriate. All page numbers for appendixes must becontinual from the main text.

DO NOT include irrelevant materials, e,g. brochures from theorganizations, order forms, organization newsletters and similarmaterials.

Note on Good Practice: Student is strongly advised to commencewriting

the Industrial Training Report as early as in the begiruring of the training

period to ensure a timely completion of the report.

Industrial Training Assessment

The industrial training performance assessment will be based on:

The Faculty Supervisor will send the evaluation form to the company.

The evaluation forrn must be completed for every student by the

Company Supervisor and it must be sent to the Faculty Supervisor in the

final week of the Industrial Training.

Students are advised to give a serious consideration in writing their

report. The report must be in good quality and explain ali the industrial

experience and knowledge gained. The report MUST NOT be in notes

forrn and figurative form. If the report is not satisfactory, the students

must rewrite the report until it is deemed satisfactory.

8.0 Completion of Industrial Training

When you are in the final phase of the training, the following important

things must be done:

D Request your company supervisor to complete your evaluation

form.

> Request a confirmation letter from your company supervisor that

shows you are compieted the Industrial Training at theu company.

! The Student must submit the Final Report to the Company

Supervisor for approval The company may request the student to

remove any confidential items in the report.

F Once complete your final report, submit two (2) copies to the

Faculty within a week after completion of the industrial Training.

The report grrideline is given in Appendix C.

Upon passing the training, a confirmation letter will be included in your

student file as evidence of a successfully completed industrial experience.

Note that students are required to resubmit their Industrial Training

Report if deerned unsatisfactory upon assessment.

> AN ABSOLUTE OF 12 WEEKS OF APPROVED PLACEMENT PLUS PASSING
