SERVER BACKUP PROCEDURES

1.0 PURPOSE:

1.1 This procedure is to ensure that appropriate data backup practices are followed in order to ensure quick recovery with minimal data loss.

2.0 SCOPE:

2.1 This procedure applies to members of CMM IT department.

2.2 This procedure applies to data stored on servers: file storage servers, database servers, messaging system server. Data that is stored on user workstations or notebooks of mobile users is not backed up as part of daily backups.

6.0 RESPONSIBILITIES:

6.1 The IT Manager is responsible for responding and/or taking action when a problem is reported.

6.2 The IT Administrator is responsible for performing all backup procedures as described in this document.

6.3 All employees are responsible to report all data loss events to the IT department immediately upon the identification of such an event.

7.0 PROCEDURE:

7.1 The following data is backed up on a daily basis:- all network shares- all databases of the business applications and the transaction logs where

applicable.

7.2 Data backups are performed on a daily basis in order to provide the ability to restore data from the day previous to the business day when a data loss event occurs, provided that data loss is reported to the IT department administrator within five business days after the data loss event occurred. Appropriate software packages and backup devices are used to automate the backup process. The data backup media will be labeled clearly to show the day the data backup and prevent accidental deletion.

7.3 The divisional IT Administrator is responsible for data backups at their divisions.

7.4 The IT Administrator will check on a daily basis that the previous backup media was recorded and completed successfully, that appropriate media is in the backup device for the next backup run and that the backup device is in good working condition.

7.5 The IT Administrator will report immediately to the IT Manager any problems with the daily backups and measures taken to correct the problem or request assistance from the IT Manager in solving the problem.

7.6 The IT Administrator will arrange for off-site storage of the backup media sets of the previous day if required. Backup media that is not stored off-site will be stored on-site in a secure location – in a fireproof safe (with a minimum 2-hour burn rating for media).
