reating the Database

There are three ways to create a Database for the upcoming season. 1. Create a New Database 2. Use prior year Database as a template 3. Mark Hurst’s way

1.  CREATE A NEW DATABASE From the Main Menu go to File then Open/New

The Open Existing or Create New Database window will appear

The default location is in the TM5Data. You may change it if you like, but it is not necessary. Type in a meaningful database name in the File name box. In this ase it is AquaJets 2010. Click the Open button. c

 

System Preferences The System Preferences window will appear. When you are done the settings should look something like the picture below.

Left Side  Gender Designations - Set the button to Boys/Girls (B/G) Athlete Browser Options - Check the Show Ages and Show Birth Date boxes and the Last Name First button. Be sure all other boxes on the left side are unchecked. Automated Reminders – may be left at 7 days

Right Side Team/Swimmer Defaults - Set the Default Team Registration to OTH and Default Team Type to REC. Meet Age-Up date – Set the date to June 01, of the current year. System Age-Up Date – Enter June 01, of the current year Click the OK button.

Note: Your Default Team Registration should not be set to USS. That can create a problem in Meet Manager. If you set the Default LSC to anything other than blank your team Abbreviation will be appended with those letters (i.e. TTST-OZ). It is meant to signify the USA Swimming area you represent. Since we are not part of USA Swimming, leave it blank.

Next you will need to Set-Up a Team

Creating a Team From the Main Menu click on Teams.

The Team Browser window will appear. This is where you will add and delete swimmers and their personal information. You may make swimmers active or inactive from here as well. You may also access swimmer’s individual results from this browser.

To get started, click on Add from the menu bar at the top of the page or click on the icon of the piece of paper just down and to the left of Add.

The Team Maintenance window will appear:

Enter your Team information. Be sure to leave the Team Registration and Team Type as they are.

At a minimum you should have a Team Code and a Team Name. You may enter Mailing or Telephone information per your preference.

DO NOT make separate teams for Boys and Girls of for different age groups. One team is all you need.

Click OK

Click on the Exit this Form Icon

Although it is not necessary, you should now create a Favorite Filter.

Creating Favorites A Favorite Filter will automatically enter data into fields required in different parts of Team Manager. For example when you add an athlete your team can be automatically entered for you.

From the Main Menu click Set-Up and click Favorite Filters

You need to type in a Favorite Name. Use the drop down menu for Team and Course.

In Team choose your Team Name.

In Course choose Yards

If your are using a database that has data from previous years, click the box next to Use Start Date and change the date to 06/01 current year.

Click OK

At the top of the window click on Set Default in the menu bar.

Click on the Exit this Form Icon

Now you are ready to Add Athletes and Meets to Team Manager.

Adding Athletes This is where you will add and delete swimmers and their personal information. You may make swimmers active or inactive from here as well. You may also access swimmer’s individual results from this browser

From the Main Menu click on Athletes.

The Athletes window will appear.

If you have created a Favorite Filter your team abbreviation will appear in the box next to Team, otherwise select it from the drop down menu.

Click on Add to bring up the Athlete Information window.

The minimum information you need to input is Last Name, Birthdate, Gender and Team 1.

It is recommended that you take the time to add Primary Mailing Information and Primary Contact Information. You will be able to print a phone list and mailing labels if you have entered the information.

Inactive Status – Just above the OK button is an Inactive check box. Use this button when you want to remove a swimmer from your active roster but don’t want to delete them from the database. Usually you won’t check this box when adding swimmers.

Click the OK button.

The information will disappear and a blank form will appear, now your ready to add the next swimmer data.

Click Cancel to exit the Athlete Maintenance window.

Click on the Exit this Form Icon.

You are now ready to Add Meet.

 This brings all prior years information into the new database. You may want to keep the information or selectively delete it. All athletes will be listed in the new database as well.  Click on Athletes from the Main Menu and check the box to Show Inactive Swimmers. 

  Now make all swimmers Inactive by checking the Inact box.

Adding Meets This is where you will manually add swim meets. There are two other ways to enter meets into Team Manager. The other two will be discussed later. Meets can be created for you when you import results or import meet events.

To add a meet click Meets in the Main Menu.

The Meet Browser screen will open.

From the Meet Browser screen you can add meets, enter swimmers in meets, add results to meets, and print meet related reports.

