This guide shows all the basic and advanced functions of the Gradebook (Engrade).

How to Access the Gradebook powered by Engrade

The Gradebook is accessible from the Online School (OLS).

Teachers can access the Gradebook via the Students dropdown menu or the left-hand navigation bar while in a Classroom page.

My Class List The first screen teachers see when logging in to the Gradebook is their list of classes.

My Class List This page allows the teacher to see all active classes, including number of students, average student grade, and other information. This is the first page teachers see after accessing the Gradebook. Clicking the K12 Gradebook logo on the upper left side returns you to this page from any other Gradebook page.

Teacher and Student Enrollment Clicking on a Student from the All Students link, allows teachers to see all courses their students are enrolled in, and whether they are assigned to the student‟s course as the primary or secondary teacher. The primary and secondary teacher for a course can edit scores. Homeroom teachers can view scores and comments made by course teachers but not edit them.

For example, on the screenshot found on the left Ella Walden is Nicole‟s Algebra 1primary teacher. Alan Morgan is Nicole‟s homeroom teacher and will have a read only view of Algebra 1 scores but can still access reports related to this course.

Note: If you are a Homeroom Teacher that does not teach any subject content to your homeroom students your view will be read-only for all of their assigned classes. You may be assigned as a teacher

to a course classroom, i.e. Scantron course, to provide visibility into ALL of your homeroom students‟ classes and reporting details.

Getting Started

Add a Profile Picture You can add a picture or logo to your Gradebook that will appear in the top right corner of your Gradebook window. If you would like to add or change your profile picture, click the photo area in the left panel of your screen. Check with your school to see if they have any recommendations about what picture to use. Your school administrator, teachers, students, and learning coaches will be able to view this picture.

Add a Picture Click on the Browse button to upload a photo or a logo from your computer. Your photo must be a gif, jpg, or png and less than 2Mb in size. Once you‟ve selected the picture file, click the Submit button to save your changes.

Navigation Bar The purple bar is the navigation bar for Gradebook. From here, you can access your Classes and Apps.

Classes Click on Classes to view a list of your active classes. Active Classes are classes that you are teaching in OLS that are currently active. Click one of the class names from the dropdown menu to view that class‟s Gradebook.

Apps If you hover over Apps in the navigation bar, a dropdown menu will appear where you can access all files you have uploaded for students. More on the Files App will be covered later in this guide.

Active Classes Page

The next few sections will cover the areas listed on the left-hand side of the Gradebook. We will begin by examining the Active Classes area.

Active Classes List The Active Classes page displays a list of your current classes, and allows you to access all of your classes. This is also the teacher‟s landing page. Archived Classes List The Archived Classes page displays a list of your previous classes that are now closed. You can select any of the archived classes to view its gradebook data.

Grading Periods When you log in to the Gradebook, the first thing you should check is the current Grading Period. In the upper right corner, you will see a dropdown menu containing all of your school‟s grading periods. If you hover over this menu, you can select the appropriate grading period to view.

Class Information From your Active Classes page, you can sort your classes by clicking on the column headers in the blue bar at the top of the class list. You can sort the class list by class name, number of students, average percentage, number of total assignments, or number of missing assignments. You can edit the class settings for each class by hovering over the gear icon to the right of each class row.

Filtering Active Classes You can filter the Class List by subject and/or grade level. Hover over the All Subjects button at the top left, and select the desired subject or grade level that you would like to view from the dropdown menu. The Active Class List will filter to only display the selected subject and/or grade level. At any time, you can choose All Subjects and All Grade Levels from the dropdown menus to view all of your classes.

Archived Classes Archived classes are removed from your active list, but you can still access them from the Archived Classes folder. Teachers, Students and Learning Coaches can all access old classes through the Archived Classes folder.

Multiclass Reports You can create student reports for multiple classes you teach using the Multiclass Reports option in the left panel of your Active Classes page. For more information on how to create Multiclass Reports, please see the Print Multiclass Reports section.

Settings You can quickly adjust many class settings at once by clicking on Settings in the left panel of your Active Classes page.

