• The 133rd club of the premium district 3140,
of the Rotary International
• 1st Rotary Club in the city of Thane was started in 1958
• Over the years in 2014 the city of Thane had 21 rotary clubs.
• ROTARY CLUB OF THANE NEWCITY is 22nd rotary club ,
near the suburbs of Mumbai.
• ROTARY CLUB OF THANE NEWCITY prime operational area is
along the Ghodbunder road, an industrial & upcoming residential part of Thane,
blessed with the nature’s gifts like lakes and parks
• Club was chartered on 24th Dec 2013 and was formally presented the charter
in its charter ceremony on 20th Jan 2014

• Our club provided supple hygienic food to 550 children of Abhinav Bal Vidya
Mandir at Bhivandi.
• This school is in the labour class area.
• Parents are unable to provide dietary food to the children.
• This project was actively participated by 8 club members and school
authorities , who personally distributed the food packets and shared the meal
with them.
• All the members contributed Rs 525/- each.

• We distributed items like Note books, Story books, Color Boxes, Games like
Cricket, Football, Skipping Ropes, Rings & Educational Charts, Electric Goods
like Ceiling Fans, Tube lights & even Biscuits for every student.
• The way School Management, teachers & students welcomed us, & the
gratitude they expressed after receiving these items was really touching, which
also made us proud of our service to the community from Rotary Platform
• 11 club members visited the school for the project.

Report of Projects Executed In The Current Year - 3
• The Camp started at 9:00 AM with our team members actively shared responsibilities
to ensure smooth execution of the camp by attending to the following activities :-
– Registration desk
– Sitting arrangement at reception & inside
– Check up hall
– Actual check up
– Announcement & distribution of individual Medical report –
• Our Partners in Service “ Sarthak Jyeshtha Nagrik Sangh of Runwal Estate’
assisted the club members for distribution of leaflets , creating camp awareness&
getting the registration of around 200 people from Runwal Estate. Their members also
actively volunteered during the camp for maintaining discipline. Here I would like to
mention names of Mr. &MrsKhedekar, Mr. Mehta, Mr. Kasar& Mr. Kokane.
• Other 75 members who attended the check up camp were , our club members , their
friends & relatives
• We thank , team of “HEPSFREE India of Dr. Raju Kanakia” for providing well
synchronized non-stop check up from 9:00 AM to 2:00 PM & for providing guidance to
3 people who were detected to be positive during the test.
• Special thanks to our member Rtn Abhijit Deshpande for initiating this Project for
our club.
• This project has turned out to be one of the mega project in ARCOT as total 275
members of society have been benefited.
• We provided free service to the community worth Rs.2,20,000/-
• We had set target of 250, but it exceeded by 25 & thus total 275 people in the
community were benefited.

• Our club provided supple hygienic food to 550 children of Abhinav Bal Vidya
Mandir at Bhivandi.
• This is the same school, where 1stAnnapoorna Day was conducted on July 1.
• This event also was well appreciated by the school authorities & students.
• Active participation of members continued in selection of food , packaging,
transporting , distributing and sharing it with the community of students
• Since we had created awareness of this project we received donation of Rs
5000/-
• Each club member contributed Rs 525/-

• The Laptop was handed over to ACP Salunkhe & his team.
• The intention of donating this laptop was to prepare FIR/Panchnama at site of
complaints& immediate issue of E-copy to complainants.
• Existing practice is to prepare manual report at site in Marathi & then update it
on desktop at police station, which would take 4-5 days, besides lot of time
wasted in follow up by the citizen..

• Club had arranged First Family Picnic wherein 34 club members inclusive of
their family members participated.
• Breakfast , Lunch & Evening snacks were enjoyed by all.
• Quiz , Fun , Rain Dance , Singing , Swimming , Boat ride, Sharing activities
extended the fellowship.
• Each club member contributed Rs 1000/-
• Club’s contribution for this much needed activity was Rs 20,000/-

