Requirements for OpenBay Pro and Installation
There are certain technical requirements that must be met for OpenBay Pro to function correctly
with your store:
- OpenCart 1.5.1.3 or later
- vQmod version 1.2.3 or later (only required for OpenCart versions 1.5.1.3 to 1.5.5.1)
- FTP access to your server
- PHP mcrypt enabled on your server
- PHP 5.2+ (OpenBay Pro will work with reduced logging functionality on PHP 5.2)
Note: If you’re using OpenCart 1.5.6 or later, installing OpenBay Pro is very easy as the module has
been completely pre-integrated into OpenCart since that version.
OpenCart versions 2.3 – 3.0.x+
To install OpenBay Pro navigate to Extensions > and again, Extensions > from the drop-down menu
select Feeds. On the loaded page click on a green “+” icon to install OpenBay Pro. Now that it’s
installed it will appear on the main navigational menu on the left (last in the list).
OpenCart versions 2.0 to 2.2
To install OpenBay Pro on OpenCart 2.0 or later, go to Extensions > Feeds, find the module
name OpenBay Pro and click Install. You can find OpenBay Pro under the Extensions menu.
OpenCart versions 1.5.6 to 1.5.6.4
To install OpenBay Pro on OpenCart 1.5.6 to 1.5.6.4, go to Extensions > Modules, find the module
name OpenBay Pro and click Install. If OpenBay Pro is not available from the modules screen, it will
already be installed. You can find OpenBay Pro under the Extensions menu.
OpenCart versions 1.5.1.3 to 1.5.5.1
Installing OpenBay Pro on OpenCart 1.5.1.3 to 1.5.5.1 is not as simple as with the later versions but
will still be quite straightforward for most users. You will need to be familiar with FTP, as files will
need to be uploaded to the root directory of your OpenCart store. The full procedure is detailed
below, but please be aware that should you find the following procedure confusing and intimidating,
or just want the peace of mind that everything has been set up correctly, we do offer an OpenBay
Pro installation service – so you can leave the hard work to our expert team. To use this service,
please click here.
Using FTP to upload OpenBay Pro:
To upload the required files, you will need an FTP client such as FileZilla (available for Mac and PC).
You will also need to access your hosting FTP directory with your server address, username, and
password – these will have been provided to you by your hosting provider.
Please follow steps from our knowledgebase page article which covers installation steps if you are
using an older version of OpenCart (v1.5.1.3 – 1.5.5.1).
Setting Permissions
Now that your module files have been uploaded you will now need to modify the permissions for the
administration user to install and setup the module.
- Login to your OpenCart admin area.
- Navigate to: System > Users > User Groups.
- Click on the user that you want to modify (usually Top Administrator).
- Tick the boxes that relate to OpenBay Pro in both Access Permissions and Modify
Permissions.
- Click Save.
- Navigate to: Extensions > Modules (if you are using OpenCart 2.0 it is under Extensions >
Feeds)
- You will now see OpenBay Pro - click install.
- After this you can find OpenBay Pro under Extensions > OpenBay Pro.
vQmod and Installation process
OpenBay Pro and our other modules do require vQmod, and while this isn’t our product we have
“borrowed” the documentation from OpenCart.
While strictly modules, product feeds and OpenCart extensions should be standalone and modular,
some require modifications to the OpenCart core. Modifying OpenCart core files greatly reduces
your ability to upgrade your store to later versions and can affect other modules and extensions.
vQmod provides a mechanism by which modules requiring OpenCart core modifications can be
installed without damaging the integrity of your core system for upgrades.
vQmod keeps a list of filenames and changes required, in the form of one XML file per extension.
These changes are then created as the core files are used, and the resulting files are stored as
cached copies which are executed instead of the original, core PHP or TPL file.
If you wish to upgrade your store or have a 3rd party extension that you have not used before, it is
advisable that you use the vQmod system. The vQmod download and instructions for installation can
be found here: https://github.com/vqmod/vqmod.
