Project Context

SAP EHS Implementation mid-cap corporation medical equipment and

automotive:

− MSDS Management

− Dangerous Goods Management

− Hazardous Substance Management

− Global Label Management

Customer: Otto Bock Group

− Sales 2015 1.031 billion EUR

− 7500 employees

Main challenges:

− Set up fully integrated EHS landscape

− With external leading data source:

− Externally generated MSDS

− Authoring service provided by Qualisys

State-of-the-Art Solution: not applicable

Customers creating own MSDS usually run SAP EHS together with a so-

called content package which enables the EHS module to author MSDS

Content packages are available on premise as well as online

Content packages can make the authoring process easy and comfortable,

But they require internal functional

experts assessing the results and

running the software

Otto Bock has outsourced this

functional expert work to Qualisys

They required ready-to-use MSDS

with full-blown subsequent EHS-

logistics integration being available

within SAP EHS without user

interaction

Alternative: MSDS Authoring as a Service

Content is only needed on premise to a low extent (phrases and

characteristics only)

− Integration with on-premise SAP EHS instance is possible but not mandatory

− The service provider delivers ready-to-use MSDS and also EHS substance master

records if desired

If the customer does not wish to cover the process of MSDS authoring with

internal resources, this solution can be a real alternative to the usage of own

MSDS authoring software (SAP or 3rd party)

At Ottobock, Qualisys has been providing MSDS for more than ten years

− The customer required to keep the Qualisys services after having deciced to

implement SAP EHS

Prerequisites for an SDScom.xml interface

Provision of phrase libraries and phrase mappings in an SAP-readable format

to be uploaded to SAP EHS in regular update cycles

Only necessary for setups without SI PRO SDBtransfer Adapter:

− Replication of service provider database structure within local SAP EHS substance

database

− Provision of MSDS documents together with SAP-readable key files

− Middleware being capable of converting XML files to the SAP IDOC format

− At Ottobock, SAP XI was used

− SAP PI and PO are also suitable

− Provision of a secure repository and pull strategy for file transfer

Primary data

for MSDS

request

- SAP system landscape - - MSDS authoring system -

How the solution works in practice

Users continue requesting

MSDSs for generation at

Qualisys in the

accustomed ways of

communication

MSDS and regulatory

product datasets are

electronically delivered

and imported to the SAP

EHS specification

database without user

interaction

All SDS data points with

logistics relevance are

automatically populated

How the solution works in practice

All SDS variants and

versions are

automatically managed

within SAP EHS

With integration to the

sales logistics process,

SAP EHS also

automatically sends

MSDS to the customer

via e-mail or prints

hardcopied for postal

mail

All MSDS shipping

events are automatically

recorded and archived

Advantages

With a Service Provider Interface Solution, SAP EHS MSDS Management can

also be made available for companies that do not author their MSDS

themselves

All subsequent SAP integration scenarios are available

− Dangerous Goods Management with sales logistics integration

− Hazardous Substance Management with warehouse logistics integration

− Global Label Management with various logistics integration scenarios

− Occupational Health and Safety with integration to human capital management and

plant maintenance

− Environment management

− Product Compliance with regards to REACh, RoHS, IMDS, GADSL etc.

Possible Enhancement Scenarios

Outsourcing of manual Supplier MSDS maintenance without direct SAP

system access for the service provider

Implementation of the SI PRO SDBtransfer adapter to automatically import

supplier MSDS as well as automatically export own MSDS in the SDScom.xml

format

− EDAS X Bau

− EDAS X Chem

Automation of content maintenance

− Phrases

− Phrase mappings

Automation of document import

Bi-directional interface setup

− Inclusion of MSDS requests to the interface communication
