What to do: Prior to the Meet

q Get administration support- you need everyone

q Have PTO, PTA, or Band and Dance Booster group take over your “Concession stand”. They more than like be fighting over this. They do the work and they make the profit. One thing off your plate.

q Order Materials from UIL – go on line and request test and answer sheets for all grade level test needed.

q Secure Judges – Do it early !

q Assign rooms in your school. –Determine which rooms will be used for what:

Ø Hospitality room for your coaches, judges bus drivers and workers to enjoy for both breakfast and lunch

Ø Grading room for coaches to grade the scored events. Usually the library or media room.

Ø Tally room close to grading room for your tally person to tally points for schools quietly and without interruptions.

Ø Art room for displaying art work to be judged first, then opened for viewing afterwards.

Ø Student gathering area is for all schools to report to as a central area. Usually the cafeteria works and you should have a microphone available in this area.

Ø Recreation area for students to play basketball have fun and meet people from other districts.

q Assign testing rooms: Consider all oral rooms together and more isolated than other scored test. Combine holding rooms for Oral Reading and Spanish Oral Reading. Modern Oratory and Impromptu Speaking can share a room. Do like testing times in the same hallway.

q Make signs for each event with room number and time of event to be place on doors for meet. BIG and BOLD

q Order medals, plaques, ribbons awards etc. – Use your local trophy house or use UIL website for awards.

q Secure a custodian for the day of the meet.q Assign a Tally person – quick, good with numbers, a wiz!q Create a TALLY BOARD or a TALLY REPORTING AREA

to be posted the day of the meet and have a recorder record scores throughout the day of the meet.

q Copy “Contest Roster” in UIL A+ handbook for each event and for each grade level. …I edit mine. Be sure to notify testing administrators (the person(schools) administering the test according to campus assignment) to have each student write legible. I color code the rooster same color as the test color per grade level. I actually have

q As the hosting school, assume that all schools will be bringing a complete team for each event.

q If your school is not bringing a complete team, please notify the hosting school by particular date given. Be sure to have participating schools let you know if they aren't bring full teams.

q A complete and finalized list must be delivered the day of the meet at registration for verifications and eligibility. (as per UIL rules)

q Created a sign in sheet for duty stations for the day of your meet. Place in teachers lounge or high traffic area so you know everyone can see it. Send out emails encouraging everyone to sign up and involve the entire school. Ask for principal support to ensure teacher buy in. You can get parent support and volunteers to assist as well.

q Determine areas of duty: Main Check In, Greeters, Judges aids, Hospitality workers, Hallway Monitors, Gyms Monitors, Timers for oral events, monitors with students in holding rooms, etc.

q Assign your coaches (actual people coaching your events) to their responsibilities for the day of. Refer to the assigned events you are responsible for:

Maps, Graphs, and Charts-measures skills such as location information, making comparisons, & estimating

Main Check INThis is where each schools comes to check in: each school must turn in grade verifications, notify us that they are here. This is where UIL coaches will pick up test to be administered.

Coaches assigned by school will administer and then report to the library to help grade. Like test will test in the same room. 7/8 will test together.. So when someone comes to picking up a test ask them 7/8 or 6. Give them both packets for 7 and 8 … if 6 only the 6th

grade packet. EXCEPT for Science. Science will test 8 grade only and 6 and 7 grades will test together.

Judges check in here too and pick up badges. (name tags) Be sure you have explanation of stations for your people so they will know what to do and be able to advise people.

Library Check IN Where coaches come and bring test after administered and where graders come to pick up answer keys from you. Tell them to pick a table and start grading.

There should be 3 to 5 graders per event to assist in grading. When done they will bring to the “Check In” personal and it will be placed in a “verification period” of 15 min. Once 15 is over it is official and it turned into TALLY room.

All Verifications MUST BE ANNOUNCED…. UIL ruling. Each School is assigned to an event and they will administer the test, their school will score it, and then finalize winners and return it back to CK IN so you can enter it into the “verification time period”.