Click on Add in the menu. The Meet Maintenance screen will appear.

You will need to enter the Meet Name, Course, Start and End Dates, and the Age-Up Date. All other information is optional.

The course type needs to be set to either Y for Yards or YO for Yards Only. Use the Use Times Since if you have meets from last year in your database. Otherwise you don’t need to worry about it.

Click the OK button. As with the Athlete Maintenance screen the information will blank out and the screen will be ready for the next meet.

Click the Cancel button when you are done adding meets.

You will have to Add Events before you can enter swimmers in events or add results manually.

Adding Events to a Meet There are three ways to add events to a meet. Two ways are very fast and easy.

1. The easiest is to Import a Meet from a Meet Event file (find the file at the CVRSL website www.cvrsl.org on the League Documents page).

2. The next easiest, (assuming you have a meet with events already in the data base), is to Copy Events.

3. The third way is to Manually Enter all the Events. You will only need to do that once, after that you can Copy Events.

Manual Entry of Events From the Main Menu select Meets. From the Meet Browser window select the meet that needs events added ( it will be highlighted in blue). On the menu bar click Events.

You may now enter the meet events, one at a time. Be sure to change the Individual/Relay buttons as needed. They are just below the Event number.

For the 18 & under 100 Free you will need to select Other in the Age Range section and enter 18 in the High Age box. All other events have a button. After each event is entered click the OK button. After the final event is entered click OK, then press Cancel.

I mporting a Meet 

To Import a Meet you must have a file. You can find a file on the League website at www.cvrsl.org. The file can be found under Software Files in the Team Manager section. Download the file and remember where it is stored.

From the Main Menu, go to File – Import – Meet Events

You will be prompted to find the file. Locate the file an open it. You will need to open it twice, once to unzip it, and once to select it.

The final Import screen will look like this:

Click on Meets in the Main Menu and the new Meet will be in the Meet Browser screen.

Now you are ready to Copy Events.

Copying Events into a Meet You need to be in the Meet Browser. From the Main Menu, click on Meets.

Select the meet you want to copy the events to by clicking once on the meet frthe list of meets. It will be highlighted in blue.

Now click on Events to open the events menu.

Click on Copy Events in the menu bar. When the Copy Events screen appears, select the meet from which you wish to copy the events.

How to set up meets in the database.

From the Main Menu, select File and then Open/New.

Select and open the Template Meet 09 that was previously obtained from the CVRSL website. (You can open any meet database that is setup the exact way you want to set up your new meet).

For each meet that you have setup it is necessary to access Set-up from the main menu. Click on Set-up - Meet Set-up. Enter the correct Meet Name, Location, Start and End Dates, and also Age-up Date.

Athlete / Relay Preferences

Also from the Set-up menu, you need to click on Athlete / Relay Preferences. In the Athlete Preferences section make sure to check the boxes for Enter ages, Enter birth dates, Enter Athlete Status.

In the Relay Preferences section do not check any of the boxes.

It is important to verify that the scoring is set up correctly. From the Main Menu click Set-up – Scoring Set-up – Standard. This opens the Scoring Set-up window. For CVRSL the scoring is as follows:

If you are using a Timing System it is important to specify which one. Click from the Main Menu - Set-up – Timing Console Interface. Check the correct box for the timing system that you will be using.

Your meet should now be set-up correctly. The rest of the options under Set-up can be ignored. Repeat these steps for all the meets that you have set up. This is to verify that all the information is correct.

Getting Ready for a Swim Meet During the regular season dual meets it will be necessary to import the team rosters into the appropriate meet. The team rosters are posted on the CVRSL website. Most of the time the other teams computer operator will e-mail their roster to you.

The first step is to create a team roster file. This is a list of the active members of your team. This is done using Team Manager 5.0

Creating a Team Roster In Team Manager 5.0 from the Main Menu select File – Export – Athletes/Teams.

In the Athlete Export Filter section make sure that the correct team is selected (in this example LAJ) and All is also selected. All other boxes should be left blank.

Important: This is the roster file that will be imported into Meet Manager 3.0. Also, this is the file that you will e-mail to CVRSL and the other teams (keep the file as current as possible). An up-to-date file will keep you from having to add swimmers at the Meet.

Press OK in the next box that appears.

