Matters Arising
198 GalleryLucy Davies, Director of 198 Gallery presented their development plans to the committee. Planning the expansion of 198 Gallery as a means of sustaining the organisation through lack of funding. Aiming to develop ‘Factory’ where artists can start their own business (business & creative skills mentoring, incubator programmes etc). 1st floor would be for Factory learning/workshop and 2nd floor could be rented out as creative spaces. 2nd floor rentals to pay for 1st floor (Factory) activities.
Aiming to submit planning application by the end of the year. Want to engage the community before planning.
198 have put in an express of interest for the Mayor’s Good Growth Fund; pre-planning application was supported by the Arts Council.
Action:198 to book the community tent to invite the community (espeically neighbours) to the tent to voice their views
Meeting with Lambeth EventsGeorge has been asked by Lambeth Events to listen what their event plans are for 2018.
Action:George to invite Colin as HHS representative
Self-storage facilty on Milkwood RoadAn organisation approached the HHF for support with their intent to turn the bus facility on Milkwood Road into self-storage

Leftover Christmas giftsDonate between Brixton and West Norwood Food bank

Community Sponsorship of RefugeesPublic meeting was attended by 50 peopleDoes the HHF want to become the member organisation of Citizenes UK (ie sponsoring body that would be applying to the Home Office to be legally liable for a refugee family)? the HHF is eligible; annual membership fee of £2k (possibly negotiable)What obligation of responsibilty would the HHF incur as sponsoring body?HHF can help build/support Herne Hill Welcomes Refugees to meet the requirements of delivering this project

Local AwardSuggest three awards (£500 each) plus £500 for delivery costsReach out to other areas of the Neighbourhood Plan area that would benefit from the money and publicitySuggestions:
- Organisation contact list is up to date (could be used by NP group)- Planning could be done before the end of the year
Idea agreed in principle subject to budget
Action:Giles to flesh out project and report back
Equipment loan policyNeed a policy on who we loan to, committ to returning on time, someone needed to send it out and count/check it when it returns; a paper to say we’re not liable; Valerie said she’d take it on
Action:Asset list needs updating and a register for the costs of our assets
Train refurbishment proposalDo we want to get the trains refurbished? The trains cost about £4.5k to build; original manufacturer has done some repairs but claims a bad batch of marine ply
£400 repair could buy the time it would take to source the build of new trainsRepair for 6 months at £400 max and then we’ll look to replace. All agreed.
Action:Ask Charlotte to put the word out to the local traders that we’ll be looking for a rebuild but we want a design specLucy to go ahead with Victor’s refurbishment quote (max £400) as long as it’s guaranteed to last at least 6 months

Piano noticeConsider starting with with a polite/friendly notice about piano usage; budget for the polite notice?
Aviva Community Fund – Underpass redevelopment projectBid submitted for £25k; we’ve been successful to the next round; the Aviva fund is for the cosmetic work ie mural, history hear; could consider replacing the trains; Section 106 money for the structural
Ongoing Project updates
FinanceQuickbooks will provide a profit and loss account for each project plus the source(s) of income and the expenditure and a check expenditure against budget
Proposal to have a finance subgroup – the full committee sets the priorities and the finance subgroup puts forward plans to achieve the priorities
Action:All to go away and look at the finace subgroup policy and discuss at next meeting
Halloween PartyFinancially the committee agreed £500; we have currently raised over £1400Since the money required is commited we can employ the staff, entertainment etc required to ensure it is a successful eventSuggestion - make a statement on Chuffed to say that anything extra goes towards next year
Action:Circulate a detailed budget
WebsiteThe team is reviewing the website alongside Liane from MamaCodes who also works for various large organisations; starting the process of reviwing the website functionality; brainstorming with Liane to work out the purpose of the website (ie layout, what can you find/can’t find, faster changes, dependence on goodwill? etc). Need to prioritise these outcomes and decide on the process. Giles has done a comparison exercise between Drupal and WordPress.
Next step: take the requirement list to a WordPress spceicalist and see what they can do or what functions we’d loose if we move to WordPress

Green PatchesRebecca Thackeray wants to plant the patches in front of the park
Piano AcademyThe Half Moon Pub have agreed to host the Piano Academy on Tuesdays from 4:30-6:00. A teacher has been secured. Initially, the Academy will offer three students three weeks of lessons (25 minutes per week) as an introductory session. Following this the teacher/parent will review and potentially offer a six week programme (25 minutes each week) at the subsidised rate of £30 (£5/25 minutes). This to be reviewed after six weeks.A digital piano will be purchased for the lessons.
Thames WaterMany of the shops are underway with their improvements.
