other than a student visa and are enrolled in a ISI Japanese language school with necessary
information for living and studying in Japan. Read this handbook carefully and fully understand
prior to admission so that you can start your school life smoothly. We wish you have a fulfilling
life in your short stay in Japan.

Admission Policy
ISI group is willing to accept students who can understand our philosophy, educational goals as
well as our rules and who want to study in order to realize their dream of being active in an
international society. Therefore we are looking for students with the following characteristics:
♦ Students who are interested not only in Japanese language but also in Japanese culture
and society
♦ Students who aim to be a competitive member of an international society
♦ Students who want to study Japanese with a strong will in order to achieve their goals
♦ Students who can respect values and cultures as a member of society, local situation or
school community
2. School Regulations (1) Enrollment Terms
The enrollment terms are as listed below. Refer the school schedule from the latest school manual for the specific starting/ending dates of each term. Students can start a class at all levels on the day marked with “term start day”, and students can start a class on a day marked with “mid-term admission day” if they are evaluated as eligible based on their placement test scores. Each course/term ends on a Friday.

No classes are held on Saturdays, Sundays, holidays stipulated in the Law concerning National Holidays, summer holiday, autumn holiday, winter holiday and spring holiday. Classes may be held on a holiday when the Principal acknowledges the needs for an educational purpose under unavoidable circumstances.

(2) Class Attendance Rules 1. Classes take place from Monday to Friday.(ILS Evening course has till Thursday) (Except for
National Holidays and school’s designated date. Please refer to student portal site (Campusmate-J) for more class schedule.)
2. Teachers will be responsible to register attendance record such as attend, absent and lateness to Campusmate-J each period. It is the responsibility of students to check the registered attendance information at Campusmate-J. If there is any registration error is found, please report to the class teacher within two weeks. No correction will be made after the due date.
3. The class schedule will be as stated below: One class period lasts 90 minutes and consists of two sessions of 45 minutes each. Students take two class periods per day.

* Classes are reorganized in each term. 4. It will be considered as late arrival if a student enters the classroom within 10 minutes after
the class period has started and it will be considered as absence if a student is late for more than 11 minutes. It will be considered as early departure if a student leaves the class within 10 minutes before the class period finishes. It will be considered as absence if a student leaves the class more than 11 minutes prior the end of the class period. Four times of late arrivals and/or early departures in the current month will be considered as an absence of class period.
5. It will be considered as absence if a student ignores the school disciplines and be required to leave the classroom.
6. Please submit the Delay Certificate (Chien Shoumeisho) if you are late due to a public transportation delay. With school’s approval, you will not be considered as late arrival or absence.
(3) Regarding Absence 1. If you have to be absent due to personal circumstance, please obtain a Notification of
Absence at the school’s administrative office, fill it in and submit it to the office by the day before absence.
2. If you have to be absent under unforeseeable situations such as illness, please make a phone call or send an email to school to explain the date, time and reason of your absence before class starts.
3. The school will inform your emergency contact person in your home country or in Japan, if you are absent for more than 3 straight days without notice. If the school cannot make contact with you for a week, you will be regarded as having voluntarily dropped out of school. Please do not skip class without notice.
(4) Attendance Rate Even short-term students need to keep a high attendance rate. The monthly required attendance
rate must be higher than 90%. For those who fail to meet this requirement, there will be a special guidance. Students whose monthly attendance is below 50% may be expelled from school unless we can see an improvement in their behavior. In that case, school fees once paid will NOT be refunded under any circumstances.

