Getting Started

G SuiteThrough the NISD organizational account, educators receive access to G Suite for Education apps which include Docs, Sheets, Slides, Mail, Calendar and Drive on your iOS device. Users will see the same files, emails, events, and contacts on their iPad or their computer. For your convenience NISD has installed the G Suites apps on your district iPad. Just sign in and go!

Sign in Glossary

iPad Passcode

The iPad passcode protects your iOS device and data. Use the passcode to unlock your iPad.

• Passcode must contain 8 or more letters and numbers.

• Passcode must not have ascending or descending characters (example 123 or 987).

Apple ID

An Apple ID is the account you use to access Apple services like the App Store, iTunes Store, iCloud, iMessage, the Apple Online Store, FaceTime, and other Apple services. It is a best practice to use your NISD email address to create you work Apple ID.

• Apple ID is generally, but not always your NISD email address ([email protected]).

• Apple ID Password is set by the user.

NISD Single Sign On (SSO)

The NISD Single Sign On (SSO) portal allows District employees to authenticate to the NISD network with one set of login credentials providing access to multiple District applications.

Your Google account provides access to Gmail, Drive, Docs, Sheets, Forms and Sites.

iPad Basic Gestures

Pinch to the Home Screen

1. From any open app, place five fingers on the screen and pinch together to return to the Home page.

• This action does not close the app, it simply returns you to the home screen.

Closing Apps

1. Double tap the Home button, to see the most recently used apps.

2. To close an app, swipe up on the app’s preview window.

Swipe for Widgets

Spotlight allows you to quickly search for your favorite widgets such as search, calendar events and trending topics.

1. From the left edge of the primary Home screen, swipe right to open the Spotlight search feature.

Swipe for Recent Activity

You can view or search for recently used apps and content from the recent activity screen.

1. From the top edge of any Home screen, swipe down get to the Notification Center.

2. To dismiss the Notification Center, press the Home button.

Google Drive Google Drive app acts as a file repository - a file cabinet. It will allow you to view any stored files, however you cannot edit them.

Sign in1. From the Home screen, select Google Drive.

2. Located at the bottom of the Welcome to Google Drive Screen, tap Sign In.

3. Sign into your Google Account using your NISD credentials.

[email protected] and Network Password.

4. On the NISD SSO screen, type in your NISD network credentials.

• Enter your eNumber

• Enter your network password.

5. Tap Login.

OPTIONAL: If displayed, in the Back up Your Photos & Videos pop up message, select Turn On.

Google Docs Google Docs is an online word processor that allows NISD students and staff members to create, format and collaborate on text documents in real time.

Sign in1. From the Home screen, select Google Docs.

2. Located at the bottom of the Welcome to Google App Screen, tap Sign In.

3. Tap CONTINUE AS ...

NOTE: As you sign into different Google Services, you will not be required to complete the SSO screen and full Google login. Tapping Continue as will provide you with full access to your District Google accounts.

Home ScreenThe user experience on an iPad is very similar to the computer version. The main home page offers navigational tools to assist users maneuver through the app.

• Main Menu includes access to:

◊Account Information - Manage (add/remove) Google accounts.

◊Recent - Files worked on recently.

◊Starred - Files marked as important.

◊Shared with me - Files others have shared with you.

◊Offline - Files stored on your iPad.

◊Trash - Files recycled but not permanently deleted.

◊Google Drive - Google file cloud storage.

◊Help

• Search - Search for files within Docs.

• File Picker - Open Drive file folders.

• View - Switch from Grid to List view

• AZ Sort - Sort files by Name, Last Modified, Last Modified by me and Last opened by me.

Upload a fileWhile you cannot save files directly onto an iPad, files can be opened and edited on the iPad using Google Docs. Acceptable file formats include .doc and .docx files.

1. Navigate to the desired file or attachment.

◊Example: an email attachment.

2. To access Menu options, press and hold the file or attachment.

3. Tap Import with Docs.

4. In the Save to Google Drive window, select Save.

Once the file is added to Drive, it will automatically launch Google Docs and open the document.

Open a Doc1. From the Home screen, select Google Docs.

2. From the Google Docs dashboard, tap the desired file.

The file will open in edit mode.

Create a Doc: Template

1. From the Home screen, select Google Docs.

2. From the bottom right, tap the Create (+) icon.

3. Select Choose Template.

NOTE: Selecting New document, will create a blank document and allow you to skip steps 4 and 5.

