RIGGING LINE LOCATION

Policy for ballroom setups (rigging and hang points)

• No lighting or other equipment shall be hanged from air wall track.

• When hang points are needed it is permitted to use “can Lights” to access hang points in drop ceiling.

• When extensive rigging is required all work shall be supervised and approved by an engineering representative, this also includes all electrical connections.

• All production work being done at the Hilton Los Cabos Beach and Golf Resort shall be done in a safe, neat and workman like manner.

• All damages or injuries that are caused as a result of the production work are the sole responsibility of the production company.

Documentation

Given the heightened security measures in all airports, we highly recommend that you travel with a valid passport whenever you are leaving Canada or the US. This process is mandatory.

Security at airport check-in has become more stringent and you may be denied boarding if the name on your identification and your airline tickets do not match EXACTLY.

Please check to verify that your passport will not expire prior to the completion of your trip. If you do not have a passport we urge you to take the necessary steps immediately. You are responsible for obtaining your own passport.

Airport Check-In

Please ensure that you check-in at the airport at least 2 hours prior to your departure. We recommend that you call ahead to your specific airline to confirm your flight departure time. Due to increased airport security measures, please be sure to leave yourself ample time for check-in as late arrivals may be denied boarding.

Luggage Allowance

Passengers are allowed one carry-on bag plus one personal item. Personal items include a purse, briefcase, laptop or backpack. Passengers who have more than one carry-on plus one of the personal items listed above will be required to check the additional bags. The maximum size of carry-on luggage for all airlines is 40cm X 55cm X 23cm (15.75" x 21.65" x 9.06"). You are permitted two pieces of checked luggage per person (golf clubs are considered one piece). Any objects such as tweezers, nail files or pocketknives are not allowed in your carry-on luggage.

Please note that due to the significant increase in fuel charges, many airlines are reducing their free luggage allowance. Quantities allowed remain the same, however, the weight allowance of your bags has been reduced. For instance, Air Canada’s new baggage restrictions are as follows:

• Worldwide free baggage allowance becomes 2 bags weighing up to 50 lbs/23 Kg each (changed from 2 bags weighing up to 70 lbs/ 32 Kg each)

• The maximum allowable weight of a single checked bag becomes 70 lbs/32 Kg (changed from 100 lbs/45 Kg)

• Bags weighing between 50 lbs/23 Kg and 70 lbs/32 Kg will be charged an excess fee of: o $35.00 CAD/$30.00 USD for travel within North America o $60.00 CAD/$50.00 USD for international travel

WHAT TO DO ONCE I LAND IN MEXICO!!!! Once you land and leave the plane proceed through Immigration. You must have your passport in hand. Visitors are given a tourist card valid for 30 days. You must keep this document safe and return it to the Mexican Immigration official upon departure. After showing the necessary documents you will then proceed to the baggage claim area. An official will ask you for a Customs Declaration Form (previously filled out on the plane) and to push the button. If you get a red light, they will search your luggage. If you get a green light you may proceed to the exit, or a search could still be conducted. Proceed all the way out-of-doors, passing through the right hand exit for “groups”. Be sure to avoid contact with aggressive time share representatives located only inside the building.

ADVERTISING OPPORTUNITIES The hotel offers groups and their affiliates opportunities to sponsor/advertise during the specified dates of the meeting/exhibit. AFFILIATES Groups meeting in conjunction with a conference, but not part of the official convention program who require meeting space will work directly with our Events Department. All meeting space, if available, will be at the hotel’s normal prevailing room rental rates and will be subject to the hotel’s contract terms and conditions.

