For those who will be receiving a refund, it’s a happy time. For those having to pay, well let’s just say that we accept it as one of life’s certainties. But since tax day is not something that everyone is excited about, we have a couple of “happenings” this month that I hope everyone will be excited about. First, on April 16 our chapter will celebrate the wonderful executives we affectionately call “boss” at our Executive Recognition Luncheon. The financial support and encouragement that we receive from them helps our chapter accomplish the many goals we have from year to year. Please be sure to invite your boss to the luncheon so you can publicly thank him/her for allowing you to be a part of the leading connection for business professionals. Remember that the April 16 luncheon will be our monthly membership meeting - there will not be an evening meeting this month. The second exciting “happening” is that our chapter website should go live this month. Connie Ross and Bobbi Lutz (along with our web designer, Art Williams) have done an outstanding job of putting together a site that will be both informative and eye catching. Not only will we be able to use the site to stay up-to-date on chapter activities and RSVP for meetings, but we’ll also be able to use it as a marketing tool for prospective member firms. Updating the website will be an ongoing project, so we’ll keep everyone informed when new features are added. Do you consider yourself a leader? By definition, a leader is a person who rules, guides or inspires. I firmly believe that anyone can be a leader if they truly have the desire. If you want to be a leader, you have the perfect opportunity right here in our Chapter. It’s not too early to start thinking about leadership roles for next year. Serving on the Board or as a committee chair is a great way to get involved with the operations of the chapter while developing your leadership skills. We have such a diverse group of women in the chapter, each with unique talents and interests, and EWI offers an array of options for everyone. If you’re considering one of these positions, please discuss it with a board member or committee chair - they can also answer any questions you may have. On a personal note, serving on the board has been the most rewarding experience for me, both personally and professionally, and I have grown in ways I never thought possible. It’s April already and besides looking forward to spring weather and beautiful flowers, we all know what else is approaching - tax day! For those who will be receiving a refund, it’s a happy time. For those having to pay, well let’s just say that we accept it as one of life’s certainties. But since tax day is not something that everyone is excited about, we have a couple of “happenings” this month that I hope everyone will be excited about. First, on April 16 our chapter will celebrate the wonderful executives we

EWI Fellows Scholarship

The EWI Fellows program is a Corporate program that awards financial assistance to active EWI representatives admitted to accredited baccalaureate, graduate, or post

graduate programs. Financial assistance is awarded through the EWI Business/Career/Development Program (B/C/DP), a 501(c)(3) corporation that offers a variety of scholarships and educational programs. The Fellows program supports

the EWI B/C/DP mission.

This scholarship is available to EWI members who have been a rep for at least one year. This is a terrific benefit of EWI membership. Four scholarships are available:

two $3,000 Undergraduate Awards and two $5,000 Graduate Awards.

The Fellows Scholarship application deadline is April 30. If you will be in school this fall, please apply. If you know of another EWI rep going back to school,

encourage her to apply.

The nominating committee needs YOU! Your VOICE is important to us. Here’s how you can HELP: 1. Please take a few moments to review the attached straw ballot for the 2009-2010 slate of Officers/Directors

and write-in your suggested recommendations. Your input will be a valuable tool for the nominating committee to begin the nominating process. As you know, the 2009-2010 slate of Officers will serve on the Board with our President Elect, Letty Villarreal. To help you understand the responsibilities and qualifications associated with our Chapter Board positions, please refer the two attachments supporting the straw ballot:

1) A description of Chapter Board positions 2) A list of Board requirements/qualifications

We encourage our newest representatives to also participate in the straw ballot process. We realize this

may be a difficult task for new members, who may not yet be well acquainted with our membership. However, if you know a few representatives whom you have come to admire and respect, nominate them for a position even if you leave other positions blank. It is acceptable to turn in a partially completed form, if necessary.

2. Equally important is completion of the “Self Questionnaire,” enclosed with this memo. This form will let the

committee know if you would consider a leadership position in the 2009-2010 Board year, based on your current circumstances. If you would like to serve on the Board, or as a committee chair, please let us know!

The Straw Ballot and Self Questionnaire will only be viewed by the members of the nominating committee, and will be kept strictly confidential. Please return your straw ballot and questionnaire to Connie Ross as soon as possible, but not later than May 6, 2009. RESPONSIBILITIES AND DUTIES FOR CHAPTER BOARD OF DIRECTORS AND OFFICERS

Vice President/President Elect – should 'shadow' the President throughout the year to gain a clear understanding of the Presidents responsibilities and assist the President in anyway. She should attend as many committee meetings as possible, developing relationships and identifying qualified candidates for her Board and working to recruit them into various positions. It is traditional for the Vice President/President-Elect to arrange for the purchase of the "Past President's pin," which is presented to the outgoing President at the installation meeting.

