Introduction What is SEQTA Kiosk?

SEQTA Kiosk is an iPad-based application designed to automate the generation of an attendance solution in SEQTA Teach. As a Web client, its operation is fully reliant on a SEQTA Web Server, and secures its communications using HTTPS and a site wide password.

Students use SEQTA Kiosk to identify themselves and to then enter a reason for their attendance change.

Identification is preferably achieved by using the rear camera set on autofocus to scan their barcode on a Smartrider or MYKI card. The barcode must match their code in the student table of the SEQTA database.

Students may also identify themselves (if they are without their card) by entering either their code or surname. In the case where a surname is entered, a student will additionally have to select their record from multiple matching surnames.

Once identified, students will additionally have to select an attendance type to generate the attendance solution.

The Docket Printer

The SEQTA Kiosk may optionally be associated with a Docket Printer (Epson TM-T88V). A time-stamped attendance solution receipt incorporating the student’s details and photograph will be printed.

SEQTA Kiosk communicates with the docket printer over WiFi, and it is recommended that the iPad and docket printer are deployed in situ as a pair (i.e. printers should not be shared between SEQTA Kiosks).

The specified Epson TM-T88V Docket Printer doesn’t normally ship as a wireless version. If schools would like the docket printer to be WiFi compatible, in addition to the serial printer, schools will need to order the UB-R04 wireless card. To enable WiFi connectivity, remove the serial card and fit the wireless card.

Business rules The SEQTA Kiosk may be deployed in one of two modes that govern how the Web Server generates attendance solutions.

These modes are:

• Campus-wide • Class-based

If you require SEQTA Kiosk to operate in both Campus and Class-based modes, you will need to configure more than one SEQTA Kiosk as they can only be deployed in one mode.

You may configure any of the attendance types used in these modes. A presentation of recommended attendance types is given here.

Campus-wide mode

The Campus-wide mode is intended for use by students entering and leaving the campus. The Web Server uses the student’s current presence state to determine whether the student is tagging in (currently not on campus) or out (currently on campus), and provides options for the student to choose from accordingly. The student will only be provided the options that are available based on their current present state and the settings for the available attendance types.

In Campus-wide mode, if a student is not marked present for a period, they will not be able to tag out using the Kiosk.

Tagging in

The recommended attendance type configured for tagging in to the campus is Late; however, other types may be used as long as care is taken when setting the parameters of the Attendance types to be used.

The act of tagging in will generate an attendance solution from:

• Midnight if the student has no classes timetabled for the day;

• The start of their timetabled day; or

• The start of their last recorded activity (any attendance solution applied) during their timetabled day.

This attendance solution will end at the current time.

When a student tags in as late, they will automatically be marked as ‘In class’ for the remainder of the period during which they arrive. The process will also apply a Remove existing attendance resolution from the end time of the period during which they arrive until:

• midnight if the student has no classes timetabled for the day; or,

• the end of their timetabled day

Remove existing attendance is applied to allow teachers to mark their rolls and to end any pre-existing tag out activity.

Tagging out

The recommended attendance types configured for tagging out of the campus are Educational act iv i ty (off campus) , and Medical ; however, other types may be used as long as care is taken when setting the parameters of the Attendance types to be used.

The act of tagging out will generate an attendance solution from the current time to:

• Midnight if the student has no classes timetabled for the day;

• The end of their timetabled day.

A worked example

1. A student tags in at 11:02. Three attendance solutions are created: a. The solution for the lateness. b. An automatic resolution for the remainder of the class during with the student arrived

to ‘in class’ (through to 11.10am). c. A remove existing for the remainder of the day to allow teachers to mark their rolls

2. After recess, the student goes to class and their attendance is marked by the teacher

(present) for the period (A). At 12.10pm, however the student feels unwell and tags out at the front office. A medical solution is applied for the remainder of the day (B).

Class Based Mode

The Class Based Mode is intended for use by student’s entering and leaving a class (even if that class is off-campus). In broad terms, Class Based mode behaves in the same manner as a teacher marking the class roll.

The Web Server presents both tag in and tag out types in the Class Based location.

Tagging in

The recommended attendance types for tagging in to class are In-class, Late to class, Music lesson, Tutor, and Sick Bay; however, other types may be used as long as care is taken when setting the parameters of the Attendance types to be used. Like a transport card (SmartRider, MYKI etc) the student MUST tag out at some point if they have tagged in.

The act of tagging in will generate an attendance solution from now to:

• Midnight if the student has no classes timetabled for the day, or if the student is tagging in past the end of their timetabled day;

• The end of their timetabled day.

If a student has tagged in for an activity or class, for example to a study period, and they do not tag out when the activity is finished, the teachers for the remainder of the day will not be able to mark the student’s roll and the student will need to return to the Kiosk and tag out.

Tagging out

The recommended attendance type for tagging out of class is Tag Out of Class, which is effectively a Remove existing attendance solution. Like a transport card (SmartRider, MYKI etc) the student MUST tag out if they have previously tagged in.

The act of tagging out will generate a Tag Out of Class solution from now to:

• Midnight if the student has no classes timetabled for the day, or if the student is tagging in past the end of their timetabled day;

• The end of their timetabled day.

A worked example

1. Student attends classes normally: a. Home Class roll is marked b. Period 1 class is marked c. Student tags in to study class – Tag in is applied to the end of the timetabled day.

To begin operation, the student places their student card behind the camera and moves it until the camera focuses on the barcode – when the iPad has captured the barcode it will automatically move to the next screen

If the student has forgotten or lost their student card they can simply type their surname and click Enter. If there is more than one student with the same surname, a list of photos will show the possible matches. The student will then tap the correct photo.

2 . Select an option

Only the options applicable to a particular student for their current circumstances will be displayed. For example, if a student has not yet been marked present or tagged in to school for the day, only Tag in options will be displayed.

Note: In the example below, only a tag-out type is displayed.

3 . Tagging acknowledgement

That’s it – nothing more to do. Just select the name, select the option and the rest is automatic. The following acknowledgement will show to signify the attendance record has been processed.

If you need to add further information, such as the details of a note provided by the student, you can use the Student Information Panel to edit the record and add further details.