(5) Class Cancelation under Emergency Conditions Under the circumstances when major public transportation services stop due to natural
disasters such as typhoon, heavy snow and etc., class may be cancelled when the principal,according to school staffs discussion, acknowledges the difficulty and danger of commuting to/from school.
The announcement of class cancelation will be posted on the student’s portal site (Campusmate-J). Homeroom teacher will inform the students directly if the cancelation is decided during the class. The announcement will also be posted on the school official homepage or Facebook. If a student is absent due to the temporary suspension of railway services caused by natural disasters, an authorized absence may be granted with the submission of Leave of Absence Request and Delay proof (Chien Shoumeisho). An authorized absence may also be granted by taking the same procedure when a warning or special warning for a natural disaster is issued in the students’ commuting area. ■Class cancelation when official warning is declared according to the Large-scale Special Countermeasures Act
In the event that the occurrence of a large-scale earthquake is predicted and the official warning is declared according to the Large-Scale Special Countermeasures Act, class cancelation will be managed as follows: If the “official warning” is declared, class will be cancelled immediately.
If the official warning is declared during classes, please follow the school announcement and staff’s guidance. If the official warning is lifted on your way home, please go back home immediately and take appropriate measures. After the official warning is released, please refer to school rules of Class Cancelation under
Emergency Conditions.
(6) Forbidden Acts in Class The following behaviors are not allowed during classes:
・ Whispering and chatting (including in your first language) ・ Eating (including gum and candy) and drinking ・ Asking questions to other students without permission ・ Using a mobile phone for reasons other than studying ・ Playing with game devices ・ Wearing caps or other types of hats. ・ Sleeping ・ Entering and leaving the classroom without permission ・ Leaving textbooks and/or other distributed materials on the desk after the class finishes ・ Using the electrical outlet in classroom (7) Course

< Placement Test > All short-term students are required to take an online placement test before enrollment. This
test is conducted for the purpose of correctly accessing each student’s Japanese proficiency level and then improving students’ Japanese proficiency level by arranging each student to the most appropriate class. Therefore students (Excluding evening course) will be assigned to morning class or afternoon class according to the result of placement test. Students can report to the administrative office within one week after the start of the class if they don’t think the arranged class is suitable for their level.
(9) Grades and Evaluation 【Short-Term General Course】
Grades will be evaluated if a student completes a whole term of study. Students who leave the school halfway through a term will not be graded.
Overall evaluation will be determined from the result of the achievement tests, other quizzes, homework performance and final exams of each term. Cheating will result in 0 points.
Grades of each term will be evaluated as A+ (90 – 100 points), A (80 – 89 points), B (70 – 79 points), C (60 – 69 points), D (less than 59 points), according to overall evaluation and the following 8 areas: listening, reading, conversation, writing, grammar, vocabulary, pronunciation and assignment performance. Grades can be checked on the student portal site (Campusmate-J).

Evening courses and Summer courses have quizzes in class, but no official grading. (The quiz has feedback in class.) (10) Study Certificate
A study certificate is available to students who achieved an attendance rate of 80% or higher. However, students of evening courses are not eligible.
■ Attention Please fill in the certificate application and submit it to the school administrative office with an
issuance fee if you need a study certificate. Refer to page 22 for detailed information.
(11) School withdrawal For those who would like to quit school, please provide with the reason and obtain permission

■ Attention For students who submit a Withdrawal Notice, school fees once paid will NOT be refunded
under any circumstances. Those who obtained documentation from our school for invitation to get a temporary visitor
visa must leave Japan within 3 days after the withdrawal because the visa was for short-term study. Please submit a Withdrawal Notice form along with a copy of a return ticket with a specific return date. (Please be noted that students who have left the school cannot stay in Japan until the visa expiration date.)
(12) Extension of study period For those who would like to extend their study periods (Including application for other courses
after completion of enrolled course), please obtain permission from the principal. ■ Requirements
All the following requirements need to be satisfied. (1) There is a vacancy in the class/school. (2) The student has never broken school rules and have an attendance rate of 80% or higher. (3) The student has never fallen behind with the payment of the tuition. (4) There is no problem in the visa status to expand his/her stay. ■ Procedures to be completed

