PrefaceIssuesofemploymentandskillsarebecominganintegralpartofgraduateeducation.Theadministratorsprovidingskillsandcareerdevelopmenttrainingandassistanceinindividualuniversitiesrealizethatitisnotonlyusefulbutalsoimportanttoshareandcollaborateacrossthesectorifgraduatestudentsaretoreceivethebestpossibleofferings.

TheCanadianAssociationforGraduateStudies(CAGS)haslongbeeninterestedinhelpinggraduatestudentsdevelopthenecessaryskillsforemployment.ThisisdemonstratedbyCAGScommissioningabestpracticesdocumentonprofessionalskillsdevelopmentin2012,identifyingthethemeofitsAwardforExcellenceandInnovationinEnhancingtheGraduateStudentExperienceasskillsdevelopmentin2014,andbyhostingaconcurrentstreamofsessionsonprofessionaldevelopmentwiththeConsortiumofCanadianGraduateStudentProfessionalDevelopmentAdministrators(CCGSPDA)atits2016annualconference.

TheinterestinprofessionaldevelopmentforgraduatestudentsextendstotheTri-Council.Theyarealsointerestedinensuringthattherecipientsofitsgrantsandscholarshipsareprovidedwiththebesttrainingandopportunitiestosucceedaftertheygraduate,suchastherequirementofprofessionaldevelopmenttrainingandmentorshipcommitteesthatwould‘value-add’universities’ownofferingsforthereceiptoffunding.

IndiscussionswithTri-Counciladministrators,ithasbeennotedthatamajorimpedimenttoaccomplishingboththegoalsofuniversitiesandTri-Councilrequirementsforrobustprofessionaldevelopmentprogramming,isalackofunderstandingofwhatiscurrentlybeingofferedanddeliveredspecificallyforgraduatestudentsacrossCanada.Thisinformationisalsoimportantinthecontextofsharingourresources,andtoleverageourstrengths.

Anadditionalchallengeforallconcernedisthatwhilemanyinstitutionsofferprofessionaldevelopmentprogrammingforgraduatestudents,thereislittleunderstandingofwhatbenefittheseadditionalofferingsareprovidingtograduatestudents,andthuswhatconstitutesprofessionalsuccess.Todate,metricssuchasparticipationrateshavebeentheprimarymeasureinCanadaandtheU.S.,thoughitisrecognizedthatthismaynotbethebestmeasureofutilityforstudents.Itisalsorecognizedthatassessmentwouldbeacomplexundertakingthatwouldneedtobeaddressedinastagedapproach.

WorkingwiththeCCGSPDA,CAGSproposedatwo-phaseproject.DuringPhase1,CAGSwillcreateacatalogueofskillsdevelopmentofferingsavailableinCanada,tobehousedontheCAGSwebsiteinordertohelpprofessionaldevelopmentadministratorsaccesscontentandkeepupwithtrendsandinnovations.ThisreportsummarizesthedatacollectedforPhase1.Phase2willoccurafterthecompletionofPhase1andwillinitiateaprocesstoassesstheeffectivenessofexistingprofessionalskillsdevelopmentprogramsforgraduateswithaviewtolayingthegroundworkforfurtheractivityinthisarea.

PhaseX:ProjectOutlineThisprojectseekstoupdateinformationonGraduateProfessionalDevelopmentPrograms(PDP)inCanadianPublicUniversitiesaspresentedinthe2012Report,“GraduateStudentProfessionalDevelopment(GSPD):ASurveywithRecommendations.”

Toaccomplishthis,Phase1oftheprojectgatheredinformationaboutthescopeanddeliveryofprofessionaldevelopmentforgraduatestudentsinuniversitiesacrossCanada.Thisinformationwillbeusedtocreateanon-linecatalogueandnationalinventoryoftheabovethatwillbearesourceforprofessionaldevelopmentadministrators.Phase2oftheprojectwillbegininthewinterof2017,andwillexplorecurrentuniversitypracticesinCanadaandelsewheretoassessthereach,value,andimpactofgraduatestudentPDPs,thuslayingthegroundworktooptimizeandexpandprofessionaldevelopmentopportunitiesforgraduatestudentsacrossCanada.