Multi-Class Settings With this feature you can change settings for either individual classes or all classes at once. To change settings for all classes, use the Global Settings row at the top of the grid. To change settings for individual classes, select the new options from each class row that you want to change. Please note that your school admin has set up default values at the school level, so please consult your admin before making changes. Once you have made your selections, click Submit to apply all changes.

Adjusting Class Settings

Each class has a variety of class settings options that can be customized as desired.

Click on the name of the class for which you would like to view or edit settings.

Class Settings From any class screen, click Settings in the left-hand panel.

Basic Settings You may update some basic settings for your class. The available options are: Grade Level. The grade level

of the course. Subject. The subject of the

course Sort Students. How your

students are sorted in the student list. The options are: o Last Name. Sorted

alphabetically (A-Z) by last name.

o First Name. Sorted alphabetically (A-Z) by first name.

o ID Number. Sorted by student ID in ascending order.

o Class Percentage. Students with the highest percentage will be listed first.

Name Order. You may also choose to display student‟s last name first or first name first using this dropdown menu.

Grade Settings Select the Grade Settings tab at the top of the page to view your grading scale, create assignment categories, and adjust grading settings for your class. If your administrator has configured multiple grading scales for your school, these options will be available in a dropdown menu. Select the grading scale as advised by your school‟s administration. For example your school may give

student letter grades or indicate achievement with the use of terms such as Mastered, Incomplete or Complete. See the drop down choices for available options.

Assignment Categories Further down on the Grade Settings page there is an area where assignment categories are displayed and managed.

All OLS assessments are automatically assigned to the category of Assessments. The ercent of Expected Progress item is in the category called Progress. Both of these categories are automatically created for all of your school‟s classrooms. The Assessments and Progress categories should not be renamed or moved. However, the weighting can be adjusted. The percent of expected progress is automatically brought over from the OLS. It represents where the student is in terms of their progress relative to where they are expected to be. For example: if a student is expected to finish the school year at 100% on June 1, then on December 1 they are expected to be at 50%. If a student is at 50% on December 1, then they will show 100% expected progress. The percent of expected progress is updated nightly.

Weighted Assignment Categories You may also choose to weight assignments based on their type. To weight your assignment categories, make sure that “Yes” is selected next to “Weight assignment categories?” Then, type in the weights you would like to use next to each category. The percentages must add up to exactly 100%. Note: Your school administrator may have set default weights according to school policy. Please check with your administrator before adjusting any category.

Drop Lowest Score The Gradebook allows you to select the “Drop Lowest Score” box next to any category in your class whether the categories are weighted or not. If enabled, the Gradebook will automatically drop the assignment that most negatively impacts the student's overall grade in that category. Since the Gradebook calculates the grade based on points, the assignment with the largest discrepancy between points earned vs. points possible will be dropped. For example: If a student‟s scores are 2/100, 2/10, 2/10, 2/10 the 2/100 score would be dropped from the overall grade.

Sort Students You can sort students in your Gradebook by:

Order Entered. This option places your students in the order in which they were added to your class roster.

First Name. This option places your students in alphabetical order by first name.

Last Name. This option places your students in alphabetical order by last name.

ID Number. This option places your students in numerical order by ID number.

Class Percentage. This option places your students in numerical order by highest class percentage to lowest.

Sort Assignments You can sort assignments in your Gradebook by:

Date Collected - Newest First. This option places your assignments in order by “Due Date” with the newest assignments first. You can change the due date of any assignment.

Date Collected - Oldest First. This option places your assignments in order by “Due Date” with the oldest assignments first.

Date Entered - Newest First. This option places your assignments in order by the date on which the assignment was created, with the newest assignments first.

Date Entered - Oldest First. This option places your assignments in order by the date on which the assignment was created, with the oldest assignments first.

Category. This option places your assignments together with the other assignments in that category, in alpha order.

Rounding You can round student averages in your Gradebook:

To the nearest WHOLE number. This setting rounds the student‟s average to the nearest whole number. With this setting, an 89.4% is rounded to 89%, and an

89.5% is rounded to 90%.