AIRPORT INFORMATION The San Jose del Cabo International Airport is located 29 miles (48km) north east of Cabo San Lucas and 8 miles (13km) north of San Jose del Cabo. The Airport Code is “SJD” There are three different terminals within the SJD area. Once you are in Cabo San Lucas, you may choose to get around town by the city bus, cycle, taxi or walking. Cabo San Lucas is not that far from one end to the other. ATTENDANCE GUARANTEE (BANQUETS POLICIES) FOOD & BEVERAGES No event cancellation is allowed 72 hours from the event date. If the client requests to cancel the event within this time limit, 100% of the total event cost will be charged to the client. If additional set up changes are requested within 48 hours from the event date, the client will be charge US$700.00.+ 10% tax + 15 % service charge. The Hotel will need a final guarantee number 72 hours before the event. No changes in the number of people are allowed within 72 hours. If client decreases the original guaranteed number of people within this time limit, the Hotel will charge based on the original guaranteed number of people. No menu changes are allowed within 72 hours from event date. If the client requests to change the menus within this time limit, the hotel will charge 30% of the cost of the original price of the menu times the original number of people guaranteed plus the total price of the new menu times the original number of people guaranteed. In order to maintain a quality image for all hotel guests, there are a few things we ask of you during your stay: Professionally printed signage is allowed only in the meeting/convention areas. These signs can be used with easels or in sign stands. No handwritten signs or flipcharts are allowed outside the meeting rooms. BANQUET TERMS AND CONDITIONS 1. ASSIGNMENT/CONFIRMATION OF FUNCTION SPACE: You agree to confirm with us the assigned function space before printing any materials listing specific meeting or function locations. The schedule of events in your sales agreement indicates the space is tentatively being held. Upon review of your event requirements, Banquet Event Orders (“BEOS”) will be sent to you to confirm all final arrangements and prices. These BEO’s must be signed and returned prior to the event and will serve as a part of this agreement. 2. GUARANTEE OF ANTICIPATED REVENUE: At least 72 hours (3 business days) before your event, you must inform us, in writing, of the exact number of people who will attend your event. You will be charged based on the event guarantee, or contracted revenue minimum, whichever is greater. We will not undertake to serve more than 5% more than this guaranteed minimum. 3. OVERTIME: You agree to begin your event promptly at the scheduled start time and agree to have your guests, invitees and other persons vacate the designated event space at the end time indicated on the final BEO. You further agree to reimburse us for any overtime wage payments or other expense incurred by us because of your failure to comply with these regulations There is a charge of $ 60.00 usd + 10 % tax per hour for each team member such us waiters, captains, bar tenders, Stewarts etc., that stays overtime 4. GRATUITY & SERVICE CHARGE: 15% of the food and beverage total will be added to your account as a service charge/gratuity and fully distributed to servers, and where applicable, bussers and/or bartenders assigned to the Event. 10% of the food and beverage total will be added to your account as a government tax. 5. PRICE INCREASES: There may be increases in prices due to unforeseen changes in market conditions at the time of your event. We will communicate these increases to you in advance. We will require written confirmation that you agree to pay these increased prices. Alternatively, we, at our option, may in such event make reasonable substitutions in menus and you agree to accept such substitutions. 6. SET UP CHARGES. Should extensive meeting room set-ups or elaborate staging be required, there will be a set-up charge to cover Hotel costs and additional labor. If equipment is necessary that exceeds Hotel’s inventory, then you agree to pay for the cost of renting this additional equipment. You agree to indemnify us for any damage caused to any Hotel property as a result of drayage related to your event, whether caused by you, your agents, employees, contractors, or agents. 7. OUTSIDE FOOD AND BEVERAGE: Due to state law, you may not bring into the Hotel alcoholic beverages. You must obtain prior approval from us before you bring in any food or non-alcoholic beverages from outside sources. A Hold Harmless Agreement and Liability Insurance are required if food or beverage products not purchased and served by Hotel staff are brought in for consumption by your guests. Service fees will apply to any outside food or beverage served in our function space regardless if Hotel labor is required. 8. AUXILIARY AIDS: The Hotel represents and you acknowledge that the Hotel facilities being rented for you including guest rooms, common areas and transportation services will be in compliance with our public accommodation requirements under the Americans with Disabilities Act. You agree that you will furnish to us a list of any auxiliary aids needed by your attendees in meeting or function space at least two weeks prior to your event. You agree to pay all charges associated with the provision of such aids by the Hotel.

