INTRODUCTION Herewith a brief introduction to our new portal area, now called DASHBOARD.

The introduction is a high level overview of the more important features of our new Dashboard, and we trust you will

find the new environment easy to navigate and more importantly, a very valuable tool in managing your fleet.

DASHBOARD HOME PAGE When you enter Dashboard you land on the Home Page:

Functions on the Home page There are some useful functions to take note of on the Home page:

SEARCH

: The search function allows you to search for a unit using any of the following: PD Transaction # (unit ID #), VIN # (full of last 8 digits), Card #, Plate #, or Customer Unit #.

VENDOR MAP : Enter your current location and view Preferred and Non-Preferred Maintenance Vendors nearby.

NAME : Enter or change your Personal Settings, e.g. address, cell number, password changes, etc.

HELP

: Access Help documentation.

LOG OUT

: Remember to log out when you are done browsing the Dashboard.

NAVIGATING THE DASHBOARD Detailed information can be accessed on both the Customer and the Unit and thus each has a menu with options to

select from:

Customer To access the Customer menu, click on the down arrow next to your company name in the Customer Summary

screen [see screen print below].

From the menu you can access detailed information on billing, reporting, invoice groups, preventative

maintenance policies, notifications, etc.

In addition to accessing detailed information, you can also apply changes / edits to certain customer

information fields in these screens.

The menu options are grouped under General, Reports, Grouping, Policies and Dashboard Access.

Unit To access the Unit menu, first search or navigate to the desired unit then click on the down arrow next to the Unit

Number in the Unit Summary screen [see screen print below].

To get to the unit summary page, first open the UNITS page from the Customer menu.

Next, open a single unit screen by either clicking on the ‘Unit ID’ hyperlink, or find a particular unit to open by

using the ‘Search’ functionality.

From the menu you can access detailed information on a specific unit, e.g. drivers, lease information,

odometer entries, etc.

In addition to accessing detailed information, you can also apply changes / edits to certain unit

information fields in these screens.

BILLING INFORMATION ON DASHBOARD

Monthly Billing Your Monthly Billing can be viewed by selecting the Billing option from the Customer menu.

The Monthly Billing page is a single PDF summary page that lists only the charge types, amounts and totals owing

for a particular month [see example below].

The Monthly Billing PDF summary page will be sent to you on a monthly basis via e-mail delivery or by mail.

o The e-mail will only contain this single-page Monthly Billing but will contain a link to this Dashboard

screen where you will be able to access the supporting Detail Addendums.

To open the Monthly Billing page, click on the PDF icon, which will open the Monthly Billing page as follows:

Supporting Documentation

As the Monthly Billing page only lists the total owing for each charge type.

If you need more information the Detail Addendums are available that will itemize charges for each charge

type at unit or line item charge levels.

To access the Detail Addendums, click on the Bill #.

NOTE: The details of the billing will no longer be sent out by email or mail due to security of data and file size

concerns. To receive the detail you will log into the dashboard so we can ensure secure access to this

sensitive data.

Summary Addendum – Unit Level Summary

The Summary Addendum – Unit Level Summary provides a summary of monthly charges per unit across all

charge types, and totals this into an overall cost / unit.

Detail Addendums

Detail Addendum – Lease Costs Detail

This addendum lists all lease related charges and amounts, in detail, per unit, for the month being billed for

o Lease related charges include recurring monthly lease payments, and any lease payment related charges

for new vehicle deliveries, or lease terminations, etc.

This addendum is an exact itemization of the Total Lease Costs billed on the Monthly Billing page.

The addendum provides important metadata relating to the unit.

Detail Addendum – Other Charges Detail

This addendum lists any charges that the Customer may have requested to be charged-back to them, for the

month being billed for.

Examples could be up-fitting, or freight charges, etc.

It lists Other Charges in detail per unit and is therefore a complete itemization of the Total Other Charges billed

on the Monthly Billing page.

The addendum provides important metadata relating to the unit.

Detail Addendum – Maintenance Detail

This addendum lists Maintenance Charges in detail per unit for the month being billed for.

This is an exact itemization of the Total Maintenance Costs billed on the Monthly Billing page.

The addendum provides important metadata relating to the maintenance transaction.

Detail Addendum – Fuel Detail

This addendum lists Fuel Charges in detail per unit for the month being billed for.

This is an exact itemization of the Total Fuel Costs billed on the Monthly Billing page.

The addendum provides important metadata relating to the fuel transaction.

Detail Addendum – Program Fee Detail

This addendum lists the Program Fees in detail per unit for the month being billed for.

This is an exact itemization of the Program Fees billed on the Monthly Billing page.

The addendum provides important metadata relating to the unit.

Detail Addendum – Fines / Toll Charges Detail

This addendum lists Fines and Toll Charges the Customer requested JPL to pay on their behalf.

The addendum lists all Fine and Toll Charges in detail per unit for the month being billed for.

This is an exact itemization of the Fine and Toll Charges billed on the Monthly Billing page.

The addendum provides important metadata relating to the unit.

Detail Addendum – Licensing / Plate Renewals Detail

This addendum lists any Licensing or Plate Renewals in detail per unit for the month being billed for.