Once you have downloaded the appropriate vQmod zip file provided in the link, you need to
uncompress the zip file and FTP the vQmod folder to your site's root directory. From the FileZilla
screenshot below, we can see the root directory of this store is located at public_html/opencart in
the Remote site side.
Uploading the vQmod folder here will make the vqmod folder visible in public_html/opencart.
vQmod advises you to set the permissions to writable for the vqmod/vqcache folders, index.php,
and admin/index.php. In FileZilla you can right click on a file or folder, select "File Permissions...",
and enter 755 or 777 in the "Numeric value" to set it to writable.
The next step in installing vQmod is to visit the install page in your store. Enter your store's location
in your browser, then "vqmod/install" afterwards. If your store is located at "www.mystore.com",
the vQmod install page would be located at: "www.mystore.com/vqmod/install". The following text
will appear on the page if it was installed correctly: "VQMOD HAS BEEN INSTALLED ON YOUR
SYSTEM!".
IMPORTANT: Unlike the install folder after installing OpenCart, do not delete vQmod's install folder
after the vQmod installation!
vQmod advises that you load your homepage to see if it appears and works correctly after the
install. You would also need to check your vqmod/vqcache folder to see if there are new vq files.

Now that we’ve covered the requirements and installation steps of OpenBay Pro, let’s take a closer
look at the OpenBay Pro account.
Your first steps with OpenBay Pro account
Before you dive into using OpenBay Pro extension, please note that you will have to register an
account with us, so you can manage your subscriptions, view invoices, manage general account
information (e-mail address, password, company information change). To register your account
please click here.
Now that you are registered, let’s cover the basics and explain your OpenBay Pro account.
Once logged into your account, you will be able to download the latest version of OpenBay Pro
extension for your version of OpenCart store from the dashboard main page. Note: this is done only
if your version is out of date or if you are using OpenCart 1.5.x.x. All you have to do is select the
version of your OpenCart store and click Download as shown in the image below:
We also offer a paid update service. If you would like our team to update your OpenBay Pro
extension please check the paid update service here. After the purchase, you will have to raise a
support ticket and include your OpenCart admin details as well as a written confirmation that you
have fully backed up your store and database before we can proceed with an update.
For OpenCart 2.3.x – 3.0.x users: please avoid downloading OpenBay Pro extension as it’s already
integrated in your OpenCart store. To install it, log into your OpenCart store and click on Extensions
> and again, Extensions > from the drop-down menu select “Feeds”. On the loaded page click on a
green “+” icon to install OpenBay Pro. Now that it’s installed it will appear on the main navigational
menu on the left.
Understanding your usage: The usage on an eBay OpenBay Pro plan is made up of 3 elements; calls,
item sales (orders) and listings. On the first part of the account page, you will see a bar graph
showing you your limits and usage. This gives you a visual view of how your account looks.
Your current plan: This will display the name, price and a short description of your current plan.
To view more information on the price plans, click here.
Available subscriptions: We revise subscriptions all the time to match with the latest promotions
and new features. Subscriptions are needed if you sell more than about 3 items per week. If you run
out of allowances on your plan, then the account will send a warning 24 hour prior to suspending
the account. You will need to upgrade your plan to the next level before it's suspended.
Subscriptions are done through PayPal, Debit or Credit card and can be cancelled at any time. There
is no contract term. Once you have paid for a subscription it cannot be refunded as you will
immediately start using the resources automatically. Our refund policy can be found here.
If you bought the wrong plan: We make exceptions for users who are new and buy the basic plan,
then find out they need a higher plan. If you upgrade to the higher plan we will happily refund the
previous plan cost for you as long if its reported to our team within 72 hours. If this is the scenario
you found yourself in, please raise a support ticket at our support site. You can also find our refund
policy here.

