LCI is trying to connect with us: modern technology is doing a lot (+ reading of the slides)

the nominee : new rules will be adopted in Amsterdam key thing: we are starting so the ladies appointed will work in close relationship with Alexandra to make it work. question: should we have a budget? A regional chairperson needs to be the MTM chairperson and attend the AGM. All these points are not in rules yet, but back to Rotterdam, the international board will ask permission to vote to implement this (deadline June 2020). The International Contact Meeting will be the first meeting to make the region. Kenza presents the applicants for this post in the other regions. She said to ask Marieke information about the regional chairperson: 1st: you have to belong to the national board. 2nd: you need to have attended at least one MTM. 3rd: you need to have attended at least one AGM. kenza calls for a candidate. Martina stands up to introduce herself. She is Italy National Weblady. She said it was a challenge for her to give her contribution, that it was part of her dream: a good relationship between countries is important: together, it is easier, to get stronger, to get richer (to raise funds) - together for a better life. Voting procedure Anna Gobin collected the votes and proceeded into a counting. Approval with 10 votes for Martina Santoro

10. Circler.World a presentation created by the Circler.World project team

Kenza:

“it is the future. LC will be connected.

just need to pay a migration fees.

Admission free because of the anniversary – need to contact Marieke.

11. Items for discussion from the Member Countries

LC Belgium : Rules for the LCI Travel fund read aloud by Lauranne (see page 10 for details)

• 10.4: Choice of candidates: LCI councillors are not eligible for grants

“I agree on this rule when it comes to LCI AGM and MTM, but not on the ‘all other events’ category.

Not every councillor gets reimbursed by their country when it comes to visiting an AGM, anniversary

or charter of another LC country. If you are a councillor, it is an ideal moment to travel and meet co-

presidents / VP’s or IPP’s or to support a new country in LCI and that should be encouraged.

Second point of discussion: a number club exchange has nothing to do with

your position as a councillor because you are traveling as a lady of your own

circle visiting your number club abroad. The national board does not give you a reimbursement for

this trip.”

Councillors and delegates were invited to give their point on the rules for the LCI Travel fund.

But no one felt the need to comment on it, none of the delegates and councillors, no one in the

audience. (This item had been translated and inserted in the booklet for the non-speaking

attendants.)

12. LCI International Service Project 2017-2019: Happy Hearts video of presentation ambassador: Koketso MOKGATLHANE, LC Botswana, was invited to come for a surprise: a suitcase full of toys from Mathilde Applaincourt from LC68 St Quentin. photo shooting

Alexandra’s intervention on the “Buy a brick” campaign fundraiser

Suggestion from Annki Cedervall (Denmark): to share the link with everybody, not only with the

Quatalagor.

ladies looked really interested and ask for precised information on how to give a donation

Julie Rongère (Weblady, LC16 Angers, France) asked if there were a new site on Facebook.

15. MTM 2020

Austria – 24-26 January 2020

Iceland – No date yet

a quick speech by Alex

16. Items for discussion from the LCI Board (see page 11 of the booklet for details) First three points explained by Alexandra with a recall on aims and objectives when dealing with item

3 on legal structure (slide as visuals) – Alexandra insisted again on the need of volunteers.

Last three points explained by Kenza – Kenza mainly insisted on item 6 LCI Branding and on the need

to use the LCI logo with the country logo, because we are losing our impact because of the

multiplication of logos. Then a summary of the first ideas.

A call for volunteers to work on the LCI Branding.

Slide as visuals.

Delegates and participants were split at random* into 6 workshops set all around the room, with a turnover after 15 min. Each participant is invited to deal with 2 items of discussion. Delegates or participants who have prepared themselves to deal with the 6 items of discussion are free to move from one workshop to another. * a sticker with two numbers from 1 to 6 was given to each participant at the registration desk when

entering the meeting room

1) ISP 2019-2021 (workshop lead by Emmanuelle Guérineau, LC78 Pornichet, France)

How can we help the ISP hosting country with e.g. promotion and getting better reliance from the countries?

suggestions:

– include a presentation of the ISP in the agenda of the meetings, in every national and local board –

information in newsletters and Whatsapp groups

- dedicate a member to take and give regular information, a kind of “ISP Lady”

- provide a translation so that all the countries and members can be really involved

2) Digitalization of the AGM (workshop lead by Geneviève Nadeau, LC78 Pornichet, France)

How can we save money, planet resources and time at our AGM, such as not printing the directory, digital voting?

All the different points exposed by Alex were agreed: most participants of this

workshop agreed on an electronic vote. It would be faster and easier, and more faithful.

It would also be a more eco-friendly process.

3) Legal structure (workshop lead by Emmanuelle Lecuyer, IPP LC France)

How can we take LCI to the next level; by protecting our resources and Circlers. What process do we need?

a) We fully support the project of the legal structure.

b) importance to find volunteers, or we would need to ask the service of another organisation.

If we can’t find the expertise in our organisation, maybe we should consider the option of paying for

an international expertise. SO how can we finance?

First target: to decide which country the set up should be in.

Second target: to decide if a non-profitable organisation would be efficient and interesting to

the members and to the Board(example of proposition: to expand the trust on LCI – but negative

point: more administration and less flexibility)

Third target: to stay close to the aims and objectives

4) Growth best practices (workshop lead by Chloé Givelet, LC78 Pornichet, France)

Every country, region and Circle wants to grow, discuss what can be done or has been done to grow

First of all, to grow and expand, we need to spread our aims and goals.

