If you are leasing your unit, please provide your tenant with a copy of the “Welcome Book.” Tenants are to follow the rules or Owners are subject to a violation and fine. GREENBRIER CLUB HOUSE The Club House is available for rent by all Greenbrier residents. It is a popular venue for bridal and baby showers, graduation and birthday celebrations. The Club House is also very popular around the November and December holidays as it is nicely decorated for the holidays. We have even held small weddings and rehearsal dinners! The Club House books up quickly. For details and availability contact Leslie Coffey either by phone or text at 513-460-8207. !WHAT’S NEW IN THE NEIGHBORHOOD

Rental Cap Amendment The Rental Cap Amendment, Amendment Thirty-Six to the Condo Declaration, passed and is in effect. A copy of the Amendment along with instructions on how to be “Grandfathered” was mailed to all Homeowners in February. Everyone should read the Amendment as a number of new restrictions have been placed on rentals. These include limits (25%) on the total number of rentals (Carriage Homes - 25; Towne Homes - 47); minimum lease period extended to 12 months (was six); lease renewals must be for 12 months (no month to month); lease must be submitted beforehand; and no registered sex offenders may lease a unit.

Resident Information Sheet In January residents were mailed an “Information Sheet.” The Board and Towne Properties are working to create an “email blast” capability for our community (The Lakes only). Having your email address(s) will ensure you are on the list for up-to-date information and emergency information related to our community. Please return your information in the pre-paid postage envelope provided in the packet. If you need the form it can be located on the web page. Thanks in advance for returning your information! !New Landscaping Company “Community Green” is our new landscaper for 2020. Our prior landscaper, “Four Seasons,” decided to get out of the condo-related landscaping business. “Community Green” is also our winter and snow removal contractor.

Roundabouts Two roundabouts will be constructed; one at Snider Road and Thornberry Court and one at Snider Road and Hamilton-Mason Road. As you have likely observed, prep work has been occurring over the past several months at the Thornberry/Snider location. The monument sign at this location will be removed and the HOA Community Board (homes) will assess whether it can be reestablished after construction is finished (due to placement/easement issues). “Greenbrier Community” Facebook Page Greenbrier has a Facebook page!  Thank you to the HOA Board (homes) for setting it up.  The purpose of the “Greenbrier Community” Facebook page is to share community information, events and reminders.  It is hoped that neighbors will share information, photos, and helpful tips that connect us and enrich our lives in the Greenbrier Community.  This is a private Face-book page for the Greenbrier Community only (homes and condos) and is not visible outside of the members (you must be a current Greenbrier resident to be a member).  Posts are mod-erated by the HOA Board to ensure rules are followed (no selling of commercial goods, ser-vices and business marketing is prohibited).  Check it out!  If you use Facebook, this is a great way to find out what’s going on in our community.  You can find it under “Greenbrier Com-munity.” Please be mindful; however, that the Facebook page is NOT monitored by Towne Properties.  Maintenance, landscaping or snow removal issues and feedback should contin-ue to be sent directly to Towne Properties.   !IMPORTANT INFO FOR OUR RESIDENTS Our Condo documents/bi-laws, rules, policies, forms, newsletters and meeting minutes can be found on our web site. Emergency phone number for Greenbrier Condo Issues Towne Properties provides a 24-hour telephone service in case of emergencies in your home due to water, wind, hail, fire damage, etc. In case of an emergency, please call (513) 489-4059. !Submitting Maintenance Work Orders Submit your maintenance work orders on the web site (www.greenbriercommunity.com). Log in and select “submit work order” under Resident Menu. Note: your registration number to log in is your resident “t” number. You can locate this “t” number from your Association fee coupon. You must include your address and contact phone number when submitting a work order. !Improvement Application (IA) Process

If you are new to Greenbrier Lakes and condo living, please familiarize yourself with what requires an approved IA. Basically, any alternation, change or addition to the exterior including landscaping, front doors (including color), storm doors, windows, lights, and satellite dishes must have an approved IA. Nothing can be nailed or mounted in the fascia board and deck poles. The IA form and Procedure for Submitting an Improvement Application can be found on our web site. Towne Properties. If an IA is not submitted and approved, the Board can require the unapproved changes reversed.