4. Browse the template gallery, select the desired template.

5. To edit the template, select the Edit (pencil) icon.

6. When editing is complete, tap the Save (blue checkmark) icon.

Create a Doc: BlankUsers can create new Google Docs using the iPad with the same functionality seen on a desktop.

1. From the Home screen, select the Google Docs app.

2. In the bottom-right corner of the app, touch the create (+) icon.

3. Tap New document.

4. In the title field, enter a title for the Google Doc.

5. Click Create.

6. Tap within the content to reveal the keyboard to add text.

NOTE: As you reveal the keyboard there are some formatting options just above the alphabet keyboard. Additional font and paragraph formatting can be found by tapping the text icon to the top right of the screen.

7. To the top right, tap insert (+) to add additional features such as links, images, tables, and lines within your document.

8. To the top left of the screen, tap the checkmark to save changes and exit the Google doc.

Make a Copy1. From the Home screen, select Google Docs.

2. From the Google Docs dashboard, locate the desired file.

3. Tap the More icon.

4. From the More Menu, tap Make a copy.

The file will automatically open and the name of the file will reflect that it is a copy. The file can be renamed as desired.

Rename a Doc1. From the Home screen, select Google Docs.

2. From the Google Docs dashboard, locate the desired file.

3. Tap the More icon.

4. From the More menu, tap Rename.

5. In the Rename File window, replace text with new file name.

6. Tap Rename.

Edit1. From the Home screen, select Google Docs.

2. From Google Docs dashboard, open the desired file or create a new doc to edit.

• If you are opening an existing doc, it will open in view mode.

3. Once the Google doc is open, from the bottom right tap the Edit (pencil) icon.

4. Tap anywhere on the screen to reveal the keyboard.

5. Use the Format menu to access common editing features.

6. Use the features found above the Format menu to access additional features.

7. Once edits are complete,, tap the Save (blue checkmark) icon.

Share1. In the top right corner of the screen, tap the Share icon.

2. In the People field, type in a Contact Name.

3. As contacts auto-populate, select the desired Contact.

4. If applicable, in the Message field, enter a message.

5. To manage share rights, tap the edit (pencil) icon.

6. Select the appropriate Share/Edit option.

• Can Edit

• Can Comment

• Can View

7. Select the Send icon (paper airplane).

Offline AccessIf you aren’t connected to the Internet, you can still create, view, and edit files on your District iPad.

1. From the Home screen, select Google Docs.

2. From the Google Docs dashboard, locate the desired file.

3. Tap the More icon.

4. From the More menu, tap Available offline.

NOTE: This action will be required for any file you would like to access offline

Document MenuWhether creating a new doc or editing an existing doc, you have several options within the document menu.

NOTE: You can exit the menu at any time by tapping on the screen away from the menu panel.

Document Outline

Get an outline of your documents from the headings used in the Google doc.

1. To the top right of the screen, tap Menu.

2. Tap Document outline.

3. To exit, tap the X next to document outline.

Find and Replace Text

1. To the top right of the screen, tap Menu.

2. Tap Find and Replace...

3. In the Find in document field, enter the search term or phrase.

4. Tap Search.

5. Use the arrows to search for additional terms and phrases in the document.

6. To replace a term or phrase in the Replace with... field, enter the new text.

• Tap Replace to change the one word or phrase.

• Tap All to change all the words or phrases.

7. To exit, tap the X next to the Find and Replace field.

Word Count

Get a word and character count of the Google Doc.

1. To the top right of the screen, tap Menu.

2. Tap Word Count>.

3. Review information.

4. To the top left of the panel, tap the back arrow to return to the menu.

Print Preview

Currently NISD does not allow mobile device printing, however print preview will allow you to review the document to ensure printing margins and text will fit on the page.

1. To the top right of the screen, tap Menu.

2. Tap Print preview.

3. Review document.

4. Tap the X to return to editing mode.

Details

Check when others have made revisions to the Google Docs.

1. To the top right of the screen, tap Menu.

2. Tap Details >.

3. Review information.

4. To the top left of the panel, tap the back arrow to return to the menu.

Share & Export

Collaborate with colleagues to create a Google Doc.

1. To the top right of the screen, tap Menu.

2. Tap Share & Export >.

3. Select the appropriate action.

• Share: Add users to edit or review the document

• Send a Copy: Select a format to send the document via mail, notes, drive, etc.

• Save as Word (.docx)

• Make a Copy: Create a copy of the document in Drive

• Copy link to clipboard: Copy the link to insert in mail, messages, hangouts, etc.