To the nearest HALF of a number. This setting rounds the student‟s average to the nearest half of a number. With this setting, an 89.6% is rounded to 89.5%, and an 89.8% is rounded to 90%.

To the nearest TENTH of a number. This setting rounds the student‟s average to the nearest tenth of a number. With this setting, an 89.55% is rounded to 89.6%, and an 89.96% is rounded to 90%.

DOWN to next whole number. This setting rounds the student‟s average down to the next whole number. With this setting, an 89.9% is rounded to 89%.

UP to next whole number. This setting rounds the student‟s average down to the next whole number. With this setting, an 89.1% is rounded to 90%.

Please check with your school administration to see if this option should be used.

Show Percentages “Show Percentages” determines whether or not students can see the average percentage for your class in student/parent accounts, and on reports that you print for your class. Please check with your school administration to determine if you should have this set to Yes or No. Setting Yes will allow students and learning coaches to see both the

letter grade and the average percentage in accounts and on student reports. Setting No will prevent students and learning coaches from seeing the average percentage in accounts and on reports; instead, they will see the letter grade for your class.

Teachers Tab On the Teachers tab of the Settings page, you may view who has access to your class and whether they are a primary teacher of record. Gradebook user permission levels are:

View Only. Can only view grades and attendances, but not edit anything

Limited Edit. Can edit grades and attendances, but not change class settings

Full Edit. Can edit all class settings and grades, but cannot edit the teacher access settings

Full Moderator. Can edit anything in the account, including teacher access

Working in a Class

Once you have selected a class, you can view the class‟s Gradebook, Assignments, Students, and Settings.

Gradebook The Gradebook will be the first page you see when selecting a class. You can view your student roster, class assignments, students‟ overall grades in the class, and students‟ individual grades on each assignment.

Assignments Creating assignments is one of the most important components of the Gradebook. From your Gradebook click the New Assignment button on the top left to access this feature.

Please note that all assignments

created in the Gradebook will only

be visible in the Gradebook. They

will not be visible in TotalView

School or the Online School.

Allow students to see this assignment. Checking this box allows students to view this assignment from their student account.

accounts. Please note: the user can only fully edit and delete assignments they added. Assignments from the Online School cannot have their title, points possible, or unit edited. Descriptions and categories can be edited.

If you have already scored an assignment, you can add the scores in the box to the right of the student‟s name. Additionally, if every student earned the same grade, you can click the Copy to All text on the top right to copy the first student‟s score to every student in the class. When you have finished Whyou have finished customizing your assignment‟s settings, click the Save Assignment button to create the assignment. You will now see your assignment listed in the Gradebook. To view all of your assignments, you can click Assignments in the left panel.

Editing Assignments After creating an assignment, you may need to edit.

You can select the assignment you need to edit by clicking on the assignment‟s name on the top row of your Gradebook, or by clicking Assignments in the left panel and

then clicking on the assignment‟s name, or from the Assignments page, by hovering over the gear icon to the right of the assignment you would like to edit and clicking Edit. Once you have located and clicked on the assignment you need to edit, you will be directed to a page that looks similar to the New Assignment page. Here you can make the needed changes including deletion. .

Please note: Teachers can only fully edit and delete assignments they added. Assignments from the Online School can have their descriptions and categories edited. .

Navigating the Gradebook Within your class‟s Gradebook, you will see a variety of navigation options available.

Arrow Keys The Gradebook functions similar to an Excel spreadsheet for easy navigation. Click on any cell in the Gradebook grid, and use your arrow keys (Up, Down, Left, Right) to navigate quickly between student rows and assignment columns.

Additionally, at the top and bottom of

the Gradebook, you will see “<<“ and

“>>“ icons that allow you to scroll

through assignments in the

Gradebook.

Colors Codes The Gradebook automatically color codes student scores based on their percentage achieved. These colors are determined on the following scale:

80%–100% = Green

60%–79% = Yellow/Orange

Below 60% = Red

Timeline If you would like to view students‟ performance over time, you can view the Timeline.

