UCT Faculty of Commerce - Personal Assistant 23 June 2014 to 31 July 2014 (contract)Duties and responsibilitiesI was the personal assistant to Mr. Devar Pillay. My duties included maintaining the Faculty Board list, updating the Short course database, general admin such as filing and typing. I also managed his diary and handled any catering and stationary orders. I was involved in submitting various UCT forms to the relevant departments after having them correctly completed and signed. Another responsibility was correlating the Handbook for the following year. I updated and submitted any sick leave applications and financial reimbursements to the relevant people. I process any External Examiner payment claim forms and send them off to the Examiners office for payment and keep a record of any forms submitted. Along with any payment claims I also kept a record of any External Examiner reports received and filed them. Later in my contract I was asked to assist with online applications. I did the Introduction to Peoplesoft course and had training in the office with processing applications and then applied this in practice.

My duties included switchboard, taking messages, attending to patient queries and assisting with patient orders. I also used the program Clinexe to capture pharmacy orders, Pathcare bills and doctors invoices to patient’s bills. Along with this I assisted with general office management like shredding of paperwork and filing.

Michael McBride & Associates cc – Assistant and Client Relationship Manager October 2011 to 31 March 2014Duties and responsibilitiesMy duties include answering the phones, attending to clients that come into the office, handling any short term insurance referrals, existing business queries and changes requested on behalf of current clients. I manage client relationship management by sending personalized birthday wishes, updated assurance schedules, etc. to clients on a daily basis and obtaining authorization documentation to keep on file so that our files are up to date. Assistance with diary management and personal arrangements also falls under my portfolio of duties. Assisted with new business quotes when necessary. I am also responsible for the setup and maintenance of our company website, manual quarterly investment statements for clients and updating of our fund portfolio information. I maintained and kept track of the FPI points to keep his CPD (Continuing Professional Development) membership and was involved with the compilation of our annual newsletter every December that we sent off to clients along with a personalized desk calendar. I obtain any policy information and capture it on to our client database (Atwork online) and once that is done I compile a personalized client schedule.

Obtain short term insurance quotes from various companies and process the applications until issued. Processed renewals when they fall due. Processed requested changes to short term insurance portfolios. Processed short term insurance claims from submitting them and following up until finalized. Check and submit medical aid, life and investment application and do any necessary following up for clients. Submitted Section 14 transfers to various insurance companies. Processed all orders for stationery and office supplies. Actioned general queries and changes on clients investment and policy portfolios. Assist with diary management and personal arrangements on occasion.

Andre Conradie and Associates CC and Lulworth Investments CC.- Personal Assistant November 2003 to July 2008Duties and responsibilitiesMy duties were reception and answering the switchboard as well as obtaining insurance quotes and drawing quotes from the various systems of short term and long term insurance and investment companies for clients (once advised of selected fund, etc.). I carried out duties such as filing and general admin (sending brokers notes, letters to clients, any policy changes and updates). Checked policy documents and collate to send to clients.