Programs in year 2014/15
1) This year as a flagship project, the club is adopting two schools- first having 280 children at Sagaon off Bhivandi Wada highway at Ambadi. This school is in 10 km in interior & is run by management comprising of adivasis.
– Besides short supply of educational material, the school is facing acute shortage of water, The water for daily need is to be fetched from a well in vicinity, which is 3 km away from school. The digging borewell is of no use as water table has gone down considerably to industrialization.
– Next the no. of toilet block are inadequate as comparing to number of students. Club will provide additional toilet blocks for children.
– Proper sanitation not attained due to lack of water.
– Club has decided to supply Educational material in phased manner.
– Also the different options are under study to provide suitable water supply scheme.
– Once done, it will solve the daily hardship faced by these 280 children & make their stay in school hygienic & comfortable.
2) Another school having 180 children at Vassori at Wada Vikramgarh Road run by Zilla Parishad. Around 180 adivasi students are getting education here. Being vey backward area, the parents who are farmers of small piece of land, cannot afford to support the education of their children. The children here do not have basic stationary & notebooks with them.
– The science Laboratory & library are empty.
– There is no sports facility. Hence the getting education has become uninteresting for children & is demoralizing factor for teachers.
– Our club has decided to provide Educational stationary, charts, equipment's for science laboratory, ample of good books for library, & other aids to attract children to school & making education interesting. Club is also considering the free medical check camps in both schools.

3) Under Vocational Excellence, the first award from our club shall be given to Mrs Malti
Khedekar, who was Municipal School Head Mistress & is member of Sarthak Jyeshtha
Nagrik Sangh ( our Partners in Service). Recently Mrs Khedekar was felicitated by
Thane Municipal Corporation for her services.
4) In the month of April, lecture shall be arranged on Career Guidance, personality
Development by our Rtn Kishor Bhalerao for the students final year of school at Wada.
5) In the month of January, the school children of Wassori shall be provided with musical
instruments to existing group of folk song singers to enhance their talent.
6) Training of MS office & relevant packages shall be given to students of VIII to X std of
schools at Wada to upgrade their knowledge on operating PCs.
7) Under Service Project-Medical, Dental check up camp shall be arranged in the Month
of Feb for School Children at Wada & Wasoori.
8) Free Hepatitis B & C Camp for Wagle Police Station or JK School Staff.

Article 1 Definitions
1. Board: The Board of Directors of this club.
2. Director: A member of this club’s Board of Directors.
3. Member: A member, other than an honorary member, of this club.
4. Quorum: One-third of the club membership; a majority of directors for the Board.
5. RI: Rotary International.
6. Year: The 12-month period that begins on 1 July.
Article 2 Board
• The governing body of this club shall be the Board consisting of maximum 19 members of this
club, minimum of the President, Immediate Past President, President-Elect, Secretary,
Treasurer, Sergeant At Arms, 9 Directors, Club Trainer, Thrust Area Coordinator, E-
Administrator and Bulletin Editor.
Article 3 Elections and Terms of Office
• Nomination Committee shall consist of the 7 club members who are - President, President
Elect cum Vice President, Immediate Past President, Secretary, & 3 club members who have
been in the Rotary world for more than 5 years.
• The club is in the infant stage & the Rotary knowledge & experience is being imparted to all
the new members.
• Considering this stage will be prevalent for the coming 3 years, it is proposed to have the
incoming BOD thru nomination by the nominating committee.
• Nominating committee shall discuss with the individual of the proposed post, get his consent
before announcing the incoming BOD.
• Nominating committee under the Chairmanship of the President will follow the above
procedure earliest by the 2nd week of December for the incoming Board Of Directors.
• Post 3 years i.e. starting 2014,July 1, ending on 30th June 2017 , the election process will be
reviewed by the outgoing BOD of 2016-17 and placed before the Club Assembly for approval.

Section 3
• A vacancy on the Board or any office shall be filled by the remaining members of the Board.
Section 4
• A vacancy of any officer-elect position or director-elect position shall be filled by the
remaining members of the Board-elect.
Section 5
Terms of office for each role shall be as follows:
• President -1 year
• President Elect cum Vice-President-1 year
• Director -1 year
• Treasurer -1 year

Leadership Plan for this club from 1st July 2014 shall be in progressions for development of
effective leadership as follows:

• Joint Secretary after his or her term shall be Secretary.
• Treasurer after his or her term shall be Joint Secretary.

