interaction 2015: breast cancer now - how our intranet is helping us engage, integrate and move...
TRANSCRIPT
Coming together in a newly merged charity
How our intranet is helping us engage, integrate and move forward
Uniting to end breast cancer
Nov 2014 – Breast Cancer Campaign and Breakthrough Breast Cancer announce intention to merge
Similar approaches, similar strategies, same ambition: to stop women dying from breast cancer
A new, central intranet is vital for integration
And so our journey began to turn competitors into allies
A tale of two intranetsBoth were static, uninspiring, cluttered and difficult to navigate – and as long as they were separate, they kept us apart
We needed something engaging, visual and owned by everyone
And we needed to create one new culture around it
This is where we needed our staff to be…
But they were more like this…
Uniting around a visionWe believe that if we all act now, by 2050, everyone who develops breast cancer will live
It’s about bringing everyone together – researchers, campaigners, patients, families and fundraisers….
…and of course, our staff
Our intranet has to tell that story every day
Planning
Putting staff at the heartWith representatives from across the organisation (and both legacy charities), we started to design our intranet wish list:
Visual – led by images and videos
Up to date – full of the information you need to do your job (plus the information you don’t know you need to know!)
Easy to navigate – structured around the user, clear and searchable
Interactive – a space where everyone could contribute
Putting staff at the heartSomething new, exciting and owned by all
Structure workshop – allow staff to lay out the intranet together
Naming competition
Integrated intranet launch with new brand launch so all feels part of something new and exciting – a new start
Worked with a team of content managers to get stories and updates ready for launch
Launch
New, shiny and not an old logo in sight!
Content, look and feelWe launched with content that was both exciting and useful – but knew we couldn’t have everything ready immediately
Coordinated launch of new charity with intranet launch
Homepage was bright, branded and dynamic – videos
Prepopulated team pages using ‘meet the team’ widget
Most important policies and forms in searchable section
Regularly updated news items kept the page fresh and exciting in our first few weeks as Breast Cancer Now
Getting staff engagedOur content managers are inow ambassadors
First day instructions on every desk
Initial task – update your profile
Content managers providing a range of updates from across the charity, and encouraging teams to share
inow is supported by a weekly staff enewsletter, In the know, rounding up the best of the week’s posts
Three months later
Lots more interaction via timeline
So many daily new items we had to increase widget size!
inow is part of work lifeStaff have taken the intranet to their hearts!
It’s a core resource that everyone is part of – even our trustees
News stories are organic – we don’t have to force new content
Staff are using inow as a place to praise each other and share in each others’ successes
But we know it’s going to take longer to really bed in
Evaluation and next steps
Things can only get betterWe’re seeing some great results – and some areas where we need to encourage a change in mindset
Analytics for July show that 91% of our users are active on inow – and most visit every day (but we want that to be all!)
We’re working hard on getting staff to complete their profiles – vital for a growing workforce with lots of newbies!
Turning it into a game through a ‘leader board’ challenge
In three weeks, this upped complete profiles from 16% to 32% - but there’s still a way to go yet!
Bring on BCAM!October is Breast Cancer Awareness Month and we see this as our time to bring staff together through our intranet
October is one of our busiest months – and this year there’s twice as much going on!
inow will be at the centre of how we communicate what’s happening and how we encourage staff to share with each other
Staff voxpops, weekly blogs, buzzfeed-style articles, photo galleries, competitions and more!
Thank you!Questions?