This is an exact itemization of the Licensing or Plate Renewals costs billed on the Monthly Billing page.

The addendum provides important metadata relating to the unit.

Detail Addendum – After Market Detail

This addendum lists After Market fitments to new or existing vehicles.

After Market fitments could be mud flaps, remote starter, security alarm, etc., fitted to a new vehicle prior to

delivery or existing vehicle as per the Customer’s request.

The addendum lists After Market costs in detail per unit for the month being billed for.

This is an exact itemization of the After Market costs billed on the Monthly Billing page.

The addendum provides important metadata relating to the unit.

Detail Addendum – Insurance Details

This addendum lists any Insurance charges in detail per unit for the month being billed for.

This is an exact itemization of the Insurances costs billed on the Monthly Billing page.

The addendum provides important metadata relating to the unit.

Detail Addendum – All Charges Combined Detail

This addendum combines all detail addendums into one consolidated addendum.

Detail Addendum - Tax Summary

This addendum supplies tax information in both Pivot Table- and Excel Spreadsheet format.

The addendum provides a tax summary per tax type for all charges billed.

Asset Sale

Bill of Sale

An Asset Sale is generated when a Customer buys a leased vehicle from JPL at the end of the lease period.

The Asset Sale will display and be accessible on the Customer>Billings page together with the Monthly Billing [see

screen print below].

The Bill of Sale, which is the actual invoice, can be accessed by clicking on the PDF Icon.

As the Bill of Sale is the actual invoice for the Asset Sale, the asset sale will not appear on the Monthly Billing.

REPORTING

Unit Reports

Active Lease Details

Provides a list of all active leases.

o Data such as asset details, driver details, starting odometer, lease delivery date, average km per

month, replacement projected date, etc., is provided on this report.

Terminated Lease details

Provides a list of terminated units in the preceding month and provides important data relating to the

termination.

Unit Details

Provides a list of active fleet and lease units.

o Data such as asset details, driver details, plate details, lease start and maturity dates, fleet start and

end dates, card #, etc.

Replacement Projections

Based on the lease start date and the current month, this report will provide the replacement projected date

and months to projected replacement date.

Other important data is provided in the report.

New/Terminated Leases – Monthly

Provides a list of new leases and leases terminated for each billing month.

Other important data is provided in the report.

Fuel Odometer Usage

Provides the total fuel litres and dollars spent for active vehicles for the previous month.

The average KM driven by each unit is reported on.

This report generates after each monthly fuel billing.

Lease Termination Charge Details

Provides a summary of all closing charges for all lease terminations processed.

Provides a single PDF summary page per unit that was terminated.

Usage Reports

Dashboard Users Report

Provides important management information of the Customers’ Dashboard users.

o Important information such as email address, phone number, last login date, whether the account is

locked or not, and the role of the Dashboard user is listed in this report.

Monthly Exceptions

This report will identify and list all monthly exceptions such as:

o Fuel purchases that fall under certain exception guidelines, example: a unit has in excess of 3

premium fuel purchases in a month, or a unit has 3 or more fuel purchases in one day.

o Maintenance Policy infringements, example: Monthly Total Maintenance exceeds $1500.00.

o Odometer reading exceptions, example: if a unit has no odometer reading entries in the past 30

days.

This report will be generated with each month’s billing.

DASHBOARD USERS Add a Manager or Driver:

o On the Dashboard Users page, the Customer can add a Manager or Driver to become a Dashboard

User.

Click on the <Add Manager/Driver> button.

Fill out the ‘Dashboard User – Details’ section.

Assign a Role and select access to Report Groups, if relevant.

Assign a driver to a unit:

o Under ‘Driver History’ assign a driver to a unit if relevant.

Click on the <Assign as Driver on a Unit> button.

TRANSITION PERIOD

Notifications NOTE: Notifications will not function from April 26 to June 1st. This outage is necessary so we can complete

the migration of all historical data. Contact you CSR or Sales rep is you have any questions about this.

Notifications are emails that automatically get generated and sent to your drivers on a monthly basis

reminding them of important event.

Available Driver Notifications are:

o Preventative Maintenance Notification:

Automatically sends a monthly email to all drivers in this group that need preventative

maintenance based on their vehicles’ preventative maintenance policy.

o Odometer Reminder:

Automatically sends a monthly email to all drivers in this group that didn’t enter odometer

readings for their vehicle in the past month.

o Taxable Benefit (TaxBen) Reminder:

Automatically sends a monthly email in this group that didn’t enter a taxable benefit usage

reading for their vehicle in the past month.

Access Notifications under the Customer>Policies menu.

Setup your own notifications by checking the relevant check box on the Notifications page.

Historic Data NOTE: Historic data will be available in Dashboard by the end of May.

Please contact your JPL Primary Contact should you wish to access historic information in the interim.

TAXABLE BENEFIT Jim Pattison Lease can assist your drivers with preparing and calculating annual automobile taxable benefits reporting

by the specified deadlines each year.

If you want to opt for this service contact your JPL Primary Contact should you wish to benefit from this service:

o Once your company and drivers have been setup for the Taxable Benefit program, drivers will be able to

log into the Dashboard and enter odometer usage.
