Important Deadlines

• Payment for floor space invoice – 1st installment (70%): max. 30 days upon invoice date Early Rate: The early floor space rate is only granted with payment receipt on the MAW account at the latest by May 31, 2019; thereafter the late rate will be applied (without further notice) and the difference will be added automatically with the final floor space invoice.

• Payment for floor space invoice - 2nd installment (30%): max. 30 days upon invoice date

• Payment for floor space invoice (100%) when booking after October 31, 2019: full payment upon invoice date

• Mailing of the Exhibitors’ Manual (technical handbook) by MAW: December 09, 2019

• Submission of service orders and installation sketches: January 20, 2020

• Submission of booth construction plans (incl. measures and heights indications): January 20, 2020

• Information on suspension deadlines and rules – to follow in the Exhibitors’ Manual

Important News for your ECR 2020 planning

1. Changes in the Expo Halls Expo X5 will be built as a new hall with different measures; therefore the layout and planning of the exhibition booths within Expo X5 will change. Minor changes will also occur in Expo X2 and Expo X1. We will inform you automatically in due course of the planning process and the step-by-step booth allocation process, as soon as further technical details are available.

2. NEW TIMELINE – Preliminary Time Schedule (the definite hours, obligatory rules and further details to the logistics will be confirmed in the Exhibitors’ Manual).

3. Important note for truck planning (for set-up and dismantling):

Please mind that also noise-reduced trucks over 7.5 tons weight are not allowed to drive in Austria from Saturday 15:00 hrs to Sunday 22:00 hrs. You need to apply in due time for a special permission from the Austrian authorities.

Please note: The ECR logistics coordinator and official freight forwarder IML will again organise unloading slots for all trucks, both for trucks handled by IML and for self offloaders and self reloaders. All trucks must apply for a time slot and have to register with IML upon arrival. Further instructions will follow in the Exhibitors’ Manual.

Delivery of empty boxes:All exhibitors who stored their empty crates and boxes at cost with the Freight Forwarder IML will have them ready at their booths as soon as possible, but delivery of empty boxes at certain times cannot be guaranteed and waiting times up to 4 hours must be taken into account. Therefore please book your flights accordingly and not with immediate departure after the end of the congress.

Please note:NEW: Sunday is still a full congress day until 16:00 hrs,only the Expo Halls are closed.

1. EXHIBIT SPACE RENTAL RATES • Early rates: Only applicable with receipt of payment on MAW account until May 31, 2019:

Floor space rate: € 660.– per m2 (excluding taxes)Platinum Supporting Membership Company: € 560.– per m2Corner: additional € 660.– per corner (or € 560.–per corner for Plati-num Members)The Corner Fee for each open booth corner depends on the final booth shape (corner/peninsula/island booth) and will be automatically char-ged on the final invoice for floor space after the booth allocation con-firmation by MAW.Obligatory payment terms: see point 4. Please note that payment of floor space by credit card will not be accepted.The booking is for floor space only – no separation panels, carpet etc. are included. Wall panels for all closed stand sides as well as carpet must be provided by the exhibitor or ordered separately at extra cost.Prices are net – the tax liability lies with the benefit recipient. For Austrian companies: +20% VAT + 1% Contract Fee.

2. APPLICATION FOR EXHIBIT SPACEThe form “Application for Exhibition Space / Contract” is included in this prospectus which is mailed to prospective exhibitors.The application form must be filled in, signed with a legally competent signature and delivered on time. The submitted application is binding for the exhibitor, independent of any booth allocation by MAW.Applications deemed ineligible by the Exhibition Committee will be re-turned and any exhibit space funds on deposit will be refunded. Please note that payment of floor space by credit card will not be accepted.

3. ARRANGEMENT OF EXHIBIT SPACEAfter the application deadline, the Exhibition Management will take charge of arranging the available floor area to meet the space requests of exhibitors as closely as possible. The relevant factors for the ranking of an exhibitor in the booth alloca-tion process are:

– ESR Supporting Membership (ESR Platinum Supporting Members are granted preferred booth choice) – collaboration within ESR/ECR projects – date of receipt of application for floor space – date of receipt of payment of 1st installment (based only on the 70% part-payment invoice sent by MAW) – booth sizes – continuity of participation as annual exhibitor

The preferences indicated on the application form serve for guidance only and cannot be guaranteed by the Exhibition Management. Please note that suspension points and water connections are not possible in all exhibition halls, but these needs cannot be considered in the booth allocation process. Placement demands as a condition of registration on the part of the exhibitor cannot be recognized; furthermore the requested floor space may be changed by the Exhibition Management.