To the question “why do the Ladies’ Circle have to grow up?”:

Friendship, to be helpful and sharing, and through actions.

the best to promote the LC is by word of mouth, newspapers, radios, other medias, social networks

Impediments to a growth: the membership fees and the money spent when attending national and

international meetings (especially for young members)

5) Onboarding (lead by Flore Gaudard, LC78 Pornichet, France)

How is your country welcoming new Circlers? When you become a Circler, how do you know about the national Board or LCI? Please bring your physical examples (flyers etc.) to show to the rest of the countries.

Most of the participants became ladies and entered the Quatalagor via the Round Table.

Two different visions: local/national and international.

Suggestion: a booklet of presentation of the Quatalagor and of the whole network

6) LCI Branding (lead by Agnès Ravier, LC78 Pornichet, France)

They all agreed on the LCI Board’s points. They just fear the cost this project will trigger (cost for each

country to “update” their logos on all communication devices and especially on official necklaces and

badges).

Suggestions:

- We may need communication representatives to check the respect of the

insertion of the logo.

- think of one supplier for international shop or e-shop

- start by selling goods with the LCI logo at AGMs and MTMs (pre-event sales)

- branding helps knowing LCI all over the world

- ask for volunteers from LCs worldwide to help launch the project

17. Upcoming Charters Explanation by Kenza about the lack of date for Cameroon (side by side). Alex will do her best to help these new circlers to be chartered.

Kenza added that Rotterdam is located in the heart of Europe. So easy to reach!

60th Anniversary: an occasion to celebrate friendship and service. “It will be a crazy time!”

18. Any Other Business - a special thought for Helen from Cyprus who passed away a few months ago. She will have a special

day in March.

- the history book of the Ladies’ Circle : all ladies are asked to share something about the history of

the Ladies’circle of their country, their traditions such as wearing a hat at national and international

meetings and conferences.

Other special guests to give a speech:

-Julien Perret, National President of the Round Table France, who mainly talked about new charters

in the Round table and the national association / charity “les lames de joie”

- François Motillon, National President of 41 Club France

Dear Ladies from all over the world,

On behalf of all the ladies of France it is a pleasure and an honour to welcome you in

our home country.

We will try to ensure that during this weekend, you feel at home as we feel at home

wherever we are welcomed during our travels within the Ladies'Circle International.

To reach this target, we can count on the Ladies'Circle 78 Pornichet whose

involvement from the start I can guarantee. I take as proof all the exchanges I had

with this team and I wanted to congratulate you here: "Congratulations to all the

team". And motivation was needed to organize such an event, it had been years

since France had not received an international Ladies'Circle event. How lucky I am

that it happens during my year!

The MTM is a wonderful event that brings together all the Ladies from the different

member countries of our region (Cyprus, Morocco, Tunisia, Israel, Portugal, Spain,

Italy and France) during a kind of mid AGM.

A warm thank to Kenza and Alex for honouring us with their presence. They are

women who are fully involved beyond the frontiers of their country to drive the

Ladies'Circle International forward and beyond their dreams.

This event is for me a great example of my motto "Act together, proud to be ladies":

We act all together despite our differences to promote the beautiful values of the

Ladies'Circle "Friendship and Service", values that we are proud to share all together

beyond our borders.

I would also like to thank the delegation of the French Quatalagor, our french “4-

Clubs-1-Vision” members, here today for us: Isabelle Seguinot – Immediate Past

President of Agora Club International, Christiane Fiumana - National President of

Agora Club France, Julien Perret - National President of Round Table France and

François Motillon - National President of 41 Club France.

Sorry that my English does not allow me to participate in our

exchanges as I would like to: I am more familiar with Latin languages.

I wish you all a great meeting!

Opening speech of the Gala dinner

Good evening ladies and gentlemen, dear ladies, and dear members of the Quatalagor. Thank you very much for being with us tonight. I am really happy and overwhelmed by emotions tonight, for several reasons. The first is to gather in the same evening so many representatives of the Quatalagor: - KENZA Sbihi, President of Ladies' Circle International - Christiane Fiumana, President of Agora France - Pascaline Cerri, President of Ladies' Circle France - François Motillon, President of Club 41 France And Julien Perret, President of the Round Table France. It is quite rare to have an event that gathers all the presidents of the Quatalagor and even an international president! We are very proud ... thank you for your presence. The second reason for being so delighted is to have shared once again a great moment of friendship and service with the ladies of my club... you are all wonderful ladies ... always ready for anything ... and overcoming all challenges! You are an exceptional team ... and I wanted to thank you all for your investment and commitment. I love you, girls! This deep commitment has allowed us to concretize this MTM that we all wanted to organize 2 years ago... friendship, mutual help, competence sharing and solidarity… Solidarity… the essence for a lifelong Ladies’ Circle. On this last point, I would ask Koketso Mokgatihane, the ambassador of the association Happy Hearts, to come and join me. Ladies and gentlemen, please a warm welcome to Koketso Mokgatihane. Koketso, your engagement for Happy Hearts, the association you support, has been tremendous! And thanks to all of you here tonight and all the people present throughout this weekend, I would like to give you a check of 2,000 euros as our donation for Happy Hearts. This amount represents the gross profits of this special weekend. This Mid-term Meeting has been a true fulfilment and success. It is the proof of a lifelong friendship and service. Old ties are strengthened and new ties are born. We are proud to make this happen. Proud to be a part of this adventure. Proud to be International! Proud to be Ladies! A few words from Minute takers, translators and meeting organizers,

« This morning has been very fruitful and intense, as always when it comes to gathering and sharing among the Ladies’ Circles. On behalf of the entire hosting circle and in our own names, it is with great pleasure that we have welcome you to the MTM France. We are very thankful for the trust that you have places in our organisation. Thank you very much to the Ladies’ Circle France, to Ladies from all over the world for their attendance and to our special guests for their presence. Thank you very much to the LCI Board for their support and understanding, and for the massive work they have done to make it happen. We wish you had an unforgettable stay in France.”