eBay Dashboard explained
eBay Settings breakdown:
I – Applications Settings
➢ End items: If you would not like the application to end items for you automatically you can
set this option to no. You will need to manually end the items. This CAN cause serious
problems with overselling items if you have disabled this and forget to manually end the
item. We suggest that this is always set to yes.
➢ Relist when back in stock: If you have created an item or linked an item to a listing and the
stock runs out the auction will end (depending on the setting above). If you choose to relist
items when back in stock, when the stock level in OpenCart is greater than 0 the listing will
be relisted based on the last listing options. The link will be automatically updated and you
can then edit the item if needed.
➢ Enable logging: Having logging enabled will help the support team resolve any issues. If you
disable logging and require help we may not be able to offer effective support if there is no
logs. We suggest that this is always set to yes.
➢ Default currency: This is based on the currencies you have installed on your store (System >
Localisation > Currencies). Whenever an order is imported or you create a listing this value is
used to display the information on your admin area.
➢ Customer group: When an order is created and the customer information is added to the
database, you can choose to separate the customer and add them to a different group. The
customer groups in this list are based on your customer groups set up in OpenCart (System >
Users > User Groups)
➢ Allocate stock: You can choose when you would like stock allocated in your OpenCart store.
However, we advise that this is always left to when the customer buys. If you enable
“immediate payment required” on your listings then you can change this to when the
customer pays. If you sell an item on eBay and the customer does not pay and another sale
for that item happens the stock on eBay will be updated to represent your OpenCart stock.
This can cause serious problems with overselling if the user decides to pay for the original
item late.
➢ New order age limit: When users first register for OpenBay Pro this setting should be set to
no greater than 48 hours as this will import orders that may have already been processed
and cause confusion. Once users have been using the system for over a month it can be
changed to about 10 days to allow for a greater reliability with orders that are unpaid for an
extended period of time.
➢ Created date for orders: Orders that are imported from eBay may not be imported for quite
some time after the original transaction. You can choose to have the order created date as
the actual eBaytime (GMT) or the exact time the order was imported to your store.
➢ Timezone offset: eBay uses GMT for all its transactions. If you are not in the same timezone
you can choose to offset the time (in hours) to match your zone. If you do not update the
offset some orders may seem to import with tomorrows date.
➢ Default address format: OpenCart allows you to set the display format of an address, based
on the country. For example, some countries may have the postcode/zip displayed before
the town. Imported eBay orders will use this field and you can customise the display if you
have a preference.
II – Notification Settings
➢ Order updates: When an order changes status on eBay and the status change is replicated
to OpenCart, the administrator can choose to be notified about this change. Stores with
many orders should disable this as you may receive a lot of emails and your email provider
may start to mark your own emails as spam.
➢ New order - buyer: You can choose to send the buyer an email when the order is imported
into your store. This is great for promoting your store to buyers and driving traffic. You can
modify your email template to include a voucher to increase your order conversions.
➢ New order - admin: This is a text email that is sent to the administrator with the order
information when the order is imported. If you have many orders you should disable this
setting.
III – Default Import Settings
➢ Import default status: Every order that is imported from eBay will start with this status. The
status should be considered for orders that are not paid and not shipped.
➢ Import paid status: This is the status that you use for orders that have been paid but not
shipped.
➢ Import shipped status: This is the status that you use for orders that have been paid and
have also been shipped.
➢ Import cancelled status: Use the cancelled status for orders that were cancelled but never
paid.
➢ Import refunded status: The refunded status is when the order has been cancelled and was
once paid and now refunded.
IMPORTANT! You must use the order status’s above. If you use a status for an eBay order that is not
set above, the status will be automatically changed when orders are next updated. It is not possible
to use a status that is not listed above.
IV – Developer
➢ Empty all data: This will delete data in your store, do not use it. It is for development use
only.
➢ Repair item links: This will update your item links to ensure that only 1 active link exists with
a product, you should not need to use this option unless advised by support staff.
