    Planning the Program

In planning the conference program, you can create an almost infinitenumber of possible designs. This is an important process because even

high-quality sessions can lose their value if the program is not properlyplanned. The program planning process should begin after thefollowing steps have been completed:

The conference has the program: music, travel, relax program...

The audience profile has been determined as: business manager, private organize and other people.

The number of participants has been estimated.

    Page 15

    Venue

We can choice venue to travel with professional venue as thebeautiful Beach in Adelaide City, Sydney to business manager canbe comfortable travel.

Besides that we can give program clearly for traveling as.

Where will we go to travel?

When will we go to travel?

    Who are the participants?

When we had identified the above purpose is necessary, we willestablish plan and has procedure to registration for the attendees. This is the procedures will be implement in the program to travel.

This is the procedures will be registration for attendees in theprogram.

A well-planned program interrelates the above three factors withconference events, presentation methods, andevent scheduling. Your mission here is to design the bestcombination of events, presentation methods, and scheduling to serveyour conference.

    Events

Registration. All conferences need a registration period even if allconferees are reregistered. Attendees must still check in, pick upconference materials, and receive conference information.

Orientation. Many conferences schedule one or more orientationsessions. These sessions permit conferees to learn more about theconference or its sponsors and can also make first-time attendees feelwelcomed.

Opening Session. Most conferences have an opening session, whichmay feature a keynote speaker. A keynote speaker, if one is invited, should energize and set the tone for the remainder of the conferenceor at least for the day. Other speakers may be used instead of or withthe keynote speaker, such as an officer or local member of thesponsoring association or local officials. Ceremonies, awardpresentations, musical groups, film presentations, or other exciting

    BSBADM 503A 10/23/2011

events may be part of the opening session. The energy level of yourgroup will be extremely high at this time. All opening sessions shouldinclude a welcome address.

Receptions. Receptions can vary greatly in their degrees of formality.

They provide a period for people to talk and to meet each other andthe association's officers or local officials. Receptions can be used toentertain, to keep attendees from wandering, or to prepare for anupcoming event. These events are particularly helpful in providingnetworking time for large conferences.

Tours/field trips. These trips are usually scheduled for entertainmentpurposes or to provide a convenient way of visiting local attractions. However, you may schedule a trip as part of conference business. Forexample, a tour of a model facility could be planned, followed by orpreceded by a session at the conference site to discuss the tour.

Free time. Free time is simply any break period of more than thirtyminutes when conferees have time to do what they want. Free timeallows conferees to take care of business matters, attend exhibits, purchase conference items, shop, check out, or simply prepare for a

special part of the conference program.

    Scheduling

When overnight accommodations are required, scheduleregistration periods and events after hotel check-in isavailable and before check-out is required: When this is notpractical, be sure to arrange for safe storage of luggage andschedule free time for check-out.

Vary events between those with no alternatives andthose that offer choices:Conferees like choices, and choices

should be available to accommodate different skill andexperience levels.

When a conference lasts longer than a day, schedule freetime: A conference day is longer than a normal work day, andsometimes more draining.

Spread intense sessions: Follow an intense session with freetime or a lighter session.

Schedule sessions with stimulating presentation methodsafter lunch : Energy levels are lowest after lunch; stimulatingsessions prevent sluggishness

Schedule breaks in between sessions:This has beenmentioned before but is worth mentioning again.

When conferees are "on their own" for lunch, provideinformation about restaurants, prices, and service time:Your conferees will appreciate this and it will help to keep yourconference on schedule.

Large groups need more time for networking than smallergroups: Allow for adequate networking time in your schedule soparticipants can learn from each other and from conference staff.

invite and instruct repreparation ,submission requirements, then a secondletter to invite speakers , confirm dates, travel, accommodation, check in, program, any special needs ( e.g. technology, diet, children, partner needs etc )
