You must check that registration sta� will be available to conduct your ceremony before paying deposits or booking anything else. To do this, call 01522 782244 between 8am and 6pm Monday to Friday and 9am and 4pm on Saturdays.

There is no charge for this service and you’ll be sent a confirmation form giving you a date by which you must give the registration service your Notice(s) of Marriage.

NOTICE OF MARRIAGEYou can give your Notice(s) of Marriage up to twelve months before your ceremony day. This will confirm your provisional booking.

Before booking an appointment, check that you fulfil the legal requirements for marriage or civil partnership and that you can provide the appropriate documents.

Book a Civil CeremonyYou may be able to book a provisional date and time for yourceremony with our registration and celebratory service teammore than a year in advance.

BOOKING CONFIRMATIONAll bookings are considered provisional until client signs the contract and a deposit is paid against a booking. Once the contract is signed or deposit paid, all such facilities and services reserved on your behalf will be subject to the terms and conditions of the contract.

DEPOSITS AND PREPAYMENTS£1000 of the estimated cost of the event and signed contract is required as a deposit to secure your wedding day with Supreme (Events) Hotel Limited.

AMENDMENTS OF YOUR WEDDING BOOKING BY YOU THE CLIENT:Amendments to guest numbers and /or arrangements must be confirmed to the Hotel in writing. A minimum of 50 adults is required to book the wedding at The Poachers Country Hotel. If the numbers attending is less than 50 adults we reserve the right to invoice the greater value to the client on the final invoice. Children over the age of 10 years old are classed, as adults are required to pay the adult menu price. Children aged 4 to 10 years old are to pay 50% of adult menu price. Children under the age of 4 years old FOC.

CANCELLATION BY THE CLIENTIn the unfortunate circumstances that you have to cancel your confirmed booking at any time prior to the event, the following charges will be due.

AMENDMENTS OR CANCELLATIONS BY THE HOTEL:The hotel reserves the right to cancel the wedding in the event that:

If the client has not made payment(s) as stated in this document at four months or six week payment terms and conditions.

If the customer might prejudice the reputation of the hotel.

Should the client make significant changes to the wedding booking.

Should the client make significant changes to the wedding guest numbers.

(Should the hotel for reasons beyond its control need to make amendments or cancel your booking you shall be informed formally in writing. The hotel will refund any deposits paid in connection with the cancelled booking.)

Accommodation & Hotel:

Minimum of eight bedrooms are to be reserved by the client/ wedding party for full exclusivity of the hotel. The minimum cost of eight rooms will be added to the final bill of the client if unreserved by wedding party/ guests.

Entertainment: external (DJ, performers, musicians, entertainers) can be provided by the client but an additional charge will occur of £100 if using an outside DJ. All legal documentation to be shown at the final meeting.

Check In Time: 1.00pm Check Out Time: 11am

Guests or persons attending the wedding must be appropriate dressed at all times.

Any illegal activity, disturbance to our neighbours or abusive behavior to sta� or any individuals on the property will be asked to leave or the correct authorities will be informed.

You the client will be responsible for all damaged caused by hotel guests or persons attending whether in bedrooms or any other part of the hotel. The hotel will contact or purchase replacement items from preferred suppliers or suppliers of its choice. The bill will be sent for damages occurred.

We regret that the hotel does not accept any responsibility for any loss or damage to vehicles or other property howsoever caused.

DEFINITIONS:“The Hotel” and “We” mean the property for which a contract is agreed, in this case The Poachers Country Hotel. The property is owned by Supreme (events) Hotel Ltd. “The Client” and “You” mean the organising body/company, agent or representative on behalf of the company and organiser responsible for commissioning and/or payment of the event “The Contract” means the agreement between “The Hotel” and “The Client” for a specific booking or series of bookings. These Terms and Conditions will form part of the “contract”, together with any other items stated in the “Contract”.

Four Months before Your Wedding Day Date:

A further payment of 50% of the estimated cost is due four months prior to your wedding day date.

Invoice to be paid in full, four weeks prior to your wedding Day or event.

Six Weeks before Your Wedding Day Date:

Final numbers within our terms – stated above, must be notified to The Poachers country Hotel at least six weeks prior to your wedding day date. This will be the minimum number for which you the client will be charged.
