How to Cut Toner Costs by 1/5th

I met with a successful business recently who was using 5 printers and copiers:

• A copier for large runs of prints and copies.

• A printer for invoices.

• A printer for packing slips.

• A fax machine for incoming faxes.

• A fax machine for outgoing faxes.

Why? They like to spend money to replace toners in 5 different machines? Probably not. I see businesses do this all the time. I think what happens is people get in a hurry and buy machines unnecessarily and then get attached to the machines as they're eating up toner because they initially invested $2-$300 (1 toner cartridge costs $80...) which obviously doesn't make any sense either.

I replaced all 5 machines with a production machine THAT COSTS LESS MONEY; a KYOCERA TASKalfa 3010i and a KYOCERA M6026cidn color multi-function printer (which produces "better" color quality brochures than the outsourced brochures printed on a press - according to their associates).

We set up a folder designated just for faxes on the users' computer that converts incoming faxes into a PDF document and places them in a "fax folder" wiping out those 2 fax machines. This allows the user to either delete or print incoming faxes as needed as opposed to every incoming fax automatically printing out junk faxes that costs additional money in toner and paper.

I also installed the DMS Link software and a full-sized keyboard on the 3010i to easily name scanned documents right at the machine.

All said and done their new machines, toner, parts and service calls cost this company less than the 5 machines being used previously.

If you're currently running multiple machines at your business similarly I hope you're reading this and throw those machines in the trash where they belong!
