How to put create an event on the APICS website

4. That will open up another menu. Click the Meeting Manager selection.

5. To edit an event, click on the name of the event to change. To create an event, click the Add a Meeting button.

6. Input a name for the meeting. This name is only used internally on the website in the list of meetings that have been setup. The only option for a template is “Create New Template from This Meeting” so select it. Note: This template option does not appear to do anything. Click on the Next button.

7. Select a meeting category (seminar, meeting, tour, etc), and a Start/End Date and Time. The Registration Cutoff Date/Time is usually noon the day before the event and we do not currently use the Late or Earlybird Date/Times. Now scroll the page downward.

8. Fill in the information for the event location. If we have already been in this location, it should appear in the drop-down list for Choose Venue. If we are using a new location that is desirable to save information for, there is an option to Create New (Reusable) Venue. If this is a one-time location (such as a tour), then use the default One-time Venue selection. Click the Next button.

9. Enter a short excerpt of the event in the Excerpt field and all of the event information in the Description box. It is helpful to open the website in another window or tab, and view a similar event. Then you can cut/paste information from the previous event into the new event. It is possible to insert pictures or company logos using the Insert/Edit Image button.

10. After clicking the Insert/Edit button, this window will appear. Click the folder button to either use an image that has already been uploaded to the website or upload a new image.

11. Select an image in the Images folder OR locate a different folder on the left side of the window OR click the Upload button to load an image from your computer. When complete, click the Insert button.

12. The image size can be modified by changing one of the dimensions values. Be sure to leave the Constrain proportions checkbox checked so the image does not get distorted. Click the OK button to complete the addition of the image to the event description.

13. The image can be centered by using the Align center button. After entering any additional text into the Description field, click the Next button at the bottom.

14. If we are not ready to allow people to register (for example prices haven’t been finalized or event information is incomplete), you can click the Disable Registration checkbox. It is important to then later remove this checkbox once all event details are finalized and updated. Click the Add a Ticket button to create pricing options.

15. Select a Ticket Type (Member or Guest) and click the Publish button (otherwise the pricing information will not display on the website). Enter a description (typical ones to use are “Dinner and speaker presentation” and “Presentation only”. Enter the Price of the event, and leave all other fields as they default. Click the Add button at the bottom.

16. Continue using the Add a Ticket button as many times as you need to in order to create all of the possible pricing options. Most events that have a cost and a free option will need four tickets setup. Two for members only and two for guests. A fifth option for discounted student admission may also be desired. Click the Next button when finished.

17. We do not use the next options so click the Next button.

18. A summary of the event will now be displayed with Edit options to make changes to each of the sections. If no other changes are needed at this time, be sure to click the Publish

button to display the meeting on the website AND toggle the Show in meeting list modules from No to Yes. This will display the event in the upcoming events list on the home page of the website. Click the Complete button to finish.