Synchronising section - eBay
Before you begin listing, you will be required to synchronise the eBay categories, your shop
categories (if you have an eBay shop) and your localised settings for your marketplace (such as
shipping options, payment options etc).
Important: If you receive any errors when listing a product saying that the category is invalid, the
payment option is invalid, or shipping service is invalid, you should click through each one of these
options to update the values stored in your store.
Updates can take about a minute and confirmation message will display when it is complete. You
should not navigate away from the page until you get the message.
For versions 1.5+ Please have a look at this video.
Common issues
If your loading icon continues to spin, you should check your OpenCart error log (located under
System/logs/)
Some users may see a "MySQL server has gone away" message in the error log and the loading icon
continues to spin. This is because the store is taking a while to process the data is it getting from the
API. To fix this issue contact your host and ask them to change the MySQL setting "wait_timeout" to
something over 5 minutes (or 300 seconds) - the default is 30 seconds and is too low for most
modern applications. Any good host will do this for you, although some cheaper less reputable hosts
may not. In this case, you should consider a host that will accommodate changing settings based on
your needs.
Managing your Subscription – eBay
You will be able to manage your subscription through the admin site of your OpenCart store or your
OpenBay Pro account.
Log in to your OpenCart admin area:
- Navigate to the OpenBay Pro module (under extensions menu) and click edit on the eBay
area
- Click on the “Change plan” icon. You will now be able to see all the available plans along with
the plan price
- Choose the plan you wish to use, and you will be taken through the payment process to
complete your subscription update.
Log in to your OpenBay Pro account:
- Navigate on eBay > API Details > Add/Change plan.
- Select the plan from the drop-down menu
- Select your payment method
- Click Continue to finalise the payment
Item Links section – eBay
Item links allows you to review links that have ended, links that are broken and some that are out of
stock. Example below displays how Item links is shown in your OpenCart store.
Unlinked items will show any such items that are not linked to your product on your eBay account.
Linked items will show a list of all current linked items and any errors regarding linked items.
Item Import section – eBay
Running an Item import will import all current listings from your eBay account. We recommend that
you mark ALL the boxes (shown in the example below) and allow the import to work. If you receive
an error if your PHP memory isn’t the correct size please contact your Hosting provider to increase /
adjust this.
Per 1000 eBay items the size is roughly 40mb. Under the advance Data this could be 3x longer
depending on extra information available.
Important:
a) Once you click on “Import” please avoid clicking on it more than once, otherwise import will
break or stall which can’t be tempered with not even from our end. If you click more than
one time on the “Import”, you will just have to wait for it to complete. In extreme cases this
process can take over a day.
b) If you have Variant products please remember they will not be downloaded and will need to
be added manually within OpenCart store, and only after the import has been completed.
Usage section – eBay
Usage page is a great way to explain and break down the Items Sold and Listings you have made. The
example below is based on the “Large” Lifetime Plan.
In this example the Seller has made 13 sales out of the 2000 which is a part of the Large subscription
plan.
Templates section – eBay
As you went through the majority of eBay settings so far, note that your eBay store will need to look
and highlight few other items in your store. This is where Templates come in!
The eBay Listing Templates page can be found by navigating to OpenBay Pro > eBay > Dashboard
and click on the Templates icon.
Adding a new template
➢ Navigate to Extensions> OpenBay Pro> eBay> Dashboard
➢ Click the “Add Template” button on the top right.
➢ Assign your New Template a name so you can begin adding your HTML Code
➢ In the HTML Section you can include our custom tags which you can find here. Once you
have entered your code click the Save icon in the top right-corner.
Editing a Template
➢ Click the Edit icon next to any of the templates in your list which you wish to change
➢ You can change the name and/or the HTML code
➢ Once you have completed with editing click Save icon to save the changes.
Note: Updating a template does not retroactively apply the change to any of the templates that exist
on listings already (active listings). The template changes will only show when you create a new
listing using that template.
Deleting a Template
Click the delete icon next to the template that you would like to remove. Removing a template will
not affect any listings that already use it.
