Foreword: By the FCIT Girls Vice Dean

All praise is due to Allah, and Allah’s Peace and Blessings be upon His Final Messenger, his pure family, his noble Companions.Dear FCIT affiliates and students,

I am pleased to put in your hands the FCIT Computer Labs. and Technical Support Guide which introduces the General and Specialized Labs. of the Faculty of Computing and Information Technology. In addition to the facilities and services provided by the Labs. and Technical Support Unit to the FCIT affiliates and students.I would like also to extend my sincere thanks and gratitude to the members of the Labs. and Technical Support Unit for their great efforts to compile and publish this useful guide which would be of great benefit to the FCIT affiliates and students.

Our Goals1. Participating in the success of the educational process through preparing well-equipped computer labs. that meet the requirements of the various cours-es provided by the FCIT.2. Providing a high quality technical support to all the FCIT affiliates in rela-tion to the various technical services and facilities provided in the FCIT.3. Reducing the time spent on getting the technical problems solved.4. Creating a database that includes solutions to the common technical prob-lems and programs settings.5. Supporting the Deanship of Information Technology’s policy in terms of ap-plying the special configurations of the KAU’s network and software applica-tions.6. Providing training to the FCIT affili-ates in relation to using technology in ev-eryday life.7. Building a professional team for the technical support services.

The Labs. and Technical Support Unit is mainly concerned with maintaining and troubleshooting the computer labs. of the FCIT and to keep them up-to-date and to provide the required software programs. It aims to provide an ad-equate technical support to the FCIT affiliates including the academic staff members and the administration personnel. The Unit is also concerned with updating the new technologies being used at the FCIT and to make them avail-able to the FCIT affiliates and students in order to improve the educational process in general.

Computer Labs. of the FCIT The Faculty of Computing and Information Technology has thirteen computer labs. which started as general labs. and they become specialized labs. due to the advancement in the courses in the three main Academic Departments of the FCIT in the year 1430/1431. Currently, the FCIT has ten specialized labs. as follows:

Researchs and Post-Grad. Lab.Additional labs. were made available during the academic year 1432/1433 in the FCIT (Girls’ Campus). One of these labs. was dedicated for research groups and graduate studies in the FCIT. Discussions of the graduate students can be transmitted to the Boys’ Campus over the video conferencing systems available in this lab.

Open Access Lab.The Open Lab. was opened for the students of the FCIT in the mid of the academic year 1429-1430 A.H, in cooperation with a num-ber of volunteer students. The Open Lab. witnessed an increasing number of students who made use of the lab. to do their H.W and practical assignments by working in groups and making use of their free times.

For more information about the available vacancies or the voluntary jobs, please refer to the ap-pendix of this guide

In the beginning of the second semester of the academic year 1429-1430 A.H, and with coordination with the Student Affairs Deanship, a number of job vacancies * have been make available for students based on the hour-based payment system. The FCIT has benefited from such vacancies to employ collaborator students to run the lab. so that the both the FCIT and the students get benefits.

1. Before starting the actual teach-ing in the labs., you should check the availability of the required Software and that they are working properly.2. Installing the required software ap-plications is done by the technicians during the summer and mid-year va-cations. Each instructor should report the required software applications to be installed for the next semester to the Schedule Official. This should be done at the end of each semester. It should be noted that installing soft-ware applications requires at least one week time from the date of receiv-ing the request.3. You are kindly requested to keep the labs. clean. You shouldn’t allow students to bring in any kinds of food or drinks into the lab. You should ask your students to keep the labs. clean and to return chairs to their places be-fore getting out of the lab. It is worth noting that lab. technicians frequent-ly pay visits to the labs. to monitor the conditions of the labs. after the lectures and report the status.4. You should not allow students to bring in chairs from outside the lab. In case the number of chairs inside the lab. is not enough for the students, you should report this problem to the lab. technician and to the Schedules Official. 5. In case you need to know how to use the smart board and their differ-ent features, you can read the user manual. You can write on the smart

board using the smart board special software (IQ Board) which is found on the instructors’ Desktop in each lab.6. You should log off your account be-fore leaving the lab. You should also tell your students to log off their ac-counts before they leave the lab. too.7. You should turn the projector off using its special Software (Projector Control) which can be found on the Desktop of the computer.8. You should lock the door of the lab. and make sure there are no students inside.9. In case there is a problem in any computer, you should report it to the lab technician or send an email to ([email protected]).10. In case you need to use another lab. for extra lectures or exams, you should fill in the Lab. Reservation Form and send it to the following email ([email protected]).11. There is an information page on the door of each lab. which contains the name of the lab, and the phone number of the technician in charge of that specific lab.12. In case you want to make any software or educational applications available for your students on the students’ server (\\fcitgSRV2), you should contact us.

1. Students should keep the Labs. clean:2. It is not allowed for students to take in food or drinks into the FCIT com-puter labs.3. Students should return chairs back to their original places before getting out of the labs.