An exhibitor will only be considered for booth allocation upon receipt of payment of the 1st installment (70% of rental sum).

4. CONTRACT AND REMITTANCE / PAYMENT TERMSSubmitting the Application Form does not constitute a formal agree-ment that the exhibitor is admitted to the exhibition. Contractual con-ditions are constituted first when the Exhibition Management sends written confirmation to the exhibitor. Any registration to the exhibition can be refused by the Exhibition Management without giving cause.Important - please note:All invoices sent by MAW to the exhibitor (for floor space and for additional orders and services) are due immediately upon receipt of the

respective invoice by e-mail (postal mail on request). Payments must be received at the latest 30 days after date of invoice.All invoices must be fully paid before the start of set-up - otherwise the set-up of the booth will not be allowed.Upon receipt of the part-payment invoice sent by MAW the 1st installment of 70% of the rental sum (without corner fees) shall be transferred - without any charges (national and international) to the beneficiary* - to the following account:account name: MAWbank name: UniCredit Bank Austria AGbank address: Rothschildplatz 1, 1020 Wien, Austriabank code: 12000BIC: BKAUATWWIBAN: AT051100002250837800*If bank charges occur, they might automatically be added by MAW on the following invoice to the exhibitor.If a part-payment invoice is not paid immediately – at the latest within 30 days – MAW reserves the right to cancel the floor space booking automatically. In this case the company has to submit a new booking form with a new application date.If the exhibitor requests to have an invoice chan-ged, after the respective invoice has already been issu-ed and sent (by e-mail or courier), an administration fee of € 70.– will be charged auto matically to the new invoice recipient.Refund of any overpayments will only be settled with the exhibitor after the end of the congress.Deadline for payment of the 1st installment (70% of the rental sum): immediately upon receipt of the part-payment invoice, max. 30 days after date of invoice.The early rate will only be granted with payment received on the MAW account at the latest by May 31, 2019.Submission of the application only by May 31 without payment is not sufficient for eligibility. Deadline for payment of the 2nd and final installment (30% + cor-ner(s) if applicable): immediately upon receipt of the final invoice for floor space, max. 30 days after date of invoice.

For late applications received after October 31, 2019 the full floor space fee will be invoiced (100%) and is due immediately upon receipt of the invoice. Space will only be reserved and the exhibitor will only be considered for booth allocation upon receipt of this payment.

The given dimensions of floor space and stands are approximate. The Exhibition Management reserves the right to change the dimensions in order to use the available exhibition area most efficiently and in order to adjust the stands to the layout of the exhibition halls.Prices charged are however based on the actual dimensions; if more floor space than ordered is later allotted and actually used, the fee for the extra floor space is to be paid immediately. The exhibitors must bear the cost of any special installations.

5. CANCELLATION AND SPACE REDUCTION5.a. Cancellation of the Exhibition by the OrganisersIn the event that, for any reason whatever, it is judged advisable or ne-cessary for the Congress or the exhibitors to close the exhibition earlier or to change the location, the Exhibition Management will not be liable for any damage or loss incurred by exhibitors.If, for any reason, it becomes impossible to hold the Technical Exhibi-tion, the Exhibition Management will refund to the exhibitors the sum paid, deducting expenses already incurred in preparations according to the percentage determined by the Exhibition Management.5.b. Cancellation Terms for the Exhibitor50% of the total space costs will be charged if the booked floor space is cancelled up to November 6, 2019; 100% cancellation fee applies the-reafter.In case of cancellation, even with 100% cancellation fee, the compa-ny loses the right to be published as exhibitor and to receive exhibitor badges or complimentary registrations.5.c. Cancellation Terms for Reduction of Floor Space by the Exhibitor50% of space costs of the reduced m2 floor space will be charged if the booked floor space is reduced up to November 6, 2019; no space reduction is possible thereafter.