Insurance: Condo Homeowners’ Association (Master Policy) and Individual Unit Owners (HO6 Policy) If you are new to our community, we would like to introduce you to our insurance company and the policy. Please familiarize yourself with this policy as you would any insurance policy. Greenbrier Lakes COA has again selected Roeding Group Companies and Middlesex Mutual Insurance Company to insure our property (called Master Policy).  Current policy date is 11/01/2019 to 11/01/2020 (every year the deductible is reviewed).  The current deductible is $10,000. This means the homeowner of a claim is responsible for the $10,000 deductible to the Association through their own condo H06 policy. Please consult your insurance agent to insure you have that coverage. The Association’s Master Policy covers the Association’s personal property and real property (building and structures).  It also includes permanent fix-tures and permanently installed appliances contained within a unit and making up part of the building.  Property losses are settled on a replacement cost basis and are subject to a de-ductible.  In addition, coverage includes broad form general liability for the Association.   !The property coverage on the Association’s Master Policy includes fire, lightning, windstorm, hail, explosion, riot, smoke, vandalism, falling objects, weight of ice, snow or sleet, collapse, sudden rapid water escape or overflow from the plumbing or appliances, frozen pipes, convector units, backup of sewers and drains, earthquake and losses due to glass breakage.   !The Association’s Master Policy does not include coverage for wear and tear, deterioration, mold, damage by insects or animals, or the settle or cracking of foundations, walls, base-ments, etc.  There is no coverage for damage caused by repeated leaking or seeping or con-densation from any heating or air conditioning system, appliance, or plumbing including from and around the shower, bathtub, toilet and sink.  These events are properly classified as main-tenance items.  The policy contains full details on coverages, limitations and exclusions.   !Unit owners are responsible for insuring their personal property, furniture, additional living expenses and personal liability.  These are not insured by the Association’s Master Policy.  Unit owners should have a Individual Unit Owners Policy (H06) to pick up these coverages.  Please consult your personal insurance agent to be sure you are properly covered and if you lease your unit. !If you require a copy of the Association’s Certificate of Coverage for your mortgage company, it is available on the Greenbrier web site. In the event of a loss, notify David Brock. If the loss occurs within your unit, you should also notify your homeowner’s insurance agent.

Carriage Home Restrictions The Greenbrier Lakes Bi-Laws list two major restrictions for carriage homes; (1) In order to minimize the transmission of noise between units, no hardwood, ceramic tile, marble, granite or similar type flooring may be installed in any Carriage Home without the prior written consent of the Association; and (2) windows blinds can be replaced ONLY with WHITE window blinds. This is in order to maintain a uniform exterior appearance of the Carriage Home buildings. Window blinds shall not be removed from the window areas of the units unless they are replaced by white window blinds. Colored or pattered drapes are not permitted. !Parking Issues There continues to be problems with vehicles parking in the street for extended periods and overnight. Street parking is only permitted for loading and unloading (15 minutes). Parking in the street is a serious problem if an emergency vehicle is trying to get to a unit. It is also a problem during snow removal. Owners are to use their driveways and garages. An Owner or tenant is expected to have in their possession in the community only as many vehicles as the number of parking spaces available in the garage or on their driveway. Parking pads are primarily for the use of our guests since there is no street parking permitted. Residents and tenants are not to use the designated “Visitors Only” spot. If you are having trouble finding a spot on a pad because a resident is abusing the frequency of using the pad, or if you see a vehicle on a pad that has not moved within 72 hours, or does not have current license plates, contact Towne Properties. Unit owners who lease their units are required to inform their tenant(s) of the parking policy and rules. No rusty, wrecked or disabled vehicles are permitted on the pads. Work vehicles are NOT permitted to be parked overnight. If you see a tow tag on a vehicle then it will be towed because it was found to be in violation of the parking rules. As a reminder, vehicle repairs, changing the oil, rebuilding, dismantling or repainting are NOT permitted on your driveway or a pad. Hand-washing of a vehicle is only permitted on an owner’s driveway.

Dog Policy All dogs must be on a hand lease (per Warren County laws) and are not permitted to run/walk free outside your unit or be tied outside under any circumstances. Please pick up after your dog always and immediately. By not following the policies, Owners are subject to a violation and fine. Please report dogs being tied up outside or anyone not picking up dog waste to Towne Properties.

Sign Policy If you are selling your unit, please inform your realtor of the sign policy. Each condo is limited to one real estate sign on the property in front of the unit. Signs must be placed in the MULCH no further than four feet from the condo and PARALLEL to the street with the back of the sign facing the condo. “For Sale” signs are not permitted at the entrances off Snider or on street corners in the community. One “Open House” sign is permitted at the closest entrance to the community at Snider Road and at the residence listed by the realtor. Open house signs may be displayed no earlier than 6:00 PM Friday and must be removed by 6:00 PM Sunday on open house weekends. Otherwise, they are subject to removal and will be destroyed. “For Sale” or “Lease” signs must comply with the policy in all respects and look as professional as real estate signs. No other signs are permitted in the community (school, vendor, political, sports) including on windows. Only one (1) security company sign is permitted in front of your unit. !Garage Door Replacement Garage door replacements require an approved Improvement Application (IA). Garage door replacements are like-for-like. Garage doors must match door style as originally installed by Drees. The color of the garage door must also be like-for-like. The color of our paint is typically referred to as “Sandstone.” Approval includes model number, panel style and color (or door will have to be painted by the homeowner). “Cincinnati Door Opener” (513) 531-3667 has done several doors in the community with an approved IA. Please contact Monica Dennler before submitting your IA and before ordering or installing your garage door.