Methods

InstitutionalSurveyandResearchResearchbeganbygatheringpubliclyavailableinformationaboutthecurrentclimateofgraduatestudentspecificprofessionaldevelopmentinCanadianuniversities;thiswasachievedfromareadingofcurrentgraduatestudieswebsitesandtheCAGS2012reportonprofessionaldevelopment.Fromthisinitialresearch,alongsideareviewofarecentsurveyongraduatestudentprofessionaldevelopmentcompletedinQuébec,1variousindicatorsweredevelopedforthepurposesofcomposinganinstitutionalsurveythatwouldbedistributedtoadministratorswithintheFaculty/School/OfficeofGraduateStudiestodeterminethecurrentlevelofprofessionaldevelopmentspecificallyforgraduatestudentsatCanadianUniversities.

AfullsamplequestionnairecanbefoundinAppendixB.Thequestionsofthesurveyfocusedonthefollowingindicators:

Thesurveyresultsrevealedthatnotalloftheseindicatorsarecomparableacrossinstitutionsand,asaresult,theseindicatorswerenotincludedforaformalanalysisinthereport—althoughsomeissuesareaddressedinthediscussionsectionofthisreport.

Forthepurposesofthisreport,onlyinstitutionalmembersofCAGSwerecontactedtocompleteasurvey.Fifty-fiveCAGSinstitutionalmemberswerecontactedinSeptemberof2016;2thirty-twouniversitiessubmittedcompleteresponses,twouniversitiesdeclinedtoparticipate,leavingnineteenthatdidnotrespondtoinquiries.Ininstanceswhereuniversitiesdidnotrespondtosurveysorgeneralinquiries,informationwasgatheredfromuniversitywebsites—theseinstitutionsaremarkedwithanasteriskinpages10-12underInstitutionalBreakdowns.Websitesweresometimesdifficulttonavigateanditispossiblethatinformationwasmissedinreadingthemifitwasnottobefoundviastandardpathwaysofinvestigation.Asaresult,theinformationgatheredisnotascompleteasitmighthavebeenwithafulllistingofcompletedsurveys.

TheinformationwasgatheredandpresentedinsuchawayastogatherdataonandsharecurrenttrendsinprofessionaldevelopmentforgraduatestudentsamonggraduatePDPprofessionalsandotherstakeholders,categorizegraduatestudentPDPintodistinctivegroups(Categories1-4,asoutlinedinthenextsectionunderthegraduateprofessionaldevelopmentprogramrubric),andofferrecommendationsfornextstepsintheareaofgraduatestudentprofessionaldevelopmentinCanada.

UsingtherubricthatwillbeoutlinedfurtherinthisReport,tobeinanycategorytheinstitutionmustmeetallfourcriteria,ifitdoesnotitismovedtothenextcategoryuntilitmeetstheminimumofallcriteria.Forexample,aninstitutionmayofferadvancedandentrylevelworkshops,abrandedprogramwithaccessibleskillbreakdowns,andacentralizedwebsitewithactivepromotionofactivities;however,theprogramisnotarequirement(partofasupervisorchecklist)and/ordoesnotofferrecognitionofcompletionfortheprogramsoitisgroupedasaCategory2institution.