6. SUBLEASING – ACCESS PERMISSIONPartially or wholly subleasing or otherwise relinquishing a stand to a

third party as well as private arrangements for exchange of stands or floor space between exhibitors is prohibited unless by special agree-ment with MAW exhibition management. The Exhibition Management reserves the right to enter any stand at any time.

7. INSTALLATION OF EXHIBITS – SET-UPBefore setting up their stands, exhibitors must contact the Exhibition Management and reconfirm the placement of the stand as well as in-form themselves of any special regulations to their stand and must col-lect the necessary amount of obligatory working passes.Exhibit space will not be available for set-up until all conditions set forth in these rules are met.Prior to the erection of the stands, the stand area must be fully covered with non-adhesive carpets. On parquet floor carpeting is obligatory.Working with circular saws or grinding of wood without catcher or in-tegrated hoover is not allowed within the exhibition area.Painting shall be permitted on the exhibition premises only if the sur-rounding floors are covered by PVC foils.Particular care shall be exercised in the passageways and accesses of the exhibition premises in order to avoid damage to the floors. Within the halls only means of transport with PVC or rubber wheels should be used.No smoking during set-up and dismantling time.It is not permitted to stick posters on the walls of the hospitality or staff rooms.If an exhibitor does not follow the directives of the management or does not carry out such directives punctually, the Exhibition Manage-ment reserves the right to take the necessary steps at the cost of the exhibitor. The Exhibition Management preserves the right to close or obstruct unused entrances or exits to the exhibition area and the right to direct the exhibitor to another place in the exhibition hall if necessa-ry, even if this directive conflicts with previous written agreements. The exhibitors are responsible for the proper care of the floors, walls, stair-cases and storage rooms. In rooms with parquet flooring or unmarred flooring special care must be taken. Heavy packing cases may not be unpacked in such rooms. To avoid scratches and grooves in such floors as could be damaged by sliding packing cases, the exhibitors are requi-red to place a protective covering under heavy packing cases placed on such floors.Exhibitors who wish to display extra-heavy exhibits demanding special supports or foundations must get specific permission for this from the Exhibition Management. It is not permitted to drive nails or hooks in the walls or in the floor of the exhibition halls. Empty containers and pa-cking materials must be disposed of at the cost of the exhibitor before the exhibition begins.The exhibitor must, at his expense, maintain and keep his exhibit and the space for which he has contracted in clean and good order. An ex-hibitor or a standbuilding company contracted by the exhibitor who wishes to set up a stand of their own design and construction must sub-mit sketches and plans to the Exhibition Management. The Exhibition Management preserves the right to demand changes in such stands or exhibits if safety regulations, technical requirements or the responsibi-lity of preserving or obtaining the best possible overall image for the exhibition, as judged by the Exhibition Management, should so require. In designing the stand, good judgment and consideration of neighbou-ring exhibitors should be primary objectives. The design of a free form stand must maintain and enhance the professional atmosphere of the meeting.

8. DISMANTLING OF EXHIBITSThe exhibitor must dismantle the stand within the allotted time. The exhibitor must leave the stand area cleared and the floor cleaned.The exhibitor must remove all construction waste (e.g. wooden panels, floor elements, carpet rolls, etc.) of the booth after dismantling! Other-wise removal and cleaning costs (minimum charge: one rubbish skip à 16 m2) will be charged automatically to the exhibitor (the contract partner), not to the stand building company after dismantling.Stored materials, empty containers and packing material must be disposed of. Items for which no arrangements have been made for re-moval and storage at the cost of the exhibitor and which are left behind, become the property of the Exhibition Management and no reimbur-sement will be made for such items. The Exhibition Management can demand that exhibitors restore the exhibition area to the original con-dition at the exhibitor’s expense. If the exhibitor does not dismantle and clear away his exhibit punctually, this will be removed by the Exhibition

Management at the cost of the exhibitor. The Exhibitor is liable for the actual cost incurred by the Exhibition Management in such removals of abandoned exhibits.Each exhibitor will make arrangements for removal of his material in accordance with these rules and the instructions provided in the Exhibi-tors‘ Manual. No material may be removed during show hours.

