TravelGeneral travel information.

Credit CardIt is suggested you bring a credit card for any travel incidentals and/or emergencies.

Business Travel Policy for Non- Exempt Employees Non-exempt employees who are traveling at the request of Apple outside of their standard working hours will be compensated for travel time in excess of their standard commute from their home to their destination as hours worked. Travel time includes time spent at the airport as well as air travel. Any personal time spent on the way to their destination such as sightseeing, shopping and personal meals will not be paid as hours worked. Mandatory meals and/or meetings outside of standard working hours will be paid as hours worked.

Due to Airline SecurityWe prefer not to email copies of fellow traveler itineraries. It is important that you contact each other in advance to determine back up plans in the event flights are delayed. Obtaining flight numbers and airlines is strongly encouraged.

Airport ExpectationsIf you are traveling by air it’s important you are aware of all current restrictions concerning carry on items and the travel information, approvals and documentation you will require prior to travel. www.tsa.gov

Arrival SundayWhen you arrive Sunday and are checked into the hotel (anytime on Sunday) the rest of the day is your own. A wise thing to do is contact your fellow trainees to see what car group you can ride in to Bubb 4 for Monday morning (explained in the next paragraph) or offer your fellow trainees a ride if you are a driver.

AccommodationsThe cost of the accommodations for your training will be billed directly to Apple. Additional charges associated with telephone calls, pay per view movies, room damage, etc. are your responsibility and WILL NOT be reimbursed.

Agenda for MondayPlease have the maps that are provided on the “Maps & Direction” page since you will need this to get to Bubb 4. On Monday, meet in the lobby of the TownePlace Suites at 9:00 am and break up into car groups and arrive at Bubb 4 at 9:20am sharp. Upon arriving, if it is raining outside please stay in your cars until you see a representative from Apple come out at the front doors and wave you in. If the weather is nice you can either stay in your car or come to the front entrance and wait at the doors. A corporate partner from the training team will come out to greet you and bring you into Bubb 4 lobby at 9:25am sharp. Orientation and badging will be from 9:30am -11:30 am followed by lunch. After lunch, proceed back to the training facility at Bubb 4, where you’ll be for the remainder of your training here in Cupertino. You will receive more details for the rest of training from your instructor.

Your TicketYour tickets are electronic so there is no actual document. The Travel Authorization that travel sends acts as the receipt and the passenger can print that to take to the airport. Or they can check in online and print out their boarding pass from there and take it to the airport.

Rental CarThe rental cars are to be shared among the group to get around town while training. Only Apple employees that are over the age of 21 with a valid drivers license are allowed to drive the rental cars. So for those that have been assigned the car and are leaving on friday night, be sure to check with those that are leaving on saturday since they might need the car. If you are a trainee that is departing on a saturday and do not have a car to get there, find out who is leaving on friday night and collaborate with them on taking the car. The car can also be returned at SFO airport even if you arrived in SJC airport and vice versa.

Hotel Check-Out TimeIf you have a red-eye home on Friday, please make sure to check out on the last day of training @ 11:00am or before coming toBubb 4.

TownePlace Suites Pool Hours & PoliciesThe pool is open till 10:00pm. The pool is a courtesy and luxury, and those using the pool should have good judgement in the way they act and use the pool. No headfirst diving into the shallow end, extreme rowdiness, or behavior that would result in injury or destruction of hotel property. Also under no circumstances should there be any bottles near, next to, or in the pool area. Remember this is a business trip. Be respectful of other neighbors and the hotel. The Apple brand and how we represent the company is very important. Be courteous and think about those around you not just about what you are doing at the moment. All misuses of the hotel and offenses will be communicated to Apple and could result in decisive action against the offender.

No Smoking in Hotel RoomsThe TownePlace Suites is a non-smoking hotel. Be aware that there is a $250 charge for each incident. This charge will be passed on to the EMPLOYEE. There are designated smoking areas outside the hotel. Thank you.

