Instructions for Completing a New TennisLink Online Sanction Form Step 1: Go to the Tennislink login page at https://tennislink.usta.com/Dashboard/Main/Login.aspx?App=5 Step 2: Login to Tennislink with your USTA number and password. If you do not have a Tennislink account or are not sure if you have a Tennislink account, please contact Michelle Wilson at [email protected]. Step 3: After you’ve logged in, you will see your Tennislink profile page (like below). If you are logged in as a Tournament Director or Organization you will have the TDM on the Web box on your screen like the image below. If you do not see the TDM on the Web box, please make sure that the Tennislink tab and the Tournaments tab are highlights as circled below. If they are not highlighted please click Tennislink and then click on Tournaments. Instructions for Completing a New TennisLink Online Sanction Form

Step 1: Go to the Tennislink login page at https://tennislink.usta.com/Dashboard/Main/Login.aspx?App=5

Step 2: Login to Tennislink with your USTA number and password. If you do not have a Tennislink account or

are not sure if you have a Tennislink account, please contact Michelle Wilson at [email protected].

Step 3: After you’ve logged in, you will see your Tennislink profile page (like below). If you are logged in as

a Tournament Director or Organization you will have the TDM on the Web box on your screen like the image below.

If you do not see the TDM on the Web box, please make sure that the Tennislink tab and the Tournaments tab are highlights as circled below. If they are not highlighted please click Tennislink and then click on Tournaments. If after you click on Tennislink and Tournaments and you still do not have the TDM on the Web

box, please contact Michelle Wilson at [email protected].

Step 4: Scroll down past the box containing the information regarding TDM on the Web and click on “New

Sanction Form” under Administration.

Step 5: On the next page, complete all of the fields and click “Create Tournament.” If you do not have the

organization’s USTA number or the tournament directors USTA number you can search for the numbers by clicking the Search Icon.

Please note that the Organizations USTA number must be current through the last sanctioned date of the tournament.

Step 6: Under the General Info Tab, select “Section Event” as the Category. When finished, click the icon

that says “Next Step: Organization” at the bottom of the page. For Non-Sanctioned Tournaments, select “Non-Sanctioned” as the category.

Step 7: Under the Organization Tab, review the page. Any field with a grey tennis ball to the right of it will

appear online on the tournament homepage when the tournament gets approved. When finished, click on the icon that says “Next Step: Contacts” at the bottom of the page.

Step 8: Under the Contacts Tab, review the page. Any field with a grey tennis ball to the right of it will

appear online on the tournament homepage when the tournament gets approved. Referee - If you have already hired the referee for your tournament, you can enter that in at this time. If not,

you can go back to the online sanction form after you have hired the referee and add that person later. The referee must be listed and the “Allow access to tournament data” box must be checked in order for the referee to complete the code of conduct forms for junior tournaments.

When finished, click on the icon that says “Next Step: Dates” at the bottom of the page.

Step 9: Under the Dates Tab, complete the necessary fields. Any field with a red asterisk next to it is a

required field. When selecting dates, please take into consideration that the draws must be posted by 10:00am; 3 days before

the tournament start date. The entry deadline for Open and Challenger Tournaments shall be 11:59 pm (one minute before midnight) six

days prior to the start date of the tournament. For example, if a tournament starts on a Saturday, the entry deadline shall be the 11:59 pm the previous Sunday.

When finished, click on the icon that says “Next Step: Entry Info” at the bottom of the page.

Step 10: Entry Info Tab,

Under the entry info tab, complete the necessary fields. Any field with a red asterisk next to it is a required field.

Entry Type = “Open” for All Adult Section Tournaments and All Junior Tournaments below the Yellow Ball Excellence Level.

Entry Type = “Closed to Section” for Junior Yellow Ball Excellence and Sectional Tournaments. Player Selection Type

No Selection Process = All registered players will be selected and all players credit cards are charged at the time of registration.

Tournament Director Selection Process = Players are selected manually by the tournament director after the close of registration. Players’ credit cards are not charged until after entries close and the tournament director processes entries.

Entry Limit = Number of events the tournament is allowing a player to enter. In most cases it is 1 singles, 1 doubles, and 1 mixed doubles if the events are being offered. Please see USTA NorCal Junior and Adult

Tournament Rules for more info under “Entry Limitation on Players.”

Entry Fee Method

Flat Fee = Charges one fee for the tournament and players can enter in as many events possible for one fee (Tennislink fees will be added on to the tournament description and are charge to the player base on how many events they enter.)

First/Additional = One fee for first singles and first doubles and another fee for additional singles and doubles. The tournament may put the same entry fee in first and additional fields. If the tournament is allowing players to play in more than one singles and/or doubles event and is using First/Additional as the entry fee method, the

tournament must enter a fee in the additional singles/doubles fields or the player will not be charged for the additional singles/doubles.

By Event = Entering the entry fee for each event under the “Events” tab

Registration

Under Registration, for NTRP tournaments, please be sure to check the box that says “Check NTRP ratings”

If you would like to require doubles players to enter their USTA Numbers during registration, check the box that says “Require Partner # During Doubles Registration.” Please note if this box is checked players will not be able

to enter in doubles without a partner.

Bank Information

Select how you would like the 80% of the entry fees to be transferred to the tournament. Direct Deposit – Enter the bank account information Pay by Check – Enter the payee and where to send the check to

Once you are done entering the information under the “Entry Info” tab, click the icon that says “Next Step: Events”

Step 10: Events Tab

Click “Create Event Group”

When the event group tab appears:

Select the Divisions for the tournament by checking the boxes (i.e. Junior, Adult, NTRP, etc.)

Then select the divisions you are applying to host by moving the available divisions to selected divisions. You may then select the draw type, draw limit, surface, court size and ball type. The click the icon that says “Next Step Draw Types”

On the define event details page, please make sure all of the information is correct and then click “Save and

Continue”

Then click Next Step Sanction Fee

Step 11: Sanction Fee Tab

Click “Enter/Modify Credit Card Information”, Enter credit card information and click Save. The click the icon that

says “Next Step: Submit for Approval”

Step 12: Submit/Approval Tab On the Submit/Approval Tab page, click on the icon that says “Submit for Approval”

If you are missing items, the page will come back still saying incomplete and it will let you know what you are missing.