9. ELECTRICITY/COMPUTERSThe exhibition areas are equipped with three-phase current 3 x 380 / 230 volts and alternating current of 230 volts, frequency 50 cycles, grounding provided.The Exhibition Management will make general provisions concerning the electricity supply at the cost of the exhibitors. The exhibitors agree to use this installation for all electric power requirements.The costs of the supply line to the stand, the power consumption and the official electrical inspection (if the stand installation is made by the exhibitor himself) will be charged to each exhibitor. These costs will be invoiced to each exhibitor according to a separate price not included in the rental price.The Exhibition Management, however, is not responsible for any los-ses or damage which may occur from interruptions, defects or break-downs in energy supplies.The exhibit halls are tested against electro-magnetic interferences. Oc-curring failures in sensitive machines / computers are therefore without responsibility of the Exhibition Management.

10. TYPES OF EXHIBITSAll products and services to be exhibited must be directly related to the practice of radiology and are subject to approval by the Exhibition Ma-nagement, who reserves the right to refuse exhibits that do not comply with the character of the meeting. Exhibitors may not display products or services other than those manufactured or regularly distributed by them.

11. GENERAL REQUIREMENTSExhibitor identification must be by one company name, which is sub-mitted on the application for exhibit space. All exhibits must be confi-ned to the spatial limits of their booth indicated in the floor plan.Equipment to be shown or demonstrated must be placed in the exhibit space contracted in order to ensure that the visitor viewing the equip-ment will be in the booth and not impeding aisle traffic.All products and services must be safe in the opinion of the Exhibition Management and have the approval of appropriate authorities. Equip-ment for demonstrations must not pose a radiation hazard, must be de-activated or made non-operative before installation. Exhibits must be staffed at all times during the hours of exhibition. The exhibition areas are to be used only during the usual opening hours.

12. PRESENTATIONS/DEMONSTRATIONSShowing of equipment or product demonstrations to ECR registrants or guests by exhibitors other than on the stand area is expressly pro-hibited.Staff members of an exhibiting company shall be standing or conduc-ting client meetings only on their own booth area, not in the surroun-ding aisles or on other booth areas.Advertising, promotion or interviews outside the booked stand area or booked room are forbidden!Companies not exhibiting at ECR are forbidden to advertise in any way in the exhibition area, in the entrances to the exhibition halls and in the surroundings of the Convention Center.Audio-visual and other sound and attention-getting devices will be permitted only in those locations where the visitor viewing will be in the booth and not impeding aisle traffic and in such intensity as, in the opinion of the Exhibition Management, they do not interfere with the activities of the neighbouring exhibitors. Loudspeakers may not be placed directly on booth borders and may not face towards the aisles.Product and service demonstrations may be conducted by professional presenters or models.Exhibits or other devices which emit sound, light or smell must be ope-rated and controlled so as not to irritate other exhibitors.Product launches on the exhibition days shall be announced in advance to MAW for coordination.

13. SECURITYIn the event that an accident occurs as the result of a demonstration, the exhibitor concerned must immediately carry out all necessary

measures and accept the responsibility for the settlement of all mat-ters concerning the accident. No inflammable substances or sensitive materials with inflammable or explosive basis may be brought into the exhibition area without prior permission from the Exhibition Manage-ment. Devices emitting ionizing radiation may not be operated within the exhibition area. Radioactive substances may not be brought into the exhibition area. Use of open flames is prohibited. Fixed lasers are permitted, free-working lasers are forbidden.Decorating material and wall-paper which are used by the exhibitor must be fire-proof and a written credible proof of this must be presen-ted to the Exhibition Management.Highly inflammable materials shall not be used in the erection, lining and outer or inner decoration of the stands.The use of containers with pressure gas or liquid gas bottles shall be subject to approval by the Exhibition Management and by the compe-tent authorities.Police regulations, fire regulations and other official regulations are to be observed at all times even during the construction and dismantling of the exhibits.