In the next box select the unzipped file (ending in .HY3) and press Open.

At the next box click OK.

In the next window to appear it asks if you want to copy competitor numbers from the import file, Select NO.

In the final window, it will show how many Athletes you have Imported. This is good because it will give you an idea of the size of upcoming meet.

Now you can Import the opposing team the exact same way.

Important: The approximate size of our Team is 180 swimmers. Before Importing the other Team enter a Fictitious Swimmer (example ZZ Top) and a Competitor Number of 199. Now Import the opposing Team and their competitor numbers will automatically start at 200. This really helps the computer operator during the meet.

Important: It is best to Import our team first and the opposing team second. This will keep our swimmer numbers the same for home meets. This helps reduce errors when writing and recording competitor names and numbers. It helps to make the meet run easier.

Important: Check to make sure that both teams are entered into themeet. From the Main menu select Teams. Verify that all teams are correctly listed.

Creating Athlete Roster Reports

Create Roster Reports for the Coaches

This report can be done once you have the teams imported into the Meet. The computer operator should generate this report 1 hour before the start of the meet. These reports list the swimmers and their competitor numbers. There are many ways to generate these reports. Ask the head coach how they like these reports to look. One way is by age groups and sex. You can also print the teams alphabetically or by age. Lets look at the first way.

• Select either Both or Male and then Female

• Under Athlete Rosters select Basic, By Athlete, Athletes Only, check the boxes for include athletes with no entries, include competitor number.

• Click on Create Report to generate the report

Print enough copies of these reports to give to each coach on both teams.

Create Roster Reports for the Computer Personnel It is helpful for the computer personnel to have a copy of each teams roster w/competitor #’s. This allows them to quickly access the information during the meet if there is a question regarding the lane slip.

• From the Main Menu select Reports – Athlete Rosters

• Select the correct Team

• Select either Both in the Gender section

• Select Alphabetical in the Sort section

• Click on 4 Column Roster (in bold letters across the middle of the window)

Running the Meet

Have the equipment setup and ready to go at least one hour before the start of the meet. Print Roster reports and give them to the Head coach of each team. Be ready to add swimmers and issue their competitor numbers. Also print several copies of the Schedule of Events Report to give to the announcer and computer personnel.

Event Report • From the Main menu click Reports – Events

Remember: If you added the swimmer to our Team (ZZ Top #199) there are available competitor # slots between 180 and 199. You can manually enter the Comp # in the Add New Athlete window.

Run Screen From the Main Menu, click on Run. This opens the window that you will enter all information during the meet.

Individual Events (Unseeded) • Select Event #1 - In this example, Girls 18 & Under 100 Yard Freestyle

• Create additional Heats as needed by pressing Control H

• Using the lane slips enter the swimmer into the correct lane. This can be done by using their Competitor # and entering it in the proper Lane at the bottom 1/3rd of the screen.

o Hint: If you entered the wrong Athlete into the lane or event just double click on their name to remove them.

• Press Score or Ctrl S once all information is correct and move on to the next event

• Click on the Adjust or F8 button

This opens the Preview / Adjust window where you can assign swimmers to the correct Heat and Lane

Once all swimmers are entered in the correct lanes you can click on Get Times or F3. This is for those of you who are using a Timing Console (example CTS 6)

Relay Events Relay events are handled differently than individual events. You must first enter the teams and then the individual swimmers of the team. For this example we will use event#3 Girls 6 & Under 100 Yard Freestyle Relay.

• Create additional Heats as needed by pressing Control H

• Click on the Adjust or F8 button

This opens a Relay Names screen. In the Relay Teams section, it lists the Teams and if they are the A, B, C, or D relay. Usually lane 4 will be the A relay.

• In the Relay Teams section select the Team and Lane to enter the swimmers names

Combining Races (Using CTS 5 & 6) • In order to speed the meet along we sometimes combine events. For

example, events 1 & 2 - Boys and Girls 18 & Under 100 yard Freestyle, often gets combined.

• Using the Run Screen

o Get the lane slips for the combined event

o For the combined event get the Race # from the CTS 5 or 6 operator or print out

Ribbons and Award Labels

Printing Labels You can print labels as soon as the event is scored, but it works better to wait until you have finished several events. This gives time for the scored events to be verified for accuracy and to accumulate results from enough events to fill an entire page of labels when using a printer. Print labels about every 10 to 15 events.