On this page, you will be able to view assignments and grades in chronological order, with a color corresponding to each score. 80%–100%+ = Light Green 60%–79% = Yellow/Orange Below 60% = Pink

Click the Left and Right arrow buttons at the top of the timeline to scroll through the assignments. If you have created assignment categories, you can select an assignment category from the dropdown menu on the top left to view only assignments in that particular category.

Distribution Displays a class‟s overall average distribution and how many students fall into each range of percentages in your grading scale. The Grade column displays the percentage ranges set as your grading scale on your Grading Settings page, the Graph column shows a bar graph of how many students fall into each percentage range and the # column lists the number of students in each range.

Alternatively, you can select to view the distribution of grades within a particular category or an individual assignment. Click the dropdown menu on the top left and select the assignment category or individual assignment you would like to view.

Show IDs / Show Names Show IDs allows you to toggle viewing students‟ names or ID numbers in the Gradebook. Full Screen Provides a view without the left hand navigation panel. Reports Reports will be discussed at length in a later section of this manual.

All Units Menu Assignments and scores assigned to specific units in the Gradebook are viewable by hovering over the Units button. From the dropdown menu, click on the name of the unit for which you would like to view assignments and student scores in the Gradebook. Choosing All Units from the dropdown menu to view all class assignments is also available. For more information on how to create, modify, and delete units, please see the section Editing Units.

All Assignments All Assignments provides a view of students‟ scores on all assignments. Here all class assignments are viewable. Values include: assignment name, due date, category, and visibility to students. Column headings allow for sorting.

Click the New Assignment button to create a new assignment. Additionally, if you would like to import multiple assignments, you can click the Import Assignments button from the Options dropdown.

Bulk Edit Assignments If you click on the gear icon at the top of the assignments list in any classroom you will see a link for Edit Assignments. Selecting that will bring you to a Bulk Edit Assignments page where you can edit the details of all assignments at once. (Screenshots Below!) This is especially useful for Due Dates and Visibility.

Importing Assignments

There are two types of import modes that can be used to upload assignments: Basic and Advanced. In both cases you must use the .csv template provided.

Basic: teachers can upload several assignments at once with the same due date and category.

Advanced: teachers can upload several assignments with a variety of settings, such as different dates and categories.

Please note that the due dates and categories for the assignments

can be changed after they are uploaded.

To perform a Basic Upload:

In the Gradebook, click on Assignments

On the Assignments page, click on the Import Assignments tab

Select the Basic radio button Click on the “this template”

link An Excel spreadsheet will

open with student names and K12 ID number

To enter a new assignment add a column to the end of the spreadsheet. Please include the title (row 2), category (row 3), and the due date (row 4). Do not add or edit IDs (row 6).

Confirm changes.

Once this is completed:

The assignments are now imported into the Gradebook.

Tip: Teachers can use a Gradebook export in Excel or csv to copy/paste student information to the template to save time.

Advanced Import Mode

The Advanced import mode allows the teacher to upload assignments with different due dates and categories, all at one time.

To use the Advanced import mode:

Go to Assignments Click on the Import Assignments tab

Select the Advanced radio button.

Note the differences in headers from the Basic template and the Advanced “this template” to download the Excel spreadsheet

In the second row, fill in the information listed above.The first row indicates what information should be filled underneath each cell.

For example, put in the assignment name under the Title cell, due date under the Due Date cell, etc. Note the required format for dates (YYYYMMDD).

If you want the assignment to appear to students, make sure to insert “yes” in the appropriate column.

Note: The student information is presented differently than the Basic import template. If teachers want to add student IDs, they should do it in the Title column, student scores under the Number of Points Possible column, and student names are in one cell each, not two cells like in the Basic template.

Importing Assignments without Student Scores

Teachers can use the Advanced import mode without student information to pre-populate the Gradebook with assignments. This can be particularly useful at the beginning of the school year.