Conduct On Apple CampusUnder no circumstances are pictures to be taken on Apple Campus. The only place pictures can be taken is at the front of Apple campus next to the large green number 1, which you will pass when you meet in the lobby for orientation Monday morning. Please follow these rules; they are Apple policy and disobeying them will result in Apple security taking appropriate action. Also, if you smoke, the only ground for smoking is OFF Apple Campus. Apple is a non-smoking environment. If you leave after lunch to go smoke or otherwise, you will not be able to get back in because you will not have a badge. Be aware of this policy and plan ahead to smoke or handle what you need to do way before we all go to lunch at 11:20am.

Parking @ Bubb 4When parking at is at capacity you are not allowed to park on non-Apple property while attending training at Bubb 4. If the landlord decides to start towing any rental cars that are parked on non-Apple property the towing expense will be the responsibility of the trainee(s) assigned to that car or who parked it, not Apple. For additional parking go to Bubb 9 , 10, or 5. As always when parking make sure you do not park in the handicapped section unless you have the proper validation to do so.

Local LawsCalifornia cell phone law.

What are the new laws?The first law prohibits all drivers from using a handheld wireless telephone while operating a motor vehicle. Motorists 18 and over may use a hands-free device. The second law prohibits drivers under the age of 18 from using a wireless telephone or hands-free device while operating a motor vehicle.

What if I need to use my telephone during an emergency, and I do not have a hands-free device?The law allows a driver to use a wireless telephone to make emergency calls to a law enforcement agency, a medical provider, the fire department, or other emergency services agency.

What are the fines if I'm convicted?The base fine for the FIRST offense is $20 and $50 for subsequent convictions. With the addition of penalty assessments, a first offense is $76 and a second offense is $190.

Will the conviction appear on my driving record?Yes, but the violation point will not be added.

Will there be a grace period when motorists will only get a warning?No. The law goes into effect on July 1, 2008. Whether a citation is issued or not is always at the discretion of the officer.

Are passengers affected by this law?No. This law only applies to the person driving the motor vehicle.

Do these laws apply to out-of-state drivers whose home states do not have such laws?Yes.

Can I be pulled over by a law enforcement officer for using my handheld wireless telephone?Yes. A law enforcement officer can pull you over just for this infraction.

What if my phone has a push-to-talk feature, can I use that? No. The law does provide an exception for those operating a commercial motor truck or truck tractor, to use a two-way radio operated by a "push-to-talk" feature. However, a push-to-talk feature attached to a hands-free ear piece or other hands-free device is acceptable.

Does the new law prohibit you from dialing a wireless telephone while driving or just talking on it?The new law does not prohibit dialing, but drivers are strongly urged not to dial while driving.

Will it be legal to use a Blue Tooth or other earpiece?Yes, however you cannot have BOTH ears covered.

Does the law allow you to use the speaker phone function of your wireless telephone while driving?Yes.

MedicalPersonal medical coverage.

Medical coverage while travelingIf you are a U.S. employee scheduled to travel on company business and are enrolled in a medical plan offered by Apple, you will have coverage in the event of a medical emergency worldwide. Additionally, even if you are not covered by an Apple medical plan, while you are traveling for work, you will have coverage through Apple's Travel Assistance program and Apple's Business Travel Accident insurance.

Apple Medical Plan members and Hawaii HMSA PPO membersCompany travel emergency/urgent care: If you need emergency medical care while traveling anywhere in the world, coverage will be at the in-network benefit level. If you're traveling on company business, no deductible or copay applies.

Personal travel urgent careIf you need urgent medical care while traveling in the United States, coverage will be at the in-network benefit level when you use network providers. The UnitedHealthcare network is nationwide. If you're traveling outside the United States, urgent care will be covered at the in-network level.

If you are in the U.S., UHC can be reached at 1-866-348-1286 or you can check out the online provider directory at www.provider.uhc.com/apple. When you seek care from UHC participating provider, your claim will be paid as if you were in your home state.