Results

1. ApproachestoGraduateStudentProfessionalDevelopment–FourCategories

Basedonthe2012survey,approachestograduatestudentPDPatCanadianuniversitieswerebinnedintofourdistinctcategories.ThereportfoundthatwhileCanadianuniversitiesareverydifferentfromoneanotherintermsofprofessionalizationforgraduatestudents,therestill

appearstobepatternsoforganization,development,andadministrationthatallowthebinningofgraduatestudentPDPintofourcategories:

Followingthedefinedcategorizationfromthe2012report,avisualrubricwascreatedthatwouldallowforaneasycategorizationofinstitutions’graduatestudentPDP.Thefourcategorieswerekepttoshowthespectrumofprofessionaldevelopmentprogrammingforgraduatestudents,rangingfrominstitutionsthatarecurrentlynotactiveingraduatestudentPDPtothosewithahighlevelofadvancedandentrylevelprofessionaldevelopmentactivities.Inordertodeterminewhereonthisspectruminstitutionsmightbeplaced,fourindicatorswerecreatedtomonitorgraduatestudentPDPs:levelofgraduatestudentPDPactivity,programstructure,integrationofPDPintostudentexperience,andPDPcommunicationtostudents.

Whilethisisnotmeanttobeanexhaustivelist,itoffersastartingpointtoexplorecurrentgroupingsofgraduatestudentPDP.Asisevidentbytheslightdifferenceincategorizationfromthe2012report,graduatestudentPDPscontinuestobeanevolvingcomponentwithinGraduateStudies.

“Categories 1-4 represent the most to least coordinated of approaches to GSPD delivery and it should be noted that universities of all kinds populate most

categories. Categories 1, 2 and 3, for example, include universities with larger Graduate Studies operations as well as those with smaller numbers of graduate

students and programs or newer Graduate Studies operations. Given their structures and historic practices, some universities are simply more amenable to

centralizing Graduate Professional Skills programming than others.

Many factors will influence what will be right for each institution at a given time: the size of the graduate operation; the level of prioritization of GSPD activity by

the senior administration of each institution; the availability of resources for GSPD activity; the degree of centralization of the institution (which affects the

ease with which Graduate Studies is able to manage GSPD activities centrally); the ability of the Graduate Dean to prioritize GSPD given his or her own

resources and staffing levels [...] All of these enter into the question of how best to manage GSPD in particular institutions at particular times.”

Discussion

CategorizationofGraduateStudentPDPManywhoparticipatedinthe2012and2016surveynotedthatthereportwasagoodideaandwouldprovidevaluableinformationandideas.However,asinformationwasgatheredfrombothsurveys,itbecameclearthatGraduateStudentProfessionalDevelopmentisverycomplexandthattheinformationamassedsofarwouldlikelybeincomplete.Hencetherewas/isageneralsensethat:

• Comparisonsbetweeninstitutionsforrawdataisdifficult/inconsistent• Manyprogramsarecurrentlyunderrevisionand/ordevelopingnewprogramming• Notallinstitutionsareparticipating,andonlypublicinstitutionswerecontacted

• NotalldepartmentscommunicatethevariousPDPsacrosscampus,resultinginoverlapandskeweddata(anissuehighlightedinthe2012survey)

Aspreviouslynoted,thesurveyresultsrevealedthatnotalloftheseindicatorsarecomparableacrossinstitutions.ThiswasparticularlytrueofinformationgatheredonthenumberofstaffingforPDP(manysurveysindicatedthatgraduatestudentPDPresponsibilitieswereapartofadministrators’largerroles,handledbystudentvolunteers,orothervariablesthatflexedthenumberofstaffinvolvedfromyeartoyear)orinformationontrackingandresultsofstudentparticipationingraduatestudentPDPofferings.