Entering Labs.1. It is not allowed to open the lab. door during lectures.2. Students are not allowed to get into a lab. in which they are not reg-istered.3. When the Open Lab. is busy ( a lec-ture or a meeting is held inside), a no-tice should be placed on the door of the lab. Therefore, you should not disturb by knocking on the door or opening the door.

Logging in and off the lab. computers:1. To log in, you should use your (user-name) and (password). The same user-name and password used to access the ODUS system.

2. You should log off before you get out of the lab.

Sofyware and Data:1. It should be noted that lab. comput-ers are not set to save the students’ data forever. Lab. computers are usu-ally formatted form time to time. Ev-ery student should back up their data on their own external storage media.2. It is not allowed to install any other software applications on the lab. com-puters.3. Students can download the Academ-ic Programs from the Server dedicated for students (2fcitgsrv\\). This server can be accessed from any computer within the university network.

Printing Materials Out using the Lab. Printers:1. It should be noted that printing us-ing the lab. printers is monitored. In case any students misuses this facil-ity, she might be deprived from using is again.2. Printing is dedicated for education-al purposes only.3. You are requested to keep the envi-ronment clean and to print using both sides of the paper sheets.

Providing the academic mem-bers and affiliates with soft-ware applicationsThe Labs. and Technical Support Unit provides the FCIT affiliates and aca-demic members with copies of the free software applications which are being used inside Labs. in addition to some of the open-license academic software applications. These applications can be found on the (Main Server). They can be accessed from any computer within the KAU network.

Providing the students with academic software applica-tionsThe Labs. and Technical Support Unit helps the FCIT students to get the same version of the academic software applications which are installed in the Labs. The Unit makes the open-license academic applications and the free ap-

* The academic programs are not installed on the computers of every lab. in case academic members need to install any of those programs, they should ask for a technical support and you should specify the version of the required pogrom. * The Labs. and Technical Support Unit is not responsible for providing any software application for which it does not have a user license or any other programs which are not free.

Terms and Conditions of Us-ing the Printers to print out materials:1. The printers inside labs are dedi-cated for educational purposes only and should not be used for any other purpose.2. Providing the sheets of paper is not of the responsibility of the Labs. Unit. Any student who wants to print out any material should bring the re-quired quantity of paper and feed the printer.3. Color printers should not be used except if necessary. Mono colors should be always used.4. In case you want to print the same material or page, it is preferable to use the photocopy machine instead and to use the printers to print out the mas-ter material only.

Users of the Labs can make use of the printers which are found in the Labs of the FCIT through logging to their own user accounts on the University network (i.e. accessing computers requires entering a user name and a password).

The Labs and Technical Support Unit is the first link that provides technical support services to the FCIT affiliates while using the FCIT computers and facilities either in labs or the FCIT laptops *. The Labs and Technical Support Unit endeavors to provide immediate solutions to the technical problems as soon as possible and refers the service request to the specialized sections in case the problem still exists. The Labs and Technical Support Unit follows up and arranges with the concerned sections until the request is fulfilled.

Our Technical Support Ser-vices include:• Configuring new installations and electronic devices (Computers, print-ers, scanners…. Etc).• Installing software, and configuring their settings according to the KAU’s policy settings.• Configuring the KAU mail service on the Outlook Mail System.• Connecting the computers and intra-nets to the KAU network.• Troubleshooting the computer soft-ware.• Providing training for the employees if required.• Helping users to use the new devic-es and peripherals such as the Smart boards, and projectors.• Helping users to use computers and specific software such as the “Adminis-trative Correspondences System”, MS-Word, MS- Outlook, MS-PowerPoint and other academic software, techni-cal support is concerned only with in-stalling such applications on the lab. computers or office computers and troubleshooting problems related to in-stallations only.

* Technical support is not provided to the students’ personal laptops.

How to request a technical support serviceTo get a technical support service, you should fill in the Technical Support Ser-vice Form (either in English or in Arabic language). Make sure you fill in the mandatory fields such as (Name, Office No. , Extension No. and description of the problem). You can then send the form by email to the The Labs. and Techni-cal Support Unit. In urgent cases, you can call the Unit on their direct phone or you can come personally to the Office of the Unit.

We will be pleased to help you as soon as possible according the priorities listed in the following table:

Video conferencing is a communications technology that integrates video and au-dio to connect users anywhere in the world as if they were in the same room.

Uses:1. Holding seminars and M.S. Theses Dis-cussions.2. Holding joint meetings between the Boys’ and Girls’ campuses.3. Holding meetings and Departments Councils.4. Transmitting lectures to the Girls Cam-pus.

Video Conferencing Devices are found in:1. FCIT Vice Dean’s Office.2. Research and Higher Studies Lab.3. The Main Auditorium (under construc-tion).4. In some classrooms (under construc-tion).5. In addition to a mobile video conferenc-ing set.