14. APPROVAL OF DRAWINGS AND CONSTRUCTIONPlease note that your booking is for floor space only. No separation pa-nels, carpet, etc. are included. All stands must be separated from the neighbouring stand(s) by separation wall panels. Wall panels for all clo-sed stand sides as well as carpet must be provided by the exhibitor or ordered separately at extra cost with the appropriate order form inclu-ded in the Exhibitors‘ Manual.If you set up your own pre-built booth the following rules apply:Complete drawings of the booth concept with all stated measure-ments and height indications must be submitted by January 20, 2020. Construction may not begin without approval by the Exhibition Man-agement.The measurements of the booked area are outside measurements.Substantially completed stand constructions must not interfere with approved drawings. The Exhibition Management reserves the right to cancel stand operation and require changes in accordance with appro-ved drawings and described stand concept.

Standbuilding rules:The standard height of stands is 2.50 m. The maximum allowed stand building height depends on the Expo hall, max. 3.50 m or 5.50 m.Detailed maximum stand building heights and detailed stand building rules will be outlined in the Exhibitors‘ Manual.The Exhibition Management reserves the right to issue further instruc-tions concerning the design of stands.

• Multi-level booths are allowed in EXPO X3 and X4 – please contact the Exhibition Management as soon as possible.

• In-line boothThe standard height of side- and backwalls towards neighbouring stands is 2.50 m (incl. platform). Exceptions only when coordinated and approved by the exhibition management.

• Corner boothCorner booths shall be built open on 2 sides.At the 2 open sides, any solid walls, other parts of the booth structure or equipment are only allowed with special permission of the exhibi-tion management and if they do not interfere with other exhibitors.

• Peninsula boothAccording to international custom, peninsula booths shall be built open on 3 sides. The standard height of the backwall towards the neighbouring stand is 2.50 m (incl. platform). Exceptions only when coordinated and approved by the exhibition management.At the 3 open sides, any solid walls, other parts of the booth structure or equipment are only allowed with special permission of the exhibi-tion management and if they do not interfere with other exhibitors.

• Island boothAccording to international custom, island booths shall be built open on 4 sides.At the 4 open sides, any solid walls, other parts of the booth structure or equipment are only allowed with special permission of the exhibi-tion management and if they do not interfere with other exhibitors.

In any case, construction plans for approval are required as soon as possible.No part of any exhibit may be attached to any part of the building.Suspension from the ceiling is allowed, but not possible in all halls, therefore on special request. Drawings have to be submitted to MAW

and must be approved by the Austria Center Vienna.Please note that water connection to the booth cannot be provided in all exhibition areas and is therefore on request.The side and back walls of all stands must be finished with white, neat and neutral panels on the outsides, not with cloth and without cables hanging down on the back, in particular if the own wall is higher than the neighbouring wall.No structure of an exhibit or stand may project on any side beyond the limits of the stand location. No signs may project beyond the delimiting walls of the stand and each exhibitor must avoid hindering the view or entrance way of neighbouring stands. No obstruction of the gangways shall be permitted.Special care must be taken to avoid noise or lights which annoying to visitors or neighbouring stands.

15. CONTRACTOR SERVICESProvided that assignment of booth space has been settled, the Exhibi-tion Management will mail the Exhibitors‘ Manual with detailed infor-mation and forms for additional services to each exhibitor. For services such as electrical, drainage, cleaning, internet and telephone the official order forms must be used.

16. SHIPPING AND STORAGEThe exhibitor is strongly advised to contact the appointed freight forwarder IML for all transports of goods and storage inside the Austria Center Vienna, for customs matters, labours, as well as for renting of forklifts.If you use another forwarding agent than the appointed one, please bear in mind that he is only allowed to deliver the goods up to free ar-rival door Austria Center Vienna. Within the Austria Center Vienna, the goods must be handled by the appointed on site handling agent IML.If you arrange for the complete transport and delivery to your booth by yourself or with your stand building company you have free access to your booth. Nevertheless, you are obliged to contact the appointed freight forwarder IML in order to organize the unloading schedule.The appointed forwarding agent IML will also handle and provide sto-rage space during the exhibition and will return properly marked mate-rials on completion of the meeting. Fire prevention regulations require that material such as paper, etc. must be completely stored in the pa-cking boxes. 17. EXHIBITION HALL ATTENDANCEExhibition hall attendance is restricted to qualified exhibitors and those certified by them, registered under the general registration procedures.The official ECR badge must be worn whenever a representative of an exhibit is in the exhibition area. Set-up, dismantling and service perso-nal will be issued working passes.Exhibitor badges only permit access to the Technical Exhibition.Meetings with congress participants (wearing delegate badges) on the booth prior and after the official opening times of the exhibition are not allowed.Misuse of exhibitor badges or any other method used to assist unaut-horized personnel to gain admittance to exhibit area will be a cause for expelling the exhibitor and his representatives from the exhibition area. The misused exhibitor badge(s) will be withdrawn by the Exhibition Management and no reimbursement will be made.

