1 Introduction to iLearn

1.1 What is iLearn?

iLearn is Knowledge Platform‟s proprietary Learning Management System, designed

exclusively to organize, deploy and track web-based learning with an easy to use interface. It

is targeted for small to medium size organizations.

iLearn provides an organization with opportunity to enhance their workforce with easily

accessible e-learning by providing following features:

1. Learners are managed in organization hierarchy. This makes it easy to track performance of different departments or regions of an organization.

2. E-learning is decentralized with help of different types of managers. Super Training Managers can upload and manage courses/assessments whereas other Managers can manage and track progress of learners and also upload/administer users.

3. Learners launch their assigned courses over the Internet or intranet. The system tracks

their progress and performance. 4. It provides a comprehensive set of reports for Learners and Managers. Reports may be

customized to analyze results at different organization hierarchy levels.

1.2 iLearn Users iLearn supports multiple user roles. Each role is categorized by different available

features and access rights. The user roles available by default are manager and

learner. Learner role is the basic unit of E-Learning who is concerned with taking the

assigned E-Learning content in form of courses containing modules and assessments.

1.3 Learner Interface

ILearn's learner interface consists of available courses and assessments offered by

the managers. Learner is the smallest unit in the system hierarchy, whose prime

responsibility is to complete the E-Learning contents (modules and assessments) he

wishes to study. A learner has access to the following features:

1. Available Courses: Self-enroll courses to yourself.

2. My Courses: Go through the courses, which are assigned to you.

3. Reports: View your results on different courses and their modules, with details

such as Score, Status, Time Spent, Last Viewed Date and Completion Date. 4. Preferences: Change your password or user role.

1.4 System requirements

1. Make sure you fulfill below system requirements before you start the training. To

check these technical requirements on your system go to „Support‟ link from the

top menu after logging into the system. If any application doesn‟t fulfill the

requirements it will be highlighted in red color on this page.

Internet Explorer: 5.5 or higher

Flash Player: 6 or higher

Operating System: Windows 2000/XP/Vista Windows 2003

Preferred Screen Resolution: 1024*768 For a pleasant E-learning experience, it is recommended that you conduct the

training with at least 56 Kb/sec Internet Connection. Please note that you

need to remain connected to the internet throughout while taking the

training.

2. If you don‟t have Flash Player, it will automatically install on your machine when

you take the course. In order to enable this automatic upload, please have the

setting shown in below screen shot enabled on your Internet Explorer. To access

this setting, go to Tools > Internet Options > click Security tab > Press Custom

Level button and Scroll down to ActiveX Controls and Plug-ins and choose Prompt

under option „Download signed ActiveX controls‟.

3. Please do NOT launch the course from Internet Explorer opened within another

application like Lotus Notes. Instead, launch Internet Explorer separately, and go

to website access link.

4. To properly track your results, make sure that you do NOT have pop-up blocker

installed in your Internet Explorer. These blockers come with explorer toolbars

like MSN, Yahoo or Google. If you have a pop-up blocker installed, follow below

to allow pop-ups:

Disable the popup blocker software or configure it to allow pop-ups for the

ILearn application. This option is provided in most freeware popup

blockers available these days. To turn off the pop-up blocker installed on

your machine go to Internet Explorer, Tools > Pop-up Blocker > Turn off

Pop-up Blocker.

Restart your browser.

5. In case you are using Internet Explorer 7, please make sure that you have set

Tab settings to open in new window as shown in screen shot below. To set this setting, go to Internet Options and press Settings button for Tabs.

6. If there are any links to PDF resources included in your course modules, please

make sure that PDF components are correctly installed on your Internet Explorer. Otherwise the browser might hang while opening PDF files.

2 Accessing the Application

2.1 Login

You need to log in ILearn web site, before you can access any of its features. Follow

below steps to login:

1. Go to the specified application URL. Before you login, please check if your system

meets the requirements for using iLearn. You can do so by clicking the link:

'System Requirements' on login page.

2. Enter your User ID and Password.

3. Click on the 'Login' button.

4. If your user ID and password is valid, you will be allowed to log on to the iLearn

application.

Forgot User ID or Password

If you have forgotten your account details, click 'Forgot Password' from login page.

