Employees are expected to make a moderate and judicious use of the home office facility. There are 3 types of home office available: fixed home office, temporary home office, and using the Data Card facility. 1. Fixed Home Office This is the 'permanent' Home Office and is provided to those employees who, owing to the nature of the job, have a constant requirement to work from home over weekends and for extended hours during the work week. Employees can avail the Fixed Home Office for the period that they serve in a function of such type. Facilities provided by SAP Labs India: Network Connectivity (WTS Gateway/ VPN using SecurID card). The employee must bear the expenses towards telephone/ DSL connection, along with the cost of associated hardware.

Home Office Policy

Review Your Eligibility for Home Office

This policy is applicable to all employees of SAP Labs India, on a need basis.

It is a mandatory pre-requisite that employees need to have the applicable hardware or company provided laptop, prior to being eligible for home office.

Please note that:

The Home Office facility must be used only for official purposes and are not meant to be a substitute to employee's presence/ attendance in office.

SAP Labs India will not provide any hardware/software to the employee. SAP Labs India will not maintain employees' equipment.

Employees are expected to make a moderate and judicious use of the home office facility.

There are 3 types of home office available: fixed home office, temporary home office, and using the Data Card facility.

1. Fixed Home Office

This is the 'permanent' Home Office and is provided to those employees who, owing to the nature of the job, have a constant requirement to work from home over weekends and for extended hours during the work week.

Employees can avail the Fixed Home Office for the period that they serve in a function of such type.

Reimbursement

The following expenses are reimbursed upon providing valid original bills and proofs of payment, along with the ISP claim:

Official calls (employees are recommended to use DOSA facility for long distance calls)

Rs 500/ month for DSL rental and usage, plus applicable service tax thereon

Rs 100/ month for Modem rental and usage, plus applicable service tax thereon

One time Installation charges for Broadband / DSL connection

One time Security deposit for Broadband (not for landline). This is recovered from the employee at the time of separation/ discontinuation of this facility.

Please note that Cable Modem installation and deposit are not reimbursed by the Company.

2. Temporary Home Office

This facility is provided to those employees who, owing to project requirements or personal reasons (extended maternity/ paternity leave), wish to avail the Home Office facility for a short, limited duration.

At the time of applying for temporary home office, employees must specify the duration for which they require this facility. Temporary home office is normally provided for 3 months, with monthly extensions.

Facilities provided by SAP Labs India: Network Connectivity (WTS Gateway/ VPN using SecurID card).

The employee must bear the expenses towards telephone/ DSL connection, along with the cost of associated hardware.

Reimbursement

3. Employees Using the Data Card Facility

All employees who are covered under the Data Card Policy are not eligible under the Home Office policy.

Such employees who have existing Home Office facility must surrender their equipment to IT department immediately.

These employees cannot claim any reimbursement for any nature of connection, except those BCP employees as specified under Data Card Policy.

Employees who wish to avail of the Home Office facility must seek the approval of their Managers through email, clearly specifying the type of Home Office facility desired, with business need justification. The approval should be forwarded to the IT department.

SAP Labs India will neither procure the telephone connection nor bear the costs of the telephone on behalf of the employee. Employees must take the telephone connections in their own names and will be responsible for maintenance and timely payment of the telephone bills.

Broadband/ DSL connection expenses cannot be claimed as part of the 'telephone reimbursement' component from the employee's salary.

All official claims under this policy must be settled through the ISP, after getting approval of the immediate Manager.

Read Transition Provisions

All employees who have already availed the Home Office Policy would continue to be governed by the earlier Home Office policy only to the extent of the equipment provided by SAP Labs India. Except as stated in this clause, all other provisions of this policy would apply to the home office facilities already availed.

This policy is effective from 17th August, 2007.

Find Out Who Executes the Policy

The Human Resources (HR) Vice President is responsible for interpreting and communicating the policy guidelines, and facilitating compliance with the policy.

The Chief Financial Officer is to be consulted on all financial aspects related to the policy.

Managers supported by the HR department are responsible for the implementation of the policy.