How to get the Video Conferenc-ing Service (for instructors only)1. Specify the date and avenue of the meet-ing.2. Identify the other party’s information such as (IP Address) and the phone num-ber of the Communication Technician.3. The Labs. and Technical Support Unit has provided the FTP Service which can be used by the FCIT aca-demic members to ease the process of reaching their files everywhere within the University network. It is worth noting that this service can be only accessed by using the FTP Software found on the FCIT Server

The Labs. and Technical Support Unit has provided a Laptop (HP Net-book) and a Projector (Hitachi) for ev-ery Department of the Faculty.Therefore, in case you want to make use of these facilities in your lectures, you can ask for them from Labs and Technical Office (S – 164). As soon as you finish using them, you are kindly requested to return them so that they can be made use of by all the academic members.

3. The Labs. and Technical Support Unit has provided a USB 3G Internet Modem which can be used in places where no Internet access is available. Therefore, in case you want to make use of these facilities in your lectures, you can ask for them from Labs and Technical Office (S – 164). We receive labs. reservation requests so that the whole process is well-managed without any interfering reservations. FCIT academic members can reserve any lab. by filling in the “Lab. Reservation Form” and sending it by email to the Labs. and Technical Support email address: [email protected] After receiving it, the request will be forwarded to the Schedules Official or to the technician of the lab. An email will be sent back to you to confirm reserving the lab. or in case it is busy for that date, alternative options will be stated. Otherwise, an apology will be sent in case no other alternative op-tions are available.

Services: Maintenance of classroomsThe technicians of the Labs and Technical Support Unit are concerned with updating and troubleshooting the computers found in the FCIT classrooms (in Bldg: 61). There are thirty-two classrooms in total. They also provide support in operating the other devices such as projectors, smart boards and follow up their maintenance with the concerned parties.

The technical devices available in classrooms include:- Instructors’ computers which are found in each classroom and which is con-nected to the KAU intranet. They have internet access too.- Projectors.- Smart boards.

Video conferencing devices will be made available in some classrooms to trans-mit lectures to and from the FCIT Boys’ Campus.

Services: Requesting Software and Technical Devices

FCIT academic members can request lab. requirements including programs and/or technical devices that can be used during the hands-on practices of their courses. An annual update is circulated to the FCIT academic members stating the date for requesting Lab. Requirements for each academic department.After being approved by the Supervi-sor of the Department, the request is then forwarded to the Labs. and Tech-nical Support Unit where the requests are collected and studied for techni-cal aspects by the Technical Commit-tee Unit. Then, the requirements are sent to the concerned party to provide them.It should be taken into account that the lab. equipment orders are made once annually. Therefore, requests should be fully completed and duly signed by the Supervisors of the Aca-demic Departments within a sufficient period of time before placing the whole FCIT annual purchase order.

Voluntary and Hour-based Employment for Students

In cooperation with the Deanship of Student Affairs, the Labs. and Technical Support Unit offers the opportunity to the female students to apply for hour-based payment jobs * .Applicants should:1. Fill in the hour-based job application form.2. Sign on the terms and conditions stated in the application form.3. Attach a copy of the student’s University ID card and their schedule.

Terms and Conditions:1. Priority is placed for those who are able to work more hours.2. The following conditions should be fulfilled: competency, organization, desire to learn, and communication skills.

Benefits to the students:1. A recognition certificate signed by the FCIT Vice Dean.2. A financial reward for the number of hours working with the Unit or a con-firmation letter stating the number of hours spent with the Unit in cases of voluntary involvement signed by the Students Activities Unit in the Deanship of Students Affairs. 3. Hands-on practice gained from di-rect supervising for the labs. and the various electronic devices and periph-erals.4. Knowledge of the technical prob-lems that usually take place inside labs. and how to troubleshoot them and benefiting from the experiences of the technicians.5. Developing communication skills.

Summer Training Program for Female Students

The Labs and Technical Support Unit holds a summer training program for the FCIT female students every summer. The summer training program is announced for at the end of the second semester every year. Announcements are usually placed on the FCIT monitors and notice boards found on the FCIT corridors. This training opportunity is available only for students who have finished level eight only.

Students willing to join the Summer Training Program should:1. Fill in the Summer Training ap-plication form.2. Sign on the terms and conditions stated in the application form.3. Attach a copy of the student’s University ID card and the sched-ule.

Benefits to the students:1. A recognition certificate, includ-ing the number of training hours, signed by the FCIT Vice Dean.2. Hands-on practice in troubleshooting computers and labs preparation pro-cess for the coming semesters.3. Knowledge of the technical problems that usually happen to computers and how to troubleshoot them.4. Contacting the technician team in the Labs and Technical Support Unit and making use of their experiences.

Terms and Conditions:1. Priority is placed for those who are in the last levels of their study.2. The following conditions should be fulfilled: competency, organization, de-sire to learn, and communication skills.

* Students who are not yet in the last levels of their study can apply for the summer training program. Their applications will be accepted. NOTE: In case there are restoration activities to the FCIT building so that the building is occupied by these activities, in such cases, the Summer Training Program will be suspended.
