November will be a fun time to be in Chicago, not only because it is a great city, but because we have put a great program together. This year has been very interesting for the Division because of the changes that we have introduced to the way we communicate and the way we elect our officers. In last year’s business meeting we decided to test an electronic voting system. I was responsible for putting together the elections and reminding people to vote. We had a total of 61 members who participated in the voting and elected our officials. Message from your chair, Isabel c. botero

I hope that all of you will join us this year for NCA’s centennial celebration. November will be a fun time to be in Chicago, not only because it is a great city, but because we have put a great program together.

This year has been very interesting for the Division because of the changes that we have introduced to the way we communicate and the way we elect our officers. In last year’s business meeting we decided to test an electronic voting system. I was responsible for putting together the elections and reminding people to vote. We had a total of 61 members who participated in the voting and elected our officials. Bonito from the University of Arizona, we also developed a listserv for the Group Communication Division. This can be accessed through the NCA website and the following email address [email protected]. We hope that all of you will “like” our Facebook page and share your interesting ideas through the listserv.

One of the aspects that I wanted to improve as part of being the Chair of the Division was to find a way to archive and collect information that the Chair possesses in a way that it can be transferred between the people that will

I have collected all of the information and exchanges that I have in this e-mail, and I will transfer it to Laura Black, as she prepares to take over the Chair position. This is a first step to the file of information that the Chair has to manage, so that the next person knows what has been done in the past and how it can be approached in the future. I really hope that this will help future chairs perform their duties to the Division.

I hope you are looking forward to the 100th annual NCA convention, coming up in Chicago. We have a very strong set of panels and paper sessions this year. We received 29 paper submissions and 4 panel sessions for review. I was able to program11 sessions including 8 paper sessions, 2 panels, and our business meeting. All of our sessions are scheduled to be on the third floor of the Palmer House hotel. Please join me in thanking the 14 reviewers who offered their time and expertise for our division. I appreciate their generosity and willingness to volunteer. This year we have four papers in this session, most of them collaboratively authored. This session includes work by Jennifer Ervin, Joe Bonito, Joann Keyton, Andrew Pilny, Alex Yahja, Melissa Dobosh, Scott Poole, Kevin Barge, Josh Barbour, Kathy Isaacson, and Mikyeung Bae. These are all outstanding papers that went through a rigorous two-stage review process, as discussed at our business meeting last year. After all Group Division submissions had been reviewed, I identified the top 20% of the scored papers and sent them to our Top Paper Reviewers: Andrea Hollingshead and Michael Kramer. These expert reviewers reviewed and ranked the top submissions to help me select the top papers. I hope you are also able to join us for the Division business meeting,

a. NCA received a large grant from the Lumina Foundation to do a faculty-driven student learning outcome project. More information can be found on natcom.org under “Tuning Project.”

b. Data about the discipline can be found on natcom.org under “Data about the Discipline.” The link can answer questions that support faculty inquiries about the significance of our discipline.

c. We have a new membership brochure that highlights the benefits about membership; fliers about how to stay connected with NCA are in the registration bags.

d. Audience questions and discussion: i. Mailing NCA nametags in advance versus picking them up at the Convention.

ii. Division websites are available and have been since December 2012. iii. Lumina grant details: NCA is looking for diverse groups of faculty and institutions to participate.

a. Michael Kramer motioned to accept; Jessica Jameson seconded. b. Minutes approved.

7. Chair’s Report: Torsten Reimer a. Legislative Assembly (LA) Report: Leadership proposed to implement a new board of governors of 15

members and also keep the LA in place. i. A motion passed to send this to the membership to vote.

ii. Discussion took place of arguments for and against creating a board of governors. b. Joann Keyton recommended our Division provide expertise to this situation by writing a position statement. c. Ed Mabry volunteered to help write the position statement and argued that we can have a member-driven

organization, but we need to ensure our decision-making structure is in line with the legal process, etc. d. Torsten Reimer asked Joann Keyton be the contact for the position statement; she agreed.