Article 4 Duties of the Board
Section 1President
• The president shall preside at club and Board meetings and to perform other duties as
ordinarily pertain to the office of the President.
Section 2 Immediate Past President
• The immediate past president shall serve as a director and to perform other duties as may be
prescribed by the President or the Board.
Section 3 President-elect cum Vice President
• President-elect cum Vice President shall prepare for their year in office and serve as a director
and to perform other duties as may be prescribed by the President or the Board.. He shall
preside at the club and Board meetings in the absence of the President.
Section 4 Director.
• A director shall attend club and Board meetings and to perform other duties as may be
prescribed by the President or the Board.
Section 5 Secretary.
• The secretary shall keep membership and attendance records; record attendance at meetings;
send out notices of club, board and committee meetings; record and preserve the minutes of
such meetings; report as required to RI, including the semi-annual reports on 1st January and
1st July of each year, which shall include per capita dues for all members and prorated dues
for active members who have been elected to membership in the club since the start of July or
January semi-annual reporting period; report changes in membership; provide the monthly
attendance report which shall be made to the District Governor within 15 days of the last
meeting of the month; collect and remit RI official magazine subscriptions; and perform duties
as usually pertain to the office of secretary.

Section 6 Joint Secretary
• The Joint Secretary shall assist the Secretary and the Treasurer and perform other duties as
may be prescribed by the President or the Board.
Section 7 Treasurer
• The Treasurer shall have custody of all funds, accounting for it to the club annually and at any
other time upon demand by the board and to perform other duties as pertains to the office of
treasurer. Upon retirement from office, the treasurer shall turn over to the incoming treasurer
or to the president all funds and provide annual accounting, books of accounts, or any other
club property.
Section 8 Sergeant At Arms
• Sergeant At Arms shall perform duties such as usually prescribed for such office and other
duties as may be prescribed by the President or the Board.
Section 9
• Board members may perform additional duties as assigned.
Article 5 Meetings
Section 1
• Annual Meeting. An annual meeting of this club shall be held no later than 31st December to
elect the officers and directors who will serve for the next Rotary year.
Section 2
• The regular weekly meetings of this club shall be held on Fridays at 7.30 p.m. at 2nd Floor,
Conference Hall, Kalabhavan, Thane Bhivandi Rd, Near Big Bazzar, Balkum, Thane (W)-
400606.
• Reasonable notice of any change or cancellation of the regular meeting shall be given to all
club members
• In case there is a change in the regular venue, same shall be informed by reasonable time
notice to all club members.

Section 3
• Board meetings shall be held once in every two months. Special meetings of the Board are
called with reasonable notice by the President or upon the request of two Directors.
Article 6 Fees and Dues
Section 1
• The admission fee of the club shall be Rs. 1000/- for Primary or Secondary members which
will be towards the corpus of the club’s fund.
Section 2
• Membership dues shall consist of RI per capita dues ,subscription fees to The Rotarian or
Rotary regional magazine, district per capita dues, club annual dues, annual contribution of
Rs. 1000/- to the corpus of the club’s Trust, and any other Rotary or district per capita
assessment.
For the sake of managing Fiscals, classification of a membership shall be :
Primary Members:
• They are the first active members from a single Rotary Family.
• The Annual Subscription for the same shall be Rs 14500/-
Secondary Members:
• They are the second active members from a single Rotary family.
• The Annual Subscription for the same shall be Rs 6500/-
• The breakup of the annual dues from Primary & Secondary member for the Rotary year 1st
July 2014 - 30th June 2015 shall be as per the annexure.
• Membership dues shall be payable in accordance with the policies of the club as established
by the Board.
• The last day of payment of the club dues shall be July 31st of every year.

Article 7 Method of Voting
• The business of this club is conducted by voice vote or show of hands except for the election
of officers and directors, which is conducted by the nominating committee. The Board may
provide a ballot for a vote on a specific resolution.
Article 8 Committees
Section 1
• Club committees shall coordinate their efforts in order to achieve the club’s annual and long-
range goals. The President Elect cum Vice President, President and Immediate Past President
shall work together to ensure continuity of leadership and succession planning. When
feasible, committee members should be appointed to the same committee for 3 years to
ensure consistency. The President Elect cum Vice President shall be responsible for
appointing committee members to fill vacancies, appointing committee chairs and conducting,
planning meetings prior to the start of the year in office. It is recommended that the chair
have previous experience as a member of the committee.
This club shall have the following committee
Club Administration
• This committee shall conduct activities associated with the effective operation of this club.
Membership
• This committee shall develop and implement a comprehensive plan for the recruitment and
retention of members.
Public Relations
• This committee shall develop and implement plans to provide the public with information
about Rotary and shall promote club’s projects and activities.
Rotary Foundation
• This committee shall develop and implement plans to support The Rotary Foundation
through both financial contributions and program participation