9. PROMOTIONAL CONSIDERATIONS: We have the right to review and approve any advertisements or promotional materials in connection with your function which specifically reference the Hilton name or logo, Hilton does not offer or accept any terms or conditions which provide commissions, rebates, HHonors points or other forms of compensation related to revenue for food, beverage, room or equipment rental. BELL SERVICES Our bell services department is responsible for the movement of your luggage and the delivery of all non-food and beverage amenities and golf bag handling/storage. Porterage charges will be outlined in your contract. The current rate is $ 4.00 usd per room plus + 10 % service charge, and is subject to change. Porterage is the delivery of your attendees’ bags from the hotel entrance to the attendees’ rooms, and the return delivery of those bags to the hotel entrance on departure days. Group luggage is generally delivered to the group entrance, where it is organized by room, then delivered promptly. Please keep delivery timing in mind when ordering separate luggage trucks or busses. Departure notices and bag pulls should be coordinated with our Bell Captain, Events Manager or Event Services manager. The bag pull list needs to be completed and delivered to the hotel at least 24 hours prior to the first scheduled bag pull. To ensure a check-out time of 12 noon, we request that the last bags be pulled at 11am. Please keep in mind the size of the resort when scheduling bag pulls, and consult our staff with any questions. Bag pulls are traditionally done with the bags placed outside the door. If luggage is moved from guest rooms and held at one location, let the Bell captain know. BILLING/CREDIT The hotel requires that proper credit information be established prior to your event/conference. Most contracts require full pre-payment of all room, room tax and porterage charges (30) days prior to arrival, as well as 90% of the estimated total program charges. It has a porte cochere and ample room for bus loading and unloading. It is also conveniently located near the ballrooms and meeting rooms. This area may be reserved and set up for satellite check-in and convention registration, depending on your arrival pattern. All coach arrivals will be directed to the group entrance, as the front entrance becomes easily congested and large movements can be more efficiently accommodated at the group entrance. Your guests will be asked to remit credit or a cash deposit upon arrival for their incidental charges, unless we have a letter of guarantee from your organization on file. If your guests are arriving via group transportation and an arrival manifest has been supplied, we will be happy to have all of the rooms assigned in advance and key packets prepared. If your guests will be arriving at scattered times throughout the day with no transportation arrangements made or arrival manifest, we will assign rooms on a first-come, first-serve basis. HOUSEKEEPING Daily housekeeping services, which consists of general cleaning, take place between 8am and 4pm. Should one of your guests require special times of service, requests may be made directly with housekeeping or your Event Manager. The suggested housekeeping gratuity is $4.00 per day. Turn your computer on Look for the wireless connection and check that it is enabled. Check that your computer is connected to the ″Hilton″ signal, this is done by going to the bottom right corner of your screen, and where you will find the icon that shows the connection. KOSHER Hilton Lo Cabos does not have a kosher kitchen, although we have on property kosher meals by la buite foods. They are not the tastiest meals the chef can come up with but they are 100% kosher. 90% of our products in the hotel are kosher and the chef meets with the client and show him/ her what we are capable of doing for him/ her here on property. We have had a lot of positive feed back on our kosher food preparations.

We use new pots and pans plastic forks knifes etc. the kosher food products do not touch non kosher food products or equipment. Meeting with the client allow us to secure that he/ she is well looked after. LAUNDRY/VALET Complete laundry services are also available by dialing 0 (zero) in-house. Garments picked up prior to 8:30am are returned to guests by 7:00 pm the same evening. Garments picked up after 8:30am, will be returned the following day by 7pm. LINEN SELECTION Our Banquet department has a variety of table linens for use in your various functions. If you desire special linens, or would like quotes on theme-coordinated linens and chair covers, please consult your Event Manager LOAD-IN/LOAD OUTS (Production, Decor, and Staging) If your group is planning extensive productions, please ask your Event Manager for a copy of our Production Service Guidelines. Before production load-in begins, a visual inspection of the group check-in area and ballroom with a subcontractor will be made. A diagram of equipment, electrical and staging needs must be approved by Engineering at least ten days prior to arrival. All load-in activity will be monitored by a member of the hotel banquet staff. Set-up must be within hotel guidelines as to location of equipment and in accordance with local fire codes. Load-In/Load Out continued Once a load-in/load out schedule has been established and approved it must be followed, so as not to further inconvenience your conference attendees and our other guests. Large crates, trusses and flats may be loaded into the ballroom from Dorado Terrace entrance. All Load-in/Load-out schedules must be approved in writing by the Event Manager and the Banquet Manager Protective covering must be laid down on all carpeted floor surfaces. The covering will need to be double width on all corners so that cart wheels do not touch the floor surfaces. Prior approval and proper ramps must be arranged for any load-in/out over steps. It is up to the production company to provide the above-mentioned materials. Trucks and containers may only be parked temporarily along the inside road outside the Dorado Terrace door and must be removed as soon as they are emptied. They cannot be left on property overnight or staged in the adjacent fire lane. Carts and/or lifts should be electric, not gas or propane-powered. Equipment cannot be stored in the service corridor adjacent to the ballroom or hallway alcoves per fire codes.