Onekeyobservationrevealedfromthesurveyandgeneralinquiriestoadministratorsisthatwhileprofessionaldevelopmentopportunitiesareavailableonmostcampuses,notallinstitutionsdifferentiatebetweengeneralprofessionaldevelopmentservicesforallstudents(suchasthoseofferedbyCareerServicesorWritingCenters–althoughsomeofthesecentersalsooffergraduatestudentspecificcourses)andthosethataretailoredspecificallyforthegraduatestudentexperience.Fromthis,itisimportanttostressthatthefollowingreportisinvestedinhighlightingprofessionaldevelopmentactivitiesthatarespecificallycreatedandofferedforgraduatestudents(whichmayalsoincludepostdoctoralfellowsandrecentalumni).Thus,wheneverprofessionaldevelopmentofferingsorcategoriesarelistedinthisreporttheydonotincludecampusofferingsthatmaybeaccessibletograduatestudentsbutwhicharenottailoredexclusivelyforgraduatestudents.ThisisspecificallythecaseformanyCategory4institutionsthatofferseveralavenuesofprofessionaldevelopmentforstudents,butnotthosespecificallytailoredtothegraduatelevel.Thisobservationalsoextendstoprogrammingforinternationalgraduatestudents—manyinstitutionshaveinternationalstudentresourcesandworkshops,butnotmanyhaveprogramstailoredtotheinternationalgraduatestudentexperience.

ThisreportrevealsthateventhoughtherewasasubstantialamountofPDPactivityunderwayinCanadianuniversitiesatthetimeofthe2012report,thededicationtoPDPhasgrownsignificantly.Mostinstitutionsthatcompletedthe2016surveyreportedthatprofessionaldevelopmentforgraduatestudentsisamajorfocusfortheircurrentGraduateStudiesagendas.Whilecategorizationformostinstitutionswasnotavailablefromthepreviousreport,thereappearstobeanincreaseinthenumberofuniversitiesdriventowardscreatingacentralizedprogramofprofessionaldevelopmentactivitiesspecificallyforgraduatestudents.

TherubricforinstitutioncategorizationisusedasameanstorevealgroupingsofinstitutiongraduatestudentPDPacrossCanadaratherthanasadefinitiveranking.AsevidentintheprogressinPDPsincethe2012report,thecategorizationbreakdownsareconstantlymoving

targetsasprogramsarecontinuouslyevolvingandgrowing—changingtheparametersandstandardsofgraduatestudentPDPinCanada.Thus,itisimportanttostressthatthecategorizationofPDPisnotarankingofidealtolackingprograms,butratheragroupingofcommonapproachestoprofessionaldevelopmentforgraduatestudents.Withineachgrouping,andoverall,thereisaspectrumofprofessionaldevelopmentofferingsthatspeaktotheneedsandresourcesofeachinstitution.

Oneofthechallengesofcreatingthegraduateprofessionaldevelopmentprogram(PDP)rubricwasdefiningthegroupingofinstitutionsbetweenCategory1and2,sincetheywereverysimilarintheirapproachestodeliveringprofessionaldevelopmentopportunitiesforgraduatestudents.Specifically,whenconsideringthelevelofgraduatestudentPDPactivityateachofthesetypesofinstitutions,itcanbecomedifficulttodeterminethedifferencebetweenhighactivity(whichprovidesadvancedandbasiclevelworkshops)andconsiderableactivity(whichprovidesmostlybasiclevelworkshops,butmayalsooffersomeadvancedlevelworkshopsaswell).

Thefollowingtableoutlinesthedifferencesbetweenentrylevelandadvancedlevelworkshopsthatmightbeofferedundertheskillsubcategoryofcommunicationandwriting:

Ifaninstitutionwastoofferbothofthesetypesofworkshops,thenitwouldfallintoahighlevelofgraduatestudentPDPactivity:Category1.Ifaninstitutionwastoofferonlyentrylevelskillsworkshops,thenitwouldfallintoamoderatelevelofgraduatestudentPDPactivity:Category3.And,ifaninstitutionwastooffermostlyentrylevelskillsworkshops,withsomefocusonadvancedlevelskillsworkshop,thenitwouldfallintoaconsiderablelevelofgraduatestudentPDPactivity:Category2.

AsevidentfromthecategorizationofCanadianuniversitiesinthisreport,theamountofCategory2institutionsisthehighestgrouping,showingthepromisingfutureofgraduatestudentPDPdevelopmentacrossCanada.Theseinstitutionsindicated,intheirsurveyresponses,theirstrongdesiretoenhancetheircurrentprogramsandexpandtheminstructureandintegrationintothegraduatestudentexperience,effectivelymovingthemtowardsaCategory1institution.