To do so, simply follow the steps for the Advanced import mode but do not fill in student information; only the information for the assignments, as shown on the screenshot. Then upload the spreadsheet as usual. The assignments will be created in the Gradebook but without the student information or scores

Bulk Update and Edit Assignments Using Assignment Import Navigate to the Import Assignments page to access and upload the template file. This file is designed to match the Gradebook export report that teachers can access from the Gradebook page. Click on Import Assignments from the Assignments page. Click on the “this template” link to download the csv file used to update or add assignments Update the following:

● Assignment Name

● Assignment Category

● Assignment Due Date

● Points Possible

● Individual Student Scores

After making any necessary changes the user save the file and upload it on the import page.

After clicking „Submit‟ the user is prompted to confirm the changes. After confirming the changes, the new assignment or revisions appear in the Gradebook.

Assignments Tab: Name To edit an Assignment click on an assignment name. This will open the Edit Assignment screen. Due Displays the due date set by the OLS or the teacher.

Visibility Include the checkmark if you do not want students to be able to view the assignment. Settings Gear To the right of each teacher-added assignment, there is a gear icon. Please note this icon only appears next to items created by the teacher. When you hover over this gear icon, you will have the following options: Edit Assignment allows modifications of any assignment information or settings. Copy to Classes. Provides ability to copy assignments to multiple classes. Delete. Deletes assignments and all student scores associated with that assignment. Confirm that you want to delete your assignment in the pop-up window by clicking OK.

Settings Gear To the right of each teacher-added assignment, there is a gear icon. Please note this icon only appears next to items created by the teacher. When you hover over this gear icon, you will have the following options:

Edit Assignment allows modifications of any assignment information or settings.

Copy to Classes. Provides ability to copy assignments to multiple classes.

Delete. Deletes assignments and all student scores

associated with that assignment. Confirm that you want to delete your assignment in the pop-up window by clicking OK.

Viewing Assignments by Unit Allows you to filter the list of assignments. From the dropdown menu, click on the unit name to filter by that unit. At any time, you can choose All Units from the dropdown menu to view all of your class assignments.

Editing Units If you would like to add, modify, or delete your units, click the Edit Units button.

On the Units page, you can create up to 50 custom units. In the Unit Title column, add, modify, or remove a title for your unit. You may also choose to add a date range for each unit using a calendar popup that appears when the box is selected. Only the teacher added units are editable.

To automatically assign units to new assignments based on the assignment‟s due date select “Use dates to automatically select unit for new assignments.” A unit‟s end date must occur before the next unit‟s start date. Click the Submit button to save your changes.

Students by Class On the Student Roster page you will see a list of your students enrolled in this class. Individual Student Details To view an individual student‟s information, click on his/her name View Archived Students link on the top right for students that have dropped or completed the course.

Student Info Tab On the Info tab, only basic information is displayed. You can print this information by clicking the Print button on the top left.

Scores Tab On the Scores tab, you can view detailed information about the student‟s achievement on each assignment in your class or overall percentage in each assignment category. You can add/edit student scores on this page, as well as add comments on each assignment (up to 255 characters).

A Print option is available on the top right.

If you would like to switch between students on this page, you can do so by hovering over the button with the current student‟s name on it on the top right and clicking the desired student‟s name.

Classes Tab On the Classes tab, you can view detailed information about the classes in which the selected student is enrolled at your school. You can sort the classes by class name, teacher name, letter grade, percentage, or number of missing assignments by clicking on the corresponding icons and words in the blue bar above the classes.

Apps/Uploading Files to the Gradebook

With the Files app, you can upload files to assign to students in your classes.

Files You can upload files such as PowerPoint files, Excel files, Microsoft Word documents, PDF files, and image files (png, jpg) to your Gradebook account. Each teacher can store up to 1024MB of file data in their account, with a maximum file upload size of 8MB. Files uploaded in your account can be added to class assignments.

Uploading Files You can upload up to three files at once under the Upload New section. Click Choose File to select the file(s) from your computer that you would like to upload. Once you have selected your file(s), click the Upload button to upload your file(s).

Once your file(s) have successfully uploaded, you can view them under the My Files section, including: the file name, file size, and upload date. You can click any of these headings to sort the files. Click on the name of a file to initiate a download of that file. If you would like to remove a file from your account, click Delete under the Options column.