8. Vice Chair’s Report: Isabel Botero

a. Primary responsibility was putting the program together. i. We received 33 individual papers, 25 accepted; 1 panel was received and it was accepted.

ii. Our Division had 9 sessions, 1 business meeting, and 1 lifetime award session. iii. We had 12 reviewers, each had 4 papers; there were 2 reviewers per paper. If the reviews were

too close, the Vice Chair served as the third reviewer. It would be beneficial to have more reviewers so they will have fewer papers to read.

iv. The Organizational Communication and Applied Communication Divisions were contacted to create connections; this was unsuccessful, but we should continue in this effort.

9. Vice Chair Elect’s Report: Laura Black

a. 2014 Theme: The Presence of Our Past(s): NCA at 100, Chicago Illinois b. Group Communication Division will have 11 slots. c. The Centennial Committee will have a number of events next year.

i. We’ll have Scholar to Scholar and Roundtable. ii. We’ll also have 100 sessions as part of the NCA Centennial series to explore the past 100 years and

how it shapes our present scholarship, teaching, and engagement. Be creative in your submissions. d. Discussion took place about creating connections with other divisions so we can create more slots for the

future. i. A suggestion was made to contact Technology Division. Andrea Hollingshead offered to help.

10. Election of New Officers: Isabel Botero / Sandra Ketrow

a. Sandra Ketrow, Nominating Committee Chair, sent email to the membership asking for nominations. She will send names to Isabel Botero who will set up an election ballot to send to members to vote.

b. The listserv is most up to date after the National Convention, so Isabel Botero will request it from the National Office after the 2013 Convention. She will check with NCA to see if we can use their system for online voting.

11. Old Business: Torsten Reimer

a. Call for Division Awards i. Currently, our policy is that all authors of papers must be members of the Small Group Division to be

eligible for Division awards. It is recommended that a minimum of one author be a member of the Division.

1. Joann Keyton stated that we did this a few years ago. 2. Jessica Jameson clarified that there was a discussion in 2011, but we never voted on the

matter. ii. Michael Kramer motioned that for Division awards, at least one author be a member of our Division.

Justin Reedy seconded. iii. Motion passed.

b. Jessica Jameson announced that the call for papers will have to be revised and thanked the awards committee.

12. New Business a. 365 Days of Communication Project

i. NCA wants each division to come up with the top 10 most important theories, contribution, and developments in their field. Every day, one of these descriptions will be highlighted on NCA’s website.

ii. Torsten Reimer asked members to each come up with five theories, theorists, etc. to be collected at the end of the business meeting. They would then be reported to the membership via email. Senior scholars in the field will look at the list and help narrow it down.

iii. Andrea Hollingshead asked if the Division and author would be would the author be identified. Would the senior scholars be writing about their own work? She suggested that we consider adding more recent findings, in addition to other material.

13. Top Papers

a. Michael Kramer stated that at least one of the top papers was not a group communication study. He suggested that the top six to eight papers be submitted to the same three additional reviewers so that there is consistency among the reviewers.

b. Gwen Wittenbaum suggested that often there is an issue of fit, so perhaps we can recommend papers that don’t “fit” to the appropriate division.

c. Discussion took place: perhaps we can put together a best practices manual. d. Michael Kramer motioned that for next year, the Program Planner take top six to eight papers and have them

rated a second time by a second set of 3 reviews who have not previously read the papers. Justin Reedy seconded.

i. Joann Keyton made a friendly amendment that top 20% be reviewed instead of the top six to eight. The friendly amendment was retracted.

ii. Michael Kramer and Andrea Hollingshead each volunteered to be a top 3 reviewer. iii. Motion carried.

e. Gwen Wittenbaum motioned that from the aforementioned list, we select a top paper. Ed Mabry seconded. i. Motion carried.

14. Membership: Retention and Recruitment

a. A motion was made by Torsten Reimer to allow Ph.D. students to serve as extra reviewer for our papers. Ed Mabry seconded the motion.

b. Justin Reedy motioned that this be tabled until 2014 due to time. Ed Mabry seconded. c. Motion to table discussion carried.