➢ Using a template with a profile (default settings when creating a new listing)
➢ Navigate to OpenBay Pro > eBay > Profiles Either edit or create a new “template & gallery”
profile.
➢ Under the template tab, choose the template that you would like to use for this profile.
➢ The list will contain all of your templates that have been created in the templates area.
➢ Press save. Now when you create a new listing with this profile it will set the theme for you
automatically.
Active Content in Templates
With the recent eBay change, please note that you will need to remove any JavaScript,
Flash, plug-ins, and form actions within the template. Please note that your listing will most
likely not go through until above-mentioned content is removed
(https://pages.ebay.co.uk/help/policies/listing-javascript.html).
Some URL links are allowed, however if you provide a link to your own website where users
can make a purchase, this would not be allowed and will get your listing cancelled
(https://pages.ebay.co.uk/help/sell/policies.html).
Summary section – eBay
eBay summary is based on your DSR selling performance. It offers a general summary and a
breakdown of charges, shipping time, communication and items as described. As this is based on
your Seller Performance, more details can be found within your eBay account.
Within OpenBay Pro, we offer a snapshot of this and it will be showing something similar to the
below example:
Listing a product to – eBay
In this guide we will show you how to list a product on eBay using a product you already have in your
OpenCart store.
To create a new listing, navigate to Extensions > OpenBay Pro > Manage Items. This lists all the
products you currently have in your OpenCart store.
To choose a product you wish to list, click on eBay (under Markets column).
If the eBay icon is already green it means that item is already linked and listed.
You will be brought to the eBay listing where you will have to fill in all the relevant information
about the products, which means you will have to go through each tab: Description, Features, eBay
Catalogue, Description, Theme & Gallery, Price & Details, Payment, Shipping and Returns.
We have a video guide which explains thoroughly these tabs and how to use them which can be
found here. Video is made using older version of OpenCart however, options are the same in newer
versions therefore are still valid.
This concludes everything that is within the eBay and Dashboard page, but if you have any
additional questions please don’t hesitate to send us a ticket!

As you have noticed there are two separate Amazon marketplaces within your OpenCart store –
Amazon EU and Amazon US. This means that different countries are also supported within these
regions and are as follows:

To register your marketplaces, you can do it via your OpenCart store or directly via your OpenBay
Pro account.
To register Amazon via OpenCart, please navigate to Extensions > OpenBay Pro > Dashboard and

Listings tab
Allows you to change the price in your OpenCart store and Amazon. If you wish to have a different
price on your store and Amazon, you can enter the appropriate percentage in the “Modify Price”
field to adjust the pricing. For example: if you enter 0.2 % that will add 20% to your product price on
Amazon.
You must ensure that your Default Marketplace is checked, as none will be when Amazon is initially
installed.
Orders tab
Order statuses will always by default display Cancelled. You will have to update these Statuses and
assign the correct one for each one.
Marketplaces: you must ensure that appropriate “Marketplaces” are checked as none of these boxes
will be when Amazon marketplace is initially installed.
Other: is pretty self-explanatory and clicking on a blue question mark will briefly touch up on each
option available.

of all your products in OpenCart and clicking on Amazon under the Markets column would be a good
place to start.

in Amazon catalogue. You will also have to select the country where this product currently exists:
If the product is currently not present in the Amazon catalogue you will be able to create a new
product by clicking on “Create new product” option.
Interactive tutorials for listing on Amazon
To create a new product, we have created an interactive tutorial which you can go through here. We
also have a quick GIF tutorial on how listing to Amazon works: http://i.imgur.com/4zvSX71.gif
Amazon Marketplace Web Service (MWS)
Amazon Marketplace Web Service (Amazon MWS) is an integrated Web service API that helps
Amazon sellers to programmatically exchange data on listings, orders, payments, reports, and more.