Printing Class Reports

There are several different options for generating reports for a class.

Printing Class Reports From the Gradebook, you can print a variety of reports for a class by hovering over the Reports button and selecting a report to print.

Print Gradebook The “Print Gradebook” option creates a printer-friendly version of the Gradebook.

At the top, you can choose to display all assignment categories or you can select one from the dropdown menu.

At the bottom, you can choose to Hide Names, Hide Student Ids and “Show” a specific number of assignments.

Print Student Reports The “Student Reports” option creates a printable detailed report for all students in your class. It displays a detailed breakdown of the student‟s grades in your class. Any comments made on the student‟s assignments will also be visible.

Print Missing Reports The “Missing Reports” option creates a printable report of each student‟s missing assignments in your class. It displays students who have an “M” for at least one assignment.

Print Total Points The “Total Points” option creates a printable report that details each student‟s total points in the class. It displays the student‟s name, ID number, earned points, total possible points, grade percentages, and letter grades. The student‟s grade percentages and letter grades displayed on this report are calculated exclusively from the earned points divided by the total points. Please note: If your class has weighted assignment categories, then the total points percentage will not equal the grade percentage in your Gradebook.

Export Gradebook Exporting your Gradebook initiates the download of a CSV (Comma-Separated Values) file of your Gradebook data that can be viewed in spreadsheet programs, such as Microsoft Excel. Please note: Some browsers may give a warning that must be accepted before the file can be downloaded. .

Viewing/Printing Multiclass Reports

If you have students in more than one course classroom or course for the homeroom that you teach, you can print a Multiclass Report that shows the student‟s grades in each of your classes.

Multiclass Reports allow you to create brief progress reports for students in your classes, including the grade for each class they have with you. The options to print a student‟s grade individually or print all students at one time are available. Be sure the correct school year is selected. Please note: A student must be enrolled in at least two classes that you teach in order to have a multiclass report. Examples of use: If you are an assigned Language Arts teacher this report provides a view into the subcomponents; GUM, Vocabulary, and Composition. Additionally, if you are a Homeroom Teacher you can view course progress for those students.

Printing All Students' Reports Hover over the Print Reports button on the top left and click either Basic Report or Detailed Report to generate the desired Multiclass Report for all of your students. Print All Students' Basic Reports A “Basic Report” will list each student‟s name, class name, and the overall letter grade and percentage for each class. Detailed Reports A “Detailed Report” will list each student‟s name, class name, the overall letter grade and percentage for each class, as well as each student‟s overall category grade and individual scores. Click Detailed Report to open a pop-up window that will allow you to choose what details you would like included in your reports. In the pop-up window, you can modify the following options:

Output as a Word document

Show school name and logo

Add line for learning coach signature.

Show all assignments

Show instructor name

Show total points

Show Due Date

Show Percentages

Click the Submit button to initiate a download of your detailed reports.

TEACHERS

Q: My school configured my classrooms. How are grades being calculated for the courses I teach?

A: If your classrooms are set up for you by your school and you want to see how final grades are calculated go to Classroom Settings > Grade Settings to review the categories and weighting for any of your classrooms.

Q: I am a Homeroom Teacher and I noticed some of my students are missing from some classes, why?

A: If the missing students are in course classrooms for courses they will not show up in the Homeroom Teacher’s class. To see these students the Homeroom Teacher needs to select All Students from the left navigation bar and select the student. The teacher can view the course by clicking on that classroom name. The Homeroom Teacher cannot modify scores for course classrooms.

Q: As teachers are we able to see who is identified as the primary teacher for a course?

A: Yes, go to Classroom Settings > Teachers. All teachers are listed and the primary teacher is identified there.

Q: A student changed homerooms and is now in different classes. Do teacher added assignments and scores transfer with the student?

A: No, teacher-added assignments do not transfer with the student. You need to capture the scores of the teacher-added items in the old classroom before removing the student, and import or enter the scores into the new classroom.

Q: Can teachers enter an alternate grading scale?