■ School Fees The payment for the extension will be calculated based on the price list in the latest school
manual. Enrollment fees are exempt from extension to short-term courses. Another enrollement fee will be charged for the extention from short-term to long-term course. Textbook fees are exempt from extension during the same semester, but for the next semester or an extension that extends over the next semester, a semester material fee will be collected. <Refund Policy>

to a student visa need to apply for a Certificate of Eligibility (COE). Please contact school administrative staff as soon as possible because this procedure usually takes about 6 months. Students applied for short-term course and long-term course at the same time, after receiving a Certificate of Eligibility of student visa must submit "Study Period Extension Request" even continue studying as long-term student. The Certificate of Eligibility will be issued after payment of the long-term course fees. It is not possible to switch from short-term visa to a student visa in Japan, therefore need to return to your country and obtain student visa at the Japanese embassy (consulate) in your home country.
(13) Change course Course change is basically not possible. Due to special circumstances, changes can only be made
with the permission of the principal. However, if there is a difference in payment due to the course change, the difference will not be refunded. Any shortfalls will be levied.
(14) Re-entry A student who completes the course and would like to reenter the school on a temporary visitor
visa (visa other than student visa) or a long-term (student) visa needs to take procedures based on the School Manual of the school year. Please be noted that the re-entry may not be admitted by the school principal if her/his attendance rate is below 80% or for another reason. The same is the case with students who apply for both short-term and long-term course at the same time.
The procedures to be taken for re-entry, school fees, and refund policy shall be all based on the School Manual of the school year. <Admission fee for re-entry student >
A student who re-enters within one year after the course completion date will be exempted from the amount of admission fee already paid; only the shortage will be charged if there is a difference in the admission fee, and no fee will be charged if there is no difference in the admission fee.

(15) Expulsion Under the principal’s approval, a student will be expelled from school in any of the cases listed

(20) Student ID Card
The Student ID Card identifies you as a student of our school. Please carry the card with you at all times. 〔Attention〕 Do not lend your student ID card to others. Show your student ID card when required by school teachers or staffs. A fee is to be charged for reissuing of student ID card. You have to return your student ID card to the school when you leave school halfway. If there is any change regarding the information that appears on the card, please inform the
school administrative office. Please carry your school ID card and passport with you. It is a legal obligation to carry your
passport at all times.

3. Considerations and Manners
(1) Contact and Announcement from school ■ Student Portal Site “Campusmate-J”
All notifications, information and messages to each student will be posted on the student portal site “Campusmate-J”. The school will send the link address to each student’s mail address. Please make sure to check every email from the school as soon as you receive it. Do NOT forget to report to school administrative office when you change your email address.
In principle, such information will be posted for two weeks. Information posted for 1 week will be regarded as notified to students involved.

(2) Manners in Japan and School In order to maintain a pleasant environment for your daily life in Japan and at school, please

Please obey the Japanese transport rules. Smoking while walking on the street is strictly prohibited. ■ Commuting by Bicycle
Please follow the rules of each bicycle parking lot inside the school. (Each school has limited parking space for bicycles.)

■ Commuting by Car or Motorcycle Commuting to school by motorcycle is permitted at NBL. At other schools, commuting by
motorcycle is prohibited. ■ Other non-allowed behaviors inside the school 1. Smoking inside the school is forbidden. Smoking while walking is also strictly forbidden. 2. Any behavior that disrupts the lessons or any other school’s activities is forbidden. Do not be
noisy at school and respect the others. 3. Please take good care of school facilities. Do NOT plug into an outlet in school facilities to
charge smartphone etc. 4. Do NOT use mobile phones during lessons, events, lectures or seminars. Turn off the phone or
turn it into silent mode. ■ Garbage Disposal
There are detailed rules for sorting and disposing garbage in Japan. Please obey the rules and put the garbage on the right places according to types of garbage:
burnable, non-burnable, recyclables (cans, glass bottles and plastic bottles), etc. ■ Appearance and Attitude
Beach shoes, caps, hats, etc. are not allowed inside the classroom. Sleeping in the classroom or on sofa in the lounge is also not allowed. ■ Campus Facilities
Please follow the rules when using school facilities such as classrooms, toilets, etc. ■ About smoking
It is strictly forbidden to smoke inside school. Please smoke at the designated area. Smoking while walking is strictly forbidden. Basically, ashtrays placed in front of buildings and stores are provided for only service users. If you do not use the service, do not use ashtrays. Smoking areas are indicated on the map at the end of this book. Be sure to use the designated smoking area. If you smoke while walking, you may be fined for up to JPY 20,000. ■ Dangerous Goods
Do not bring dangerous items that may lead to a fire to school.
(3) Campus Harassment Policy ISI schools has established a Campus Harassment Prevention Committee and prescribed set the
committee rules to protect students’ school life. ISI schools wish to maintain school environment where all the ISI students respect each other’s
human rights and learn actively with confidence and pride. Do NOT hesitate to talk to your teacher or school staff when you have anything to worry about. ■ Campus Harassment
Campus harassment is any action that undermines individual dignity by discrimination, academic connections, or other connections that could create an academic advantage or disadvantage. Campus harassment includes those listed below. Academic harassment: words, actions, and instructions, or treatments that are educationally
inappropriate and deviant by academic staff aimed at students by taking advantage of their superior position or authority
Power harassment: words or actions of a teacher, senior student, or person in a position of authority aimed to put a lot of pressure or seriously damage the right, dignity, character of the subordinate by taking advantage of the superior position.
Sexual harassment: unwelcome sexual advances, requests, or verbal or physical conduct of a sexual nature