CLEAN-UP RESPONSIBILITIES You are completely responsible for leaving our facility in the same condition as it was given to you. This includes disposal of all excess materials. All charges are to be incurred by the production company. Please ensure that you have notified your Event Manager if you have made dumpster arrangements. Should the hotel have to clean and/or repair any tire tracks, scrapes or any other marks left from your use that must be cleaned by methods other than traditional sweeping (i.e. pressure washing) an additional cleaning fee will be assessed to your final bill. THE BALLROOM There can be no painting or extensive carpentry work done in the area. Please contact the Event Manager office in advance and a work area may be set aside near the hotel carpentry shop. The hotel expects the production company to maintain a 3 foot width/aisle access policy along the perimeter walls. This includes the backstage area and any areas where light towers, etc. may exist. Electrical cables, cords, telephone cords, etc. cannot be run along the floor in any areas of access or egress; and must be flown over all doorways SECURITY The Hotel will not assume responsibility for the damage or loss of any merchandise or articles brought into the hotel. Arrangements may be made through your Event Services Manager for the security of exhibits, merchandise or audiovisual equipment at $100.00 +10 % tax USD per 8 hours shift per security guard . Please notify your Catering/ Event Manager at least seven days in advance if security is required. MASTER ACCOUNTS The hotel requires that proper credit information be established prior to your event/conference. A non-refundable deposit will be required for most/all events, whether at the time of confirming your room assignments or per the sales contract. Most contracts require full pre-payment of all room, room tax and porterage charges (30) days prior to arrival, as well as 90% of the estimated total program charges. Balance is usually due (7) days prior to arrival. Should you require a master account for billing purposes, please complete and return our credit application. Upon approval, master accounts will be assigned per your instructions. Please be sure to advise Events Manager in advance for any specific instructions on how you would like your bill organized. MEDICAL FACILITIES/SERVICES In the event a guest of the resort requires any type of medical assistance, the resort personnel is trained in first aid services and to provide emergency assistance. In addition to this, we have the in-house a nurse and the emergency units response time is ok 20 minutes after the incident has been reported. The main hospital is located in Cabo San Lucas, at an average distance of 20 minutes. A secondary hospital option is located in San Jose del Cabo, 15 minutes away from the hotel. POST-CONVENTION MEETING We encourage our customers to meet with our General Manager during or after the meeting to provide and review feedback. Your Event Manager will coordinate a convenient time. POSTING OF EVENTS Signage will be displayed for each function for your group. Information on your group daily activities will also be posted on our in-house television channel Only professionally printed signage is allowed in the meeting/convention areas. These signs can be used with easels or in sign stands. No handwritten signs or flipcharts are allowed outside the meeting rooms. No banners can be hung along the walls of the Public Areas with the exception of pre-assigned locations. Banners may be hung from the skirting of the hospitality desks and at outdoor functions. Hotel personnel must provide the labor to hang the signs at a fee of $60.00 usd + 10 % tax each. PRE-CONVENTION In order to introduce our clients to the key contacts of the hotel, we would like to arrange a pre-convention meeting a day or two prior to your main group arrival. PYROTECHNICS The storage, use or display of pyrotechnic material or devices, fireworks (Class “C” explosives) and similar incendiary devices intended for theatrical or entertainment purposes, in interior locations of