XML data integration with Amazon enables higher levels of selling automation, which helps sellers
grow their business. By using Amazon MWS, sellers can increase selling efficiency, reduce labour
requirements, and improve response time to customers.
Please note there are no fees associated with MWS, but you need to have an Amazon seller account
to use it.
To get help on how to use MWS, make sure you have read the documentation provided for each API
section. If you need additional help, go to the MWS Discussion Forum at:
https://sellercentral.amazon.com/forums/forum.jspa?forumID=35&start=0, search to find out if
your question has already been resolved on the forum, or create a new forum thread.
If you still require assistance, you can submit your question using the Contact-Us form
at http://developer.amazonservices.co.uk.
To be eligible to use Amazon MWS, sellers must have at least one of the following: a Selling on
Amazon account other than an Individual seller account, an Amazon WebStore account, a Checkout
by Amazon account, or an Amazon Prime Now account. Individual sellers are not eligible to register
for or use Amazon MWS. If you have an Individual seller account and would like to use Amazon
MWS, you can become eligible to register for Amazon MWS by upgrading to a Pro Merchant seller
account from the Amazon Services Selling on Amazon page.
To Sign up to MWS click the “Sign up for MWS” button on the first page of the MWS portal
at http://developer.amazonservices.co.uk.
You must be able to log into a “Pro Merchant Amazon” seller account in order to continue through
the registration process. After you accept the Amazon MWS License Agreement, your Amazon seller
account identifiers and MWS developer account identifier and credentials will be displayed on the
final registration page. Be sure to save these identifiers and credentials as you'll need them to make
successful MWS requests.
If you are an Amazon Seller wanting to grant Third-Party developer MWS access to your Amazon
Seller account, please use the following instructions to achieve this. The third-party application
developer should have given you the application's MWS developer account identifier.
Visit http://developer.amazonservices.co.uk > Click the “Sign up for MWS” button > Log into your
Amazon seller account. On the MWS registration page, click the button for I want to give a developer
access to my Amazon seller account with MWS. In the Developer's Name text box, type the name of
the third-party developer to whom you're giving access. This doesn't need to be the exact name; it is
merely for your reference in the future. In the Developer Account Number text box, enter the MWS
developer account identifier given to you by the third-party developer. Click the Next button. Accept
the Amazon MWS License Agreements and click the Next button. Copy your account identifiers
(Merchant ID and Marketplace ID) as your third-party developer needs them in order to
programmatically access your Amazon seller account. Paste your account identifiers into an email
and send it to your third-party developer. It is also a good practice to print this page and save it in a
safe place.
Fulfilment by Amazon (FBA) and OpenBay Pro
While we are currently only in Beta, we are excited to share this process with you. There are some
key points with regards to FBA within OpenBay Pro that you will need to know.
Firstly, this can be used as your Fulfilment provider regardless of which service you use. So, eBay,
Etsy, Amazon itself, this is your one stop fulfilment pass.
In order for this to work, you will need to have everything set up within FBA account seller manager
In OpenCart within "Location".
Found by navigating to Catalog > Products> "product" > Data > Location. This will need to be
showing as "FBA" all in caps.
If this is in lowercase, or filled incorrectly, it will not going to work.
As long as you have the Amazon SKU and within location have "FBA" you're good to go!
Note: At present, (14/06/2018) FBA is working as intended. You will have to ensure your FBA stock
and your Amazon Stock is correct, as you’ll be sending requests to the FBA server, but it won’t be
updating back within OpenCart, so, should any breakages, damaged goods or returns come in to play
you’ll need to keep an eye on notifications within your Amazon Account regarding the changes so
you can act accordingly to the stock levels.
Multi-Store function
OpenBay Pro can only link to one marketplace account at a time.
If you have multiple eBay shops, then only one eBay shop can be active within the one OpenCart
store.
Amazon marketplace works differently, meaning, once a connection is established between
OpenCart and Amazon you will have an option to list your Amazon products in five EU countries. List
of supported EU countries can be found here. However, if you have several Amazon accounts and
using all of them within one OpenCart store OpenBay Pro will not be able to support all of them.