2. After tremors stop Evacuate calmly and orderly under the instruction of your teacher or school staff. (A big earthquake is often followed by aftershocks.)
■ When you are evacuating from the classroom ① Do NOT rush toward the exit. Evacuate calmly and act orderly. ② Help a handicapped or injured person if there is any. ③ If there is a blackout, evacuate with the help of a guide light. ④ Use steps to evacuate. (The elevator will stop working automatically. Even it still works
please do NOT use elevator to avoid a risk.) ■ Contact your family
When an earthquake or any other disaster occurs, please contact your family as soon as possible and inform your situation. ■ Confirming safety of individuals
After a big earthquake, the school will confirm your safety via Campusmate-J. Please respond to our massage as soon as possible. (5) Notice board posting / Distribution of prints and Gathering ■Posting / Distribution of prints / Gathering Short term students are not allowed to post information on the school notice board, or distribute brochures, flyers, etc. Conducting questionnaires in school on either paper-based nor web-based is prohibited. (6) Emergency
ISI schools do not have an emergency call number available for 24 hours. When you are involved in a crime, accident, etc. or get sick or injured, please call the number printed on the back of your school ID card. Call services are available in several languages.
A person under 18 needs a guarantor in Japan to be enrolled in an ISI school. If no guarantor is available in Japan, she/he is required to reside in a school dormitory or stay with a host family. In the event of an emergency, please contact your guarantor or host family and then inform your homeroom teacher or school administrative office staff as soon as possible.

(7) Lost and Found, and Robbery A lot of lost items are found at school every year. If you have lost or found any item(s) at school,
please contact the school administrative office. ■ Lost and Found Lost items will be stored at school administrative office for 1 month. If you recognize some of the items please contact office staff. If you cannot find your lost item(s), please submit a Lost Property Report at the Police Box/Station. If you have lost valuable items such as cash, cash card or credit card report it at the police station and call your bank immediately.
* Valuables found inside the school (wallet, credit card, cash, smart phone, etc.) will be taken to the police after stored for one week.
Other items will be disposed of after stored for one month. ■ Robbery
Valuable items may be stolen if you carelessly leave them at school. Please, make sure not to leave valuable items in classroom or student lounge and always keep personal belongings with you. Please inform the school administrative office if you have something stolen.
4. School’s Facilities (1) Library
You may find Japanese language knowledge books, comics, magazines and exam preparation textbooks at the school’s library. You can read them inside the library and make some copies for study purposes. There are also computers and printers at the school which may be helpful for research and studying.

book Id number, title of the book). 3. Please submit the application form(s) at the library or at the administrative office. ■ About returning books
Please return the borrowed books to the school administrative office staff. If there is no one at the office at the time, please, leave the books inside the return box.
If you want to extend the loan period, please, inform the school administrative office staff of the ID number and title of the book. The maximum extension period is of another 2 weeks. If you have any overdue items, you cannot borrow another book until you have returned the items. 【Attention】Notes on using books and materials
● You are not allowed to take books from the library without proper procedure. ● After you finish the books, please put them back to the original place so other students
can find them easily. ● Books in the library are school property, thus please be careful while reading them. If a
book is lost, damaged or stolen the student will be responsible for paying the full replacement cost of it.
● When using books in class or for personal purposes outside class, please respect the copyright rules and regulations.