From the Main Menu in Meet Manager click File – Backup. Choose the location for the Back up (either C drive or USB portable) and click OK. A Backup Options screen will appear, and click OK.

o The default location is C:swmeets3 and an example of what the file will look like is - Swmm3BkupGoldenWest-01.zip

o If you want to give or receive a backup of the meet, insert a USB drive into the meet computer. Select the correct drive and Copy Backup To:

o Creating an entire Backup of the meet is quick and easy. It can be done as many times as needed.

Creating a Backup From the Main Menu in Meet Manager click File – Backup. Choose the correct Drive for the Back up (either C drive or USB portable) and click OK. A Backup Options screen will appear, and click OK.

o The default location is C:swmeets3 and an example of what the file will look like is - Swmm3BkupGoldenWest-01.zip

o If you want to give a backup of the meet to the other team, insert their USB drive into your computer. Select the correct drive and Copy Backup To:

Restoring a Meet If it was an away meet and you have the complete backup from Meet Manager (Either on a USB drive or it was e-mailed to you).

• Make sure you are in the correct swim meet database. The Header at the top of Meet Manager should show the name of the opened database.

• From the Main Menu click on File - Restore and then OK.

• Select the correct Backup file that you wish to Restore, click Open.

• In the Unzip and Replace the Currently opened Database screen click OK

Top Times Report This Report will help you to determine who Qualifies for Time Trials.

• From the Main Menu click on Reports - Performance Reports -TopTimes

• Click on the Stds (Standards tab) at the lower right quarter of the box. • On the drop down menu click on TIMESTD. • Check the box to include Time Standards.

• On the lower left side of the box put in the date of the first Regular Meet (Do not include the practice meet) and check the box to Use Since Date.

• Now you can run this report in 1 column, 2 column, or 3 column. Run 1 column to make sure the correct meets and dates are used.

• Note: Since there are no Time Standards for 15 -18 yr olds they automatically qualify if they have swam the event in a regular league meet.

• Run a Top Times report just for the 15 – 18 age group. First type in the

correct age (15 – 18) in the Top Times Report box. In the Stds tab select TIMESTD in the Standards drop down menu. Next check the box to include Time Standards. On the last drop down box select All for the Standard at Least. Make sure to Use Times Since your first regular meet and also to check the box Use Since Date. Now you can run the report in 1,2, or 3 Column.

Number of Meets Attended Report 

1. In order to qualify for Time Trials a swimmer must have attended at least 3 regular meets. To find the number of meets attended run the following report.

2. From the main menu click on Reports, - Meet Reports - Number of Meets Attended/ Splashes.

3. Enter the correct date for regular league meets and check the Meets Since box (do not include the Practice Meet). Check the following boxes; Meets Attended, Include Relay Only Swims, and Include Athletes with No Meet Attended.

Use this report to find out who is going to Time Trials and also what events they will be swimming. Write down this information on the report and use it to seed the meet.

Select Time Trials from the meet list (add the meet if it is not there). To setup this meet make sure to check the boxes for Enforce Qualifying Times and Do Not Allow No Time Entries (this is for Time Trials Only). Now in the Meet Browser enter the date of the first Regular Meet in Meets Since and check the box. In the Use Times Since box make sure to enter the date of the first regular meet and then check the box. This eliminates all meets prior to the start of the regular season.

Now you can click on Entries in the Meet Browser and choose Pre-Enter Athletes in Meet.

Put a check in the Entrd box for each eligible swimmer who is going to the meet. Once all athletes have been pre-entered into the meet you are ready to enter them into events.

From the Meet Browser click on Entries and then choose Entry by Event.

Late Entries If you have swimmers who qualify for Time Trials after your Meet Entries have been sent in to the other team. Create a meet called Late Entries for Time Trials and copy events into it from Time Trials. Now go ahead and follow the steps above.

Create a list of the swimmers who were originally entered and are not going to attend the meet. Now you can e-mail the names to them.

Send Entries to Time Trials In Team Mgr. click on File and then Export. Now click on Meet Entries, choose the correct meet in the drop down box. Click OK and note where the file is stored. Now you are ready to e-mail this file to the other team. Just attach the file to your e-mail.