18. SAFEGUARDINGEach exhibitor must make provisions for the safeguarding of his goods, material, equipment and display at all times. General overall guard ser-vice will be provided for the installation and exhibition period, but the guard service will not be responsible for loss or damage to any property from any cause.

19. INSURANCE AND LIABILITYThe safety and stability of the booth construction and all used materials is the sole responsibility of the exhibitor and his stand building company.

Neither ECR nor MAW or ACV take any responsibility for any damages or accidents caused by exhibition stands. It is the responsibility of the exhibitor and his stand building company to have proper liability insu-rance. Exhibitors/stand buildings companies have to bring the appro-priate insurance policy on site.Neither ECR, MAW nor ACV, nor either of their officers, agents, emp-loyees, or other representatives shall be held liable for, and they are hereby released from any damage, loss, harm, or injury to the person or property of the Exhibitor or any of its visitors, officers, agents, em-ployees or other representatives, resulting from Exhibitor’s participa-tion in the Event or licensing and/or use of exhibition space hereunder, whether from earthquake, fire, theft, water or accident of any other cause, or from ECR, MAW or ACV, or either of their officers, agents, em-ployees or other representatives negligence. The Exhibitor shall indem-nify, defend, and hold harmless ECR, MAW or ACV and their respecti-ve owners, directors, officers, employees, agents and representatives, from, any and all claims, demands, suits, liability damages, loss, costs, attorney‘s fees, and expenses of any kind which might result or arise from any action or failure to act on the part of the Exhibitor or its offi-cers, agents, employees, or other representatives. Neither ECR, MAW nor ACV shall be responsible for the security of Exhibitor’s products, proprietary software or hardware information. It is the responsibility of the Exhibitor to maintain proper insurance coverage for its property and liability. The exhibitor understands that neither ECR, MAW nor ACV maintains insurance covering the Exhibitor‘s property, and it is the sole responsibility of the Exhibitor to obtain such insurance.The stands may be used only for exhibiting and advertising the exhi-bitors own products in accordance with applicable laws and regu-lations.The ESR / ECR Congress / MAW Exhibition Management will not at-tempt to settle disputes between exhibitors over issues such as trade-mark violations, copyright violation claims or others.Any orders for products which are taken must be made in accordance with laws covering such orders.Advertising / promoting a specific product does not mean acceptance by ECR and it is the full responsibility of the corporation that it is in ac-cordance with the Austrian and European law, where applicable.

20. PHOTOGRAPHYThe taking of pictures is expressly prohibited during set-up, dismant-ling and non-exhibit hours, and cameras will not be allowed on the ex-hibition floor during these times. Only the exhibitor may grant permis-sion to have his exhibit photographed or an audio presentation taped, during exhibit hours. Each exhibitor may prevent those considered as his competitors from gaining access to or photographing his exhibits.

21. SMOKINGThe ECR is a non-smoking congress. No smoking during set-up and dismantling time. Smoking is only allowed in the designated areas.

22. STAND CATERING„Motto Catering“ is the exclusive inhouse caterer at ACV. Exhibitors are allowed to use their own coffee machines or distribute free of charge beverages, snacks or sweets on their exhibition booths, but no external catering companies are allowed. Please contact the inhouse caterer, who is also Greencertified, for or-dering of food and beverages, dish service or other catering services.

23. ACTIVITIES BY EXHIBITORSExhibitors are obliged to plan gatherings for the congress participants in coordination with the ECR Office only. Exhibitors are not allowed to compete with the official programme of ECR nor to invite radiologists or anyone who is a general registrant to any activity (social, educa-tional, scientific, promotional) during ECR period (first two weeks of March) without co-ordination with the ECR Office.