(2) Other Facilities ■ Student Lounge
Student lounge is for studying as well as for taking a break. Please be respectful or else you may be asked to leave the lounge. 【Attention】
● Do not sleep on the chairs. ● You can eat and drink inside of the lounge but make sure to drink from a container which
can be closed tightly. Please eat or drink on tables and not near the computers, AV equipment or book shelves.
● Set your phone to silent mode and refrain from talking on the phone inside the school. ● Taking photos of students or teachers/staff without permission is forbidden. ● Use earphones or turn off the volume while using computers, calculators or other devices. ● Keep quiet and refrain from playing board games, card games, etc. ● Take care of your belongings, especially you valuable items. ● Do not use delivery services in school. ● All school facilities are available to all students including sexual minorities. ● Put your umbrella in the umbrella stand and do not bring a wet umbrella inside. ● Take your garbage with you or throw it into the bins at school.
■ Elevator Elevators at school stop at each floor. In order to avoid chaos, especially at rush hours, please use
the stairs if your classroom is on or lower than the third floor. ■ Toilets
There are toilets on each floor. You can use toilets on other floors if it is crowded on yours. Also, please avoid using the toilet for an excessive time. ■ Use of Facilities during Holidays
School facilities will not be able to use when the school is closed. ■ Rules for the Use of School’s Facilities 1. To maintain a safe and pleasant environment, please pay attention to your personal hygiene.
Alcohol is also forbidden inside the school. 2. Do not leave your personal belongings at lobby, hall, stairs, emergency exit or other common
areas. 3. Leaving your personal belongings such as textbooks in the classroom is not allowed. They may
be disposed upon confirmation. 4. Take your garbage back home or throw it in the garbage bin at school according to garbage
sorting rules. Do not leave garbage in the classroom. 5. Eating and drinking are not allowed in the classroom except with containers which can be
tightly closed such as plastic bottles. 6. Please use the toilets correctly and keep them clean. 7. Never dispose of any leftover noodles or BENTO, rubber products, cloth, cotton item, etc. in
the toilet. They may clog the toilet and you will be responsible for the full payment of the repair and cleaning.
8. Smoking is totally prohibited on entire school premises. Smoking at the staircase, or outside or around school is also not permitted.
9. Explosive and incendiary materials, flammable items, gasses and pressure containers are not allowed in school.
10. After using public facilities or materials, please, make sure to put them back into their original place and/or condition.
11. Please, save water and electricity. If you are the last one who leaves the classroom, please do not forget to turn off the lights and the air conditioner.
12. In case of stolen, lost or damaged facilities or materials, please inform school administrative office promptly. The offender will be responsible for the full payment of the repairs and/or cleaning.

13. Advertising activities such as distributing brochures or posting flyers inside the school without permission are not allowed.
14. You are not allowed to bring pets to school. 15. You are not allowed to drive a car or a motorcycle to school nor park in the school area. If you
come to school by bicycle, please, make sure to park it at the right place. ■ Rules for using school computers 1. Do not install any application softwares that you brought for your personal purposes or
downloaded on-line, change any setting, nor make illegally copied data. 2. Be sure to shutdown the computer before leaving. 3. Do not unplug the computer or damage the connections. 5. School Organization
Each school has its own principal, director of administrative office (manager), director of education department (manager), homeroom teachers (vice homeroom teachers), and school life advisors. 1. Principal manages the school operations and supervise the teachers and school staff members. 2. Director of Administrative Office (manager) manages the entire administrative office work. 3. Director of Education Department (manager) manages educational affairs. 4. Each class has a homeroom teacher, who takes care of study, career guidance, attendance
management, deliverables/handouts management, etc. and provides appropriate advice and instruction.
5. Administrative Office staff serves as school life advisor who provides necessary advice and support to students under charge.
6. Counseling Service Counter
Counseling service is available to all students. Do not hesitate to visit your homeroom teacher, school life advisor or administrative office if you have any worries and concerns in your school life. We will respect your intension and privacy as well as protect your personal information and secrecy. Counseling service is also available via e-mail or phone.