Secretary — shall keep and have charge of the minutes of all meetings of the Chapter and of the Chapter Board; shall serve notices of all meetings of the Chapter and of the Chapter Board; shall executive official documents, with the President, in the name of the Chapter; shall be custodian of the seal of the Chapter; shall keep the Bylaws and such other papers as the Chapter Board may direct; and shall perform all the duties incident to the office of Secretary, subject to the control and direction of the Chapter Board.

Treasurer — has the responsibility of accounting for all receipts and disbursements of the Chapter in a uniform manner consistent with accepted accounting practices. The Procedure Manual outlines procedures based on bookkeeping entries, rather than debit and credit entries, so the Treasurer’s position is more easily understood and easier to manage.

Sergeant-At-Arms — has charge of all reservations and keeps complete and accurate records of attendance of the membership.

Membership Director — is responsible for preserving the high quality of the Chapter membership through effective membership recruitment, orientation, and retention efforts by: 1 Working with Membership Committee to identify and secure new member firms 2 Obtaining list of all businesses operating within the community 3 Implementing retention and orientation programs 4 Working with Chapter President to make certain new representatives are informed of new member opportunities 5 Processing any changes in membership in accordance with the Bylaws and Procedure Manual.

The Chapter Membership Director also has responsibility for marketing the organization which is an integral part of the recruitment/retention process.

Program Director — along with the assistance from the Program Committee should present to the Chapter Board a full slate of programs for the calendar year.

Publication Director — is responsible for the preparation, printing, and distribution of the Chapter's official monthly publication. The primary purpose of the newsletter is to communicate to the Chapter membership, in a complete, concise, and professional manner, the information they need for understanding, generating interest, and encouraging participation in Chapter and Corporate activities.

Ways and Means Director — is responsible for planning and executing the Chapter's Ways and Means projects for the purpose of supporting the Chapter's scholarship and philanthropic efforts as well as raising operating funds for the Chapter.

Director-At-Large — the responsibilities of this position are assigned by the incoming Board, with respect to the wishes of the incoming President. The Director-at-Large could be the EWISP and/or ASIST Director, Public Relations Director, Membership Retention Director, or whatever area the Board decides to designate.

REQUIREMENTS AND QUALIFICATIONS FOR CHAPTER BOARD OF DIRECTORS AND OFFICERS

According to our Chapter Bylaws, Article III, Sections 1 and 4, the requirements and qualifications for serving on the Chapter Board are as follows:

Section 1. Number and Qualifications of Board Members

The Corporate business and affairs of the Chapter shall be managed and directed by a Board of at least six (6) and no more than ten (10) Directors, each of whom shall be a Representative of a Member Firm. If a Director shall cease at any time to have such qualifications, such directorship and any officer's position held in the Chapter automatically terminates, but no act of the Chapter Board shall be invalidated by reason thereof.

Section 4. Election and Term of Office of Directors

Each of the Directors shall serve a one (1) year term to begin at the close of the Chapter’s Annual Business meeting, except in the case of the Vice President/President-Elect who shall be elected for a two (2) year term.

A minimum of three (3) of these Directors shall have served on the Chapter Board the previous year, one of which may be the President-Elect. The Vice President/President-Elect shall automatically ascend to the office of President without action of the Member Firms. Directors may serve as Officers and Designated Directors simultaneously.

No Officer or Director may serve more than five (5) consecutive terms. An Officer or Director who has served more than half a term is considered to have served a full term in that office.

Officers, Directors, and committee members shall serve the Chapter without compensation.

Lynette Bearden was installed in January, as a second representative for OfficeMax, a member firm for five years. The company employs over 36,000 people, with annual sales in the area of nine billion dollars. The corporate office is located in Illinois. They are led by CEO Sam K. Duncan who’s been in this position for three years. There are ten stores in San Antonio and the surrounding areas. Lynette’s executive is David Maberry, Director of Sales in South Texas.

Lynette is very happy to work in the Printing Division for OfficeMax. Her responsibilities include working with national and corporate accounts and reviewing their current print processes, as well as offering better solutions through OfficeMax at a more effective cost. Lynette was born and raised in Houston, but moved to San Antonio this past September. She is enjoying everything about San Antonio, as well as learning the new culture. Some of her hobbies include reading, swimming, and outdoor activities. Lynette is presently very busy with plans to rescue a puppy. In addition, she is a member of Stone Oak Network, and is already active with community services that involve ribbon cuttings. In Houston, Lynette was very involved with the IM Senior Food Program. The change of pace from Houston has been a positive one, and she is excited about the vast number of printing opportunities in our city. Lynette looks forward to making great connections and great friends with EWI. She will be mentored by Joyce Stewart of NIX Health Care System, and has been assigned to the Hospitality committee. The EWI Minneapolis Chapter is considering submitting a proposed amendment to the Chapter Bylaws – changing the chapter board term, as it is referred to by Corporate, from Oct. 1 to Sept. 30 – to the calendar year, Jan. 1 to Dec. 31 (as it had been prior to 2002). Our March guest speaker, Don Varney, made a $250.00 contribution to our scholarship programs.