HMO plan membersHMO plan participants also have out-of-area coverage in the event of a medical emergency. Participants are required to contact their primary care physician or insurance carrier within 48 hours (or as soon reasonably possible) when obtaining out-of-area urgent medical treatment; otherwise, coverage may be denied. In addition, for continued out-of-area medical treatment, participants must immediately follow up with their primary care physician or insurance carrier for on-going treatment authorization.

Car RentalFrequently asked questions.

What if I am involved in an accident in a rental car?f the vehicle is rented from Hertz or another rental agency for short-term business travel, and is involved in an accident, please promptly complete the rental agency's accident forms, and provide them to the rental agency representative.  A copy of the accident form should simultaneously be submitted to RISK MANAGEMENT.  Please refer to the Apple Travel Policy for further guidelines on rental vehicles.

Know Where You are Going.Always know where you are going and how to reach your destination. If you become lost, do not stop to read a map or directions until you are in a well-lit public area with other people around.

Ask for Directions.

Ask a rental agent for directions or a map before leaving the Hertz property.

Ask at the hotel front desk for directions at other times.

Below is a break down of where to go upon your arrival.

Do not stop along the road to ask for directions from someone there.

Review the Car's Controls.Review the controls in the car before leaving the rental area. It can be very dangerous to look for unfamiliar controls while driving.

Conceal Packages or Luggage.Do not leave luggage or packages visible when you leave your car. Put them in the trunk or glove compartment before leaving the rental area.

Lock Doors and Use Safety Belts.Make sure that your doors are locked and that your safety belts are secured.

Be Alert.

Always be alert and aware of where you are and what is going on around you.

As you approach your car, check inside and beneath it to make certain no one has hidden in or near your vehicle.

Do not pick up hitchhikers.

Do not resist if a stranger approaches and demands your valuables. Your well-being is more important than your belongings.

If Your Car is Bumped.If your car is bumped by another car in a secluded or dark area, do not pull over and stop. Drive to the nearest public area and call for police assistance.

Car RentalFrequently asked questions.

Dealing With Car Trouble.

If car trouble is experienced on a major thoroughfare, lock the doors, turn on flashers and wait for the arrival of a law enforcement officer.

Do not stop if someone signals you for help. Drive to a well-lit public area and report the incident to the police.

Do not pull over for flashing headlights behind you. Drive to the nearest well-lit public area and check your vehicle.

Parking.Always park in well-lit, open areas as close to your destination as possible.

Is the trainee who rented the rental the only trainee who can drive the car?No, as long as you are over 21 with a valid license and are an Apple employee you may drive the vehicle. There should be sharing among the groups.

Should I accept the refueling option at Hertz when I pick up the car?No. The contract between Apple and Hertz states that the employee is suppose to fuel up the car before returning it to avoid exorbitant gas prices. It is safe to say that gas prices will always be more expensive at Hertz although there may be exceptions from time to time. In either case it is best to go with policy and decline the refuel option and refuel the vehicle before returning it.

Can I return a car to SJC if I flew into SFO and vice versa?Yes, you can.

ExpensesHow to submit expense reports.

Milage ReimbursementThe mileage is paid on the actual miles from your place of business/home to and from your local airport for your personal car ONLY. The mileage reimbursement includes fuel costs. The mileage purpose and number of miles traveled must appear on your expense report.

Ground TransportationTaxi charges are reimbursable to and from the airport only. One vehicle may be provided for you and will be directly billed to Apple (no upgrades at time of rental) Fuel costs will be reimbursed. Please ensure you refuel the automobile PRIOR to returning the vehicle.

Airfare

The cost of round trip airfare will be billed directly to Apple. If you need to make changes to your airline reservations due to personal reasons, you will be responsible for all additional costs that may result from the change. Please contact Nathan Pearson VIA EMAIL for any needed changes to your flight itinerary. Please provide the reason for the change and if you have received an flight itinerary already. CC your manager in the email.