SeveralCategory3&4institutionsacknowledgethattheydonotnecessarilyhavethebudgetorstaffrequirementtoconstructPDPs,buthaveexpressedadesireforsharingPDPresources.ThisissomethingtoconsiderpertainingtothegraduatestudentPDPcategorizationrubricunderStudentCommunication.ManyCategory1universitiesrespondedthattheyhaveatleasttwofull-timestaffmembers,onewhowaslargelyresponsibleforcommunicationandhadthetime/resourcestomanageandupdatevariousstreamsofcommunication(includingmultiplesocialmediaaccounts)—somethingthatisnotfeasibleforinstitutionsthatdonothavethestaffingtoaccomplishthisonadailybasis.

CostofGraduateStudentPDPProgramsThecostofgraduatestudentPDPprogramswasanareawheremanyadministratorsrespondedthattheywantedmoreinformationfromotherinstitutionsontheirpractices.ManyappearedtobeinterestedinchargingsmallamountsforPDPofferings(inhopesthatitwouldkeepstudentsfromregisteringandnotshowingup),butwereafraidthatthismighthaveanegativeeffectontheirparticipationnumbers.Fromthereportfindings,severalprogramssuccessfullyimplementano-showorlate-cancelationfeeforthegraduatestudentPDPofferingsandfindthatthisisanexcellentmethodforcombatingattrition.

IncreaseinHealthandWellnessOfferingsItappearsthatoverthelastfiveyears,althoughthecurrent2016/17academicyearshowsthelargestincreaseinthisskillsoffering,manyCategory1and2institutionsarefocusingonincreasingtheirworkshopsthatdealwithstudenthealthandwellness.Althoughthisreportdidnotgatherinformationonhowpopulartheseskillworkshopsareatinstitutionsthatofferthem,itwasclearfromthelistingofGPDPofferings(AppendixA)thatthisisagrowingpiecewithingraduatestudentPDP.ConcordiaUniversity,forexample,hasawidevarietyofofferingsinthiscategorythatexplorehealthandwellnessskillsforgraduatestudentswellbeyondbasicstressmanagementorwork-lifebalance.

ProgramEvaluationsFewuniversitiesreportsuccessfulattemptstoevaluatethesuccessoftheirgraduatestudentPDPs.SomeadministratorsvoicedconcernsoverwhatindicatorsareusedtoevaluatethesuccessofgraduatestudentPDP(forexample,issuccessfulemploymentaftergraduationtheonlyoutcomemeasureofeffectiveness?).Someadministratorsinvitestudentfeedbackoneventsheld,generallyattheendofparticularsessions.However,fewreporthavingbeenabletoconnectcompletionofgraduatestudentPDPprogrammingwithstudentsuccessinfindingsuitableworkaftergraduationortheplacementofthosesomeyearsaftergraduation.

• GraduatestudentPDPscontinuetoprioritizecoordinationofgraduatestudentprofessionaldevelopmentactivitiesacrosscampusesand,potentially,acrossinstitutions.Inaccordancethewiththe2012report,theadoptionofastructuralapproachineachinstitutionthatemphasizesthecentralizationofinformationandthedisseminationofinformationaboutgraduatestudentPDPactivityacrosscampusisadvisable.

• Institutionscreateeasytonavigateandstudent-friendlywebsiteorpagesforgraduatestudentPDPofferings.ThissiteshouldoutlinehowGPDPbenefitsthestudents,whatofferingsareavailablethematically,howtoregister,aswellasanyinformationregardingformsofcompletionrecognition.HavingtheinformationfreelyavailabletostudentsallowsthemtointegrateGPDPofferingsmoreeasilyintotheirownpersonalgraduatetimelines.