Enter your account User ID and click on “Submit” button. Your account details will be

emailed at your email address, stored in the system at time of your registration. If

your email address is not mentioned in the system, you will be prompted with a

message. If you still have problems in logging on, click on the link: 'if you are facing

problems please click here to contact support' on login page.

Note:

If your „UserID‟ or „Password‟ is invalid, you will be prompted to re-enter these fields.

2.2 Change Password

Follow below steps to change your login password:

1. From the main menu, go to „Preferences‟.

2. Click „Change Password‟.

3. Fill in the fields for old password, new password and confirm new password.

Please note that your password cannot exceed 10 characters.

4. Press „Save‟ button to store the new password. If you do not wish to change

password at this stage, press „Cancel‟ button to revert back.

5. If the information provided in the fields is valid, your account password will be

changed and you will be directed to the „Preferences‟ main page. Use new

password when you try to access the system again.

2.3 Logout

Observe following steps in order to log off properly from the system:

1. Click „Logout‟ from the main menu.

2. You will be directed to the main website screen, indicating that system has

successfully logged you out of the ILearn application. All your settings and profile

information will remain unchanged when you login next time.

3 Available Courses

The 'Available Courses' link provides you a list of courses to which you can enroll

yourself.

3.1 Self Enroll Courses

You can enroll yourself to 'Self-Enrollment Courses' by following steps.

1. After logging to iLearn, click 'Available Courses' from top main menu or

home page.

2. This page will display all the courses that are available for you in form of a

table. Each row displays data for a course, with information on course

code, course title and description.

3. You can search a course, based on its title, code, description, catalog or

keywords. You can simply type course title in the 'Title' box on top and

click 'Search' button. In order to clear a search criterion, press 'Clear'

button.

4. The courses will be displayed under their respective catalogs and will show

only when you click on the title 'Course Catalog'.

5. To 'Enroll' a course to yourself, click on the 'Enroll' button against it.

6. If the course requires approval from managers for enrollment, the course

will be assigned only when all the 'Approval Authorities' approve that you

should take the course. If approval is not required for the course, it will be

assigned to you right away.

7. The 'Enroll' button against a course will change to text 'Enrolled' when you

have been assigned to a course.

4 My Courses

ILearn learner interface consists of course content modules and assessments which

are assigned to the learner. Learner is the smallest unit in the system hierarchy,

whose prime responsibility is to go through and complete the E-Learning content

assigned to him.

4.1 View Courses

You can view your assigned courses by following steps.

1. After logging to iLearn, click 'My Courses' from top main menu.

2. The courses will be listed here in groups based on their Categories. Click on the

Catalog title to view courses from that catalog. Each row displays data for a

course, with information on course code, course title, description, status, last

viewed date and expiry date. Course status shows different stages of course

progression. Course status can have following values.

Not Attempted: Course status remains 'Not Attempted' till you start the

course.

Incomplete: After the course is viewed for the first time, its status will

changes to 'Incomplete'.

Completed: Incomplete course status will change to 'Completed', when all

the course modules have been fully viewed and completed.

3. You can search a course, based on its title. Simply type course title in the box on

top and press 'Search' button. In order to clear a search criterion, press 'Clear'

button. 4. You can also search a course based on a Keyword. At course creation time the

training manager or administrator can specify related keywords for a course.

Learners will be able to search the course from the list displayed to them based

on these keywords. For example the keywords for a course on Training and

Personal Development could be communication skills, active listening, time

management etc.

5. Click on the course title to access it.

4.2 View Course Modules

To access modules for a course, follow below steps:

1. After logging to iLearn, go to 'My Courses'.

2. Launch the desired course, by clicking on its link. You will be taken to the course index

page, which lists all its modules.

3. The course index page also lists the module title, status and last viewed date for each

module in form of a table. Module status can take of any of the following values.

not attempted: Module status will remain not attempted until you start the module.

incomplete: This status means that module has been started but not

completed.

completed: When a module is completely viewed, its status turns to

completed.

passed: For assessment modules, the status changes to passed when your

score recorded in the system and it is equal to or above the passing score for

that assessment.

failed: For assessment modules, the status changes to failed when your

score recorded in the system and it is less than the passing score for that

assessment.

4. To start any module click on its respective link. Each module launches in a pop up window.

If a module window is open and you launch another one, new module will open in the

same window. Preferably close any open module window, before launching a new one

4.3 Course Training Instructions

Following are a few points that you should keep in mind before taking the modules.