!Exterior Light Fixtures Replacements The Board is currently working with a vendor to provide residents a list of “like-for-like” re-placement exterior light fixtures. !If you have a failed exterior light fixture (over your porch, rear porch/deck, or exterior light at your garage) you are required to submit an Improvement Application (IA) with replacement fixture information and a photo of the fixture you want to install. We hope to have replace-ment model numbers posted shortly on the web page. Please submit your IA to Monica Dennler at Towne Properties using the IA form which can be found on our web page. !An important piece of information we learned from our discussions with the vendor is as we switch out light bulbs to LED’s, be sure the bulbs are safe for an “enclosed fixture” (applies to our fixtures in the community even though fixture is open at the bottom).

Front Door Colors (New in 2019) In 2019, the Board approved the following front door colors: !“Gunmetal Grey” PPG 1033-6 (Dark Green) “Brick Dust” PPG 1056-7 (Red) “Soothing Sapphire” PPG 10-09 (Blue) “Dark as Night” PPG 14-05 (Soft Black) !If you replace your front door, please coordinate with your door vendor or painter to use ONLY the above paint colors from: !PPG Paints 9304 Cincinnati Columbus Rd (starts out as Reading Road, Rt. 42 from Mason going South) Cincinnati Ohio 45241 513-779-2727 !Note: Not all paint stores carry these exact colors. !Remember, front door replacements and color changes require an approved IA. Please se-lect your door style and paint color before submitting to Towne Properties. Also keep in mind, the Carriage Homes require like-for-like door style replacements. !!Greenbrier Community Garage Sale (August 8, 2020) The shared (homes and condos) Annual Greenbrier Garage Sale will be held on August 8, 2020. This is the only time a garage sale is permitted in Greenbrier Lakes (condos). It is and has always been held the Saturday before Mason schools begin in the Fall. There is a nominal fee of $3-5 per resident (depending on number of residents that participate). Signs for the entrances are provided. You can put a balloon in front of your condo unit. There are no early showings permitted (only day of) but you can open early that day. If you have questions or would like to participate, please contact Karen Brackenridge at (513) 754-0554. Please give Karen a THANK YOU for organizing and coordinating the GB Annual Garage Sale for 16 YEARS! She is a dedicated volunteer in the Greenbrier Community! We appreciate Karen’s help!

Landscaping Policy

As the warm weather welcomes us outdoors, please take a look around your unit and inventory your number of flower pots, lawn ornaments, statues, garden rocks, etc. One (1) religious or ethnic natured item is permitted but is only permitted in the rear of the condo. Solar lights are to be clear or white matching bulbs and must be spaced every three feet in an

adjoining (touching residents condo) mulch area in the rear of the condo, and in the front and side are only permitted along a sidewalk. Vegetable plants and gardens are only permitted at the rear of a building. No fencing is permitted. Please read the policy with regard to climbing ivy and plants and sunflowers. No plastic flowers or lawn ornaments are permitted.

Owners must submit an IA before replacing any foliage (bushes, shrubs, trees, etc.) and then those become the responsibility of the owner and future owners. Landscaping improvements are allowed only in mulch areas. Mulch areas cannot be expanded without approval. No items of any nature are to be hung from any tree or attached to roofing, siding, mortar or brick. Holiday decorations are permitted from November 15 through January 15. Please refer to the Welcome Book for permissible locations of lighting and ornaments. A complete list of landscaping restrictions and details can be found on Page 3 of the “Welcome Book.” !Annual Landscaping Trimming Residents will be informed by signs at both entrances when the landscaping company will make horticultural visits to trim vegetation. Plants and bushes can be marked by the resident with a 12” RED RIBBON so that it will not be trimmed by the landscaping company. A resident can also opt out completely from having the front, side or back of their unit trimmed by posting a RED FLAG IN THE MULCH AREA. However, the COA has the sole right to trim or remove any vegetation they deem necessary. Further, only at these planned intervals will vegetation be cut by the Association. If a resident feels the landscape work is not appropriate, it must be reported at the time of the cutting for action to be taken.

