After 29 August – Late booth applications must be accompanied by complete payment and will be processed based on availability.
Priority Booth AssignmentsThe MLA uses a point system to assign general exhibit space for applications and payment received by 12 June. Firms with the most points receive first consideration for their booth assignments. A firm accumulates points for years exhibited, the number of booths rented, sponsorship participation, and number of advertising pages, among other considerations. Contracts that are received before 12 June can accumulate additional points.
Contracts received on or before
• 15 May will receive five bonus points
• 22 May will receive four bonus points
• 29 May will receive three bonus points
• 5 June will receive two bonus points
• 12 June will receive one bonus point
Firms whose applications and payment are received after the 12 June deadline will be allocated the remaining spaces in the order they are received based on availability.
University Press ExhibitorsThe MLA reserves a section in the exhibit hall for university presses to exhibit, which can provide greater visibility than exhibiting elsewhere in the hall. If you represent a university press and wish to reserve space in the university press block, be sure to select that option on the booth application. Booths in the university press block will be assigned in the order the forms and appropriate payments are received, not based on accumulated points.
Exhibitor Service ManualThe Exhibitor Service Manual will be sent to confirmed exhibitors in mid-September. The manual will contain exhibitor badge and housing information; details on customs brokers, drayage, and advance warehouse services; and order forms for booth furnishing, services (e.g., labor, booth cleaning, catering), and equipment (e.g., Internet, electricity, computers and display monitors).
CANADIAN CUSTOMSCanada has specific customs regulations for expositions such as the MLA convention. This includes duty- and tax-free shipping for materials being temporarily imported for display use or being imported for giveaway or promotional use. A customs broker can work on your behalf to ensure all paperwork is completed correctly to make this process as easy and seamless as possible. The MLA’s official exhibition service contractor and designated customs broker, Levy Show Service, Inc., is available to help you with any questions or concerns about the customs process.

Even though the MLA hosts one of the largest academic conventions, the fantastic MLA staff is very attentive to the specific needs of exhibitors. They expertly anticipated various needs and assisted in ensuring that all our events, including the one for the Nobel laureate Gao Xingjian, were successful.

PROGRAMIn January 2014, over 7,000 MLA convention participants referred to the Program repeatedly for information about nearly 800 sessions, forums, and readings. An advertisement in the Program guides prospective customers directly to your booth. The Program also contains a map of the exhibit hall with a directory of exhibitors (both in print and online) and an index of advertisers.
The Program (the November issue of PMLA, the journal of the Modern Language Association) is sent in October to nearly 28,000 MLA members and to about 1,900 libraries and is available online at mlajournals.org. Thus, in addition to reaching over 7,000 convention attendees, your ad will be seen by English and foreign language scholars in their homes and offices. Last year, 69 advertisers filled 111.5 pages of the Program; dozens of publishers have already reserved space in the November 2014 issue of PMLA.
