From Name

• Description: This is what your audience will see in their inbox.

• Best Practice: Be descriptive, not deceptive! Use something easilyrecognizable like your company name so the reader knows what toexpect and is more likely to open your message.

Pre-Header Text

• Description: This is another way to preview what the body of the email isall about. You can use this to complement your subject line.

• Best Practice: This is a great space to write short and enticing call toaction, with SHORT being the operative word. On average only 80 – 100characters of preheader text will be visible in your recipients inbox, so getcreative and make those characters count!

Subject Line

• Description: The subject line should have a direct reference to theadvertisement. It should be clear, relevant, honest and not misleading.

• Best Practice: Less is more here, as statistically speaking, higher openrates are seen with subject lines that have 50 characters or less.

From Line Forwarding

• Description: If a recipient were to reply to your email message, this directed address allows you to review replies sent directly to that actionable inbox.

• Best Practice: It’s a good idea to create a dedicated inbox if you are sending to a large audience so that you will have a dedicated place that you and your team can manage replies rather than flooding your personal inbox. The “From Line Forwarding” email must be different from the “From Address” - in other words, it must be a real, actionable email that has a dedicated inbox for replies to send to.

From Address

• Description: This is the address the recipient will receive the email “from”. (This is a vanity address that does not have a dedicated inbox.)

• Best Practice: Choose a From Address that shows the emails purpose and your company or brand name. Much like the from name, when it is consistent with your brand messaging, you will have better deliverability and won’t look like spam!

• Best Practice: Get creative with images and copy, but remember to show somerestraint. Studies have shown that emails including three images or less and 20 linesor less of copy have the highest overall response rate. Call to Action

• Description: This is where you tell the reader what you want them to do and givethem an easy way to do it. (ex. “Click here to learn more!”)

• Best Practice: Use buttons to ensure that your readers know exactly where toclick, and stick to action verbs that describe exactly what the user needs to do. Keepyour CTA short and be honest about where the link is going to take them. If you say“Click here to email me”, your audience will be pretty upset if it starts dialing yourphone number instead.

Postal Address

• Description: A valid physical postal address is required in the content of everymessage to be CAN-SPAM compliant.

• Best Practice: Please be aware that a post-office box or mail drop is not sufficient,as the address must be somewhere that a consumer can physically find theadvertiser’s business. The postal address must be that of the advertiser.

Opt-Out Language

• Description: Every CAN-SPAM compliant email must include a clearand conspicuous way that your readers can opt-out from receiving futurecommunications if they would like to.

• Best Practice: This can go in the header or footer of your email and must includea working link that will either remove them from the list or let them manage theirsubscription options.
