ISTANBUL UNIVERSITY LIVE COURSE SYSTEM

Dear Instructor, Due to the outbreak of the new Coronavirus (COVID-19), the theoretical parts of the courses will be carried out by distance education methods starting from 06.04.2020. In this user guide, you can find information about how to use the “Istanbul University Live Course System” that we have prepared specifically for you and our students to progress without interrupting your teaching process. Important points to consider before reading the guide are as follows:

• All departments of our university have presented their 3-week educational contents to Learning Management System (İÜÖYS), covering the dates between March 16th and April 5th. The loading of the materials will continue until the end of the spring semester academic calendar. Therefore, in addition to this three-week materials, materials for the remainin 6 weeks (in some units, 7 weeks due to the academic calendar difference) must be uploaded to the system.

• Each of our academics must be present in the Live Class System at the time

of the course to be announced to them and must have a total of 6 Live Classes (7 weeks in some units due to the difference in the academic calendar) by the end of the spring semester. Since the screen where you will download the materials works in a one-to-one connection with AKSİS, so your upload process will easily take place in a few minutes.

• The total duration of each class is a maximum 50 minutes regardless of the credit of that it in formal education. When 50 minutes finished, the instructor must finish the lecture and close the lecture session in person. if the course is exited by closing the browser directly, without clicking the "End Meeting" option, the course cannot be recorded and the video archive will not be created.

• The courses will be held in the hours indicated in the "Course Schedule".

There is no opportunity for our faculty members who cannot give their courses with an excuse during the specified time, to make compensation courses via the Live Course System.

• If you encounter any problem in accessing the system before or after the live

courses, share it with the “Distance Education Process Officer” who is responsible for the department or program announced by your Unit. A solution will be found to the problem as soon as possible.

Preliminary Information

T. C. Istanbul University, Live Course System has been put into service. Issues to be considered primarily are as follows. Make sure that the camera, microphone and computer equipment you will use during the training are not faulty. If you are using a wireless connection, a wired connection is recommended to avoid problems with the connection. It is recommended to use Google Chrome, Mozilla Firefox and Internet Explorer browsers as internet browsers. You can download and install these browsers from the links given below. How to Login to the System

“Istanbul University Academic Registration System (AKSİS)” is accessed by typing “aksis.istanbul.edu.tr” in the address bar of the browser.

In the User Name and Password areas on this screen, the information that the instructors previously used to login to the system is written and the Login button is clicked.

Listing Courses

On the opening screen, the courses that the instructor is responsible for at AKSİS are listed.

Among the courses listed on this screen, the screen with the Live Class Button is displayed by clicking the Name of the Lesson or the Contents button on the right.

Switching to the Live Lesson Screen

By clicking the Virtual Classroom button on the opening screen, you can switch to the live course page of the related course.

The Virtual Classroom page includes a meeting page with the students taking the course. The areas used on this page are described in detail on the following pages.

Plugin installation (Adobe Connect Add-In)

If you are going to use the Adobe Connect system for the first time, you need to install the “Adobe Connect Add-In”. You can install the plugin by following the steps below.

1- Click the "Help" button in the upper right corner of the live lesson page and click the "Install Add-in" button in the menu that opens below,

2- Click "Yes" in the small confirmation window that comes up,

3- At this stage, the Add-In plugin will be automatically downloaded and installed on your computer,

4- After the installation is completed, wait for the page to open without doing anything as the page will be automatically reloaded.

For the Live Course application to work properly, the Adobe Connect Add-in must be installed on your device. You can get the plugin from the links below: • Click the Link below to Install Adobe Connect Add-in for

Turning on the Camera and the Sound

First, make sure the camera and microphone are connected to your computer and they are installed. After controlling them, click the "Start My Webcam" button in the middle of the "Video" window in the upper right corner of the live lesson page.

A small confirmation window will appear in the middle of the live lesson page. If this confirmation window is Turkish, click the button that says “İzin Ver”, if it is in English click “Allow”. The image and sound will be activated. In cases where your microphone does not turn on automatically, you can activate it by clicking the microphone icon at the top. The camera works in “Preview” mode when it is turned on. When you have the desired image, open it to the participants by clicking the "Start Sharing" button.

Uploading a Presentation

Click on the arrow icon to the right of the "Share My Screen" text in the middle of the page. From the tab that opens below, click “Share Document” . In the window that opens in the middle of the page, click the "Uploaded Files" button in the upper left left-hand corner. In the middle section, your presentations uploaded in jpeg, powerpoint and pdf formats are listed. When you click on the presentation you want and click the "OK" button at the bottom right in this window, your presentation will be displayed.

Controlling Your Presentation

If the uploaded presentation is in (pdf) format, you can switch between pages by clicking the up and down arrow signs as shown in the picture or by dragging it from any point within the page holding down the left mouse button.

In (ppt-powerpoint presentation) format, you can turn the pages by clicking the right and left arrow signs as shown in the picture,

In (mp4) video format, you can check the video by clicking the "play-stop" button as shown in the picture.

White Board

You can create real-time data, shapes and make interactive presentations using the whiteboard feature. To open the whiteboard, click on the "Share Whiteboard" text in the options on the sharing screen. We will view the whiteboard features in the next step.

White Board

The functions of the tools on the whiteboard are listed below.

1- It is used to carry the things you have made on the whiteboard.

2- It allows you to draw in different effects with different types of pencils.

3- Used to erase the texts, figures etc.

4- It is used to write.

5- It is used to create square, rectangular, round and ellipse shapes.

6- It helps you take your actions one step back at every click.

7- It takes the steps you take back one step forward at every click until you get your last action.

8- It is used to open new blank pages and switch between the pages you want.

9- It shows the page you are on.

10- It turns on the green arrow (pointer) feature that moves with your mouse pointer, so you can show participants where you are teaching more easily.

The Chat Area

The chat area in the live lesson is the area where all participants can chat with each other via private or open message. The messages you write in the chat area are visible to all participants. You can send a private message to the person you choose from the participant list. Only the students you choose will see these messages and they will be appear in separate tabs in the chat window. When you send messages that you want all participants to see, you need to select the "Everyone" tab in the chat window and write here.

Giving the Students the Permission to Speak

Choose the name of the person you want to give the permission to speak from the participant list and click on "Enable sound" from the drop-down menu. The speech of the participant you have given permission is heard by you and all other participants. You can optionally give more than one participant the permission to speak. When the student’s speech ends, again, point to the name in the participant list and click on “Deactivate audio” from the drop-down menu. Doing this will mute the participant’s audio.

The microphone icon on the screen of the participant you have given the permission to speak will become active. By clicking this button, the students can activate their speech with the "Connect My Voice" option.

Sharing Files

1- Click on the "Pods" tab at the top of the page. Click on "Files / Add New File Sharing" option from the menu that opens.

2- Click the "Upload File" button at the bottom left of the file sharing window that opens.

3- Select the file you want to share from the files installed in the system or from your computer and click the "OK" button.

4- When the upload process is completed, the file you selected will appear as a picture shown in the "Files" window. Participants can download the files you share from this window to their computers.

Ending the Class

When you have completed your class, make sure you click on the "End Meeting" button as shown in the Picture, and click on the "End Meeting" option.

Without clicking the "End Meeting" option, if you exit the class by closing the browser directly, the session will not be recorded and no archive video will be created.

This step must definitely be remembered so that the classes are archived properly.