With the Amazon US account, you can list in the United States only, but the restriction on having one
Amazon US account within one OpenCart store still applies.
Etsy Marketplace
If you are an Etsy Seller, please note that OpenBay Pro extension will work only if you have OpenCart
store ver2.0 and above. Older versions (1.5.-1.6) are not supported.
To be able to utilise this marketplace, requirements are:
➢ You must have an Etsy Shop Set up
With Etsy marketplace you will be able to: list products, link products, import orders from Etsy into
your OpenCart store, update Etsy orders from the OpenCart admin, and manage your Etsy listings
(activate, suspend or end listings).
Installation and Registration
To install Etsy marketplace within your OpenCart store, navigate to OpenBay Pro > Dashboard > and
on the loaded page click on the green + icon to install it.
Once the marketplace is installed, an Edit (blue pen) icon will appear next to it so go ahead and click
it.
On the loaded page you will be able to Register your Etsy shop which will lead you to this page. You
need to register for your OpenBay Pro account (or sign in if you already have an account).
When you are redirected to the registration page enter your store URL (e.g. www.mystore.com) and
agree to the terms.
You will be sent to Etsy to login to your account and confirm that OpenBay Pro is allowed to access
your store.
An OpenBay Pro Etsy account will now be created for you. Switch over to your OpenCart admin area
now and click the settings icon.
Copy the API details you have been given into the matching fields and press save.
You now need to go back into the settings and click on the Sync settings button. This will get all of
the latest options from Etsy (image below).
After having your API connection established, your store will now be live. So, if you check the Etsy >
Dashboard, you will notice Item Links and Etsy Listings categories (example below).
Item Links – Etsy
Within the Dashboard page, clicking on the Item Links will display all your products that are currently
linked on your Etsy marketplace. Looking at the Link Status, you should see the green checkmark
meaning there are no issues with the link, as well as stock level and if you wish to remove the link,
you can press on the red X under the Action column (example below).
If you have products in your OpenCart store and also matching products listed on Etsy.com, then you
can Link these items to maintain a Linked stock status.
To do this, please follow the steps below:
➢ Extensions > OpenBay Pro > Etsy > Etsy Dashboard > click the Etsy links icon
➢ Start typing the name of your Product in the Product name box, this is the product name as
it appears in your OpenCart store
➢ A drop down will appear with matching items. Select the correct product
➢ Copy the Etsy item ID (you can find this in your Etsy.com store admin under listings) and
paste into the Etsy item ID field
➢ Press save and confirmation box will appear if the link was ok
➢ Reload the page to see your linked items (example below)
Listings – Etsy
Within the Dashboard page (Extensions > OpenBay Pro > Etsy > Dashboard), clicking on the Etsy
Listings, will display all your active listings in the table as well as the status of the quantity, link status
and action options through which you can: link a product, delete a listing or deactivate the listing.
If the product is currently not linked, you can simply click on the Add Link icon outlined in blue
colour (example below).
Active listings will provide the option to: add product link, remove product link, delete listing on Etsy
and deactivate listing on Etsy.
➢ Inactive listings give you the option to; make active
➢ Draft listings do not offer any options
➢ Expired listings do not offer any options.
New Listing – Etsy
Your Etsy listings can have a completely different description, images and price to the product in
your OpenCart store. The ONLY linked piece of data is the stock level, if you modify the stock in your
OpenCart product then it will be automatically updated on your Etsy listing. If you run out of stock
then the system will make your Etsy listing inactive.
On the menu go to: Extensions > OpenBay Pro > Manage items.
Choose the product you would like to list by clicking on “Etsy” in the Markets column (example
below) which will direct you to the new listing page.
Within the New Listing page, the first step is to choose your product category that you want the item
to appear in on Etsy.com (example below).
Complete the remaining data on the General tab then go to the Additional Information tab (example
below).
