The Schools of Chemical Sciences, Environment and Psychology are located in the Science Centre, Building 302, 23 Symonds Street.

Each School have a team of Professional staff who support both staff and students within the Schools. Your Group Services Administrator (GSA), Group Services Coordinator (GSC) and Academic Services Coordinator (ASC) will be the immediate people who will be able to assist you in settling into the School or will be your first point of call for information

Getting started Campus card The new campus card serves as ID card, access card and swipe card for printing. Staff members who have been on-boarded through Silk Road will be automatically issued with an ID card which will be sent to your direct Manager. If you have not already organised an ID card, you can order yours online at Campus Card

Username and ID Number New staff members are assigned two number codes that are unique to them. These are:

• Username • ID Number

Your Username is important as it is also your username login. If you have yet to receive your username please contact the Staff Service Centre at [email protected]

Password Once you have your username and ID number, you can obtain a password to log in. To obtain your temporary password or reset your password, please call Staff Service Centre (Ext 86000) from a University phone or 923 6000 from out of the University and they will give you your password over the phone. You should change your password immediately. To change your password go to The University of Auckland homepage. In the Quick Links drop down box select ‘change my password’. Follow the instructions on screen to change your password.

Access Cards and access to Laboratories and Spaces All staff/students are issued access on their ID card for entry to certain University buildings, floors and the required Lab spaces. You can collect an Access Card Request form from the School reception or download and print the same and complete. Tick the areas to which you require access for your respective School. Those who need access to restricted areas will also need to obtain the signature of the restricted area supervisor (listed on the form) and complete necessary training. Email the form directly to your Facilities Coordinator or hand over at the Level 6 reception (Bldg. 302) for processing. Click here to find out who is your Facilities Coordinator.

Office Key In most cases staff and students will be given a key to the allocated office on arrival. However, if we are unable to do this in advance for you, then you can collect a form from the School reception or download and print the same and complete. Email the form to your Facilities Coordinator or hand over at the Level 6 reception (Bldg. 302) for processing. You will be notified by email when your key is ready to be picked up from 24 Symonds Street or Reception

Students – please remember to get your Supervisors signature on the form.

IT access and requests (for staff only) If you don’t have a computer you can contact your Group Services Coordinator to raise the request for you. IT support is available through the Connect Digital Services team via the online portal where you can request for assistance and report issues with all IT related matters. You can also call 86000 for urgent matters.

Printing, Copying and Scanning “Follow Me” printing enables all staff, students and University Community members to print on any managed print services device across the University. Information on how to set up Follow Me printing is listed on the Managed Print Services webpage. There is at least one photocopier on each floor and can be used by any staff member, student or visitor. If you experience an issue please submit a request via the Staff Service Centre portal.

Courier Requests Should you need to send samples or documents from the University you will need to complete the Courier Request form and if the parcel is to go International a “Customs declaration”. Forward the completed request and forms to [email protected] who will then forward you the job details and documents required to be sent along with the parcel. Student reimbursements For reimbursement of all travel and expense claims, you will need to complete the PG Approval form and get it signed by your supervisor. Then scan the form and the valid receipts and email to:

PReSS Account Doctoral students are provided an annual research fund account to assist with their study. The stipend is intended to help cover direct research costs and the amount is dependent on the Doctoral subject area.

Doctoral students with an active PReSS account can view their balances and transactions online through a link from their Students Services Online homepage.

Employment Requests Faculty of Science recruitment approval request form Please complete the Faculty of Science recruitment approval request form to:

• Request recruitment • Retain a casual or research assistant • Establish a contract for service • Vary an existing contract

This information is required to seek approval from Faculty Finance HR (FFHR) Committee prior to recruitment and/or variation. Please submit all contract/employment agreement requests using the online form once your request has been approved.

Requesting a Fixed Term contract • Fixed term contracts are for hires less than 3 years with set work schedules and

hours. • All short-term contracts must be well-justified in the context of teaching workloads,

programme needs and available staffing • Use this link to request for hire of a Fixed Term employee

Note for Environment staff Prior approval from David Hayward, Head of Academic Operations is to be obtained if you wish to hire someone (including Post-docs or PhD students) on a short term contract. Please add David’s email approval to the online request and submit.

Travel & Conferences As per UOA Travel Policy, all bookings for University travel related requirements are to be arranged via Orbit World Travel. This can be arranged via the Orbit Travel Portal or through an Orbit travel consultant.

Travel process for Students Prior to booking travel, all Faculty of Science students (Undergraduates / Postgraduates / PhD’s) undertaking University related International or Domestic travel (flights, accommodation, conference bookings) are required to complete the online student travel approval form

Vehicle Bookings School of Environment Driving assessments and ENV vehicles

You will need to undergo a driving assessment if you wish to drive any of the School vehicles. Assessments are booked through Blair Sowman and there is no cost to you.

If you have any questions about the forms or processes feel free to contact Blair.

The use of private vehicles for University work is only approved in exceptional circumstances. The School has a fleet of vehicles to use which includes 1x Ute, 1x Van and 1x 7 seater SUV and 1x 5 seater Hybrid.

All of the vehicles have automatic transmissions and can be booked online using this Vehicle Booking link. Vehicles have fuel cards and are billed against the charge code you supply when making the booking.

Visitors If you have an academic / student visitor who will be visiting the School please complete the online Pre-arrival form https://www.forms.auckland.ac.nz/en/staff/science/fos-teleport.html well in advance and submit so that the appropriate arrangements are in place. This Pre-arrival form is also used for any new PhD / Masters students joining the School.

Please note | Visitors will need to have a University Username and password in order to access any of the University systems. If they are new to the University and do not have a Username, please ask them to self-register with the University by using this link.

If you would like to cover the travel cost for your visitors, follow this process:

1. If travel is being booked for your visitor for the first time using Orbit, your visitor will need to complete The Personal Traveller Profile form and send it to [email protected] for Orbit to set up in their system

2. Book the travel for your visitor using the Orbit Travel Portal or via an Orbit Travel Consultant and send the order confirmation document to your GSC along with your approval email if using your grant to pay for the visitor’s travel (including the charge codes). Alternatively you can complete the online Purchase Order Request form and submit directly to STC.