!Dead Bush Removal and Replacement Requests

Submit your request for dead bush removal, replacement and any other landscaping issues VIA EMAIL to David Brock at [email protected].

!Snow Removal The Board works closely with Towne Properties when snow is forecasted to accumulate. The current service level is that the hills, streets, mailboxes and school bus stop will be treated as needed. In addition, when there is a minimum of two inches, snow will be removed from walkways and driveways after the snow event is over and as soon as circumstances permit. Heavy wet snow takes longer. The current average cost per removal is $10,000. After everything is done, if you spot something that was missed, contact Greg Wall either by phone (513) 250-6944 or email [email protected]. !

!“Porch Pirates” Unfortunately, Greenbrier Lakes has had reported incidents of packages being taken off porches. Please take all the measures you can to avoid your packages sitting outside for long periods. Some options are to ask a neighbor to bring your package inside; set up delivery notifications via text message or email, or have your package “signature required.” If you suspect a theft in the community or are a victim of theft, please contact the Mason Non-Emergency Police Dept. US Mail Delivery Issues We have heard from some of our residents that their mail is either not being delivered to them or getting into the wrong mailboxes. The best course of action is to speak to the Mason Post Office in person. If you are interested, USPS does offer “Informed Delivery.” It is free to sign up and can be done on USPS.com. You will get an email each morning from USPS with images of that day’s mailbox contents. It is a way to preview incoming mail which may be helpful to you.

Trash and Recycling We are a community impacted by the wind. You can help reduce trash and litter by placing all trash in containers with a sealed lid. This is especially true for trash than can attract animals or rodents. NO WHITE KITCHEN SIZE/THIN BAGS PERMITTED AT STREET. Only black plastic bags larger than 30 gallons are permitted to be placed outside for pickup. Recycling items are to be in a recycling bin provided by the City of Mason. Cans and containers are not to be placed outside until dusk on the day before collection and are to be removed from the curb end of the day after collection. Trash cans are to be stored in the garage, not in the front, side, porch or driveway of a unit. !Painting and Power-Washing Decks and Patios The exterior of the buildings are painted every five years.  The painters also power-wash the decks and patios at this time.   Residents will be contacted by the painters to arrange for front door painting.  Any cleaning of decks and patios outside this schedule is the responsibility of the homeowner. 

Free Newspapers You may be receiving two plastic wrapped publications that you did not order; (1) grocery ads provided by RedPlum (to cancel call Ed Graham at (513) 477-4878); and (2) “Today’s Pulse” (to cancel call (888) 397-6397 and ASK TO BE TRANSFERRED TO “TIER 2” ). Please consider canceling if you don’t want these papers in order to reduce litter in the community and lakes.

WE NEED YOUR HELP - WHEN YOU SEE SOMETHING, SAY SOMETHING The Board appreciates information that we can share with the community that impacts residents. The Board asks that if you see something out of order in the community that you contact David Brock or a Board member. Examples include structural problems, damage to property (including the mailboxes), items improperly installed or attached to buildings, shingles and/or siding missing or laying on the ground, and issues with the lakes or common ground (including dog waste and trash). Please report ceiling spots/leaks to Towne Properties as soon as you seen them so the roof can be inspected. !COMMUNITY GROUPS

Community Bible Study The Greenbrier Bible Study Group invites all Greenbrier Community residents for Bible study and group discussions. Bring your Bible and join them! You will meet some new and wel-coming friends. Typical meetings start at 7:00 PM on the first and third Tuesday’s of the month in the Club House. If you are a new attendee please contact Jon and Diane Hersh-berger at [email protected] (or call at (513) 336-8228) to re-confirm weekly meeting schedule and for any questions you may have. !Community Women’s Club Calling all females in the Greenbrier Lakes Condos. Ladies, would you like to enjoy one evening out each month socializing and indulging in fun activities and listening to fabulous guest speakers? If you have answered yes, the Greenbrier Women’s Club welcomes you to attend one of our meetings. We meet the second Thursday of each month, March through December, 6:30 pm to approximately 8:00 pm. We socialize from 6:30–7:00 pm, followed by a business meeting and either an entertaining activity or a guest speaker. Every so often we will take a road trip during the day instead of having our evening meeting. Some of our af-ternoon adventures have included Lunch and Learn in Lebanon, taking an afternoon to browse through the Taft Museum and Krohn Conservatory, riding the Bell Connector or hav-ing lunch at Findlay Market. WAYS TO HELP YOUR NEIGHBORS

Be Mindful of Fires Ways we can all help avoid fires ESPECIALLY IN CONDO LIVING are: 1- Dryer vent cleaning (which the COA does every five years at no cost to the resident).