Fill in all the details found within the Additional Information tab for your listing then click the Image
tab.
After filling in all the information click Submit, and your listing will be created. Your images will also
be uploaded to Etsy. Ensure that you do not click off this page until all images have been uploaded.
Order Import – Etsy
Orders are imported automatically but the frequency is determined by the plan you are subscribed
to:
You can request a small number of manual order imports per day and this is ideal for situations
where you need to import an order quickly.
To request a manual import, click the order poll button in the Etsy settings area of OpenBay Pro.
Please note, orders will import based on the last modified time, not the creation time. So, if your
orders import every 5 minutes then the system will poll for orders modified within the last 5
minutes.
If there is an error connecting to Etsy.com the system will automatically fall back to the last time the
orders were checked to ensure that data is never missed. Orders older than when you first signed up
for an account will not be imported, so if you have an order that was created before signing up to
OpenBay Pro but modified after (such as shipped, paid status etc) this will not be imported to your
store.
Updating Orders – Etsy
You can update an Etsy order directly from your OpenCart admin site to Paid or shipped after it has
been imported.
You only need to manage an imported order exactly the same as a normal OpenCart order by
changing the status of it.
➢ On the menu, click the Orders link.
➢ View the order you want to update
➢ Go to the history tab
Choose the new order status (shipped / paid - or whichever status you have set in the Etsy admin
area to match these statuses). Click Add history.
The change will now be uploaded to Etsy.
Edit listings – Etsy
You can change some information on your Etsy listings directly from your OpenCart admin area.
On the menu go to: Extensions > OpenBay Pro > Manage items
If your product has a green status icon for the Etsy marketplace you can click on it to edit the listing
information. When finished, click the Save icon in the upper right corner and your Etsy listing will be
updated immediately.
Subscription Plans & Features explained
Once you are subscribed to a paid plan, there are a few features you will have to take into account.
Here we will cover the following features:
Import Frequency
This feature is basically how often our systems automatically check for new orders on your account,
once a new order is found we will send it to your store. When an order is sent to your store it will
then update your stock levels.
Linked Items
This feature is the number of eBay listings you have linked to your products in your OpenCart store.
A link is required for each item you want to stock control, when an order is imported the items are
checked for the linked items to your OpenCart products
Products Sold Per Month
This feature covers the maximum number of product transactions you can sell on the plan over a 30-
day period. A sold item is per listing. A user can buy as many items of the same listing and it will
always only count as 1 product sold. For example; buyer XYZ buys 10 widgets from the same listing =
1 sale buyer ABC buys 3 widgets and 4 widgets from separate listings = 2 sales
Importing
Importing is part of eBay plan only and it imports your eBay listings into your OpenCart store. This is
a perfect way to automatically populate your store with information you have already spent time
doing when listing in eBay. Importing will bring in all items you have (excluding those you have
already linked to ensure you don’t get duplicate items in your OpenCart store). You can also choose
to import the Categories from eBay too, allowing you to build a category structure for where the
products should be found in your store too. There is also the option to import advanced data such
as: the product weight, dimensions and more if you have this information in the eBay listing already.
Bulk Uploading
For eBay users this feature is a life saver. There are even two ways to bulk upload items; a) by
choosing select products you want to list or b) by choosing an entire OpenCart category (or multiple
categories at once!).
Bulk listing utilises the power of pre-defined profiles you set up (such as shipping, payment,
template profiles). You may have a different style of template for products or even different
shipping rates, all you need to do is choose the correct profile for that product.
HTML Templates
With templates you can build your descriptions, insert product videos, links to customer reviews,
and endless possibilities for your items. HTML templates are an amazing way to make your listings
look more professional by using a standard layout, your brand colours, logos and more. The
templates also support tags which allow you to dynamically create almost any information you want
in the listing description.
Please note that there are certain rules as to what can be inserted into a template. These rules are
coming directly from eBay and can be found here.