Service Projects
• This committee shall develop and implement educational, humanitarian and vocational
projects that address the needs of its community and communities in other countries.
Section 2
• Additional committees may be appointed as needed.
Section 3
• The President shall be ex officio member of all committees and, as such, shall have all the
privileges of the membership.
Section 4
• Except where special authority is given by the Board, committees shall not take action until a
report has been made and approved by the Board.
• The President or the Board shall refer additional business to a specific committee as needed.
Section 5
• Each chair shall be responsible for regular meetings and activities of the committee, who shall
supervise and coordinate the work of the committee, and shall report to the Board, on all
committee activities.
Article 9 Duties of Committees
• The duties of all committees shall be established and reviewed by the President for His or Her
year. In declaring the duties of each. The President shall refer to appropriate R.I. materials and
the Avenues of Service when developing plans for the year.
• Each committee shall a specific mandate, clearly defined goals and action plans established by
the beginning of each year for implementation during the course of the year. It shall be the
primary responsibility of the President-Elect to provide the necessary leadership to prepare a
recommendation for club committees, mandates, goals and plans for presentation to the
Board in advance of the commencement of the year as noted above.

Article 10 Leave of Absence
• Upon written application to the board, setting forth good and sufficient cause, leave of
absence may be granted excusing a member from attending the meetings of the club for no
longer than twelve months.
• Member can participate in club projects or other events and activities for at least 2 hours in
each half of the year to receive attendance credit.
• Member who attains his or her age and club years total 85, he or she shall be recognised as
not having to adhere to attendance rules.
(Note: Such leave of absence does not operate to prevent for feature of membership; it does not
operate to give the club credit for the member’s attendance. Unless the member attends a regular
meeting of some club, the excused member must be recorded as absent except that absence
authorised under the provision of Standard Rotary Club Constitution is not computed in the
attendance record of the club.)
Article 11 Finances
Section 1
• Prior to each fiscal year, the Board shall prepare an annual budget of estimated income and
expenditures which shall stand as the limit of expenditures for these purpose, unless
otherwise ordered by action of the board. The budget shall be broken into two separate parts:
one in respect of club operations and one in respect of charitable/ service operations.
Section 2
• The Treasurer shall deposit club funds in financial institution(s) designated by the Board. Our
account for the same is in TJSB Bank Ltd Main Branch, Thane. (A/C No: 49929)
Section 3 a
• Bills shall be paid by the Treasurer or another authorized officer when approved by two other
officers or directors.

Section 3 b
• All banking operation on behalf of club shall be conducted by the Treasurer and either of
President or Secretary.
Section 4
• A thorough annual audit of all financial transactions shall be completed by a qualified CA who
shall not be a member of the club or Chartered Accountancy firm.
Section 5
• An semi-annual financial statement of the club shall be provided to the club members within a
period of 30days for the respective period.
Section 6
• The fiscal year shall be from 1 July to 30 June.
Article 12 Method of Electing Members
Process:
• The vacant classification list will be circulated at the beginning of the year and at the
beginning of the second half of the year by the President.
Section 1
• A member shall provide a candidate’s name to the Board. A transferring or former member of
another club may also be proposed for membership by the former club. The proposal is kept
confidential unless the Board instructs otherwise.
Section 2
• The Board shall ensure that the candidate meets all of Rotary’s membership requirements.
Section 3
• The Board shall approve or reject the candidate’s membership within 15 days and shall notify
the proposer of its decision.

Section 4
• If the decision of the Board is favourable, the prospective member is invited to join the club,
educated about Rotary and membership requirements, and asked to sign the membership
proposal form and to allow his or her name and proposed classification to be conveyed to the
club.
Section 5
• If no member of the club submits a written objection including reasons for the objection, to
the Board within seven days after the club is notified of the prospective member, that person,
upon payment of the admission fee, is considered to be elected to membership.
• If an objection has been filed with the Board, the club shall vote on this matter at its next
meeting. If approved despite the objection, the proposed member is elected to membership
after admission fee payment.
Section 6
• The club may elect honorary members proposed by the Board.
Article 10 Resolutions
• Any resolutions or motions to commit the club to any position or action shall first be reviewed
and approved by the Board. If resolutions or motions are first offered at a club meeting, they
shall be sent to the Board without discussion.

Article 12 Amendments
These Bylaws may be amended at any regular club meeting. Changing the club bylaws requires that
written notice be sent to each member 10 days before the meeting, that a quorum be present for the
vote, and that two-thirds of the votes support the change. Changes to these bylaws must be
consistent with the Standard Rotary Club Constitution, the RI Constitution and Bylaws, and the
Rotary Code of Policies.