2- Checking your smoke detectors and replacing the batteries twice a year (the Mason Fire Department will change the batteries as a free service to residents).

3- NOT DROPPING CIGARETTES on the ground! We have had a fire in the community from a cigarette burning in the mulch and catching two units on fire.

4- Checking your fireplace vent/exit pipe to be sure it is clear before turning on the fireplace. Birds can build a nest in a matter of hours.

5- Maintaining your furnace, having it serviced annually and changing the filter monthly.

6- Not leaving candles burning while away or burning candles too close to areas in your unit that can catch fire.

Check your water heaters for leaks. Is it time to replace your water heater? A leaking or ruptured water heater can cause major damage to your unit and possibly your neighbor’s unit which could cost thousands of dollars in repair bills.

Water shut off. It is necessary and very important for residents to shut off their water at the entry point into their condo when leaving for extended periods of time especially in the cold months. A burst pipe can cause major damage to your unit and your neighbor’s unit which could cost thousands of dollars in repair bills.

This is also applicable and very important with regard to the outside hose bib (outside spigot) especially in the winter months.

Check your hoses. Inspect your rubber hoses connected to water spigots for damage. Also inspect your washer and dishwasher hoses. Worn out hoses can burst and cause thousands of dollars to your unit and your neighbor’s unit. Metal hoses for washers can be purchased at most hardware stores.

IF A CLAIM IS MADE, COSTS CAN DRIVE UP OUR CONDO INSURANCE RATES.

Watch your speed. The speed limit is 25 MPH on all Greenbrier condo streets. We have residents who walk and bike in the community. We have older and disabled residents who use equipment to get around the community. Watch for children on bikes and scooters. Slow down for our four legged friends too! AND PLEASE STOP AT THE STOP SIGNS!

Don’t block the sidewalks. Residents should be considerate of not blocking the sidewalks in front of their house and driveways. Keep your vehicle off the sidewalks. Keep personal items clear of the sidewalk to prevent a tripping hazard and to avoid having to step off the sidewalk into the street.

!SUMMER NOTES

DO NOT feed the birds, geese, ducks, or rabbits or throw bread or food on lawns or in the lakes. If the duck and geese population grows too large then we will have to take steps to reduce their numbers. Please refer to the “Welcome Book” regarding bird feeders and be sure they don’t drop food for the geese and ducks to eat. 

Grilling/Fire Pits The “Welcome Book” goes into detail with regard to grills, fires, fire pits, torches, etc. Please refer to your copy or the GB web site for all the information regarding grills, etc. !Fishing in the Lakes We have a “catch and release only” policy. Please refer to the “Welcome Book” for guidelines; who can fish and the times permitted to fish. !Fireworks Greenbrier adheres to the Ohio Fire Marshall rules. Basically, no “boom” fireworks are permitted in the state of Ohio without a license. For your safety and the safety of your neighbors, the Mason Fire Marshall suggests attending a professional fireworks show. There are several in the area: Mason Red White and Boom, the show in Blue Ash, or Kings Island. !!!!!!!!!!!!!

MEET YOUR NEIGHBORS

Diane and Jon Hershberger are long time Greenbrier Lakes residents. Until recently, Jon volunteered for many years as our Chair for the Lakes Finance Committee. Jon worked with outside sources on our reserve study and was instrumental in finding the best institutions for our investments. Jon was our “check and balance.” We will miss Jon in this very important role. His expertise and dedication has contributed to where we are today financially.

Additionally, for many years Diane and Jon have organized and hosted the bi-monthly Bible Study. This is an ongoing Community group regularly attended and important to many of our residents.

Thank you, Diane and Jon, for being great neighbors and helping our community be a great place to live!

!IN MEMORIAM

We would like to dedicate this newsletter to Bob Weeks. Bob was the first COA President starting in 1999 when The Lakes community transferred from Drees to our ownership. Bob was instrumental for who we are today. Bob, along with our other

early Board members, helped to put us in the positive financial position we are today. Bob had a hands-on approach and it was not uncommon for Bob to greet new residents as they were moving in to answer questions and provide assistance if needed. Bob was

a dedicated leader of the COA Board for ~15 years. After he stepped down from President, Bob continued to provide support to the Board. He was a “Greenbrier

historian.” We miss Bob and his wife, Jane, as Greenbrier residents. We miss Bob’s big smile and are grateful for his leadership and support he provided to the community of

Greenbrier Lakes for so many years.
