EndNote EndNote is software for managing citations and references in academic publications. Avondale College staff use APA 6th, Harvard, MLA, and Turabian styles

Step 1 Creating a Library when you first use EndNoteReference information is stored in a file called a library. Users may create as many libraries as they like. Library files have the extension .enl.

Open a Word document and open EndNote

Click on File Then click New

Give your library a name in File Name Choose where you want to store it in Save in (ie under My Documents on your laptop or

your student number file on the Avondale computers) Click Save

IMPORTANT Once you have created your library, you will not need to create another one unless you want more than one library. It is recommended to have just one library. From now on, when you open EndNote, you will go File – Open then click on your library name to open your existing library.

When you first open your library, choose your style (eg APA 6th or Turabian Bibliography) by clicking select another file and then choosing your style. All references will now be saved in the style chosen. You will not need to do this again as your option will be saved.

Step 2 Adding a New ReferenceOnce you have created your library you need to add the details for books, articles etc that you have used in your assignment.

Open EndNote and open your library in EndNote

In EndNote, click on the green plus sign New Reference Select Reference Type (from the drop-down list – Book, Journal article etc)

Type in details ie Author, Title etc. Refer to the notes below for guidance in what fields to

use for each reference type.

Click the red or black cross and the reference will be saved and added to your library

You can create Groups for sorting your references. Right click on My Groups and create

as many groups as needed.

NOTE You are also able to automatically add references from books in the Avondale College library catalogue or from the Avondale College databases. Refer to p. 4 for instructions on downloading references from the catalogue and databases.

Required Fields for PublicationsMore fields are given than are actually required for a complete reference. Some of the fields are useful – for example you can add notes to the entry to remind you why you included it in the reference database. The list below shows the format and fields for the 5 most commonly used publications types. When you are entering information into the database you should try to fill most of the fields listed for each type.

Journal Article: Author. (Year). Title. Journal, Volume(Issue), Pages.

Book: Author. (Year). Title. City: Publisher.

Conference Proceedings: Author. (Year of Conference, Date). Title. Paper presented at the Conference Name, Conference Location|.

Magazine Article: Author. (Year, Date). Title. Magazine, Volume, Pages.

Electronic Source: Author. (Year, Last Update Date). Title. Series Title  Edition. Retrieved Access Date, Access Year, from URL

Step 3 Adding Citations to a PaperOnce you have added all your references to your library, you are able to use them in your assignment.

Open your assignment and position your cursor at the place where you wish to add a citation

Open EndNote

Highlight the item from which you want to quote (just one click)

Return to your word document.

Click Insert Selected Citation

Your citation will now be in front of your cursor and a bibliographic reference appears at the end of your document for your bibliography.

IMPORTANT note when using Turabian style

If you are using the Turabian style, you will need to insert a footnote each time you want to add a reference.

In Word, go to References – Footnote THEN insert your reference from EndNote as in the instructions above. You will need to do this each time you wish to add a footnote.

Groups Once you have a number of references in your library you can sort them into the groups

you have created. Just drag and drop them into the various groups. The original reference stays in the main library and a count is kept of your “unfiled” references.

Importing Bibliographic Data from other Sources

Importing data from the Library Catalogue Open the Library Catalogue Using Basic Search – find the book you require Tick box beside the book reference Save/Email Selected Go Save selected The record will automatically download into EndNote

Importing data from EBSCO Databases (ATLA, Cinahl, ANZ Reference Centre, Medline, Religion and Philosophy Collection and Teacher Reference Centre)

Find an article and add selected results to folder. Open Folder and tick the items you wish to save

Export

Direct Export to EndNote, ProCite, or Reference Manager Save

Importing data from PROQUEST Central Select articles by ticking the box on the left Export Export directly to ProCite, EndNote or Reference Manager

Importing data from ACADEMIC ONEFILE Double click on title of article you want In the red box on the right click Citation Tools Tick EndNote Export Open

Importing data from OVID Nursing full text plus Tick the box beside the articles you wish to reference In Results Manager select the defaults:Results – Selected resultsFields – CitationResult Format – Direct exportActions – Save

From the box Choose an Import Filter select ABI-Inform (Ovid SP) Click Choose and the item will download into EndNote

Importing data from GOOGLE SCHOLARYou will need to configure Google Scholar to send references to EndNote.

Go to the Google Scholar home page at http://scholar.google.com Click on the Scholar Preferences link. Under Bibliography Manager select the option Show links to import citations into and

choose EndNote in the drop down box. Click on Save Preferences After performing a search on Google Scholar click on the Import into EndNote link for the

reference you want to import. A box asks if you want to Open or Save the file - choose Open A Select a Reference Library window will appear; use this window to select the EndNote

library you want the reference imported into.

Tick the box beside the articles you wish to reference In Choose an action – select Download citation – Go Select Endnote Direct Export Tick Download file – Go – Open

Adding page numbers to a citation.

When you add a citation to a document it usually looks something like this: (Savitch, 2005). Often you are required to add the pages to the citation.

Highlight the citation Click Edit citation Type in page numbers (do not add p. or pp.) OK

Viewing and Editing a Reference in your library Highlight the reference Double-click on the chosen reference. Make the changes. Close the window (Closing the window automatically saves the changes).

Deleting a Reference Find the reference that you want to delete and highlight it. Choose <References><Move References to Trash>.

Checking on Duplicate References Choose <References> <Find Duplicates>

Finding a Reference Search function down the bottom of the screen

When you have finished with the search and want to show all the references again use <References><Show All>.

Notes for Entering Data

Author and Editor NamesAlways enter author and editor names one name per line. If an author’s name is too long to fit on a single line, let it wrap to the next line as you type it. Author names can be entered either with the last name followed by a comma and the first name, or the first name followed by the last name. Both are correct. If you are entering initials instead of full names, be sure to type a period or a space between initials, (for example Fisher, J.O.” or “J O Fisher”), otherwise EndNote puts initials as a single name: “Jo.”

Using “et al.” or Similar AbbreviationsEnter all author names for a particular reference. EndNote will enter the list of authors with “et al.” or “and others” as required by the bibliographic style. If you do not know all of the authors’ names, then the last author should be “et al.” or “and others” followed by a comma.

Anonymous WorksIf a reference has no author, you should leave the Author field blank. Do not enter “Anonymous.” If a work is published with “Anonymous” printed on the title page, then enter “Anonymous” as the author

Corporate AuthorsWhen entering corporate authors, put a comma after the name:  U.S. Department of Agriculture,  Apple Computer Inc., Do not use commas within the name, as all text before the comma is interpreted as a last name.

Complex Author NamesFor multiple-word last names, like Charles de Gaulle, enter the name with the last name first,eg: de Gaulle, CharlesEnter authors with titles, such as “Jr.” or “III”, as Last, First, Title. For example, “Alfred Smith Jr.” Smith, Alfred, Jr.

DatesEnter dates as you want them to appear in the final reference. EndNote does not reformat dates.

Page numbersPage numbers are entered without “p” or “pp” eg 345 – 348

Edition numbersEdition numbers are entered in full eg 3rd not 3