• No papers may be removed from the verification room area until the verification period is completed (approximately 15 minutes)

• Must have the recorded scores and unofficial rankings available for review

• Coaches must be able to see that the tests were graded correctly and that the total score is correct.

§ The verification process is CRITICAL for catching any errors prior to announcing official results.

§ According to UIL this is the only time such an error can be corrected.

§ Once official results are announced and awards distributed, no changes can be made.

If there is a tie for 1st: each student gets a first place medal, NO 2nd place medal is awarded. The two students will SPLIT the points for the two places: 15 + 12 = 27. The points are split between the students and schools are awarded the appropriate points. The next student will receive a 3rd place medal, the next highest will receive 4th and so on.

IF there is a tie for 3rd place: each student will receive a medal and NO other awards will be given. They will split the points for the three positions, 4th place, 5th place, and 6th place. 8+6+4= 18. Each student with their corresponding school will receive 6 points each.

UIL Competition The Event is here!!Your child is a part of the Goodnight UIL Academic Competition Team. We have been working for months preparing for our meet.

Please plan to drop your child off on Saturday morning January 21st at 7:30 a.m. at Goodnight.Please make sure that your child in on time. Check in with your UIL coach and bring any materials needed. Please make sure you make arrangements to pick up your child.You’re welcomed and invited to come to the competition; however spectators are not allowed in the testing rooms. The awards ceremony will begin promptly at 1:00 p.m.

Students are to bring a lunch or money to buy one from the concession stand. No contestant will be allowed to leave the competition for lunch. You may of course, bring your child a lunch.

Oral Reading and Spanish Oral Reading

Holding Room

Oral Reading- Students enter room and draw for speaking places (1-9, if only 6 then 1-6).

Record contestants into Contest Roster Sheet.

Send contestant # 1 to judging room to read for judges.

When reader one returns, wait 3-4 minutes; then send contestant two to Oral Reading Room to read for judges.

Check on judges about every two contestants. Make sure you are giving judges enough time between readers to evaluate readers.

Readers are not allowed to read beyond six minutes. Timers must be set and followed. Students that read over the 6 minute limit will be asked to stop and dismissed, then one rank will be deducted from contestant. (As per UIL Constitutional Rules)

Continue until last reader reads.

Once all contestants have read, tell contestants to remain in the holding room until you return.

Go to the judges’ room and ask if the judges would like to hear any of them again.

If so, remind contestants to give contestant number only when returning to judges and for them to read again.

Check on judges before releasing contestants. If judges are finished you may release the readers.

Stay with judges until the final decision and have them give you the results.

Fill out Contest Director’s Ranking sheet ONE PER GRADE LEVEL

Bring results to the library for verification and record the time.

UILListeningSkillsTestInstructionsADMINSTRATOR Grades 6th, 7th, and 8th Grades

Directions: This is an individual competition, and each school may have three contestants per grade level to compete. Contestants must sign in on sign sheet at door entrance provided by UIL. Be sure to have them write clearly and legibly and must include school name.

Clear room: Check to make sure you have only three contestants from each school. Call roll by school to clarify there are no more than three students per school. A school may of course compete with less than three contestants.

Distribute blank sheets for note taking.

Assign contestants numbers to each from sign in sheet at door. (refer to UIL sign in sheet) Have them write their number in top right hand corner.

Read Aloud to Students:

“You are about to take the test for Listing Skills. You will take notes on the script I am about to read on the blank paper I have provided. When I am finished reading the script, I will place a copy face down of the test questions on your desk.

Do not open the test until I ask you to do so. All answers must be recorded on the test. Contestants may use their notes during the test.”

“Contestants will be given ten minutes to answer the test questions.”

Administer reading test should read the script clearly and distinctly, try to follow the script’s time markings noted by UIL but it’s not necessary to rush.

Read Script Aloud to Students

After reading script: THEN Pass out test.

*Reminder contestants to record assigned contestant number on answer document.

Begin test and start timer for ten minutes.

Say “You may begin.”

Call time at ten minutes.

Say “Pencils down!” Pick up test and report for grading and verification room.