Meals If you have been provided hotel accommodations you may expense meals while you are attending training. Items NOT included are those, which one would buy regardless of location (i.e. magazine, mints, cosmetics, cigarettes, alcohol, etc.). The daily allotment DOES NOT roll over. Meal Per Diems are $60.00 US. Employees are approved to purchase food/groceries at the beginning of their travels, to avoid eating out, as long as the total is not more than the approved per diems in that same travel timeframe. If you wish to buy groceries from a supermarket to cover several meals you may do this as long as you remember when completing your expenses to make a note in the comments that you shopped for “x” number of days.

Petrol when using your own car instead of public transport (calculate milage driven, to claim back)

Any expenditure that is personal in nature

Alcohol

Personal entertainment, e.g. in-house movies, magazines, sporting events

Side trips for personal reasons

Q. Does Apple have Direct Deposit for paychecks and expenses? How long does it take before paychecks get automatically deposited? A.Yes, Direct Deposit can be accessed through MyPage you will need your bank routing number and account number. It may take one to two pay cycles for your direct deposit change to take effect. It takes about 2 weeks to get your money back if all is done correctly.

Q. Can dinner be expensed for a number of people by one person?A. When a number of people go out for dinner, you should all request separate checks as these are personal meals that need to be charged to individual cost centers.

Q. What happens if I exceed my $60.00 meal allotment one day?A. Personal meals are reimbursable up to the following limits per day. Limits will be enforced at the level of total dollars per day, versus per meal, except for partial travel days. In other words, travelers will be allowed to exceed the per meal limits as long as they don’t exceed the per day limits, except for partial travel days. If the total of the days expenses exceed the per day limit, this overage is not reimbursable.

Q. What happens if I lost a receipt?A. Apple covers up to $25 of a lost a receipt. You are allowed to claim up to 2 missing receipts.

Q. What happens if I go to the grocery store for the week and my bill is over $60.00, which exceeds the daily allowance?A. Your “Personal Meals” for that day will be over and require Controller approval on your expense report. Make sure you add a note in the comments that you shopped for “X” number of days. For example: You submit a receipt for $80.00 for groceries for breakfast food. Make a note in the comment section ($80.00 for 11 days of breakfasts = $7.27 per day).

Q: Why must I include so much detail with my expense reports, including trip objective, business purpose, names of attendees at a meal, etc.? A: The IRS requires this level of detail to validate the business nature of the expense, and it assists A/P in efficiently auditing and processing expense reports.

Q: Can I have my out of pocket expenses directly deposited into my bank account, instead of waiting for a check from Apple and then having to deposit it myself?

A. Yes, you can elect to have direct deposit for both your expense reimbursements and your paycheck, as well. Visit MyPage.apple.com to sign up for direct deposit online.

Q: What happens if I submit meal receipts that are over the daily allowance?A. The approver will reject your expense report, which will cause a delay in your expense reimbursement.

Q: Should I submit an itemized or the credit card receipt? A. It is preferred that the itemized receipts be submitted. If you lost the itemized receipt you are allowed to submit the credit card one.

Q: Is it better to fax receipts to A/P or to scan & enclose the receipts in the eApproval form?A: Functionality has been built to accept either method of attaching receipts to the expense report; use whichever method works best for you.

Q: How long should I keep my original receipts after I’ve faxed or enclosed them on the expense report?A: Keep copies of your receipts until, at a minimum, you have been reimbursed. While A/P has tested the system, if your receipts are not properly transferred by the system or are unreadable, we will request that you re-submit them.

Q: Must I use the “flier” as my cover sheet when faxing in receipts?A: Yes, the cover sheet contains bar codes that identify and match the faxed receipts to the expense report. Without the flier, the system is unable to match the documents together. Be sure and use a separate, matched flier for EACH expense report’s receipts.

Q: I did not print or I have misplaced the flier for faxing, can I print another one? A: Yes, in eApproval open the expense report. From the pull down menu, select “Utilities” and then “Print Flier”.

Q: I do not have access to a fax machine or scanner, what should I do?A: In these rare instances, A/P will accept original receipts. If you are mailing the receipts, select the mail option.

Q: Why must I submit my expense reports within 30 days?

A: Accounting rules require that expenses be recognized and recorded in a timely manner. If expenses are not submitted within 30 days, VP approval will be required.