1. When you click a module link from application window, the module launches in a

new window. Don‟t refresh, close or logout main application window, while taking

the modules.

2. To track your module status as completed, make sure that you read the module

completely i.e. up till the last section.

3. There is no time limit in between modules - you can start each individual module

at your convenience. If you leave the application idle for more than an hour, your

session will be expired. To resume your session, press logout and access the

website by your User ID and password again.

4. If your module window hangs due to slow connection or some other problem with

your computer, please close the application window. Access the website again

and launch the module. Most E-Learning courses have book marking feature

enabled and you don‟t require going through the content you have already covered.

5 Reports

ILearn provides different reports to help you monitor and track your progress on

different E-Learning courses. You can visit the report's home page by clicking

'Reports' from the top menu. This page will display a list of reports which you can

access. You can run various reports to monitor the E-Learning progress of your

performance on different courses.

Reports can be exported to excel format or you can generate printer friendly version

for printing purposes.

To access your progress reports, follow below steps:

5.1 Generate Report

1. Click 'Reports' from the top menu.

2. There are two reports available based on the information they provide. Press the

desired report link. Following table provides information on column fields and description for reports available to you.

1 Learner Grade book

Course, Module, Status, Score, % Score, time Spent, Visits, Last Viewed, completion Date

This report provides course and module wise details of your performance. The Grade book report has links for below two reports on top 1. Progress Comparison This graphical report shows Learners progress of the course in comparison with

progress of all other users enrolled to the course. Besides the learners progress, the information includes average progress, best progress, and the least progress of the course. 2. Score Comparison This report shows the learner‟s score of all the assessments in a course. The report also shows the average score of each assessment for all users enrolled to the course, Max Score and the Minimum

Scores of each assessment scored by all users enrolled to the course.

3. In criteria builder select desired course from the course drop drown list. Press

'Finish' and the report will be generated in a new window. For the “Assessment

Detailed Report”, module drop down is also available. Select the assessment

module from the drop down of Module to see your performance on module‟s

assessment questions.

4. Grade report displays your progress on different modules of the selected course

in form of a table. Each row of this table displays data for a single module. The

column fields contain data for module title its status, score, time spent in taking

the module, number of visits, last viewed date and completion date of the

module. Score will be only be recorded for assessment modules.

5. In Grade book Module status can take of any of the following values:

a) not attempted: Module status will remain not attempted until you launch the

module.

b) incomplete: This means that module has been started but not completed.

c) completed: When a module is completely viewed, its status turns to

completed. Note that a module status will change to completed when you

view last page of the module.

d) passed: The passed status is displayed only for assessment modules. Status

of assessment changes to „passed‟ when your score is equal to or greater

than the passing score set for the assessment.

e) failed: This status is displayed only for assessment modules. Assessment

status changes to „failed‟ when your score is less than the passing score set

for the assessment. The assessment's passing score is set by your manager while creating the assessment.

5.2 Export Reports

You can export reports in Excel format by following below steps:

1. Go to 'Reports' from top menu and run the desired report.

2. The report will be displayed in a new window.

3. Click the 'Export' Icon, displayed on top left side of this page.

4. An 'Export Report' dialog box will appear. Select the export format from the file

format drop down list. If you want to edit data in Excel, the preferred report

format is 'Microsoft Excel 97-2000 - Data Only (XLS)'.

5. Press 'Ok' and then press 'Save' button.

6. Mention file name and select location to export the report.

7. Press 'Save'. An exporting report dialog box will appear on the screen. Wait until

your report is exported completely.

5.3 Print Report

You can print a report on any printer configured on your computer. Follow below

steps to print a report:

1. Go to 'Reports' from top menu and run the desired report.

2. The report will be displayed in a new window.

3. Once the report is displayed on screen, click the printer icon on the top left side

of this page. A pop up window will appear with a list of currently available

printers on your machine.

4. Select the printer and press 'Print' button. Report will be printed on selected

printer. If report is sent to a physical printer, a hard copy will be printed. If

Adobe Acrobat is selected, file will be generated in PDF format.

5. The report will be successfully printed and viewed if the selected printer is functioning properly.

5.4 Application Time Zone

The application date/time mentioned on interface is according to the time zone of

server on which it is deployed. As learner you need to consider the time zone while calculating parameters like course expiry date.