24. FINAL STIPULATIONSAny company which disobeys the directives of the Exhibition Manage-ment can be excluded immediately from the exhibition by the Exhibi-tion Management. Such companies are liable for the whole rental sum and for all incidental expenses including the legal value added tax. The exhibitor gives up all claim to contestation of the contract especially in cases of mistakes and in cases in which the value of the contract exceeds or falls short of half the true value.All oral agreements, special permissions and special arrangements are valid only upon receipt of written confirmation.Ad hoc measures:Should the contracting party or its authorized representative leave be-fore or during the event or should both be out of reach, the Exhibition Management shall be authorized to take all measures it may deem ex-pedient without having to give prior notice thereof to the contracting party and shall do so on the liability and at the risk and expense of the contracting party.The exhibitor understands that the ECR Exhibitors’ Rules and Regulati-ons/ Terms and Conditions of Participation are an integral and binding part of the contract for exhibit space and agrees to comply with same.In all cases of litigation it is agreed to by the exhibitor that the com-petence of the duly authorized court in Vienna, Austria is recognized. Electively the Exhibition Management may choose to appeal to the competent court in whose jurisdiction the exhibitor falls. Austrian law is to be used.

25. GREEN MEETINGThe ECR will be held as a green meeting. Exhibitors shall therefore fol-low the obligatory guidelines for Green Meetings, set forth by the Aus-trian Federal Ministry of Sustainability and Tourism, which are:

• Waste produced at the congress venue must be disposed of according to ECR’s waste management system. During set-up and dismantling times, we will provide big containers for paper, plastic, wood, glass and residual in all the exhibition halls. Islands for waste separation and collection (for plastic, paper, residual waste) will be omnipresent across the event’s premises. Additionally, collection containers for cans and metal will be available at convenient locations.

• If guests are catered for, bulk or reusable packaging should be used (no cans, PET bottles, Tetra Paks etc.). Only reusable dishes (drinking vessels, cutlery etc.) are permitted.

• Do not offer giveaways. If this is not possible, use durable and/or reusable fair trade or quality assured products made from environmentally friendly materials (e.g. domestic sourced wood or natural fibres). Products with synthetic individual packaging and/or batteries should not be distributed.

• All materials used under the responsibility of the exhibitor (stand, roll-up, decoration etc.) must be reused in the future.

All exhibitors are also encouraged to implement further measures that can be taken in order to act more sustainably. For more information on this, please have a look at the Green Meeting section in this brochure.

26. The exhibitor fully accepts these conditions and the full regulations that will be part of the ECR 2020 Exhibitors‘ Manual.

Green Meeting – Rules & Regulations

Dear exhibitors,

In 2014 the ECR was awarded the Austrian ecolabel (Österreichisches Umweltzeichen) for the first time, making it the largest officially certified green congress in Europe. Every year we strive to expand our efforts by applying our green approach to all major activities related to the congress. Please support us in our endeavour by taking note of the following obligatory guidelines for Green Meetings, set forth by the Austrian Federal Ministry of Sustainability and Tourism:

• Waste produced at the congress venue must be disposed of according to ‚ECR’s waste management system‘. Find further information below and here.

• If guests are catered for, bulk or reusable packaging should be used (no cans, PET bottles, Tetra Paks etc.). Only reusable dishes (drinking vessels, cutlery etc.) are permitted.

on travel: • Use public means of transport. Vienna has a fully

integrated public transport network operating from 05.00-00.30 daily, with additional services from 00.30-05.00 on Fri and Sat nights and on nights before public holidays. Frequent services with waits of just 3-5 minutes are offered during peak times, rising to between 5 and a maximum of 15 minutes in the evenings.

stored at the congress as much as possible.

• Avoid the mass distribution of flyers or other printed matter; hand out printed matter only upon request, or give preference to electronic means of distributing information (e.g. indication of links for download, etc.).

• Use 100% recycled paper or, at the very least, paper bleached without the use of chlorine (TFC) for printed materials that are required. Alternatively, commission a printing company certified with the Austrian Eco-label to print your materials.

• Reuse any remaining brochures at other events.

• Use cloth and paper bags instead of plastic bags.

• Return your badges/name tags at the boxes provided at the main entrance after the event.

The Artificial Intelligence Exhibition (AIX)Having made its grand debut at ECR 2019, the AIX brings the hottest topic in radiology to the heart of the technical exhibition.
