What is Entourage?

Entourage is an email and personal information manager that allows you to check and send e-mail, manage a calendar, organize an address book, track tasks and projects and much more. There are many ways that you can use Entourage to help you manage your school work and activities.

Entourage Applications & Toolbar Elements

Entourage ApplicationsNavigate between Entourage applications by clicking on the application buttons

Tool OptionsThe tool options that are displayed on the tool bar are based on the Entourage application that s selected

Email Send, receive, view & manage your KS email. Easily add pictures and attachments to messages.

Notes Store information to access later, such as directions, questions or text that you may want to use in documents.

Tasks Keep track of daily assignments & other things you need to do: set start & due dates & check off tasks once completed.

Project Center Manage a project by placing all project info. in a consolidated view : e-mail, calendar events, tasks, & documents.

Address Book Store contact information for teachers, counselors, classmates and others, for easy access.

Calendar Keep track of important due dates, activities and appointments by adding them as events in the calendar.

The Folder List displays any folders that are associated with the selected Entourage application.

The Preview Pane is the main viewing window that displays information associated with the selected Entourage application. The example above is the Email preview pane.

Entourage includes six applications that help you organize and manage school activities and information.

Starting Entourage

To start Entourage, click on the icon on your Dock.

If there isn t an Entourage icon on your Dock:

Click on the Finder icon to open the Finder window.

Click on Applications, then locate and open the Microsoft Office 2008 folder.

Double-click on the Entourage icon to launch Entourage.

Upon starting Entourage, a login screen will appear. Type in your e-mail username and password, then click OK.

Entourage Tasks

The Entourage Tasks application can be used like a daily planner. In Entourage, a task provides a way to remind yourself of something that you need to complete such as a homework assignment, an errand or a reminder. Each task can be assigned a start date, due date, priority and an option for checking off the task once it has been completed. Notes can also be added to the task.

Accessing Tasks

1. The Task View Pane displays options for viewing your tasks in different ways.. Click on a view option to select

2. The Preview Pane displays the listing of tasks and can be sorted by column headings including the Task Title, Start Date, Due Date, Tasks Completed, Category and Tasks that are related to a Project.

From the Entourage toolbar, click on the Tasks icon to access Tasks.

As tasks are added, they appear in a Tasks List. The items can be easily sorted by clicking on the column headings or selecting one of the view options listed in the Left Panel.

Tasks can be checked off as they are completed. A checkmark next to the task and a line through it indicates a completed task. Tasks List

Tasks also appear in the To Do List and My Day components of Entourage.

The To Do List is appears in Entourage Mail and Calendar.

My Day appears in all of the Entourage Applications except Projects. It displays calendar events as well as flagged tasks. My Day can also reside on your desktop for easy access to current calendar and task information.

Creating a Task

Click Tasks, then click New.

In the Task: field, type in a description of the task. For example, “Math homework - pages 91-92 evens”, “Tuba Practice”, “Buy poster board for English project”

To Do This

Set the Start, Due or Reminder Date for a Task Click the Start, Due or Reminder Date checkbox, then enter the date(s) you want to set in the appropriate fields.

Click the Calendar icon to select a date from the monthly calendar view.

Set a Priority for a Task Click on the Priority dropdown menu to select a priority level.

By default, the priority is set to Normal. When a higher or lower priority is selected, an priority level icon will appear next to the Task.

Define How Often a Task Occurs Click the Occurs dropdown menu to select an option for how often the task will occur.

By default, a new task is set to occur once. For tasks that recur, use this menu to define when and how often they occur.

To Do This

Add notes to a Task Click in the Notes section of the Task window and type in your notes.

Save a Task Click on the Close button.

The Save window will appear. Click Save.

Using the Tasks List

Completed Tasks

In the left panel, click on the down arrow to view the list of Task Views.

Click on one of the view options to display a specific type of task.

Column HeaderReminder icon

The Task List is used to view outstanding and completed tasks. All of the information that was defined when each task was created appears in list format in the Task List. Notice the Priority , Occurance and Reminder icons that are identify the tasks that include those settings.

Tasks,can be sorted by clicking on a column header. For example, clicking on the Due Date column header will sort tasks in chronological order by due date; clicking on the Task column header will sort tasks in alphabetical order by Task description.

To Do This