UILListening Skills Grading Instructions

GRADER Grades 6th, 7th, and 8th Grades

Criteria: The 25 question test is graded objectively. A perfect score is 75.

v Each test should be independently scored twicev Tests contending a different place should be scored a third time by a third graderv Award three points for every correct answer.v Deduct two points for every incorrect answer.v No deduction is taken for unanswered question

Ties will not be broken. If there is a tie for 1st place, then there is no 2nd place.If there is a tie for 2nd, then there is no 3rd place.

Individual points are awarded through 6th place. Tied contestants split the total points equally for the places for which the tie exists.

+ 3 points for all correct answers

- 2 points for all incorrect answers

Graders – grade test, score, then initial

Graders will fill in order of places and double check placement and order

Return test to officials for verification period.

UIL Meet Student/Parent InformationDate Arrival Time Please arrive at Miller by 8:00 a.m. Check in with your coach so that she/he knows you have arrived OR let your coach know what time you are going to be there. We need you there ON TIME….. If you are late your coach will have a replacement sent to the testing room when they call for your event.

Dress CodeDress nicely but be comfortable. Regular school day attire should be worn. If you are competing in a speaking event, make sure that you do not wear clothing that has your name or the name of your school, or San Marcos written on it. Speaking events are to be “church dress attire”.FoodThere will be concession stands available throughout the day beginning as early as 7:30 and remaining open until the awards ceremony. Bring money for food and drinks or a sack lunch. JMaterialsBe sure to bring any materials that your coach has asked you to bring (ex. pencil, oral reading books in a folder, calculator, coaches will have dictionaries, and atlases,)Awards CeremonyThis year we awards will take place approximately at 1:00 pm. They will announce the school rankings 1st, 2nd and 3rd places for each grade level and overall UIL District Winner. Parents are invited to attend the Awards Ceremony.Art RoomArt pieces will be set up in the designated room from 8-8:45. Art will be judged from 9:15 to 10:30. The art room will be open for viewing for all from 11:00 to 12:45. Art pieces will be taken down anytime after 1:00 p.m. Student ExpectationsStudents are expected to arrive on time at 8:00 a.m. Each student is to arrive at their testing site on time, behave appropriately, do their best, and have fun! Each coach has information on room location and time for each event to help ensure students report to their testing site on time and prepared. Students should remain in designated area. Students are NOT to leave after their event in UNLESS they check out with their personal coach ormyself.Thank you,

v Secure judges outside of school for Oral events v Secure judges outside of school for Art events v Secure your own judges for writing events v Secure timekeepers, monitors etc. v Determine areas for students: Gyms, Courtyard, Hallways,

Library, Cafeteria, etc… v Assign campus staff to areas to be monitoredv Make a sheet sign up for school to work stations and

determine locations for food service for kids, hospitality room, grading room, tallying room etc. You will need everyone school on board that day.

rules and have UIL rules book available to assist if needed the day of the meet.

v Plan for room assignments and assign events to room numbers and make signs for doors.

v Run off testing directions for each grade level and make foldersv Run off scoring instructions for each grade level and make foldersv Run off Classroom sign in sheets for each event for each grade

level. It’s in UIL A+ book v Order awards, plaques, ribbons etc.v Assign your teachers to administer your assigned events and

assign teachers for scoring.

v Prepare judges packets on judging an event v Plan hospitality room from breakfast and lunch for all

coaches, judges, and your staff v Plan food concessions (or confirm with PTO or PTA

group, make menu to send to schools)v Create Tallying board for posting (UIL rule must be

posted date of meet and recorded upon throughout the day. (This a an assigned post where you will need somebody at)

v Have schedule posted in both verification room and cafeteria.

v Place signs on doors for each event.

You might think about having staff wear colored school shirts the day of the meet that way other schools know who to refer questions to.

What I think is the most important part of a successful meet:

*Read the Rules for your Event.Make copies and share with your team.

Know the rules and make sure they understand them and the grading

procedure for their event.This is a must… every year someone gets knocked out of winning because they didn’t know the rules…..the grading is the key.
