Asthe administrative core for graduate programs, the Division oversees all processesconcerning graduate student fellowships/scholarships, admissions and outreach;oversees student and academic affairs for continuing graduate students; conductsinstitutional research; and provides services for postdoctoral and visiting scholars. Thedivision manages a budget of $37 million for student support needs and $3 million inoperating funds and is comprised of approximately 40 full-time employees.

    The Position: Provide counseling services and administrative support to GraduateAdmissions/Student Academic Services (GA/SAS) in the UCLA Graduate Division.Major duties include providing information and assistance to applicants, students, anddepartmental staff and faculty in order to interpret, explain and implement Universityrules, regulations, and procedures governing graduate admission and degree programs;processing admissions inquiries, applications and decisions; evaluating academiccredentials; processing non-immigrant visa applications and advising applicants,

    program staff, faculty and others on non-immigrant visa issues; training departmentalstaff in admissions and student academic services matters individually and throughgroup training sessions; reviewing and processing a variety of student forms andpetitions including master's and doctoral committee nominations, degree audits, andassisting students with the filing of theses and dissertations; maintaining a doctoralhooding ceremony database and assisting in the planning and production of the

    ceremony. Work with the director and manager in short- and long-range planningregarding the design of databases, forms, publications, procedures and staff training tofully and effectively implement academic policy of the Graduate Division, AcademicSenate/Graduate Council and UCOP.Qualifications:

    Experience working productively and efficiently to organize and complete multipletasks in situations with conflicting demands and deadlines.

    Good math skills to correctly compute grade point averages, determine percentages,currency conversion, and prepare financial reports with speed and accuracy.

    Strong word processing and spreadsheet skills to prepare text for publications,business correspondence, charts, spreadsheets and memoranda with speed andaccuracy. Working knowledge of MS ACCESS to assist with data input and producereports as well as with the design and maintenance of local databases is preferred.

    Excellent interpersonal skills to interact diplomatically and effectively under pressurewith applicants, graduate students, faculty and staff.

    Strong analytical skills to learn, apply and disseminate a wide range of policy rules,regulations and procedures as well as interpret, monitor and analyze informationregarding operating policies and procedures..

    Strong skills and experience in working with a high level of detail in policy,procedures, documents and data files.