A: No, request from your administrator the desired grading scale to be added to your grading scale options at the school level. After it is added you can choose the new scale in the classroom settings screen.

Q. Is there a way I can indicate that a score is missing and that is why the student earned a “0”?

A. If the student does not take an assessment and you want to count it as a zero, your teacher should go in and mark it as M, so the student knows he got a zero because he didn’t take it. If a “0” is entered it will look like the student took it and earned a zero.

Q: If a teacher changes the score for an assessment, then the student retakes the assessment in the OLS and gets a new grade, will the teacher's score be overwritten in the Gradebook? What if they enter an M or E?

A: When students retake an assessment in the OLS, the new score will always overwrite the value that was in the Gradebook for that assessment. If the teacher enters an M or E in the Gradebook, the student’s score in the OLS will overwrite the teacher’s entry.

Q: Can teachers add comments in the progress section?

A: No. Progress is a calculated value so the field value is locked. As a workaround, you can add a "progress comment" assignment to the classroom and leave it unweighted. Add your progress comments there and the student will see them.

Q: Does the Gradebook include attendance information?

A: No, unless this is a value added by you or your school’s administrator and tracked manually.

Q: How is the percent of expected progress calculated? Is this counted from the beginning of the school year, or for a shorter period of time?

A: Progress is brought over directly from the OLS, where it is calculated based on core lessons only. It is a cumulative calculation based on the course start date.

Q: When I manually determine a student’s grade I do not get the same grade that is calculated by Engrade.

A: Final grades are calculated based on three areas; category, the weight of the category and the assignment’s score. Make sure you check all three when you are checking the final grade.

Q: In the OLS my student has a value of 110% Expected Progress but in Engrade it displays as 100%, why?

A: Engrade will not display a percentage over 100% for Expected Progress even if the OLS value is higher.

Q: I'm confused about how grades are calculated in Engrade. If a student's grade is based 20% on a category that doesn't have any assignments in it, how is the grade calculated?

A: If there is a weighted category that does not contain any assignment scores, the weights of the other remaining categories that have scores are adjusted to add up to 100%.

Q: The OLS Gradebook allowed teachers to update multiple student grades at one time, is there a place in the OLS that we can do this today?

A:Teachers can bulk update student progress and scores by going to OLS Home > Students > My Classrooms > Select Classroom > Courses

Q: Is there a limit to the number of attachments to an assignment?

A: Teachers can add any number of attachments to an assignment; the max file size is 8MB per file.

Q: The assessments appear to be in a random order. How do I customize my view of the assessments list?

A: Assignments are in order by due date by default. Teachers can customize the order via Classroom Settings > Grade Settings > Options. Clicking in the column header “Name” also sorts that section alphabetically.

Q: How do I modify due dates to reflect what has been communicated to students and LCs?

A: The system defaults all OLS assessments to the course end date. Any school communicated due dates can be modified in the edit assignment screen.

Q: I’m looking for the student selected literature assessments. Are they included in the Gradebook?

A: No, "Choosable units" are not currently supported by Engrade. They can be added manually or imported.

Q: Why doesn’t the Expected Progress in OLS match progress

A: Gradebook progress is calculated based on core lessons only. If you change the expected settings screen in OLS to calculate based

Q: In the past, Language Arts GUM, Vocabulary, and Composition were combined to make one Language Skills grade. How are these courses handled in Gradebook?

A: In Engrade GUM, Vocabulary, and Composition are displayed as separate classes.

Q: Can students view report cards?

A: Students can see a list of their classes, scores and grades to date at any time using Engrade.

Q: In the student view, which teacher is listed there? Is that the class connect teacher?

A: No that is the primary teacher of the class, as assigned in TotalView.

Q: Will reminders be sent to students about an upcoming due date?

A: No, reminders will not be sent to students about due dates. Students should be told to check their Gradebook daily to insure they are submitting their work on time. (feel free to wordsmith this)

Q. My student reports he/she is not able to see their Gradebook is there any advice I can give him/her?

A: If your student is reporting they cannot see the Gradebook, they may need to turn off their pop up blocker on their browser, or select "allow pop ups".
